1 Saint John the Apostle Officer/Director/man Slate Chaplain Grand Knight Deputy Grand Knight Chancellor DESCRIPTION The Chaplain is the spiritual advisor of the council. He is expected to make a report at council meetings on religious matters. The GraC2:C6nd Knight appoints a priest in accordance with any rules established by the bishop of the diocese to serve as council chaplain. Father Rob has agreed to continue as Chaplain and Bishop DiLorenzo is expected to again approve the appointment of our pastor Reverand Father Cole for this Fraternal Year. The Grand Knight is in charge and responsible for the operation, welfare and accomplishments of the council. He presides over council meetings, acts as an ex-officio member of all committees, appoints a membership and programming director, convenes officers for a monthly meeting, and ensures all necessary reports are submitted to the State and Supreme Council. He should also be aware of the council's financial status and ensure that his signature appears on all checks drawn. The Grand Knight then moves through the Trustee chairs. The Deputy Grand Knight is second in command. He assists the Grand Knight with council affairs and fulfills all duties assigned to him by the Grand Knight. Should the Grand Knight be absent from a council meeting, the Deputy Grand Knight will preside. He serves as the General s Director of St. John the Apostle Council and is the chairman of the council's Retention Committee. The Deputy Grand Knight moves up to become Grand Knight. The Chancellor has a variety of responsibilities. Primarily, he assists the Grand Knight and the Deputy Grand Knight in the execution of their duties and oversees the council in both their absences. He is charged with strengthening the members' interests in council activities. The Chancellor serves as the Membership DIrector for Saint John the Apostle and is chairman of the Admission Committee. 2 Saint John the Apostle Officer/Director/man Slate Recorder Treasurer Financial Secretary Advocate Warden DESCRIPTION The Recorder is similar to a court reporter or a secretary. He is responsible for maintaining a true record of all actions of the council and its correspondence. A Recorder's Minute Book (#1403) is available from the Knights of Columbus Supply Department for keeping a record of council meetings. The Treasurer is responsible for the safekeeping and maintaining of records of all council funds and accounts. He is responsible for depositing money into the council accounts and provides a voucher or certificate of deposit of such monies to the Grand Knight. He is also responsible for payment of all expenses. The Financial Secretary is nominated by the Grand Knight and appointed by the Supreme Knight (the Chief Executive Officer and man of the Board of the Knights of Columbus), upon recommendation of the council. His main area of responsibilities is maintaining all financial and membership records. He collects and receives all moneys from all sources, including annual dues from council members. He also handles supply orders for the council officers and members, filing the Report of Officer (#185), and submitting all membership transactions to the Supreme Council. The Advocate is the parliamentarian of the council and serves as the council's attorney at trials and investigations of any interest to the council. While he does not need to be a member of the legal profession, he should be familiar with the council by-laws, the Order's Charter, Constitution and Laws (#30), Methods of Conducting a Council Meeting (#1937), and Robert's Rules of Order. When a by-law is to be revised, the Advocate serves as chairman of the revision committee. The Warden is the 'watchdog' for council property and degree paraphernalia, except the property of the Financial Secretary, Treasurer, and Recorder. He is also responsible for setting up the council chambers for meetings and ceremonial work. During ceremonial exemplifications, he will appoint and supervise the inside and outside guards. 3 Saint John the Apostle Officer/Director/man Slate Inside Guard Outside Guard Three Year Trustee Two Year Trustee One Year Trustee Lecturer DESCRIPTION The Guards have similar responsibilities, but distinct differences. The Outside Guard tends to the outer door admitting visitors and members to the inner door. Once at the inner door, the Inside Guard checks to make sure that their membership cards are current. The Board of Trustees consists of three members, elected by the council, and the Grand Knight, who serves as man of the Board. They oversee the work of the Financial Secretary and Treasurer, and with the Deputy Grand Knight serve on the council's Retention Committee. During council elections, only the three-year trustee is voted on, with the others moving on to become two-year and one-year trustees, respectively. The Trustees are generally the three immediate PGKs. The Lecturer is appointed by the Grand Knight to provide both educational and entertaining programs to the council. He is responsible for the 'Good of the Order' portion of council meetings. In order to provide members with informative and educational programs, he must be knowledgeable and aware of all council programming. He is responsible for the recruitment, screening, interviewing, and recommending candidates for admission into membership. He is also responsible for procurement and preparation of recruiting materials, membership kits and membership materials including Member Handbooks. 4 Saint John the Apostle Officer/Director/man Slate Admissions Committee Welcoming Committee Retention Committee DESCRIPTION Admisions Committee is chaired by the Chancellor. It's members (3-7) assist the Membership Director with recruiting, screening, interviewing, and recommending candidates for admission into membership. Responsible to help get elected candidates through the Admission (1st) Degree. Welcoming Committee chairman is appointed by the GK. Members (3-7) are responsible to contact newly Admitted (i.e., 1st Deg) members and welcome them to the Council by inviting them to the next meeting, introducing them to other members, getting them involved in at least one program, and answering their questions about Council organization and activities. Further they are responsible to get new members scheduled with their proposers through the Formation (2nd) and the Knighthood (3rd) Degrees. The retention committee is ed by the DGK to examine reasons why Knights become inactive and let their membership lapse. This committee plans programs to conserve the council's membership and anticipate and solve problems that may cause membership suspensions. The committee is chaired by the DGK and is composed of the council's trustees. After discovering problems, the committee should work with council officers to remedy them. The Financial Secretary should provide the retention committee with a list of members in danger of being suspended. Contact these members and discuss their reasons for being inactive. Urge them to become active again. The Financial Secretary can also furnish a list of suspended members. Contact former Knights who still meet membership eligibility requirements and ask them to rejoin. Through the sponsoring of Church-related activities the Council continues to show that it is the strong right arm of the Church. Leads the effort to provide moral, spiritual, temporal, and financial support to one, or more, sponsored Seminarians. man procures a supply of Christmas cards and related items from State Council, orgnizes volunteers to sell them before and after masses and at parish breakfasts beginning at October breakfast through Advent. man schedules, organizes, secures rosary leaders, and especially publicizes, a Rosary Hour on the Fifth Sunday during each month that has 5 Sundays. man coordinates with the Chaplain, schedules, organizes and publicizes, the Holy Family Prayer program once during the Fraternal Year. The guild serves as a source for information about the life, works and spirituality of Father McGivney. Community s Director is responsible to find ways to help those in need in our Church and the broader community through good works, whether it be providing shelter, clothing, or shoes to those who are in need or are homeless, warm coats to kids who need them, wheelchairs to those who can't walk, or any of the many programs conducted to help those in need. Habitat for Humanity of South Hampton Road's mission is to build affordable homes that strengthen families and communities in South Hampton Roads. It serves all seven geographical entities that comprise South Hampton Roads: Chesapeake, Isle of Wight, Norfolk, Portsmouth, Smithfield, Suffolk, and Virginia Beach. schedules, plans, organizes, publicizes, and executes annually a dinner on or near Veteran's Day to honor those who are serving or have served in the military services. receives, stores, and makes available for temporary loan the use of traditional, hand powered wheel chairs for use by parishioners and community members. Collects and delivers to SPCA Animal Shelter paper towl & toilet tissues rolls, used wash cloths, hand towels, small throw rugs, used medicine/pill bottles, and single cut shredded paper. Collects unserviceable American flags and delivers to mortuary/crematory where they are disposed of in connection with the cremation of deceased military veterans. Collects serviceable men's and women's clothing and shoes and delivers them to Beach House where they are distributed to persons in need. Additionally, Council Director should work to keep members informed on current council initiatives and to let the parish and community know about the good works of the Council. man is liaison with Special Olympics of Virginia for provision of support to the Fall/Winter Games and the Annual Polar Plunge. Organizes support for activity venues and for serving of Saturday dinner to the athletes. Responsible for food service perfromance of volunteer crew, inventory purchasing and preparation of food, preparation of necessary reports and accounting. is respomsible for arranging and scheduling the drive with the Red Cross and coordinating the date on the parish calendar, for signing up volunteers to work the event, and for registereing donors ahead of the event sufficient to accomplish assigned goal. The KOVAR Campaign man organizes, coordinates, and directs the annual Council KOVAR "tootsie roll" drive to raise funds for the Intellectually Disabled in our State. He conducts sign-ups, procures tootsie rolls, collecets and counts monies collected by volunteers. Sends get well cards, sympathy cards and mass cards to those who are ill, and to the families upon the death of a member or anyone in the member's immediate family. is responsible for writing and submitting on time church bulletin announcements advertising all Council sponsored activities. Responsible for gathering, editing and submitting articles about Council activities and accomplishments to local newspapers, broadcast news organization, and Diocesan and Catholic news agencies among others. also manages postings on the KofC portion of the bulletin board carousell in the commons of the church. would gather information, write and publish an electronc newsletter on a periodic basis.
