1 St. Augustine s Parish Pastoral Council (PPC) Meeting 8pm Meeting Minutes October 13, 2016 Present: Apologies: Gerald Cox (H&S); Paul Hogwood (KSC), Vicki Kajtar (CLG), Jordi Keating (St Michael s School), Deacon Brin Dunsire, Margaret Fielding (Cleaners), Tony Baron (May Fayre), John Hogwood (Catechists), Annie Davidson (Pop-Up Café), Dominic McDermott (Faith & Friendship Group), Deacon Michael Bates, Mgr Paul Donovan, Angela Taplin (Prayer Group) and Teresa Young (Parish Safeguarding). Ann Egan (Secretariat), Dot Bone (Pastoral Area Council), Lucy Milne (Choir). Meeting Chaired by: Deacon Brin Dunsire (apologies from Lucy Milne). Minutes Taken by: Teresa Young Documents: Agenda, Minutes from previous meeting on 12/05/2016. I II III Welcome and Opening Prayer by Father Paul. Deacon Brin welcomed everyone to meeting and introductions were made with roles held in the parish. Minutes of the last meeting were approved and signed off by the Committee. IV Actions arising:- Young Adults there was no response from the university Chaplain after Dominic tried to contact him so unable to arrange anything for new students. Annie offered to contact Tony King to start up communications. Faith & Friendship group going well with a core of 8 young adults age ranging late 20 s to early 30 s meeting weekly. So far BBQ and pub events arranged Dominic would like more young adults to join. Day of Renewal on 29 th October (page 4 for flyer). Saints & Sinners Faith & Friendship facebook party. Catholic Youth Ministry Federation are hosting an event at the Wembley Arena (see page 7 for poster). 18 entrance. Day ministry for young people. An interdenominational event with speakers, interviews and different points of view. All bishops are invited Jimmy Mitchell coming to next event Unable to organize anything to celebrate World Youth Day in Kraków July Jordi offered to talk about World youth day as he has attended two. ACTION: PD to liaise with JK for Christ the King Sunday. Lourdes suggested as a good topic for Confirmation Groups. Jordi has resources to offer. The Elderly Afternoon Tea Party was held on 18 th July. Margaret Fielding organized the event. Lots of helpers and Lizi Martin brought a group of 8 students from St. Michael s School to help. 26 senior citizens came along making up a group of 50 altogether. Transport/ more drivers could be improved for next time. Lack of transport for elderly parishioners Brin contacted John Sillitoe at Aylesbury, they had identified four groups most in need in their Pastoral Area: - 1) the housebound; 2) those in Care Homes and Nursing Homes 3) those in hospital 4) those in the Young Offenders Institution which doesn t apply to us Their Strategy requires a Pastoral Area Co-Ordinator for each of these to coordinate visits extending pastoral care to the housebound, deal with training, safeguarding etc. 1 P a g e
2 ACTION: Brin to follow up. Need to make sure there is no duplication with other groups such as SVP, KSC, Catholic Women s League and so on, so needs co-ordination of these groups? The question was asked whether the Parish could manage this recruitment? How would it be controlled need a volunteer to take it forward. There is an opportunity with BJHN parish to work on this as the area is covered by both parishes. There is an Ecumenical team of visitors for the hospital. Some of the homes are already being visited by Eucharistic Ministers, such as The Heights by Margaret F. Action 1: Annie D. knows the Nursing Homes so has offered to find out what the need is and gather a team together. Action 2: Father Paul to speak to Father Joseph. V VI VII VIII Parish Safety Gerald Cox. A Fire Risk Assessment has been carried out for the whole property. Faults highlighted have been rectified or work is in progress. A new alarm system is to be installed over the whole property. Heat detectors rather than smoke detectors will be fitted at a cost of VAT. Bishop s Visitation Father Paul. Bishop Peter visiting on 21 st /22 nd January. He will preside at the 11am mass and preach at all masses. There will be a social to enable parishioners to meet the Bishop. First Communion Catechists John Hogwood. There are difficulties in recruiting new leaders. New volunteers need to show commitment beyond one year. The issue being the fluctuating number of children (7 27) attending year to year. Two leaders are needed for the minimum requirements of Safeguarding. John looks after the administration. Father Paul confirmed that St. Michael s School are continuing to prepare children for the Sacraments. It was suggested that there may be some year 12/13 students who may be willing to come and help. Action: Jordi to contact Sixth Form students in coming to help on Saturdays. Saturday catechism is held during term time from January to June (16 Saturdays and 1 Sunday). Time am. Preparation follows a set book. Future Events Parishes Mission 6 21 May The Parish Mission is run by The Sion Community. A representative will be coming to speak at all masses on 21 st October. Link to Sion Parish Mission Process: - Confirmations 25 th May IX AOB 1) Christmas Bazaar David Sole, who has led the Bazaar over the years, has moved away from the parish. Need help to make it happen this year a co-ordinator to make sure all jobs are done. Action 1: Broadcast in newsletter Action 2: Paul to ask KSC; Action3: Gerald to ask Catenians. Action 4: Raffle Tickets need to be ordered and distributed (Father Paul?) 2) The shed, formerly used for May Fayre and Bazaar storage, has been dismantled and removed from St. Michael s School. Shed and contents are now being stored in church 2 P a g e
3 garage which poses a problem for storage of goods for the bazaar. Potential destination for the shed is on OLG land. 3) St. Michael s School Jordi Keating. The new build will be finished in February The Chaplaincy is located at the back of the school buildings at present. A move into the new block would make it more accessible. Please could we mention to Governors and School. 4) Deacon Michael will be looking after the Altar Servers during his time at parish. 5) Kneelers have been recovered Ann Egan 6) Care of Church linen is now co-ordinated by Marian Dunsire.. 7) Pop Up Café 27 th November. 8) Baptisms on 1 st and 3 rd Sunday of the month. 5 Church Survey So you have decided to carry out a survey to check the health of your Church. What s next? This is your shopping list: - 1. An Administrator: the administrator will be the linch pin between NCD UK and your church. There is absolutely NO RESTRICTION on anyone contacting us, but it is easier if we can send s and contacts through to the same person each time. 2. A Health Team: The Health Team are the group who are going to take the responsibility to do something with the information the survey provides. They are in place to take the results and decide on a course of action. 3. The Church: You will be asking members of the church to complete a questionnaire. These members should include Senior Pastors, those who lead Worship, Small Group Leaders, Ministry Leaders, Active Workers, those that Tithe, Meet and Greet and so on. These are the guys that care about the church. The optimum number is 30. Once you exceed 30 the results tend to change very little, but you can have as many as you wish. DO NOT include visitors or new members as they will not know enough about the church to answer accurately. 4. A Coach: NCD UK will provide you with a Coach, unless you already have one. The coach will help you unpack your results and help you get underway with the journey to a healthier church. How often you call upon the coach is up to you, but we have found 3 or 4 coaching sessions during year have proved beneficial, helping to keep your health team motivated and on track. Your unpacking coaching session is included in the cost of your survey, but any further coaching calls are charged at : the cost of a survey. Once you are underway any further surveys that you carry out are charged at 249 assuming a normal cycle period of 12 months. When you take your follow on tests your results are compared to your previous surveys thus giving you the opportunity to gauge what has worked, and again help you take a more informed course of action. Please remember NCD is a paradigm to help you on the way to a healthier church. We cannot grow your church, only God can do that.
