The times are 6:00 p.m. for dinner and 7:00 8:30 p.m. for the meetings (6:30 for dinner and 7:30 9:00 p.m. for the meetings at Maria Stein). Please plan on coming and sharing your thoughts. We will begin with Evening Prayer; please bring your Book of Christian Prayer or Liturgy of the Hours with you. Please complete it and mail it to the Office of the Diaconate. It is necessary for all deacons who are not listed as being in Senior Status or on a leave of absence to complete the Annual Report and return it by January 31. The Continuing Formation requirements can be found on pages of the Permanent Deacon Handbook. When I receive a request for a Letter of Good Standing, I am required to check the deacon s file to be sure he is indeed up-to-date with the Continuing Formation requirements of the Archdiocese of Cincinnati. The PDF version of this form can be found on the Diaconate Office web page. Thank you in advance for your cooperation. DEACON COUPLES RETREAT The retreat for Deacon Couples is on Friday, Feb. 28 (begins 6:00 p.m.) and Saturday, March. 1 (ends 3:00 p.m.) at Bergamo. Jeanne Hunt will be the retreat facilitator, and the title for the retreat is The Five Attitudes Retreat. Further information was mailed and is also included with this Memo. Due to limited space there are only rooms for 10 couples with 2 couples registered at this time. ST. STEPHEN S APPEAL UPDATE $5,025 has been donated to the Deacon Memorial Fund through the St. Stephen s Appeal. Many thanks to the generosity of our donors. INFORMATION MEETINGS Please share the Information Meeting Schedules which are included with this Memo with anyone who may be interested in learning more about the diaconate and any men you feel might make good deacons. 1

2 ADVISORY BOARD MINUTES Included with this Memo are the minutes from the January Advisory Board meeting which was held on January 18, If you have any comments or anything you would like the Board to discuss at a future meeting, please contact one of the Board members with your thoughts. VIRTUS CHILD PROTECTION TRAINING REQUIRED Everyone in the Archdiocese will be required to be trained/re-trained using VIRTUS regardless of when you were previously trained using our old materials and video. The deadline for completing all VIRTUS re-training is June 30, That allows FIVE MONTHS TO COMPLETE VIRTUS training across the Archdiocese. The loss of your faculties may be on the line until you successfully complete VIRTUS training and remain current with the bulletins! ALL DEACONS AND DEACON CANDIDATES MUST COMPLETE THIS NEW TRAINING PROGRAM AND KEEP CURRENT WITH THE MONTHLY BULLETINS EVEN IF UNASSIGNED OR IN SENIOR STATUS. Due to time constraints, there will be no special VIRTUS training for deacons or deacon candidates. Please check the Archdiocesan web page ( for training sites, dates and times near you. After July 1, 2014, anyone who falls three or more Bulletins behind will be required to attend another full three hour VIRTUS Training Session. ALSO, A NEW FINGERPRINTING RULE GOES INTO EFFECT ON JULY 1, Everyone will need to be refingerprinted every 5 years. If you haven t been fingerprinted within the last 5 years, you may want to get it done by then. SEE ATTACHED FOR ADDITIONAL GUIDANCE. DID YOU KNOW? The M-1, M-2 & MB forms can be accessed on the Archdiocesan Web page in both Word and PDF formats and can be filled out and printed! This is so much easier than filling the forms out by hand, and they would be legible too! Also available on the same page are the Guidelines for Matrimonial Dispensations/Permissions. Go to and click on Ministries & Offices. Then go to Chancery. In the left shaded column select Prenuptial File Forms and you are ready to go. DIRECTORY UPDATE Deacon John Back s new address is: johnback@roadrunner.com. PLEASE REMEMBER IN YOUR PRAYERS Deacon John and Linda Lyons and their family. John underwent emergency open heart surgery (4 bypasses) on January 28 at Atrium Hospital in Middletown. He will remain in recovery at the hospital for 4-5 days. At this time he and Linda request no visitors. Please continue to keep John and Linda and their family in your prayers. Deacon Ralph and Janie O Bleness and their family. Ralph s youngest brother John s son, John Charles, died, at home on January 4 from an apparent asthma-induced heart attack. 2

3 Deacon Michael & Mary Kay Thomas and their family. On Mary Kay s return to work her employment status was changed from fulltime to part time. She is now looking for fulltime employment. Your prayers would be appreciated so that the Lord will lead her where he wants her to be. And anyone who is suffering who is not noted above and of whom I am unaware. May they know that we will include them and their needs in our prayers. PRAYER REQUEST UPDATES Dottie Brockmann, widow of Deacon Ed Brockmann, and her family. Dottie s 40 year old son Tim has been diagnosed with cancer. The doctors are in the process of trying to find the appropriate chemotherapy treatment. Also, Dottie was admitted to Good Samaritan Hospital in Cincinnati on December 17 for shortness of breath. Deacon Bob and Joan Collins and their family. Bob underwent rotator cuff surgery on December 13 and is doing well. Deacon Bob Crook is still awaiting a bone marrow transplant. He has been placed on a worldwide donor list. If you feel that you would want to and be able to be a bone marrow donor or know of anyone who would, Bob gave me this site to visit: Please continue to keep Bob, Leah and their family in your prayers. Joan Michael's 20 year old granddaughter, Allyson Goldeck, who gave birth to a healthy baby the week before Thanksgiving, got an infection at the hospital and suffered a stroke on November 26. She will be undergoing a foot amputation on Friday, January 31. Prayer is powerful. Deacon Ron Risch s tumor biopsy is benign, was removed on January 14 from Ron s bladder, and a TURP procedure was done at the same time. When that heals they plan on removing the growth on Ron s kidney. He is doing well at this time. Deacon Ron and Brenda Risch and their family. Brenda's brother, Jerry Cox, passed away on January 3. Ron and Brenda appreciate all of your prayers. They told the family the Deacon Community was praying for him and them and they are very grateful. He passed on to the Lord peacefully. Current status for Deacon Candidate Hans Schade is that he has begun another round of chemotherapy. Please continue to keep Hans, Dory and their family in your prayers. Thank you all for the cards, prayers, and encouragement you gave us during Mary Kay s eye problems. The doctors through a couple of surgeries, and a lot of waiting and taking it easy on Mary Kay s part has resulted in her eye sight being restored to both of her eyes. The left one still has a little way to go. Prayers indeed work. Anthony Brausch, Deacon Bob Crook, Fr. Rick Nieberding, Fr. Andrew Umberg, Fr. Bernie Weldishofer Deacon Roger Klosterman Lector Installation: In place of Fr. Brausch, Barry reported on the change of date for Lector Installation. It is now scheduled for Sunday, February 16, 2014 at 10:00 a.m. at the Cathedral Basilica of the Assumption in Covington, KY. Bishop Foys will preside. All are invited. Conference Call Update: Barry looked into the possibility of having a conference call in an emergency situation such as weather. There is a system available at the Cincinnati and Dayton Archdiocesan Office sites which can be used for this purpose. It can also be used for video conference calls. This does not, however, alleviate the problem caused by inclement weather because it still requires travel to Archdiocesan office sites. Barry found another option. There is an online service called FreeConference.com which provides free conference calling from anywhere. It would involve each Board member calling a designated dial-in number with an access code. The only cost would be for the long distance calls. After some discussion, it was decided to use this service for emergencies and to plan on meeting face-to-face three times a year as usual. Decision: Nominating Committee Selection: Roger Klosterman will head up the Nominating Committee with the help of Terry Callan, Barry Mersmann, Ralph O Bleness and Monica Perkins. This is Ralph s second and final term. It is the end of the first term for Monica and Fr. Umberg. Usually the Athenaeum position rotates every three years. Discussions: Potential Housing for future Deacon Candidates during Formation: Without Fr. Brausch s presence with financial and planning information from the Athenaeum, we were unable to discuss this. As a result, it was tabled for the May Board meeting. 6

7 Gathering 2014 use of Professional Forums for Deacons: During the Gathering/Summit 2014 in October, which is now referred to as Proclaim: Equipping Disciples for a new Missionary Age, there will be some time set aside for Ministerial Forums (Monday, October 6 from 1:15-4:00 p.m. and Tuesday, October 7 from 1:15 2:30 & 2:40 4:00 p.m.). We can use this time to concentrate on topics which will pertain to permanent deacons or, on Tuesday, to allow deacons to participate in workshops which are being offered during those times. Topics which we brainstormed are: Revitalizing the Deacon Spirit (Deacon Hank Babin inspirational) Being an Evangelizer in who we are as deacons in the workplace, church community, liturgically and sacramentally (Fr. Bob Hater). As deacon, how do we equip parishioners to be diaconal? Evangelizing through the sacraments. How to engage the parishioners. Evangelization in the workplace (Deacon Panel?). Evangelizing to those in the pew, the workplace and community and to the Christmas, Easter and sacramental crowd. For reflection, From Evangelii Gaudiuum (The Joy of the Gospel) Apostolic Exhortation by Pope Francis: 120. In virtue of their baptism, all the members of the People of God have become missionary disciples (cf. Mt 28:19). All the baptized, whatever their position in the Church or their level of instruction in the faith, are agents of evangelization, and it would be insufficient to envisage a plan of evangelization to be carried out by professionals while the rest of the faithful would simply be passive recipients. The new evangelization calls for personal involvement on the part of each of the baptized. Every Christian is challenged, here and now, to be actively engaged in evangelization; indeed, anyone who has truly experienced God s saving love does not need much time or lengthy training to go out and proclaim that love. Every Christian is a missionary to the extent that he or she has encountered the love of God in Christ Jesus: we no longer say that we are disciples and missionaries, but rather that we are always missionary disciples. If we are not convinced, let us look at those first disciples, who, immediately after encountering the gaze of Jesus, went forth to proclaim him joyfully: We have found the Messiah! (Jn 1:41). The Samaritan woman became a missionary immediately after speaking with Jesus and many Samaritans come to believe in him because of the woman s testimony (Jn 4:39). So too, Saint Paul, after his encounter with Jesus Christ, immediately proclaimed Jesus (Acts 9:20; cf. 22:6-21). So what are we waiting for? 7

8 After much discussion, we came up with the following possibilities: Monday Ministerial Forum: Evangelization & the Deacon for about 1 hour followed by a Deacon Panel to lead a discussion on what works and what are some of the pitfalls with regard to evangelizing in the workplace and evangelizing marginal Catholics at baptisms, weddings and funerals. It may also be possible to get some ideas from the Deacon Community in advance. Jeff will develop a questionnaire for the deacons to be sent by the Office of the Diaconate. Tuesday Ministerial Forum: Would Tom Corcoran be available to speak to the deacons for one of the sessions? How about using the other session to discuss opportunities to evangelize through either preaching and/or the sacraments of Marriage, Baptism and Funerals. A good idea for the Fall Board meeting would be to discuss the Gathering and where we go from here. Closing Prayer: Deacon Roger Duffy NEXT MEETING: MAY 10,

16 Effective January 1, 2014, the Archdiocese of Cincinnati is changing the way it performs background checks for individuals. Everyone MUST have new background checks done, either electronically and / or through fingerprinting every five (5) years. The following seven steps are those that individuals and the Archdiocese of Cincinnati must follow to comply with the Archdiocese Decree on Child Protection. These steps must be completed in the following order: 1. Register with VIRTUS a. Every person must first create a VIRTUS User Account and password. Individuals must retain and safeguard this information as it will be required to access your information later. b. After creating a User Account, all persons must register in advance for a VIRTUS Session. 2. Attend a VIRTUS Protecting Godʼs Children Training Session a. Individuals must be sure to sign-in when arriving at the VIRTUS Training location. 3. All VIRTUS Facilitators Must Return Sign-In Sheets to Archdiocese Offices a. Training location Facilitators are responsible for the timely submission of all VIRTUS Session sign-in sheets to the Office of Safe Environment for Protection of Children and Youth. 4. User VIRTUS Account is Activated a. Following receipt of the sign-in sheets, the Archdiocese Office of Safe Environment for Protection of Children and Youth will activate VIRTUS User Accounts for persons who signed in at the Sessions. b. The method of background check is determined by the needs of the Individual. i. Certain individuals that are only volunteering require only an electronic records search by SELECTiON.COM. This can be completed through the online process at SELECTiON.COM (Individuals can request that results of their online background checks be sent to their homes at the time of initiating the check with SELECTiON.COM ). ii. If you are a Cleric, Religious, School, Parish or Archdiocese employee, or someone certified by the Ohio Department of Education, you MUST be background checked through fingerprinting. iii. Please see this link: for help in determining your background check requirements. 6. SELECTiON.COM will electronically synchronize and send its background check results to VIRTUS 7. VIRTUS will then electronically upload each individualʼs data to the Archdiocese of Cincinnati Master Reports a. Anyone who would like to receive a copy of his / her background check results through fingerprinting must request a copy of those results in writing.
