1 Missouri State Council Knights of Columbus Charity Unity Fraternity Patriotism July 2011 Welcome to Jefferson City and the Summer District Deputy meeting. Council Activities have a lot to offer each Council across the State. Some of the activities of the Knights of Columbus sound demanding and certainly many are, but that does not mean that others can t be just for fun. Our Brother Knights are interested in the same athletics, cultural and social events. These interests are unlimited, athletic events, fraternal recognition, Ladies Auxiliaries, Public Relations, Clown Clubs, The MARINER, our own state web-site and the Father McGivney Guild just to name a few. Our mission is quite simple. We will create awareness of the various Council activities available for council participation throughout the state both at the State and Council levels. You can contact any of my chairman/woman or myself and we will be glad to assist you with everything Council Activities has to offer. Jerry and Chris Herbert are the Ladies Auxiliaries Chairpersons. The Chair-couple are to provide State Council oversight on Ladies Auxiliary Area Meetings, Auxiliary State meeting, aid in developing new Auxiliaries and provide assistance to local Auxiliaries. When a new Council or Assembly is formed this is a great opportunity to also form an Auxiliary. 7 PUBLIC RELATIONS NEWSLETTERS Each council should have a Public Relations Chairman who will: 1. Publicize all Council events as well as activities in the Church and Community. 2. Oversee all information and publishing's in the Council newsletter. 3. Gather news articles, photos, announcements & awards for the Council. NEWSLETTERS Send copies of your newsletters to your Parish Priest, Parish Council President, State Deputy, State Directors, State Chairmen. Also send a copy to the State Public Relations Chairman for an entry into the State Newsletter Contest, judging on these will also be held at the State Convention. PUBLICITY When your Council holds a function you should let the community know. This makes for good P.R. and assists in signing up new members. When people know what the Knights of Columbus is doing they will be more apt to support our efforts. A common error made by persons submitting copy for publication is that of writing or mailing the material on the deadline date. This means the material will not reach the editor in time for publication. Please allow two or three days prior to the actual deadline for the articles or photos to reach the editor's desk if you are sending via regular mail. If you are submitting by Fax, or by , you have until the deadline date to send it to us. Our address, phone and fax number, and address is listed above. All articles sent by regular mail, or by fax, we would prefer being typewritten (and in caps and lower case if at all possible), in order for us to avoid as much mis-spelling of members names, places, etc., as possible. However, if you are unable to type, please write or hand-print your copy as legible as possible to avoid typographical errors. With this latter thought in mind, we have had many District Deputies and/or Chairmen who fell into that category of not being able to type, but they still did a fantastic job of making their copy legible. If you send your article via fax machine, please take precautions to make sure that we received it in good condition. If you receive an "alarm" on the fax machine you are using, re-send it. If you submit your article via , please do so in a basic Microsoft Word Format. However, if you do not have a Word Format program, just type your article in the form of an , and we may be able to convert it. Also, if you ask for a returned as confirmation that we received it, we will be more than happy to respond. Pictures submitted should be in positive form if you submit by regular mail. It can be a colored print; it can be a polaroid/ instamatic print; it can be a digital print. But please remember WHAT YOU SEE IS WHAT YOU GET! IF YOU ARE USING A CAMERA PHONE OR DIGITAL CAMERA, MAKE SURE YOU TAKE THE PHOTO OF YOUR SUBJECT AS CLOSE AS POSSIBLE. THE LARGER THE ENLARGEMENT, THE GRAINER THE SUB- JECT. YOU CANNOT SEND A PHOTO VIA FAX, NOR DO WE WANT A COPY-MACHINE PRINT OR PHOTO COPY FROM A DIGITAL PRINTER. If you submit a photo via , please provide it in JPEG format, and limit the size that you send to no larger than 8x10. It is most important that all photos be properly identified, and please try to answer the basic 5-"W" questions in your copy: WHO, WHAT, WHERE, WHEN, and WHY. Again, please avoid a larger size than a 8x10. We can enlarge or reduce to fit proper spacing. Regardless of how you submit photos PLEASE try to submit a good photo for publication. We've had several cases where a member will cut a photo out of a local newspaper and try to submit it for publication. Some of these are just so badly reproduced in the local newspaper that we can't do anything with them. PROPER CHANNELS FOR SUBMITTING ARTICLES: Councils wanting articles/photos featured must go through their District Deputy, a State Council Officer, Director, or Chairman. If you send articles to your District Deputy, and they still do not get published in the Mariner, the Grand Knight should "drop me a line" at the address above, and I'll look into why your articles are not being forwarded. David Dillon The archives for the State Council of the Knights of Columbus is located in the library at St. Louis University in St. Louis (SLU). Because oflimited space not everything will be able to be included in the materials stored there. We are working on the records of the State Council first and as space allows we will look at milestones of our councils. If you have any material that concerns the State Council contact the state historian as to the best way to get the information to him. The information will then be scanned and placed on a thumb drive (external hard drive) and then the document will be sent on to SLU for archiving. Included at SLU we would like to keep the minutes from the state conventions of the Columbian Squires and the Columbus Girls. The conventions minutes of the Ladies Auxiliaries. The Fourth degree minutes from the bi-annual meeting and the exemplifications held. The minutes from the State Officers meetings and the Columbian Charities meetings. When all is completed you will be able to the historian for information and he should be able to you back what you had requested. 7/11 P25

10 Missouri Knights of Columbus Clown Clubs Promoting Brotherhood by Replacing Tears with Smiles WANT TO START A "CLOWN CLUB"? HERE'S WHAT YOU DO! Recruit a minimum of five (5) members for a full club; a minimum of two (2) members are required for a "Mini- Club". Clown Club members maybe the Child, grandchild, wife, or friend of a member of the Knights of Columbus. Obtain a sponsor, i.e.: Chapter, District or Council. Submit an application for a charter to the State Clown Club Chairmen. Include a check for $25.00 with the application for the first year's dues in the Missouri Knights of Columbus Clown Club. Arrange to meet the State Clown Club Chairman, in order to hold an election of officers and hold an installation of the new officers. The Order of the Knights of Columbus has established the Father McGivney Guild to promote the cause for canonization of our founder. The goal of the Guild is to spread the good word about his holiness of life, to encourage devotion to his memory, and to seek his intercession before the throne of God. Membership is open to anyone who wishes to share in this mission. All one need to do is fill out the application below and mail it to the address listed to become enrolled. 13 Worthy State Deputy Worthy State Officers Worthy State Directors Worthy State Chairmen Worthy District Deputies Worthy Grand Knights Ladies Auxiliary Presidents One of our goals this year is to start more Auxiliaries. When a new Council or Assembly is formed this is a great opportunity to also form an Auxiliary. Last year the Auxiliaries donated over $350,000 and 183,000 hours to charity and State Programs. Remember the motto of the Auxiliary "Helping Knights Help Others" as you can tell they did a very good job this past year. Please encourage your Auxiliariesto attend the Area Meetings. This is a time when the President's and their board members have a chance to talk with other Auxiliaries in their areas. To learn what forms are needed to be filled out and why. And also a nice opportunity for them to hear that other may be experiencing the same issues they are. The ladies will be done between 3 and 3:30. In taling with the Auxiliary Presidents this year and some of their members we are finding that some dont' know who their District Deptuy is. We depend onyou to bring information back to us. If we can work with an Auxiliary BEFORE they start having thoughts of going in-active it could possible make a difference. Increasing our number of Auxiliaries are important, but we need to take care of our established ones also. We learned this past year that the Auxiliary Presidents like to receive the Program manual during the summer at your meeting for your Councils and Auxiliaries. To satisfy this request please make sure that they receive the following: State Directory and Program Manual Any Awards and Certificate not picked up at the Convention Thank you everyone for how you have helped us last year. 14 KofC Ladies Auxiliary "Helping Knights Help Others" HOW TO START AN AUXILIARY 1. A formation meeting between members of the Knights of Columbus and ladies interested in starting a Ladies Auxiliary should be conducted. At this meeting the K. of C. Officers should acquaint the ladies with the Service Program of their Council, the Missouri State Council programs and the Structure of an Auxiliary. The Council membership roster should be made available at this time, so that interested ladies may assemble a prospective membership list. 2. Following the formation meeting contact letters and personal contact should be directed to those considered eligible, inviting them to attend a general meeting where the aims and purposes of the Ladies Auxiliary will be presented and explained and the State Auxiliary By-Laws reviewed. Entrance fee should be collected, officers elected and chair-persons appointed at this time. This process should take from 6 to 90 days to complete. 3. Any Knights of Columbus council wishing to form a Ladies Auxiliary and further wants to be affiliated with the Knights of Columbus Missouri State Council must present an application for Charter, with a legible list of Charter members, to the State Ladies Auxiliary Chair-couple and upon approval by the State Deputy, will be issued a Charter. Ladies considered for membership shall be: (a) Wives of Knights in good standing; (b) Mothers of Knights in good standing; (c) Daughters (18 and older) of Knights in good standing; (d) Columbus Girls in good standing who transfer their membership within ninety (90) days of their eighteenth (18th) birthdays; and (e) members of Religious Orders, in good standing with their Order. 4. Application for membership must be submitted to the affiliate Council Knights of Columbus Financial Secretary for approval. 5. Charter members are those whose names have been submitted with the charter application and who have made a commitment by paying their entrance fee. 6. Immediately upon the election of officers, the Presidents name, address and phone number should be mailed to the State Ladies Auxiliary Chairpersons. Preferably with the Charter application. 7. The Council should have a minimum of ten ladies signed up as Auxiliary members before submitting the Charter application. There is no limit to the number of members an Auxiliary may have. OPERATION 1. To the Officers we suggest:: learn the interests and abilities of the members. Use these talents to benefit the Auxiliary. 2. Experience is a great asset when appointing chairpersons on program activities. To educate the new members on the programs mix them with the experienced members on committees. 3. In filling committee appointments, don't only have a chairperson, but have a co-chairpersons to work in new ideas on the old and established programs. 4. Auxiliary meetings should be held at a suitable location; they should also be kept short and lively, with interesting speakers, events and entertainment. Start meetings at the scheduled time and follow through in a business like manner. Meeting agenda outlines are listed on the last page of the State Ladies Auxiliary By-Law. ROBERTS RULES OF ORDER should be the Presidents bible. 5. Installation of officers should be an open affair, preferably in a joint installation with the Knights of Columbus Officers and should be conducted by the local District Deputy. 6.
