1 Sacred Heart, Walker & St. Mary, Urbana Pastoral Council Minutes at St. Mary, Urbana July 5, 2018 The Heart of Mary Cluster, inspired by the Holy Spirit, provides a welcoming faith community in which we proclaim the Gospel of Jesus Christ by the way we live, by our worship together and in serving others. I. Roll call/introduction of new member: Present SMU: Ellen Herman, Al Buck, Todd Peterson, Jason Jaquette, Samantha Fish. Excused SMU: Annie Brustkern Present SHW: Al Krob, Dave Beuter, Barry Hatch, Brenda Dorothy, Janet Weekly Excused SHW: Kerry Peyton Staff Present: Nancy Dobney, Marcia Reilly II. Prayer: Stewardship prayer III. Approval of Minutes May 17 meeting minutes were previously approved by IV. Minutes from standing committees: Early July meeting date, no minutes from standing committees V. Additions to agenda No additions to agenda VI. Election of officers for Nominations/elections were held with the following results: Chair SMU: Al Buck Vice-chair SMU: Todd Peterson Secretary SMU: Samantha Fish Old Business VII. Fall Festivals SHW: Allen Krob SHW: Dave Beuter SHW: Kerry Peyton SMU: Linda and Don Burke have volunteered to be the Festival Chairs. Last year Dave Kelty talked to Marcia about possibly donating ½ of proceeds from festival to something in the community. Former festival leadership thought having a project in mind would make it easier to solicit donations from businesses and also give parishioners a common goal to achieve. Update since meeting: Fall Festival will be October 14, Marcia has ed Linda the information we received from the survey of who was willing to help with the festival.

2 SHW: No Festival Chair as of July 5th. Council members suggested putting an announcement in the bulletin with a deadline of August 1 to let the parish know that if a chair is not found by that date there will be no festival. If no chair steps up we will do a survey about the future of the festival. Update since meeting: Larry & Joyce Conrad, along with Jim and Jane Meisheid (and with Jody Michael s computer assistance) will Chair the Festival. VIII. Parish Life Committee formation/leadership At our last meeting, Annie asked Marcia to send her the names of those who had expressed a willingness to be part of a parish life committee and she would try to arrange a meeting. Nancy will follow up with Annie. IX. Annual Golf Outing Annie was going to look into this - Nancy will to check up. Update since meeting: Nancy put something in the bulletin again but no one has come forward so there will be no golf outing this year. X. Farewell Fr. Barta/Welcome Fr. Brokman Father Barta will be receiveing Chapel Size Roman Missal and a Golfing Range Finder from the cluster. Farewell Open House was held Sunday July 8th from 3-5pm at St. Mary, Urbana. There was a great turn out! Welcome for Fr. Brokman at SMU will include a chicken & noodles dinner July 15th at noon. Chicken is being prepared by Steve and Angie Smith. Noodles have been made; will use leftover frozen noodles from the 2017 Fall Festival and any leftover from this luncheon will be frozen to be used at the 2018 Fall Festival. Samantha Fish will pick up lettuce in bulk from Sam s Club and any dressing we may need. Possible funeral circle volunteers helping serve the dinner and the Pastoral Council members bringing desserts. Nancy will the volunteers that were willing to help with this. The welcome for Fr. Brokman at SHW will be an Ice Cream Social on Sat., July 21st following Mass. Kerry will have Ice Cream and toppings ready. We also have Root Beer! New Business XI. PLC report Coordinator of Youth & Young Adult Ministry Maria McCarty is here and is settling in. She started July 1, Update on finances Marcia is finishing up the next years budget. Due to lower than anticipated

3 cluster expenses (primarily due to staffing changes), the parishes did not have to pay a subsidy to the cluster in June and only made ½ of their normal payment in May. Insurance walk throughs follow up items SMU: Yellow paint needed on the uneven sidewalk - Jason will look into doing this. Carpet in the entryway of church - Al will look into getting bids on replacing it. House of Carpets was a suggested choice. Paper Cutter needs the finger guard on Not noted as part of the walk through, but an issue: water stains on the ceiling tile in the food pantry room: need to replace the tile and see where the water/condensation came from. SHW: Sinks need tightened in the upstairs restrooms in the hall. Sacramental priest transition o Mercy is paying 5/6th of Father Jim s salary. We will pay 1/6 th of his salary plus retreats and any continuing education. Even with mileage, the cluster is projected to see a reduction in sacramental priest expense of approximately $6,000. o Over the past several weeks, Marcia accompanied Fr. Barta to visit all the homebound parishioners in our cluster. She has put together a document with each person s info including photo (where available), notes including names of relatives and the date they were anointed. This information should be helpful for both her and Fr. Jim. o Since we will no longer will have weekday Masses, Marcia has ordered a subscription to ebreivary (Liturgy of the Hours) which will be used for morning prayer. Bible study will continue at St. Mary, Urbana on Wednesday mornings along with adoration if someone is there to pray. Coverage while on retreat Marcia will be retreat from July 11th through the 20th. Deacon Steve will take care of funeral planning while she is gone if it should be necessary. XII. Group photos were taken for each parish Council. 4 Sacred Heart Checking account at Walker State Bank & Fr. Barta Fr. Barta s name has been on the checking account for Sacred Heart. With Father s upcoming retirement, Al Krob made a motion to remove Fr. Barta from the checking account. Dave Beuter seconded. All agreed. Motion carried. Food pantry update Several individuals have come forward to take over administration of the food pantry at Sacred Heart including: Janet & Randy Weekly, Larry & Joyce Conrad, Betty Gottschalk, Jane Meisheid and Gloria Loughren. Janet will be in charge of ordering food from HACAP as needed and Randy will pick it up. At this time, we are discontinuing home delivery. The plan is to have clients call the office to set up a time to come to the food pantry on Thursday evenings when volunteers will be available to assist them. Windows in rectory Al reported that the windows have been ordered. Rather than pay to dispose of the old windows, we will put them in the garage until the next community clean up day in the spring. Identify/invite volunteers to be sacristans, ushers Al Krob offered to be an usher, with the exception of the months from Oct-Dec and April thru June when he is busy at the elevator. Brenda Dorothy will talk to Dennis, but she thinks he would be willing to serve as an usher as well. Pickle Days are we set? Shirts are at Dave s. He will take them to Sherbon s and Winn s to sell in advance. Janet and Randy Weekly have offered to sell them from 7-9 p.m. on Friday. Dennis Dorothy and Barry Hatch will sell shirts on Saturday following the parade. St. Mary, Urbana Sealing parking lot Approved the bid, needing to double check to make sure they are painting all lines and handicap labeling. Update on projects being researched: Water diversion/drainage issues: Talked with Ryan Gage ~ $50,000 rough estimate on project cost for

5 excavating, switching out drainage, doing piping, and fixing up basement. Haven t gotten a full scope of the work that needs to be done. Organ Stained glass windows potential memorial funds need to act expeditiously. Talked with Pat Grace from Gracious Glass about Lexan and with his friend Scott from Dubuque (possibly working together on the project). He can do a picture of Mary but said he cannot do a face. Her face would have to be turned, covered with a veil, or something along those lines. Will look into Willet Hause/Associated Crafts (out of Minnesota) for a quote with an image of Mary and her face. Also need to talk to the Archdiocese about only needing one quote since there are very few businesses that do the stained glass. Dennis and Linda Schlict have contacted council members and offered to donate $500 to help with repairing the organ. Council members discussed at length. Al will follow up with Linda & Dennis. Council members reviewed an idea submitted re: changes if organ & speakers are removed that would include replacing the current crucifix with a larger one that would be suspended from the ceiling. Council members want to continue to focus efforts/resources on the window project since it has momentum, thus this suggestion was tabled. Piano in multi-purpose room Keeping current piano. No swapping will occur.
