2 Resurrection Lutheran Church Church Council Minutes September 15, 2015 Council Members Present: Sue Hiersche, Leslie Sawyer, Sally Ritchie, Gordon Knott, Susan Warneke, Scott Weinberger, John Sumpter, Dave Lippert, Steve Dougherty, Mike Petke, Pastor O'Berg, Troy Lutz, Kari Jubb Absent: Tom Lindberg Guest: Orpha Neils President Sue Hiersche opened the meeting. Devotions were given by Gordon Knott. Leadership Moment: Pastor O'Berg, Troy Lutz and Kari Jubb led the council on a tour of the church meeting rooms, to see the improvements that have been made over the last few weeks and to make suggestions on other things that need to be done. Middle School age kids have a new room, just for them. Suggestions were made. The areas were clean, well-organized and inviting for all our students. August council meeting minutes were approved as written, with a motion made by Leslie Sawyer and seconded by Dave Lippert. Treasurer's Report: Sue Hiersche presented the treasurer's report for Tom Lindberg. August ended on a positive note with income and transfers equaling $35, With expenses of $31,250.37, we ended with a net income of $3, for August. Year-to-date income and transfers through August, not counting the $21, bequest received in June, was a shortfall of $1,840.66, compared with a shortfall of $5, through July. The treasurer's report was approved as written, with a motion made by John Sumpter and seconded by Leslie Sawyer. Old Business: January Council Retreat and Annual Meeting: After discussion, Leslie Sawyer made a motion to have the Congregational Annual Meeting on Jan. 17 and the
3 Annual Council Retreat on Jan. 30. Gordon Knott seconded the motion. The motion passed. A Nominating Committee needs to be formed to seek candidates for the 2016 Council term. We will have five places to fill on the council. The Council By-Laws were reviewed. President Sue Hiersche will ask for volunteers in the announcements on Sunday and in the upcoming Herald. Kari Jubb, Children's Minister, shared budget information on upcoming childcare personnel costs until the first of the new year. More help is needed to watch the children during MOPS meetings. A motion was made by Gordon Knott and seconded by Dave Lippert, to accept the changes. The motion passed. Kari also shared a list of fundraisers for the MOPS group. They want to fundraise to help share the cost of childcare for their meetings. Leslie Sawyer made a motion to accept the list of fundraisers and Gordon Knott seconded the motion. The motion passed. Parking Lot Lighting: Mike Petke shared information on fixing the lighting in the back parking lot. There are three options: 1) do nothing 2) replace bulbs in the current fixtures at a cost of $25 for each bulb 3) retrofit the fixtures for LED bulbs at a cost of $275 for all three, including LED bulbs. The LED bulbs will last 50,000 hours. Susan Warneke made a motion to retrofit the fixtures for LED bulbs and Steve Dougherty seconded the motion. The motion passed. New Business: Confirmation Candidates: Pastor O'Berg submitted four names to the council for approval; Ainsley Dolton, Maddy L'Esperance, Anna Lockhart and Jakob Mohr. Gordon Knott made a motion to approve these candidates for confirmation. Leslie Sawyer seconded the motion. The motion passed. Pastor O'Berg announced that the Synod Bishop's Convocation will be Oct The Synod Assembly will be April 29-May 1, in Eugene, Oregon. Grief Share Designated Fund: Leslie Sawyer made a motion to make a designated fund for money collected from the Grief Share participants, so that money is available to order materials for Grief Share in the future. Gordon Knott seconded the motion. After brief discussion, the motion passed.
4 Review of Personnel Committee Discipline & Termination Policy: The Personnel Committee has been reviewing and updating the Personnel Handbook. This section was the last piece of this review. John Sumpter and Leslie Sawyer presented changes to the policy. Gordon Knott made a motion to accept the changes to the policy and John Sumpter seconded the motion. After brief discussion, the motion passed. Orpha Neils asked about the memorial plaques in the chapel. All available spaces are filled. Joy Circle would like to offer $500 towards the installation of more spaces on another wall of the chapel. Mike Petke, Property Committee, will look into how to handle wall changes and report back to the council. Gordon Knott made a motion to adjourn the meeting and Leslie Sawyer seconded the motion. 6 Resurrection Lutheran Church Outreach/Fellowship Committee October 6, 2015 Plans for the Halloween Party on the 30th were finalized. Troy will work on posters for the A-boards. Troy will receive help from The Players to set up the Haunted Lodge. A $250 gift card from Thrivent was used to purchase games and prizes. The Players will present "Wholly Matrimony" next February, with Outreach/Fellowship assisting. Committee members were asked to create ideas for the 2016 Easter Egg Hunt, to be held on March 26th. Upcoming movie showings at Resurrection includes "Where Hope Grows" on November 20th, "Little Boy" in January, and a film TBA in March. Outreach/Fellowship will serve cake at the Confirmation graduation on October 25th. Jerry Sharpe Chair, Outreach/Fellowship Committee
7 Resurrection Lutheran Church Finance Committee Report September 23, 2015 Minutes from the 8/10/15 meeting were accepted as written Finance Reports and Finance Committee Recommendations: August 2015 Treasurer s report accepted as reported Copier Cost: Discussion, invoices need some clarification for interpreting. Sue and Tom will seek clarification NO ACTION Additional funds requirement for fall 2015 for support to Pastor Mike. Discussion NO ACTION Additional funds for the 2015 Storm Water Runoff charges. Discussion Tom Lindberg and George Warneke will do more investigation and also check into Non-Profit status NO ACTION Follow Up Items: None Thrive Stewardship drive for 2016: Sue announced that Steve Doughtery and Mike Petke will represent the Council. It is her hope to have a couple of members at large from the congregation along with a couple of members from each standing committee to help with the Stewardship sessions and provide input to the Finance Committee. To assist in preparing the budget for Finance Committee will need to give the congregation a quarterly report in October However, due to the church calendar it may have to occur November 1, NO ACTION Schedule Next Meeting: Next meeting will be October 22, 2015 at 4:15pm. Puma athletic socks (Costco) for foot clinic special needs (Men's Crew 6-12) Winter appropriate shoes/boots (male / female 7-9) Winter will arrive soon enough
10 Resurrection Lutheran Church Worship Committee October 6, 2015 In attendance: Pastor Mike, Kim Dougherty, Ben Fredericks, Bill Lambert, Joyce Gibson. Troy Lutz. Business: Rally Sunday Review: All went well. There were fewer people for the combined service than on a typical 2-service day, but that s usually the case since some people either refuse to worship at anything other than their normal time or don t want to be part of a different style of worship. Sunday Worship: Pastor Mike reports that the new lectionary series on the Old Testament stories is going well, he s had many positive comments from parishioners. Wednesday Worship: The new worship service between dinner and classes is going well. Advent: Troy has designated December 2 (the first Wed in Advent) as the evening we ll decorate the church. The possibility of acquiring a new Advent wreath for the sanctuary was discussed, since the one we re using is very old and tired, as well as extremely heavy and difficult to move, store, etc. We will ask around to see if anyone s feelings would be hurt if we replace it. Pastor Mike and Kim D will each look into new wreaths and compare notes. Financial Report/Vision Budget: Were discussed. No one volunteered to work on a vision budget. Cross/Banners: Pastor Mike announced that Dennis and Marci Laverty have turned in their resignations from their ministries of changing out the sanctuary banners and colored glass in the RLC cross. We will need to find people to take over those ministries. This committee wishes to extend our thanks to the Laverty s for their many years of volunteerism at RLC. Security: One RLC member has expressed concern about the security of our church during services, following the targeted massacres of Christians. Bill reviewed the measures he has his ushers doing patrolling the parking lots multiple times throughout each service, watching for and greeting strangers as they come in during services, etc. Next meeting: November 3rd
11 Resurrection Lutheran Church Youth & Family Committee October 6, 2015 Present: Dave Lippert, Troy Lutz, Kari Jubb, Andrea Bartling, Kim Calderon Devotion: Andrea gave a short devotion Previous Minutes: The committee approved the September 2015 minutes. Council report: Dave gave a short report Middle School Gathering Scheduled for October At the Astoria KOA Troy's Report Halloween party, haunted house, lock -in Happening evening of Oct. 30th Troy is working on improvements in this year's set up so that it will be easier to take down and put back up again next year. Coffee cart -- Steamer, TV A donation from the congregation was made to purchase a TV to display the coffee cart menu Currently, the steamer is taking a long time to heat up. A 110 => 220v converter will be installed to help get the temperature to rise faster. Vision Budget and yearly accomplishments Both of these have been submitted to the RLC council for consideration. Dishwasher An undesignated memorial request will be made to swap out one of the sanitizers in the kitchen so that a dishwasher can be installed in its place. Mission Trip 2016 The 2015 mission trip was so successful, that the 2016 inter-generational mission trip will be held at Warm Springs again.
12 The first informational meeting was held on Sunday, 10/11/15. New coffee tables and signs The new stand-up tables near the coffee cart were purchased from auction funds as a tithe back to the church. Small tables in the 1st Corinthians room and sandwich style signs set up around the church were purchased from funds generated from the sale of the old Rubbermaid chairs that were stored in room 11 and the old propane griddle. Sunday school & Kids club Kari's Report There are 25 active kids in 5th grade and below now! Sunday School attendance has doubled and Kids club has tripled in the last year There is a new Children's Ministry Tri-fold in the front of the coffee cart. There's a MOPS feature in the new Children's Ministry newsletter Mops will be collecting cans/bottles for a fundraiser Kari is applying for several grants for the following: Safesitter program; Parenting with love and logic; A toddler bounce house; After school arts program partnering with schools in the area; Possibly also applying for a creative ministry grant from the Synod to support these programs. On call staff have been hired for MOPS Toddler bibles will be gifted to those baptized RLC kids are becoming invested in the dollars for discipleship program. If this continues to go well, Kari plans to expand this program in the future. Next Meeting: Tuesday, November 3rd, 2015 at 7pm.
