James, Most Worshipful Grand Master, Past Grand Worthy Matrons, Past Grand Worthy Patrons, Grand Chapter Officers, Grand Youth Chapter Officers, District Youth Coordinators, Youth Directors and Sisters Greetings and Happy New Year: I trust your holidays were joyous and surrounded by family and friends while reflecting on the reason for the season. We should all praise and thank our Heavenly Father for allowing us to see another year. Every day we're given comes with an opportunity to make it the best one yet. That is my New Year wish for you will be your best; blessed with good health and God's favor! The Annual Grand Youth Session will be held in Augusta on April 22-23, Heartfelt thanks to Sister Patrice Campbell, DWM and Augusta District No. 2 for agreeing to host the 40 th Session. They, along with the Grand Youth Chapter are working extremely hard to ensure it's a success. Detailed information pertaining to the session is enclosed. Please carefully review all forms and note the deadline dates. A number of events are planned and as always finding ways to minimize Saturday's agenda is a priority; you're encouraged to participate as a District to best utilize the time. Your safety and travel time is also a top priority. All activities will be held at the T. W. Josey High School. Although the locations are only six miles apart due to traffic travel time from the hotel to the School is about fourteen minutes. In addition, Sister Annette Sneed, Security Chairperson along with Brothers from Augusta District No. 2 will be visible providing security and directions at both the host hotel and meeting location.

2 December 23, 2015 Page 2 of 4 Registration: Advance registration is as follows: Youth: $15.00 (no onsite registration for Youth) and Adults: $ ALL persons planning to attend the session must register - no exceptions; No Badge, No Admittance! The registration form is enclosed. Please adhere to the deadline. Hotel: Holiday Inn - Gordon Highway will serve as the host hotel. Rooms are blocked under the name Prince Hall Grand Youth Chapter. To receive the special rate reservations must be made by April 1 st. All rooms are $89.00 plus tax to include a free full hot breakfast bar. For further details refer to the enclosed document and website. Due to the many events happening in Augusta that weekend affordable housing (under $100.00) is extremely scarce so I urge you to reserve your rooms ASAP. Once the blocked rooms are exhausted they're willing to add more rooms if available. Attire: Directors, it is your responsibility to ensure the youth are dressed appropriately for all events. While in Masonic attire there should be no black slips, sleeveless dresses or sandals with thong between the toes; appropriate hosiery or socks are to be worn by all females when in Masonic attire. Wilma S. Wallace King & Queen Extravaganza: The King & Queen Contest will be held Friday evening at 7:00 p.m.; detailed information is enclosed. Attire: Female contestants and the 2015 Queen white gown or long white dress. Male contestants are to wear dark suits. All other youth are invited to dress in appropriate church attire or wear the 40 th GY Session t-shirt with appropriate bottom - No Denim or Shorts! Sisters: May wear one of the Star-Point colors. Brothers: Masonic attire. Note: You do not have to be present on Friday night to participate in the contest as the winners will be presented on Saturday morning. Belle S. Clark Reading Program: Youth are encouraged to participate in the reading competition. School Accelerated Reading Reports are accepted however if a book is read more than once it will only be recognized as one entry. Credit is given to those books read and mastered with a passing grade as indicated on the AR Report. If an oral report is given to the Directors the designated form must be completed with the appropriate signatures. Magazine and newspaper articles don't count as a 'book' and will not be considered. Trophies will be awarded to 1 st, 2 nd and 3 rd place participants in each of the categories (Young Readers, Elementary, Middle and High School.) Please refer to the Belle S. Clark Reading forms for additional information. Awards will be presented on Friday evening. Louise Harris Scrapbook & Poster Competition: This is your opportunity to highlight your Chapter s accomplishments by submitting a scrapbook and/or poster. All submittals (pictures, articles, programs, etc.) must reflect activities from April 1, 2015 through March 31, Awards will be presented to 1 st, 2 nd and 3 rd places for both categories. Scrapbooks and posters will be accepted Friday evening and no later than 8:00 a.m. Saturday morning. Parental Consent, Medical Authorization, Transportation and Code of Ethics forms: These forms (one of each per child/family) must accompany the Youth Director and a copy provided at the Registration table. No exceptions.

3 December 23, 2015 Page 3 of 4 Talent Extravaganza: Performances will be during the King & Queen Contest on Friday evening and the Public Program on Saturday. The first six (6) Districts/Chapters to respond will be selected to perform. The deadline is March 15, Complete the talent form and submit as directed. Writing Contest: In order to give this activity the time it deserves it was moved to the program on Friday evening. All are encouraged to participate in this activity. Please read the information sheet carefully as there are changes this year. Souvenir Journal: Deadline to submit ads for the souvenir journal is March 31, 2016; see attachment for details. To offset expenses each Chapter and District is asked to support this project. ONLY those Chapters submitting an Ad will receive a copy of the journal; all others will have to purchase it. Delegates: Each active (financial) Youth Chapter is allowed three (3) voting Delegates; they will have special seating at the business session. Chapters who are delinquent in your endowments will not be seated. If you have questions about your financial status, please contact Sister Mary A. James at (912) or PHGYC.GA@gmail.com. The deadline to submit your delegate list is April 1, Chapter of the Year: Chapters are encouraged to submit information for the "Chapter of the Year" award; material should be presented in some form of organization in a binder/folder or bound. Please forward any questions to Sister Mary A. James. Detailed instructions are enclosed. Committees: It is our desire for the youth to play an integral part in their Grand Youth Session. A number of committees will be created and youth assigned accordingly. Forward the names of two youth who are willing to serve on a committee and actively work during the session along with your arrival date (Friday or Saturday) to Sister James by April 1st. Information may be sent via . Directors, your assistance is also needed to oversee the various committees. If you re interested in serving in any capacity kindly let me know. Endowments: Endowment forms with fees are to be sent to Sister Mary A. James, Grand Youth Directress. Endowment fees are $1.00 per youth per quarter or $4.00 for the year. The current form is included for your use. Should you desire an electronic copy please notify me and it will be sent to you via . Membership Applications: The revised application is included for your use. Please note certain signatures and the Parent Chapter's seal are required on the ORIGINAL application. Any incomplete or old versions of the application will be returned without issuance of the Endowment Certificate. In addition, keep in mind that membership applications must also be sent to Sister James along with a $1.00 fee for each within ten days after initiation. Chapter Information Sheet & Roster: Previous requests for Chapter Information were not met resulting in the proper persons not receiving communications and my inability to update the Grand Youth Chapter's records. All are asked to submit information ASAP. Calendar: Directors, please submit your 2016 calendar to me by April 1 st.

If you'd like to pre-order supplies for delivery during the Grand Youth Session, complete and return the form with payment. Demit (Transfer of Membership): A transfer of membership is the same as a Demit in the Parent Chapter and must receive prior approval. A number of Chapters are still transferring members to other Youth Chapters without prior approval of the Grand Worthy Matron or Grand Youth Directress - this must cease. In order to demit for moving purposes, etc. please contact me (Sister Mary A. James) via detailed written request; is acceptable. We must ensure the member is financially up to date and all records to include the Endowment are officially transferred from one Youth Chapter to the other. District Youth Coordinators do not have the authority to approve transfers. Grand Youth Events: If you're interested in hosting the Grand Youth Session or the Marilyn Moore Grand Youth Officer's Retreat please contact me for details. Youth Logo: Sisters, be reminded that the O.E.S. logo (Star) is not authorized for youth apparel unless it is an event sanctioned by the Grand Youth Chapter. You are to use the Youth logo; an open Bible with five ribbons representing the star-point colors. If you do not have the logo please me for it. Youth Chapters: It is our desire that all Districts be represented with youth chapters. Worthy Matrons, if your chapter does not have a youth chapter and you're interested in organizing one please contact me. Additionally, for those youth chapters who are no longer active please contact me for assistance to reactivate. It is our responsibility to provide guidance to the youth... together we can make a difference! Criminal History Reports: On August 2, 2015 a letter was disseminated requesting ALL Sisters, Brothers and Parents working with the youth to submit a certified criminal history report to me by August 29 th as outlined in the Most Worshipful Grand Master's proclamation As of today a large number of you are not in compliance and will no longer be able to work with the Youth Chapter. Those who has not submitted a report is asked to do so immediately. Sisters, although information pertaining to the financial affairs of the Youth Chapter has been disseminated and discussed during all Grand Youth Directress Workshops and communicated for many years it appears that some still aren't in compliance. Worthy Matrons, it is your responsibility to insure the Youth Chapter is abiding by the rules and regulations as set forth by the Grand Chapter. Sister Lynnette S. 13 Prince Hall Grand Chapter, Order of the Eastern Star Grand Youth Chapter 2016 ORATORICAL CONTEST Rules of the Contest Contestants must be a member of a subordinate Chapter of the Prince Hall Grand Youth Chapter and enrolled in Elementary, Middle or High School. One contestant per category per District. (i.e. Only 3 contestants per District ~ (1) Elementary (1) Middle School and (1) High School). Applications must be postmarked by March 15 th. Contestants are to be dressed in Masonic attire. Contestants will be given 5 minutes to address their selected topic. Each contestant shall prepare his or her own speech on the selected topic. Contestants must state the official topic before beginning their speech for the timekeeper to record the exact time of the speech. Contestants must demonstrate knowledge of the topic to validate perspective. Thoughts must be organized and in a cohesive fluid manner. Perspective supported with relevant reasons and/or examples. No props allowed. ALL SPEECHES MUST BE MEMORIZED! Scoring Contestants will receive a score of up to 100 in the following categories as outlined in the attached Rubrics: Content: Grasp of subject and/or evidence of research Voice: Enunciation, volume, clarity Vocabulary: Choice and command of language, appropriate English usage Effectiveness of Speaker: Sincerity, ability to engage listeners. 19 Ronald McDonald House Charities of Augusta In 1984, the Ronald McDonald House of Augusta opened its doors and its heart to care for families with seriously ill children hospitalized at nearby Children's Hospital of Georgia and other local treatment facilities. The House now offers twenty three (23) bedrooms to families each night, serving over 600 families each year providing a much needed retreat for families after spending long hours with their critically ill children and help ease some of their financial burdens. In 2005, RMHC Augusta partnered with local McDonald's Owner/Operators to offer scholarships to local high school seniors to continue on with higher education. Each year, twenty (20) seniors each receive a $1,000 scholarship to help with college expenses. Applicant must be present for an interview during the Grand Youth Session (on Friday afternoon); he/she must give a two-minute verbal presentation outlining his/her qualifications and desires for the position. 6.
