2 Christ the King Lutheran Church Council Minutes (September 15, 2015) Members Present: Pastor Patrick Patterson, Associate Pastor Trish Reedstrom, Paul Jakes-President, Sarah Person-Past President, Missy Bradley-Treasurer, Kari Much, Scott Nelsen, Jim Armbruster, Kate Hanson, Kevin Elliott-Secretary Members Absent: Doug Dittbenner, Todd Lundquist, Matt Norland, Sara Hansen RRR HVAC Proposal John Frey (representing the Peace and Justice Commission) presented a proposal for a new HVAC system prepared by the engineering firm of I&S Group. The proposed cost is between $556,000 - $600,000, which is approximately $200,000 higher than what was originally budgeted in the RRR initiative. Further discussion and approval will be needed. Devotions: - Pastor Patrick Approval of Minutes - A motion was made to approve the August 18, 2015 council minutes. (Motion Approved) Consent Agenda - A motion was made to approve the August 2015 Treasurer s Reports, the Worship Attendance Report, and the Pastors Report. (Motion Approved) Treasurer s Report Missy August 2015 income was ahead of budget by $6,896. However, expenses also came in $438 ahead of budget. As of August 31, 2015, we have a year-to-date net loss of $13,968 and a budgeted net loss of $18,358, for a positive variance of $4,390. Attendance Report - The decline in attendance as compared to last year s numbers was briefly discussed. Our attendance decline appears to mirror the national trend. Council Priority Topic (Vision Statement) A robust discussion took place regarding the exact wording of a vision statement. A final version of the vision statement will be discussed/approved at a later date. Old Business 1) Renew, Refresh, Rejoice Project Update a) Solar Panels some panels will be replaced to increase electricity generation; b) Landscaping near completion, with hopes of new trees planted and signs installed shortly; c) Kitchen Equipment the griddle has arrived, but still waiting on the new oven. 2) Strategic Planning Process The strategic planning retreat will take place October 23 & 24. Jonathan and Ginger Zierdt have agreed to serve as facilitators to help guide us through the planning process. An additional 8-10 congregational members beyond the church council members are being recruited to participate in the strategic planning process. New Business 1) Council Leadership on Commissions - In order to allow council members to serve as chairs of commissions, the church council needs to approve council members to serve as voting members of a specific commission. The commission can then elect the council member as chair if desired. A motion was made to appoint Scott Nelsen to the Faithful People Commission as a voting member. (Motion Approved) 2) Fun.com Fun.com is willing to sponsor two Wednesday night suppers up to $500 per/wednesday night if they are allowed to recruit supper attendees for job openings at Fun.com. A motion was made to allow Fun.com to sponsor two Wednesday night suppers with the understanding that Pastor Patrick and

3 Paul Jakes will express to Fun.com the council s concerns that the recruiting process must be done in a professional manner. Council Action None Covenant Commission Communication There were concerns by the Faithful People Commission that recently the doors to the community room were not open and that coffee was not ready after the 8:15 a.m. worship service. The FPC is also considering t-shirts for CTK with the church s logo on them to help promote CTK. There was a general agreement among council members that the t-shirts were a good idea. 4 Pastoral Report CTK Ministries 2015 October Senior Pastor s Report Pastor Patrick Patterson Administrative Financials September income came in about $8500 short of budget, leaving us with the year to date income shortfall of about $5500 against budget. Our expenses are staying about even and so were looking good from that standpoint. We have lost some budgeted income from the home school network when they decided to relocate to another facility this year. We will want to keep an eye on the revenue fluctuations. RRR projects The solar panel fixes have been enacted, but others are yet to come. Our production for the next several months will be down because of shortened hours of daylight. We have signed the mechanical engineering contract with I & S Group and they have begun work on the plans for our new HVAC system. We expect to apply for some energy rebates in January, get our system out to bid late winter, and hope to start installation in spring. The majority of the landscaping is complete but we will wait until spring to spade in the four evergreens on the East side of the McConnell parking lot. Our new signs are in process but don t have an installation date as of yet. Our kitchen equipment is installed and working well. We are looking to acquire an additional two-door freezer to allow us to take advantage of special deals on food when we can to keep costs down. We plan to complete the parking lot resurfacing following the HVAC project completion. Strategic Planning Sarah Person and I have had three planning meetings with co-facilitators Jonathan and Ginger Zierdt in preparation for our Oct event. We believe we have a fun and productive process identified, and have a great group of committed members participating. We ve sent out the advance packet for people to read before they arrive. Our next step will shift attention to the implementation phase. Stewardship the Lutheran Association of Large Congregations conference Sept. 28-Oct. 1 on Contagious Generosity gave me some new ideas that will benefit our congregation. Personnel We have the good fortune of adding a very experienced choir director to our music ministry. Robin Hughes, longtime choir director at East HS has taken on a part time role directing the choir. We have made some adjustments in music payroll to accommodate this position. Facilities Increased Building Security the security cameras and DVR system installation is complete and working well. We are now able to monitor our facilities 24/7 either from our offices or remotely using computer screens or mobile devices. This will greatly enhance the safety and security in our facility.

5 Proclaim Commission Communications audit a communications class from MSU will be conducting a communications audit on all aspects of our communication at CTK. We hope that their outside analysis will be helpful to us in finding ways to better share God s love. Justice & Peace Commission Mission Trip to Chile following our visit from our missionary Karen Anderson and EPES Intl in Chile, we are working with Trinity Lutheran in Owatonna to coordinate a joint mission trip to Chile in They have done these in the past and will take the lead for the trip planning. Word & Sacrament Commission New education offering on All Saints weekend we will launch a new intergenerational Christian education offering. The concept is for a 10:30AM conversation with the pastors about the Bible readings and message from that day. We will host these gatherings on the 1 st and 3 rd Sundays each month and see how they re received. We re still working on a name for these events.

6 Pastoral Report CTK Ministries 2015 October Associate Pastor s Report Pastor Trish Reedstrom Worship: We are either excitedly nervous or nervously excited to have our first Faith in Motion worship services this week! Led worship services at Autumn Grace and Pathstone in September. Pastoral Care: Eleven homebound/facility/other pastoral care visits completed, in addition to on-going hospital visits. One post-baptismal visit completed. One wedding off-site. Education and Youth: Staff report that inviting all parents to be a part of the education ministry from Rainbow Room through CLUB 6 is going well. The vast majority of parents have indicated a willingness to take their turn, and are also taking the initiative to find a replacement if they have been scheduled for a time that is a conflict for them. Wendy reports she has had enough volunteers so that she has not needed to facilitate a group and can instead be coordinating. CLUB 6789 is also going well. We had a lower than desired turnout for the CLUB 78 retreat that was just held but thanks to Mandy s work it was a good weekend and the youth seemed to enjoy their time at the camp and together. Stacy has returned from a leave and is getting started with some planning of activities for senior high youth. She had a senior high night this past Wednesday evening and we had about 10 youth in attendance. We ve also opened up the youth room during the supper hour for senior high youth to eat together if desired, and that slowly seems to be taking off. Will be attending, along with Wendy and Stacy, a training on involving parents in faith formation at church and at home later in October. Faithful People Commission: T-shirts are closer to becoming a reality. They are checking into doing a CTK night at a Maverick hockey game, likely over the winter break when students are absent. They ve also decided to forgo a lefse bake this year and try a Valentine cookie bake as a possible fundraiser for the youth. Sharon Hansen is continuing in another term on the commission and needs council approval. Servant Commission: This commission met by this month. It worked OK with a limited agenda, in-person meeting will be in November. They approved a request from Partners for Affordable Housing to shelter a couple life-size figures made from duct tape that will have messages about homelessness with them in the narthex on November They will also ask this ministry partner to be the partner highlighted during the month of November as they begin a process of highlighting one partner each month.

Year-to-date income is $5,564 less than budgeted. Expenses for September were $890 lower than budgeted. Year-to-date expenses are $584 less than budgeted. Net income for the year is $4,979 behind budget. Attendance Report When comparing attendance data from the first nine months in 2013 with 2015 attendance figures, overall attendance has remained about the same. Attendance at the Sunday 8:15 a.m. and the Saturday 5:30 p.m. services are down. However, the Sunday 9:30 a.m. and the Wednesday night services have had slight increases in attendances, for a net effect of a little or no gain/loss in overall attendance. Pastors Reports - Pastor Trish - The Faithful People Commission is recommending that Sharon Hanson be reappointed for another 3 year term. The council will be asked to approve this appointment at the October 20 meeting. Old Business Renew, Refresh, Rejoice Project Update The landscaping is completed, but will wait until spring to spade up the four trees on east side of the church. The sign facing Pfau should be installed shortly. The kitchen equipment is installed and working well. The parking lot will be resurfaced after the HVAC is installed. The HVAC installation is planned for spring New Business 1) Strategic Planning Process The strategic planning retreat is scheduled for Friday October 23 (5:00 9:00 p.m.) and Saturday October 24 (9:00 a.m. 4:00 p.m.). Jonathan and Ginger Zierdt will help guide us through the planning process. The focus will be on the five commissions and their related goals. There will be 25 participants from the church council and the congregation. 2) End of Calendar Year Giving Ideas - A brief discussion took place on ways to encourage year-end giving by congregational members. This topic will be brought to the church council at the October 20 meeting. Committee Chair council approved Scott Nelson. Unanimous vote by all commission Members present. B. Mankato Marathon Cheer team. Our location has been assigned. Station #11 West 6 th & Winona St 8:00-1:45 PM. Discussed how to rally congregation to back this effort and attend and cheer the runner!! C. T-Shirts, both Darla and Kari had prices and examples and Pastor Trish had the logo. Much discussion on what color how many etc. Tabled until we have final pricing. Kari will us all for vote as she finds out. We decided to approach ordering a larger number to get good price and lot of teams; youth, workers at meals etc. might buy one if cheap enough. New Business: A. Update from P Trish on Faith in Motion Service and breakfast. First one on Oct. 18 th. B. New Member Sunday. Amy has charge of this and will contact anyone if she needs additional help. Oct 25 th. We all should make an effort to introduce our selves also. C. Family New Year s Eve, P Trish and Amy are brainstorming ideas for a fun night of games, food, but early to bed for young ones. D. Pastor Trish talked about a group is meeting to work on new goals for the church and timelines as to how long it would take. The commissions may be given a whole new set of goals and ideas. MITF. Pastor Trish suggested bringing in her lap top if someone would take the notes and then send them that night from the meeting to Justine. Save time. Sue is not planning on taking from now on due to hand problems.

Faith Partners bringing forward some new liturgy- really exciting. Blended worship will be on Reformation weekend. In November we begin a new hybrid liturgy to use for the month. Renew, Refresh, Rejoice update: landscaping and signage will happen in the spring (postponed by the contractor); security cameras being installed this fall; I&S is working on the HVAC engineering study and expect to apply for rebates after January with installation in spring of new HVAC done. Staff Report: Council Liaison communication: Old & New Business: Old o Musical was well received; donations of $1400 towards the three recipients. o Adult Forum: possibly look at doing it on the Communion Sundays rather than every week. Many options for content for Bible Study exist, still need a leader to guide the topics. Other adult education options include book studies and the Thursday morning bible class. Suggestions: Bible Study starting at 10:30 on a schedule. Theologian based study on that Sunday s lessons? Conversation with the Pastors. Children-friendly. 12 Name of Commission: Servant Date of Meeting: October 8, 2015 Christ the King Lutheran Church Covenant Commission Reports Members Present: Becky Moe, Cindy Kehoe, Naomi Baker, Mary Oudekerk, Todd Lundquist and Pastor Trish were the members responding to the E meeting but the s were sent to all members. Call to order Pastor Trish called to order the E meeting of the Servant Commission Approval of minutes from the last meeting September meeting minutes were sent via before the meeting and were reviewed at the meeting. Old Business Pastor Trish offered meals to the family discussed last month and they are doing ok right now, but she will check with them again as it seems appropriate. Echo Food Shelf fundraiser is Sept. 17th New Business Mary Oudekerk has agreed to be the chair for the coming year. Discussed asking the council or letting them know we would like to highlight the Affordable Housing Ministry in November and the figurines during National Hunger and Homeless Awareness week could be part of it. All were in agreement to highlight PAH during their awareness campaign. Discussed highlighting the Crossroads ministry as well in November being that Campus Ministry Sunday is November 8 th or asking them to do something yet in October. We will be doing an offering of food at our Faith in Motion worship services in November and Crossroads has a food shelf as well that we were going to include in that offering. Discussed putting a schedule of partner ministries for the year at the next meeting. Paying attention to any other ministries that have awareness activities. Todd gave report on Food for Friends, we fed 94 people, and our next opportunity is November 7 th. There will be additional times to serve in 2016 making it 8 of the 12 months. Our next meeting will be in person at church at 5:00 and we will discuss the Angel tree and gift card for food for friends. Pastor update: Pastor Trish gave us more information about Affordable Housing and let us know that they have an awareness campaign during the National Hunger and Homelessness Awareness Week, Nov 14 th -22 nd. At the end of the week, Friday night through Sunday, Nov 20 th -22 nd we could have figurines in the Narthex showing different reasons people become homeless. Different churches will be asked to do this in partnership with them. Adjournment Naomi adjourned the meeting and submitted the minutes.
