Treasurer s Report Kristen Allmaras Given by Kristie Balance Sheet o 2/9/2017 checking balance is $17, o 2/9/2017 savings balance is $2, /1/2016 through 2/9/2017 Profit and Loss shows $7, net income. o Food Booth Profit and Loss shows $13, net income. Vanessa moved to approve the treasurer s report, seconded by Julie, and motion carried. Committee Reports Bylaws Jeff, Barb, Pam and Carrie O. No report Static Building Kristen A. and Chrissie No report Explorers Group Krysten M. and Kristen J. They decided to go to the Iron Range of MN, down to Duluth and then a service project in Fargo. It will be approximately $6500 total trip. Vanessa moved to approve the plans for the trip, Michelle seconded and motion carried. Ambassadors Michelle, Krysten M, Kristen J. and Julie There are 7 members signed up as ambassadors. Double E is in the process of making new shirts. Ambassadors do not need to meet the points requirement to help as ambassadors at the fair. Shooting Sports Steven & Dale There is interest in getting a team together for shotgun team. There was a meet in Cando, and there is another in March.

2 Tractor Driving Lori, Todd, David and Shawn No report Food Booth Amanda (Lonetree) Lori (Bremen), Sondra (Bowdon Blazers) Tessa Weckerly will help, but she has small kids and will not be able to help full time. Barb suggested that the members should be on a staggered rotation of 3 years so the whole committee does not retire at the same time. o If the term is 3 years, maybe members would do another term a few years later. Communication Art, Consumer Choices, and Project Expo Barb & Vanessa Will try to schedule late afternoon on the Monday after Easter, April 17th. Will contact Dan Stutlien about holding at the Harvey High School. That worked very well last year. Will order pizza for supper also. Will need to revamp the structure so Project Expo does not go so late. The state competition did not have any awards. Consumer Choices will be held on the Wednesday before the fair. Small Animal Carrie O., Dynella, & Russ Poultry o The poultry show will be adjusted so it runs more smoothly. o Could move it to 5:00 on Thursday and move the dog show to Saturday or Sunday. Moving the dog show to the weekend could improve the number of spectators. Horse Kathy & Dynella Foster County will host the horse show at the Carrington fairgrounds on Saturday, June 17th. o Lindsay suggested that we still have a fun competition at 9:00 to 10:30, so they can ride in the parade. That would also allow the dog show to be held on Saturday. Russ got a bid for the overhead doors from 3 local lumber yards. Material only is $1,245 per door. o Lloyd Baier Memorial made a $500 donation to the overhead doors on the horse barn. o It appears that we received $2,800 from the fair board for our share of the Summer BBQ Blast. o Russ will get new quotes since the bids are from last summer. He will check with Harvey, New Rockford, Carrington, and Anamoose He will get bids on labor also. He will send an to the executive committee for approval, so this can be completed as soon as possible. Premium Sale and Opening Ceremonies Ambassadors No report Livestock Show and Sale Paul, Steven, & Troy Sheila created an invoice to send to the buyers. o Includes the line, The checks should be paid to and mailed to the 4-H member. Lindsay is working on lining up judges. Lindsay suggested advertising the sale in local papers. This would eliminate the need for members to call and invite buyers. Invites are also sent to the previous buyers. Krysten suggested that we invite other local auctioneers to the sale to relieve some of the pressure on the existing auctioneers especially as they are nearing retirement. o Jeff suggested that this needs to be addressed with the existing auctioneers. o It will also help if Paul announces the member, their club, and parents while they are walking in.

3 o It might help if the council bought breakfast before the sale and mention some of these changes. Building Maintenance Barb, Dale, Glen & Paul See horse barn above. Glen will build a box to cover the fan on the food booth. There is a window broke out on the second floor of the static building. Fair Flyer Jennifer, Diana, Carrie W Jeff suggested that there should be a committee member from each club similar to the food booth. o Each club needs to mention this to their leaders. We have a number of new members who might have an interest. Leann said that it worked well to have the pictures ed to her. Michelle suggested that Janine Schmitz might be a good candidate. Diana worked with Leann last year. Leon Seefeld o The rest of the history is lost. Jeff suggested creating a binder of nominations that are retained for a number of years. Suggestions included Adeline Schaubert, Fessenden Co-op, and Bill and Anne Ongstad. The committee will meet to put the biographies together. Old Business Summer BBA Blast It was very well received and all factors were favorable for a good turnout. Jeff suggested that this was a unique fund raiser, and we should save this for a serious need in the future. Carrie O. mentioned that the games set up by Wanda Weckerly was a great idea. o This might be a good idea during the livestock show to keep the younger kids occupied.

4 o Leann suggested that there are activities available down by the fair office. We might be able to use some of those activities up by the show barn. o Barb suggested building a sandbox up there and cleaning up the culverts behind the building. Paul suggested using the extra hog panels to enclose the area. 4-H Highway Signs 4 signs are remaining to be put up. o Hwy 3 South, 2 sides of 200 and Hwy 15 still need to be put up. o Paul suggested that a group should just do all 4. o Council will send a thank you to Todd Toso for allowing us to put the sign on his land. New Business Amazon Smile Lamoure county set up their 4-H on Amazon Smile. This would allow people to designate the 4-H council to receive their donations. o Lindsay will set this up for the council. Giving Hearts day 26,900 in total donations plus some mailed-in donations for a total over $27,000. Jim Kirkeide had a matching donation. o Council will send a thank you to Jim. Meeting/Activity Point requirements Kristen moved to change the required points from a minimum 8 points with 5 meeting points to 6 points with 4 meeting points. Julie seconded. o Lonetree Pioneers has lost a number of older member as they find it difficult to fulfill the points requirement with their involvement with other activities. By increasing the point requirement, it did not increase involvement in activities. Kristen A. feels that 8 points promotes well-rounded members and avoids abuse of the livestock premiums. Emily feels that by keeping the 8-point requirement the membership will be made up of members where 4-H is a priority to them. o Kristie explained that while 4-H was not a priority to Jarett, he enjoyed it and it was a priority to her that he be involved. That in turn benefited 4-H and the fair with more projects, a strong ambassador and an active leader involved in the food booth committee and council. It also benefited Jarett as he learned many things including many leadership skills. Jarett was never involved in the sale. Dillion suggested that at a certain age the requirement decreases due to the increased involvement in sport and school activities. Levi feels that it should stay 8 because members get a lot of money from the premium sale. Jeff feels that a minimum of 4 meetings and 2 of meetings or activities is a requirement of only 50% involvement which is not enough. Vanessa suggested lowering the points to be involved in the fair but leaving it at 8 points to be involved in the sale. The state requires your club has a minimum of 6 meetings. Council discussed how this needs to be voted on. Since this policy change was not on the agenda, it needs to be tabled for the next meeting. o Does it need to be a general vote or 1 vote per club? o Who is eligible to vote at a council meeting?

5 Originally it was organizational leaders but then members and parents were invited. This needs to be in the by-laws. o Was the vote to increase from 6 points to 8 invalid? Glen moved to table this discussion on points. Russ seconded. Motion carried. The by-laws committee needs to meet to decide the voting questions brought up in the discussion. Julie moved to adjourn, Russ seconded the motion, motion carried. BBQ Blast Update More than $9,000 was raised for replacing the horse barn doors and gazebo renovations at the Wells County fairgrounds Committee members include: Jeff & Leann Schafer David & Diana Lautt Chad Friese Kristen Allmaras Krysten McKinven Whacky Olympics was planned and conducted by Kristen Allmaras and Alexa LaPlant. Face painting, 4-H recruitment, door prizes (paid for by 4-H Council)- Extension Office. Supplied yard games: LaPlants and Snivelys. Face painting: McKenzie Lautt, Ericka Hager, Tatiana Friese, Chrissie Hager, and Madison Jones. 4-H Ticket Sales: Tickets mailed to 40 families (200 tickets) 3 youth, 75 adult, and 31 family (109) tickets were sold by 4-H families 91 tickets were unsold or unaccounted for people served from 5:30 8:10 p.m 130 lbs brisket (prepared by Trevor Larson) 120 lbs pork loin (prepared by Jeff Schafer) 100 burgers, hotdogs (prepared by David Lautt) 4 roasters baked beans 75 lbs coleslaw 420 ears of sweet corn 12 cases of water bottles 10 gallons of lemonade 50 cups coffee 24 dozen bars Ambassador Help
