1 MT. ZION LUTHERAN CHURCH COUNCIL MINUTES November 8, 2016 Council members/staff: PRESENT- President Carl Meincke, Jim Johnson, Sonja Johnson, Einar Hanson. Vice President Aaron Adams, Pastor Erin Nelson, Robin Arneson, Katie Jones, Shelley Hallen, Jason Gigure, Laura Gerdts, Scott Jahns, Linda Yde and Jodi Becker, EXCUSED: Olive Olson, Joan Christopher, Dennis O Connell and Cameron Jahns Call To Order: President Carl Meincke called the meeting to order at 7:00 PM at Mt. Zion. Pastor Erin lead the council with prayer and devotion. Approval of Agenda: President Carl Meincke asked for an approval of the agenda as printed. Jim Johnson/Aaron Adams Moved/Second/Carried (M/S/C) STAFF REPORTS Council Secretary: Katie Jones Vice President Aaron ed the meeting minutes of October 11, Katie sent a reminder of tonight's meeting. Financial Secretary: Joan Christopher - Written report In Joan s absence, Jim reported over budget for the month $4, Under budget $5, for the year. 85% of the 3 year goal of Time to Prosper of $384,495 has been given. Mission Investment Fund Loan Balance is $685, as of 11/01/ of 11

2 Treasurer: Robin Arneson - Written report Robin reported over budget for the month $1, and under budget year to date $5, Checkbook balance as of October 31 is $4, Pastor: Pastor Erin Nelson - ed report(see page 6) No Additional Comments or Questions. Church Secretary: Anna Peterson - Written report President Carl Meincke sent around the December calendar for updates. The deadline for December newsletter is November 11 by noon. Approve Staff Reports: Shelley Hallen/Sonja Johnson M/S/C BOARD AND COMMITTEE REPORTS Christian Education and Activity: Shelley Hallen and Jodi Becker - ed report(see page 7) No Additional Questions or comments. Youth Deacon: Laura Gerdts and Cameron Jahns Laura reported she had gone to NETworks for a short time and thought she might attend again. Finance: Jim Johnson and Scott Jahns Jim asked the Board Chairs to let Finance know if they have any major changes to their budget. 2 of 11

3 Property: Dennis O'Connell and Jason Gigure - No report for November. Jason reported it cost about $800 to have the carpet cleaned. One light fixture still needs to be fixed in the parking lot. Vice President Aaron asked if their was a Fall Clean Up. Jason replied not really. Outreach and Social Media: Sonja Johnson and Olive Olson - ed report(see page 9) Sonja reported a total of 33 adults and youth went to Feed My Starving Children on Saturday afternoon. A total of 33,400 meals were packed! President Carl asked Sonja to submit a report to Anna for the newsletter. Music and Worship: Einar Hanson and Linda Yde - ed report(see pages 10-11) Pastor reminded Council of decorating the church for Christmas on Sunday, November 20, after the second service. WELCA: Katie reported the White Elephant Party for all the women of the church will be Thursday, December 15 at Bayport BBQ. 4 OLD BUSINESS Capital Campaign Update: Capital Campaign Update President Carl stated things are going well.pastor reported 4 members will be giving the sermon on Sunday. The focus will be on the Capital Campaign of The Time is Now Investing in Our Faith...Family...Future. Parking Lot Dennis will contact President Carl soon. Pastor reported O Connells will allow Mt. Zion to tap into their water drainage system. NEW BUSINESS December Council Meeting: Change date of December Council meeting to December 6 President Carl stated with the Congregation meeting in December, the Council meeting needed to be moved to before that meeting and December 6 was chosen. Katie asked if Thursday, would be better so Robin and Joan have more time to review the end of month financials. Robin stated they are online now, so waiting for the hard copy by mail is no longer an issue. Scott asked when the Congregation meeting is in December. Pastor Erin replied December 11 in between the 2 Choral services. President Carl stated it would start at 9:30am. Motion: Einar Hanson made a motion to approve the December 6 council meeting. Second: Sonja Johnson seconds the motion. Discussion followed. Verbal vote requested by Carl Meincke. Motion Carried. COMMENTS FOR THE GOOD OF OUR COMMUNITY Vice President Aaron thanked President Carl for all his hard work with the Capital Campaign. President Carl stated there is a great committee on the Capital Campaign! Katie tearfully said thanks for the visits, cards, prayers and support for Roy when he was in his apartment and in the nursing home. Jim Johnson announced this was the shortest Council meeting of the year! 4 of 11

7 EDUCATION BOARD MINUTES: Present: Shelley, Angie, Carol, Jodi, Pastor Meeting Minutes October 16, 2016 at 11:30AM Sunday School Ordering lessons now to hopefully finish out this school year. Junior High students making ornaments to sell for their capital campaign donations. Will use up supplies we already have but possible need a few more. Current donations still going to Brick by Brick. Angie will talk to Shanda about being SS Director; Sarah isn t interested at this time. Other Change for Change. We d like to donate to one family for Christmas. Still trying to figure out how to find family information. VBS final payment was sent; LPBC just had a mixup in their admin, but it is found. No student should be without a bible, even if they join after 4 th grade when we give them as gifts. See Pastor if you know of a child still wanting a bible. Pastor will followup with older students during Muffin Bunch to see how they are signing up for Godstock. We want to let chaperones know if they are needed. 2 nd Mile Haiti ornaments will be given to the children after their Christmas program during second service. The church does not cover drivers with its insurance. If people are riding in a church member s car, it is that member s insurance that would cover anything. They are not representing the church as drivers. Scholarship committee met and have updated the application to have it ready for this year. The application will be sent to the students of that age group. It is also available online, with notices in the newsletter and bulletins. Next meeting is November 20, 2016 at 11:30am. 9 OUTREACH & SOCIAL MINISTRY BOARD MINUTES: November 7, :30 FH Mt Zion Pastor Erin, Karen McConville, Kathy Opland, Linda Letourneau, Olive Olson, Sharon Tepper, Sonja Johnson Volunteer & Ministry updates o o o o SECOND MILE HAITI letter from Jenn forwarded by Kathy Opland HABITAT note from Gary Baribeau, nothing new to report FOOD SHELF November is Mt Z month, kudos to Nicole for doing an excellent job running this ministry FELLOWSHIP note from Kathy Opland, discussion of what to do if coffee pot needs repair; anything over $100 should be brought to the property committee but under $100 just get it fixed and paid for from Outreach budget. We will look at purchasing bio-degradable cups for coffee so whoever is doing fellowship does not have to wait for all the cups to come back in and wash them before heading out, if needed. o GRACE PLACE made by Mt Z youth 10/30, next date Jan 30, Will see if a Girl Scout troop is interested in preparing meal. o UNDIE SUNDAY delivered to Grace Place 10/30 o GIVING TREE see below December/Christmas : GIVING TREE Sharon Tepper coordinating, Laurie Johnson will have tags made and ready for pick up on the tree November 27; gifts should be returned by December 18 th. Items will go to men at Exodus House again this year, as they are a group that traditionally does not receive a lot of Christmas support. 10 MUSIC & WORSHIP BOARD MINUTES: WORSHIP & MUSIC COMMITTEE MEETING NOVEMBER 6, 2016 Present: Einar Hanson, Chair, Linda Yde, Co-Chair, Pastor Nelson, Karen McConville, Craig Gustafson Absent: Deb Tonsager, Mary Kay Mahler Agenda topic Discussion Action Recommended Person(s) Responsible Projected Completion Date Fall Schedule The fall schedule for worship was reviewed with the following noted: On Capital Campaign Sunday, November 13, the speakers will be John Flavin (faith), Angie Adams (family) and Sophia Gigure and Noah Gerdts (future). Time and Talent sheets will be distributed at church the next two Sundays, November 13 and 20. The November 20 service will be a thank offering Sunday. Decorating the church for Christmas will take place after the second service. The Advent and Christmas schedules were reviewed. This year s theme will be Angels. The Holden service on December 7 will feature Craig Gustafson as the liturgist and Einar Hanson on bass. The December 14 Advent service will be a focus on people who are grieving and/or struggling to celebrate the Christmas season. This service is entitled Blue Christmas. An invitation has been extended to the Bethel Lutheran congregation as they do not offer this type of service during Advent. Christmas cookies, decorated by the Sunday School students, will be part of fellowship during some Sundays in December. December 11 is Santa Lucia Sunday. Participants for the part of Santa Lucia and the star girls/boys are being recruited. None Sheets are prepared and ready. Contact young people in congregation to ascertain level of interest in being Santa Lucia or star girls/boys. December 24, 4:00 pm, will have children from the congregation dressing up as one of the Nativity members. December 25 will be hymn history and carol singing. December 25 and January 1 there will only be one church service which will be held at 9:00 am. Costumes needed for service. Pastor Erin will coordinate. There are three baptisms scheduled for January 8, and two other baptisms tentatively scheduled for January and February, Liturgy for Epiphany will be Service of the Word; liturgy for Transfiguration Sunday will be Now the Feast. Next new member Sunday will be in May, We have five people, thus far, indicating an interest in joining Mt. Zion. 11 of 11
