1 Kappa Alpha Psi Fraternity, Inc. Burlington-Camden (NJ) Alumni Chapter Chapter Meeting Minutes Friday, December 8 th, 2017 Kroc Center 7:05 pm Call to Order Polemarch Brother Richard Horton III 1. Formal Opening/Welcome 2. Roll Call 3. Recognition of Dignitaries & Visiting Brothers-the chair recognized in attendance Northeastern Province Nominating Chair Richard King. 7:08 pm Polemarch s Report Polemarch Brother Richard Horton III 1. Polemarch s Update-Brother Polemarch stated that we are mid-way through the fraternal year. Brother Horton spoke of the holiday season and that he was looking forward to a cocktail hour after the meeting. Brother Polemarch reported that the chapter is 66% (40 Brothers) towards our budget membership goal of 61 financial Brothers. Timely dues payment is needed to meet the chapter financial obligations. The chapter administration is working closely with the KCDC administration with plans for an upcoming joint meeting of the two boards and a partnership to revamp the website. (Brother Richard King mentioned that there is a Province Award presented annually to the chapter with the best website). 2 nd Vice Polemarch Erik Holmes is working with the Polemarch to enhance a renewed retention strategy. Brother Polemarch informed the Brothers that communication is critical and that 30%r of chapter members click on the monthly newsletter which contains interactive access to all meeting documents, power point slides, minutes, exchequer report and all committee reports. A reminder that reclaimed Brothers receive a free set of STRONG ARM chapter cufflinks with the payment of their dues. Brother Polemarch reviewed the chapter participation and support of the Turkey Basket drive especially the Friday evening before as Brothers assisted in the unloading of supplies into the PYAA Hall which the Delta s were quite thankful for. A task that normally took hours was completed in an hour with the help of the astute muscular Brothers in attendance. Special kudos to Chair Brother Lincoln Wilks III and the leadership he provided in the success of the delivery of 160 baskets to needy families (10 more than originally planned for). Unfortunately, 12 turkeys that had been committed for the event were not provided causing the exchequer to provide additional funds to purchase the shortage. Chapter administration will reach out to those Brothers who were in arrears for their donation to hopefully collect a monetary contribution. (Brother Richard King commented that We have to honor commitments to ourselves. If we cannot take care of our own we are in trouble ). In our constant effort to serve the community, Brother Horton spoke of the recently conducted Breakfast with Santa event held in Lawnside where Santa was well received riding in a township fire truck and the upcoming Toys for Wings social to be held at the Pinsetter s Bowl in Pennsauken. Brother Polemarch expressed his excitement concerning the timely submission of the Rutgers-Camden University undergraduate chapter Summary White Paper to the Province Polemarch. The Province Polemarch is in support of the request and will present it to the Grand Board 1
2 sometime in January. In conclusion, the Polemarch reminded Brothers of the February 10 th social affair THE BLACKOUT and that tickets are available and invited Brothers to a post-meeting holiday reception at Houlihan s with the first round on him. 7:30 pm Keeper of Records Report-Brother Billy Wright 1. Brother Richard King called for a point of order presenting a motion for Brother Donald Moore to lead us in prayer in the absence of an opening prayer. Seconded by Vincent Cream. 2. December Minutes approval with no corrections 3. Correspondence A. thank you letter received from Ms. Chantel Young, ERLH Associate Education Director for accommodating them on the Mercer County Malcolm Bernard HBCU Fair. B. Received Grand Chapter Executive Director Spencer T. Bruce correspondence that specified minimum chapter standards and addressed the KAPPA SIX POINT PROGRAM of Grand Polemarch Thomas L. Battles, Jr. C. Invitation from the Hartford (CT) Alumni Ad request for the 88 th Northeastern Province Council Motion to adopt Keeper of Records report by Brother Donald Moore, seconded by Brother Richard King. Motion carried 7:35 pm Keeper of Exchequer Report Brother Ben Jackson 1. Forty (40) Brothers financial at this time, the same financial number we had at this time last fraternal year. Brother Jackson piggy-backed on the Polemarch s request for the timely submission of chapter dues stating, if you do not remit the chapter will not be able to commit. Three (3) Brothers have been reclaimed. Expenditures for the Turkey Basket drive were $1,300. The expenditure was off-set by the $1,311 profit of the Black Mask Off Kabaret and a $75 donation. 2. Discussion took place concerning the dissemination of bank statement reconciliation at the chapter meetings Motion to adopt the Keeper of Records report by Brother Vincent Cream, seconded by Brother Jonathan Hardy. Motion carried 7:50 pm KCDC Treasurer Report Brother Ben Jackson 1. Account balances: 1. Operating account-$6, Charitable account-$47, Investment account-$44, Motion to adopt the KCDC report by Brother Keith Horne, seconded by Brother Greg Wilson. Motion carried 2
3 7:55 pm Committee Reports 1. Guide Right-presented by Brother Larry McSeed in the absence of Brother James Foggie A. Completed events include a tie-tying session where Kappa Leaguers were taught how to tie both a bow tie and standard ties. Brother Greg Wilson conducted a critical thinking and team trust session. Brother Edward Ward presented a STEM session (Brother Donald Moore commented that NJ state government is changing over to STEAM with the inclusion of Arts. Future grant proposals should include the Arts discipline). KL ers were highly visible participants in the Turkey Drive. Forty-two (42) Kappa Leaguers are on the rolls B. Upcoming events include the December 16 th monthly meeting, 9:00am at the Kroc Center, the Martin Luther King day of service and the NEP KLLC training session. C. Looking ahead to the 2 nd Annual Bowling event, Saturday, April 7, 2018, Maple Bowl. Brother Greg Wilson reported that all 54 available lanes will be secured for the event. D. A reminder of the Scholarship challenge ahead with the presentation of four $500 Book Awards (May 1, 2018 commitment deadline) and the two $1,000 scholarships 2. Social Action- Brother Keith Horne presented in the absence of Chair Brother Ryan Harrell A. Wrapped up Fall events included the Black Mask-off Kabaret, registration of 23 college students at two voter registration drives, Breast Cancer walk, Turkey Basket drive and the Lawnside Breakfast with Santa B. Upcoming holiday events include the December 14 th Toys for Wings drive (fellowship with the Brothers with free wings with the donation of a toy), 7:00pm at Pinsetters Bowl in Pennsauken, and toy donations for the Anna Sample Shelter in Camden, the BCAP Early Development Center in Burlington C. Cathedral Kitchen food service scheduled for December 23 and January 27, 2018 both 11:15am-1:30pm D. Martin Luther King Day, January 13 th, 10:00am volunteer work/mlk presentation January 15 Faith United Christian Church 119 Washington Ave. Berlin, NJ E. Brother Nate Ford announced tickets are on sale for the Black Out Affair on Saturday, February 10, 2018, 7:00pm-12 midnight at the 25 Club in Maple Shade, tickets are $45-$80 a couple F. Men s Health Fair committee announced that CamCare is the sponsor of the May 5, 2018 event at the Kroc Center men are expected G. At Risk youth workshop at the Camden County Juvenile Detention Center, 8 S. Woodbury-Turnersville Rd., Blackwood, (no date yet) 3. Rutgers-Camden Undergrad Advisor Report-Brother Kris Smith A. 4 4. Reclamation-Brother Vincent Cream A. Goal is to grow the chapter fraternal year the goal was to reclaim reclaimed Brothers. Exceeded that goal with 16 reclaimed Brothers B. Held four major events last year with the annual Rowan Homecoming tail-gate cookout one of the highlight events C. Retained Brothers are presented a chapter lapel diamond which is used for branding of our events. All Brothers should wear their pin showing that we are on the same team. D. Upcoming events are Founders Day in Atlantic City January 10, 2018; Super Bowl party February 5 th, 2018 and the Polemarch reception May 5, 2018 F. Brother Cream concluded with RETENTION put your hand on the Diamond and join a committee. 5. KCDC Report-Brother Erik Burrell A. Monthly meetings are the 3 rd Saturday of the month at Red Hot & Blue 9:00am. Next meeting December 16 th. B. Supporting upcoming Guide Right, HBCU and Men s Health Fair 6. Founders Day- Brother Erik Burrell A. I m excited stated Brother Burrell. Met with the Founders Day committee last week in Philadelphia B. January 21, 2018, Harrah s Hotel & Casino, Atlantic City, NJ. Registration $100. Special room rates available, must be registered for the event to be eligible. Church visitation on November 19 th to the White Oak Baptist Church to help celebrate their 93 rd anniversary. The Reverend is the father of 2 nd Vice Polemarch Eric Holmes. Nine Brothers and a Kappa Leaguer in attendance, church treated the Brothers great, fellowship was great 8:45 pm New Business No new business 8:45 pm For the Good of Kappa 1. History moment- Brother Polemarch presented the chapter story of the naming of the STRONG ARM Chapter. Founded in 1969, the chapter had the privilege of having 4
5 Grand Chapter Founder Byron K. Armstrong as a charter member of Burlington-Camden Alumni. Armstrong is a surname of Scottish borders origin and a Scottish chieftain known for his prowess in battle. Derivative of Middle English nickname meaning someone with strong arms. Thus, the STRONG-ARM chapter. 2. Brother King urged Brothers to join a committee stating that the work of KAPPA is done on committees 3. Brother Maddox recognized the employment promotion for Brother Nate Ford to much applause. Informed the Brothers that Morgan State Alumni chapter is presenting $100 gift cards for current Morgan State students who preside in South Jersey. 4.
