Augusta Drive Lehi, UT The Mormon Battalion Association Executive Staff meets at least once per quarter on the third Saturday the month at 10:00 am, except when that day is a holiday or conflicts with another event. In that case, the meeting will be re-scheduled and the Executive Staff will be notified of the change. Members of the public are invited to attend. Policy: As with U.S. Congressional minutes, anyone can read appropriate items into the minutes. In the interest of expediency, all participants should be familiar with our proposed minutes before each meeting. We will only address items requiring discussion and decisions. The Action Item Review may refer to more detailed discussion in Membership Reports, Member Advisory Committee Reports, and New Business. Jamison I apologize for cancelling our 19 March meeting, but our home was very busy as our family gathered to say farewell to my wife who had returned home to terminal hospice care. General Business:! Recognition & Awards Linda Arlene Bell Jamison, 49 year wife and companion of LTC Jamison, and Battalion member, passed away in their home on 22 March 2016, after 19 years of chronic back pain and a seven month struggle with multiple surgeries and hospital illnesses. Funeral services were held on 28 March at their LDS Chapel in Lehi, Utah, followed by interment in the family plot in the City Cemetery at Franklin, Idaho.! Service Opportunities 170th Anniversary of Grand Encampment Forging Onward, Ever Onward: A Mormon Pioneer Celebration 7-10 July 2016, Iowa School for the Deaf, Council Bluffs, Iowa. No te th e d ate c h ang e. Plans include a two day wagon train, one day handcart company, reenactment of the mustering of the Mormon Battalion, a cotillion (dance) in the evening. Ron and Nancy Marshall from Omaha, and our own Kevin Henson are the members of the subcommittee coordinating the Battalion portions of the event. We cannot allocate funds for their needs if we cannot plan for them.! Action Item Review: Leadership: All: Recruit civic and community leaders to serve on our new Board of Directors. We have two remaining unfilled positions. All: Find viable candidates to run for offices of Battalion Commander (e x o ffic io President of Board) and Battalion Executive Officer (e x o ffic io Vice President of Board), who will stand for election for two years. Section 2.02 of the Articles of Incorporation states that they coordinate and direct all member activities. Their roles are that of Chief Executive Officer (CEO) and Chief Operations Officer (COO). All: Find individuals willing to serve as 1 st Executive Director (S1 - Adjutant General) and 2 nd Executive Director (S7 - Public Relations Commandant) of the Battalion Continental Support Staff. Section 2.02 of the Articles of Incorporation states that they manage all administrative support business matters. Their roles are that of Chief Business Executive (CBE) and Chief of Business Operations (CBO), supervising the Battalion Continental Support Staff. Col Gourley (Executive Secretary of the Board of Directors): Swear in Greg Christofferson as member of Board of Directors. Recruiting: LTC Jamison: Provide James Waite with contact information for CPT James Hansen to reactivate Logan Squad (aka D Company). Graves Memorialization: COL Larson and Kevin Henson: Work on preparations for graves memorialization for Dr. George Sanderson, Lewis Dent, Milton Smith, Thomas P. Dutcher and William Reynalds (Reynolds). Search of Memorabilia of Late MAJ Don Schultz: LTC Jamison: Contact Hugh Schultz, son of the late MAJ Don Schultz, to search for the nine missing white leather belts in his father s memorabilia, and to extract and forward to us the 7,000+ roster of Mormon Battalion Eagle Slides maintained by his father on his personal computer. Finances: COL Gourley: Make immediate contact with the CPA in St. George who volunteered to perform the audit and coordinate with Chief Finance Officer CPT Todd Crappa. Due to new liability laws, CPAs can no longer afford to do pro bono or low cost audits. It was decided that we would get CPT Crappa to prepare documentation for an internal audit by our Board of Directors. Mormon Battalion Musket Replicas and Accouterments: P LTC Jamison: Follow up with Cap Cressap about delivery of nine replacement and two spare white leather belts. Done. LTC Jamison: Follow up with Laura Anderson s contact about possibility of obtaining set of Mormon Battalion musket replicas prepared as part of an Eagle Scout project which we might be able to obtain. Mu s te r Ro ll Copies Held by State of Iowa: Kevin Henson and Laura Anderson: Contact Joseph Johnstun of Fort Hamilton, Iowa for input on how to get digital copies of the Mormon Battalion Muster Roll copies held by the State of Iowa. Mormon Battalion Historic Trails Award: P LTC Jamison: Meet with local Salt Lake Council executive(s) to obtain permission to use official BSA fleur de lis logo on the BSA core patch. Done. See Scouting Relations Committee Report below. Kevin Henson: As soon as possible, provide preliminary draft of new requirements list, booklet, and appropriate bibliographic/resource documentation to LTC Jamison. Prior to Grand Encampment, lead Mormon Battalion Historic Trails Member Advisory Committee in completing same, including new History of the Battalion based on articles by Larry Porter, and provide to the BSA National Trails Office, the LDS/BSA Relations Office, and the Battalion s webmaster for use on their websites. 3 LTC Jamison: As soon as preliminary draft of requirements are received from Kevin Henson, coordinate new patches, lapel pins/pendants, requirements list, booklet, and other documentation with LDS Primary-Young Men-Young Women and LDS-BSA coordinators to start publicity. CSM Munford: Prepare draft of booklet for new award, and be prepared to plug in text and graphics provided by Kevin Henson. COL Gourley and Greg Christofferson: Continue coordination with Elder D. Todd Christofferson regarding continued association between LDS Church and Mormon Battalion Association, including historical research and LDS participation in BSA Mormon Battalion Trail Award after Mormon Battalion Association takes over. Website Release 3.0: LTC Jamison: Create new recruiting materials (brief background of Association and donation page with receipt) for website to go with Membership Application. Forward copies to David Jamiel. LTC Jamison: Contact Joseph Johnstun of Fort Hamilton, Iowa for input on digitizing Iowa State copies of Muster Rolls. LTC Jamison: Follow up with Ms. Onaona Guay of the NARA regarding cost of conservation and possible time when digitization of original Mormon Battalion Muster Rolls, etc. can be done by agents of the Mormon Battalion Association. Laura Anderson and Kevin Henson: Prepare a letter to appropriate LDS and political leaders requesting support in digitization effort, and detailing the information desired. LTC Jamison suggested we contact Elders Holland and Christofferson of the Quorum of the Twelve for support in this matter. Both are very sympathetic to our cause, and Elder Holland supervises Church History. Laura Anderson and Jennifer Jamison: Visit NARA to deliver detailed list of documents our historians desire to be digitized. Jennifer to follow up with NARA locally. Laura has requested a $ stipend to cover her car rental during her week long visit to NARA. Greg Christofferson: After receiving details, pursue funding for digitizing of Muster Rolls, etc. with donors, including the LDS Church when we know how much it will cost. Brian Cannon: Contact two BYU student research organizations (Redd Center for Western History and Early Saints Research Group) to assist in the transcription. LTC Jamison: Share local boots on the ground field research by participants in the new Mormon Battalion Historic Trails Award program. LTC Jamison and SGT Jamiel: Complete four Historical Fact sheets and post on website: See Colorado Squad report. The Mormon Battalion Monument, Pueblo, Colorado. Heritage Trails Association Ms. Marilyn Mills: The 20 April 2016 issue of the Deseret News included a short Picturing History article by Kenneth Mays about the Fort Moore Pioneer Memorial. 4 .10. Mormon Battalion Volunteers, Historic Reenactment Group. Utah Living History Association CPT Jared Cornell: No report. 11. Mormon History Association President Brian Cannon: No report. 12. Old Spanish Trail Association (OSTA) Pres. Ashley Hall: No report. 13. Sierra Nevada Mormon Pioneers (SNMP) Peter D. Guilbert: Attended the meeting by muted phone. He reports that he went through a triple bypass heart operation on April 4th. He is recovering slowly and has left the management of the SNMP to the previous Commandant for now. He hopes hope to be back and more involved in mid-may. He and Virginia are planning to fly out to the Grand Encampment in July. There will at least six from their Northern California group coming out. He doesn t think anybody from Southern California is coming. He is not sure if the SNMP will be sending a group to participate in the 2016 Salt Lake City Days of 47 parade, and they cannot afford two trips this year. This is a very active group of LDS service missionaries. Below is an edited extract from their latest minutes: Old Business: 16 January Hands on History Sutter s Fort. Trappers, Traders and Treaties. No one attended. 23 January Gold Discovery Day Coloma. Pretty well attended despite the weather. 30 January Mormon Battalion Day Old Town San Diego. There were 11 from our group who went. 31 January 5th Sunday Presentation Roseville. Kentucky Pat s ward. Sandra, Bonnie, Smokey, Bubba and Dick spoke. 11 February School Presentation Breen Elementary. Keith Bond did a presentation of Charbonneau at his granddaughter s school. 15 February American Heritage Day Mt Vernon Memorial Park, Citrus Heights. Quite a few people came through and there were a number of LDS families who came through. 19 February Mormon Battalion Temple Trip. The group would prefer not to do these on Friday and Saturday nights. We may try to do these on Wednesday or Thursday evenings instead. 20 February Hands on History Sutter s Fort. They came by land and sea. There were 7 of our group there. Not a lot of people came through according to Smokey but John said those who came by listened. 5 March Sacramento County History Day Inderkum High School. 12 March Swallows Day Parade San Juan Capistrano. 19 March Hands-on-History Sutter s Fort. 24 March School Presentation Rio Del Oro School - Plumas Lake. Donna Garbett: We did our first school presentation on Thursday, 24 March. It was a huge success and the teachers were very appreciative. I don t think I ve ever been told thank you so many times in my life. We have been asked back next year, and every year after that. One teacher told me her student said, This is better than my birthday and it s at school! In case you were wondering, this is the ultimate comment coming from a ten year old! The students each wrote us adorable thank you letters I will bring them in to share. Six sisters from my ward helped us, as well as my mother-in-law. All were very excited to help again next year, and all agreed they could possibly do one other school a year so we will see. It was a delightful day and I can t wait to do it again! Page 4 of 10

5 LTC Jamison suggested that the Mormon Battalion Association would do well to emulate the SNMP school presentations. After some discussion, it was agreed that it would require adults to donate personal time to go to local schools. Commandant Guilbert provided a little more detail in an ed report received after the meeting: In the past we did a few presentations to the LDS seminary classes while they studied the D&C and Church History. As for public schools, the curriculum for 4th grade in California is learning about California history. We have made inroads to the schools by offering to present 1st person presentations and hands on activities concentrating on pioneers coming to California. We have a couple of people talk about life on the trail as it pertains to the kids. Their duties and responsibilities walking and camping. We have someone portraying Charbonneau and displaying furs and traps. Charbonneau lived and worked in the gold rush area for the rest of his life. We then break into small groups and the kids get to participate in activities like pioneer toys, laundry, making a short piece of rope, pioneer games, cooking on the frontier, etc. This is becoming very popular and I hope we can continue to provide the people to keep up with requests. 31 March School presentation Sierra Montessori Academy- Grass Valley. 8 April School presentations Natoma Station Elementary School Folsom. 9 April DUP Convention. 9 April Living History Coloma April Sutter s Fort Trader s Fair. Upcoming Events: 1 May Break the Fast Yuba City. Single adult first person presentation. Need 3-4 people to present. Peter and Virginia and at least one other person. 6 May State History Day Competition William Jessup University, Rocklin. This is a very big history event with lots of students May Columbia Diggins Columbia State Park. (Change of usual date. This will conflict with Mormon Pioneer History Day on 21 May. Good news is they will be changing the date back next year so it will not conflict with our event for the future.) Thursday and Friday are mostly kids and the weekend is the general public. We can use the egg house. Carol and Kacy are attending on Thursday. Jerry Gardner is no longer participating with us so we will not have the hardware store this year. 20 May, 8:00 AM to 4:00 PM Folsom Amgen Tour Folsom. It is a big bicycle event and we have been requested to have people on the street in PC clothing to meet and greet the public. Looking for people from 11:00 a.m. to about 2:00 p.m. but you don t need to stay the whole time. Let Sandra know if you can attend. 21 May Mormon Pioneer History Day. This is a multi-stake event. Make sure your ward and stake has a save the date in the ward bulletins. President Holland passed out the proposed agenda for this event. Check out Mormon Battalion Day 2015 in San Diego on YouTube to get an idea of what this will be like. It will cover every aspect of early Mormon California history. Each stake will present a different historical aspect. Our encampment will be located near the Mormon Cabin and be more of a display of what we do and possibly a recruiting tool. The Auburn Stake will have a display about the Mormon Battalion and located near us. Our group is asked to do a log cutting activity using the misery whips and having the MB branding iron available to brand the slices cut off. We are needing pine or cedar logs about 4-8 in diameter for this activity. Anybody having connections for the logs, please let Dennis Amaral or myself know September International Gold Panning Competition Placerville. They have asked us to participate in this event. Opening ceremonies on September 11, 2016 and they would like us to march in the parade and fire the cannon on opening day September 11 and closing day on September July 170 th Grand Encampment Council Bluffs, Iowa. Planning to do an enlistment of the Battalion and presentations from each phase of the MB trek. There will be a cotillion one night September Gold Rush Live Coloma. (another change of usual dates to coincide with the Gold Panning Competition.) We are being asked to have a presence in Placerville for the Gold Panning event and Coloma at the same. We probably will be in the parade through town and asked to fire the cannon for the beginning and end of the event. We will need two people at Placerville and two for the Mormon Cabin during the entire week. 14. Sons of Utah Pioneers: Received monthly report from Lehi Chapter. 15. Oregon-California Trail Association (OCTA), Southern Trails Chapter Doug Hocking, Chair See 20 February 2016 Minutres for details on the OCTA Southern Trails Chapter s Annual Conference and Symposium on 6-9 April 2016 in Willcox, Arizona. He and LTC Jamison will visit the local UPS Store in West Jordan to arrange for shipping and billing similar to the way LTC Jamison does Eagle Slides in Lehi. Colorado Squad SGT David Jamiel: I have been working on developing Historical Fact sheets for our website on four different locations that have markers or monuments that highlight or at least mention the Mormon Battalion: 1. The Mormon Battalion Monument Pueblo, Colorado. (Second draft completed. Researching exact location of the encampment near Arkansas River with Kevin Henson.) 2. Peaceful Valley Mormon Battalion Interpretive Panels Kiowa, Colorado, adjacent to County Courthouse. (First draft submitted). 3. We have significant data updates, which we will correlate with COL Larson and then update our Master Database and online data. 4. Membership Committee Margaret Larson, Chair: No report. 5. Scouting Relations Committee MAJ Clark Olson, Chair: a. Mormon Battalion Historic Trails Award Member Advisory Committee Kevin Henson: i. Patches and Lapel Pins/Pendants LTC Jamison and CSM Munford: In a very positive meeting on 4 March, we obtained an endorsement for our new award from Mark Griffin, the new Scout Executive of the local Great Salt Lake Council. He is very supportive of our new award, and is sponsoring further endorsement by Boy Scout Headquarters in Page 6 of 10

7 Irvine, Texas, to include the official BSA fleur de lis logo on our BSA version of the core patch. We are evaluating proof copies from Celestial Creations and will take delivery of the following minimum order of patches and pins/pendants on 1 May: So far, we have decided to increase the length of the lapel pin/pendant from 1 to 1d so we can increase the level of detail. We will publish actual full sized photos of the approved patches and pins/pendants within days. ii. Requirements Kevin Henson: Still expect to have everything ready to go to press on or before Grand Encampment. The requirements booklet will include: 1. History of the Battalion to be based on articles by BYU History Professor Larry Porter, 2. Journal & Bibliographical Resources to be both on-line and off-line texts 3. Foods List what the Battalion ate 4. Equipment what the Battalion used 5. Museum/Key Locations where the Battalion went 6. Maps including topographical map for groups to print out the trail segment they will be hiking. The Committee is also creating requirements for a super segment award, similar to Eagle Scout Palms, for those who go above and beyond the minimum requirements. Recipients will earn a special bronze boot which can be affixed to the applicable segment award. 6. Men s Uniform Committee [TBD], Chair: No report. 7. Women s Dress Committee Kayla Willey and Wendy Sorenson, Co-chairs: No report. 8. Website Release 3.0 Committee LTC Jamison: Working on updating the Trails Markers and Monuments List. These will be quite helpful in the forthcoming Mormon Battalion Historic Trails Awards. I have reorganized our list chronologically by trail date, and have posted links to 17 Details Pages (most are based on and correcting the Hmdb.org website) similar to the following mockup. I hope to have these done soon, and am producing 1-2 per week. 9. After paying $39.23 for our April GoToMeeting.com fee (they refunded the March fee because we didn t hold a meeting) and $ for our latest shipment of Mormon Battalion Eagle Scout neckerchief slides, we have a current bank balance of $4, Our next major bills include $2, on about 1 May for our first order of Mormon Battalion Historic Trails Award core patches, segment patches, and pins/necklace pendants (see 20 February 2016 Minutes for details), a travel stipend of $ to Laura Anderson for her car rental during a week of discussions with the National Archives, a travel stipend of approximately $ to COL Gourley to attend the Grand Encampment in early July, and reimbursing Dan Roper for creating our new Master Database "hidden" website and domain name. Foods List what the Battalion ate 4. Equipment what the Battalion used 5. Requirements for a "Core" Patch including proper research and service projects which can be done anywhere 6. Requirements for a "Segment" Patch including proper segment specific value added research and service projects and the following resources: a. General Campsite Locations where the Battalion went b. List of Appropriate Topographical Maps for each trail segment c. List of Local Certified Trail Experts to train, guide, and monitor applicants in proper respect for artifacts of the past, and in nondestructive photography and reporting in the trail segment area they select LTC Jamison: As soon as preliminary draft of requirements are received from Kevin Henson, coordinate new patches, lapel pins/pendants, requirements list, booklet, and other documentation with LDS Primary-Young Men-Young Women and LDS-BSA coordinators to start publicity. The same priesthood power that created worlds, galaxies, and the universe can and should be part of our lives to succor, strengthen, and bless our families, our friends, and our neighbors in other words, to do the things that the Savior would do if He were ministering among us today... And the primary purpose of this priesthood power is to bless, sanctify, and purify us so we can live together with our families in the presence of our heavenly parents, bound by priesthood sealings, participating in the marvelous work of God and Jesus Christ in forever expanding Their light and glory.
