2 Christ the King Lutheran Church Council Minutes (January 20, 2015) Members Present: Pastor Patrick, Interim Associate Pastor Cheryl Indehar, Sarah Person-President, Paul Jakes-Vice President, Dan Anderson-Proclaim, Jim Armbruster-Word & Sacrament, Matt Norland-Word & Sacrament, Kari Much- Faithful People, Todd Lundquist-Servant, Julie Hatleli-Justice & Peace, Kevin Elliott-Secretary Members Absent: Scott Bergs-Past President, Missy Bradley-Treasurer, Scott Nelsen-Faithful People Devotions: - Pastor Cheryl Covenant Commission Focus (Justice & Peace) will reschedule Approval of Minutes - A motion was made to approve the December 16, 2014 council minutes. (Motion Approved) Consent Agenda A motion was made to approve the December s Treasurer s Report, Worship Attendance Report, and the Pastors Reports. (Motion Approved) Treasurer s Report - We are $56,000 behind pledged giving YTD. Creative Curation Team A Creative Curation Team of Pastor Patrick, Pastor Cheryl, and Garrett Steinberg has been formed to enhance the quality of worship services through videos, dramas, and music. Council Priority Topic Stewardship Pledge Campaign A discussion regarding focus, strategies, and themes for the stewardship pledge drive took place. The pledge drive will be primarily from mid to late March 2015, with a follow-up shortly after that. Old Business 1) Renew, Refresh, Rejoice Financial Update We have received $564,786 in pledges to date from 174 families, with $258,843 of the amount in cash. 2) Renew, Refresh, Rejoice Project Update - The worship center A/V upgrade should be completed this month. The RRR Project Team met with the vendor for the high-efficiency lighting retrofit and hopes to start this project shortly. 3) Associate Pastor Call Committee The call committee meet on Monday, January 12 to finalize the interview questions for the associate pastor candidates. We are now waiting on the synod to provide us with names of potential candidates that we may interview. New Business After considerable discussion, a motion was made to have Pastor Patrick and Chris Thompson (Financial Administrator) authorized to sign advances on the line of credit, which will be reviewed monthly by the church treasurer and the church council, and to have the congregation president and treasurer sign the final loan document on behalf of the congregation. (Motion Approved) Covenant Commission Communication The Word & Sacrament Commission is seeking input from the church council and the congregation regarding the Sunday worship schedule which would begin in the fall of Prayer Request/Closing Prayer Pastor Cheryl Next Meeting: February 17, 6:00 p.m. Respectfully submitted, Kevin Elliott

3 Pastoral Report CTK Ministries 2015 February Senior Pastor s Report Pastor Patrick Patterson Administrative Financials we fell about $1,000 short of budget for January in actual income versus pledged, however, we were able to stay below budgeted expenses by about $4,500. We still lag behind in income YTD and will continue to do what we can to ensure we end the year in positive territory. Associate Pastor Call Committee The call committee received rostered leader profiles of potential candidates from the synod and are in the process of scheduling interviews. We are still waiting on at least one more RLP for the first round of interviews. RRR projects VSI has completed most of the sound and video upgrades to the worship center and is anticipating the spot light installations starting on Feb. 12. The first weekend went well but we ll be working through a number of tweaks to reach full potential. We set a meeting with the solar panel folks for Feb. 12 to plan for installation of our solar array. Once our new spotlights are functioning, the lighting retrofit company will conduct a lighting analysis of the worship center to plan the exact LED diode configuration to update our lighting. Safe Stolen following our worship on Saturday, January 31, we found that our drop safe in the usher s closet had been stolen. Police were notified but have no leads. The bank bag from the Wednesday worship in 1/28 was in the safe. That bag likely contained less than $200 in cash, and Chris has notified all members who regularly include checks on Wednesdays to stop payment on those checks. I asked Pastor Cheryl to lead a team through a comprehensive security analysis of our facility and procedures to make recommendations to improve security. Council As Leaders Event February 22, 2-5PM at Trinity in Owatonna. All church leaders are invited to this event with training on topics related to church leadership. Pastoral Care & Visitation Tracking In an effort to become more systematic at completing and tracking pastoral care and visitation, a team is working to create a system that utilizes our ACS software system. This will provide much more consistent contact and more complete information that will be readily available to caregivers. Personnel Our staff is working well together as we do RRR projects and prepare for Lent and Easter. Facilities Server Issues after investigating the cause of inconsistent delivery that led to a decision to change servers, we were notified that our is on two blacklists due to the mass s we send for newsletters and the like. We are working to get ourselves removed from the blacklists so we can make the switch that we hope will cure our problems. Home School Network the home school families who meet at CTK Mondays is very happy with their facility usage and are looking to expand slightly for next year. This has been a positive relationship this first year and seems to be working well.

4 Proclaim Commission Facility Signage while we continue to look for ways to improve our engagement through electronic means, we also will review our facility signage to see how that may be improved as well. We may be more welcoming to visitors through better welcome and directional signage. Justice & Peace Commission Project Community Connect - The Blue Earth County Homeless Response Team (HRT) is working with area individuals, employers and businesses to help improve the lives of our area s homeless and low-income community members living within our nine county region. Project Community Connect (PCC) is an event where 70+ different area agencies/resources are brought together to help low income and homeless individuals explore services they may be eligible for to assist them in improving their current life situation. Word & Sacrament Commission Worship Schedule Recommendation The commission has decided that gathering information through focus groups may be a more effective process than trying to survey the congregation about worship styles and weekend schedules. The goal is to get assistance in planning meetings with a few different affinity groups. Lenten Round Robin we will again participate in the round robin preaching schedule with other local ELCA pastors for the Wednesday services in Lent. The character portrayals will be I Was There- Characters at the Cross and will serve as the message during our modified Holden Evening Prayer services. My character is Caiaphas. Worship at the Frank We are working with the MoonDogs again on a second annual Father s Day community worship at the Franklin Rogers Stadium. We re looking at a 4:30pm worship, tailgate party and 6:05pm game this year instead of the morning worship in hopes to get more congregations involved. The Backpack program will once again receive the proceeds.

5 Pastoral Report CTK Ministries 2015 February Interim Pastor s Report Pastor Cheryl Indehar Administrative: I have completed 16 weeks as associate pastor. Everything continues to go well. Faithful Commission: The commission met on February 3, Scott reported that the Youth and Family Mission Team has not met yet. Anna is working on making a list of Community events that the CTK community would like to participate in during the year. There was discussion on doing a collection at the services for Climb to Feed Kids and peddle Past Poverty. There was also discussion on going to either a Wild game or a Mankato playoff game March For next month s agenda there should be a further discussion on T-shirts for those representing CTK at the various community events. Also, there was a discussion on changing the time of the meeting. Lynn will present to the Church Council in February. Service Commission: The commission met on February 5, There was not a quorum. Mary indicated that she had reported to the Church Council at their December meeting and that it went well. The Angel Tree ministry was successful. There was discussion that video and/or power points from the groups given money by the CTK be finished. There was discussion that CTK get involved with Habitat for Humanity and/or Crossroads in the near future. Personnel: Pastor Patrick and I attended the Conference meeting of the SE Synod. Bishop Delzer spoke about the practices of Holy Communion in the ELCA Churches. Education: I attended the weekly Book Study Groups that meet on Wednesday and Thursday. Worship: I participated in 12 worship services. I provided 4 Devotional services at Care Centers. I continue to sing in the choir. Pastoral Care: Sunday to Thursday I check the hospital registrations for Christ the King members. During the last month, I had 31 hospital visits. I have done 8 homebound visits. Meetings: I attended the weekly worship, staff and senior pastor meetings. Also, I had one meeting on building security that I lead. Writings: Wrote the February pastor s report.

6 Christ the King Lutheran Church Executive Committee 2 nd Tuesday of each month at 6:00pm Name of Committee: Executive Date of Meeting: February 10, 2015 Members Present: Pastor Patrick Patterson, Interim Associate Pastor Cheryl Indehar, Sarah Person-President, Scott Bergs-Past President, Paul Jakes-Vice President, Missy Bradley-Treasurer, Kevin Elliott-Secretary Devotions: - Sarah Treasurer s Report - January ended approximately $600 ahead of budget, due mainly to monthly expenses being $4,500 below budget. The YTD income is still lagging by approximately $35,000. Pastors Reports - (Pastor Patrick) - The spot light installation in the worship center, originally scheduled to begin on February 12 th, will now begin next week (week of February 16 th ). Old Business 1) Renew, Refresh, Rejoice Project Update - The worship center s A/V upgrades have now been installed, with minor adjustments still taking place. The lighting retrofit planning should begin shortly. The RRR Team will be meeting on February 12 th to plan the installation of the solar panels in the spring. 2) Associate Pastor Call Committee - The call committee has received names of potential candidates from the synod and are in the process of scheduling interviews. The committee is still waiting on one additional candidate s paperwork. 3) Stewardship Pledge Campaign - The Stewardship Team is working on potential campaign themes, and is contacting someone that hopefully will help in the video recording of congregational members and important activities within the church. The Stewardship Campaign is scheduled to start on Sunday, March 15 th, and run for two the three weeks. New Business 1) Comprehensive Security Analysis The safe in the usher s closet in the worship center was stolen sometime between Friday (1/30) and Saturday (1/31). The bank bag in the safe had approximately $200 in it. A police report was filed. Pastor Cheryl discussed ways to make the church building more secure, and a team has been formed (Pastor Cheryl, Chris Thompson, Mark Thompson, and Ann Stewart) to develop procedures to enhance overall security. Initial changes include locating the new safe in the workroom and bolt it to the floor, bringing the collection plate money to the alter during worship service and securing the money immediately after the worship service, and locking offices/rooms when not in use. A comprehensive security manual is also being considered that would into procedures for fires, tornadoes, etc. 2) FY 2016 Budget Process - A very conservative budget is likely for FY2016. A draft of the budget will be presented to the Executive Committee and the Church Council in March. The budget form will be on Sunday, May3rd. Issues to be reviewed include potential salary increases for pastors and staff, commissions budgets, and a possible part-time pastor position funded by the unused salary money in the changing of the senior pastor. Suggestions as videos of people s stories. All Ages and backgrounds. What brought them to CTK? What are some positive results of belonging? Going to National gatherings by the youth, what did it mean to me? Personal experiences etc. Lynn will be attending Feb Council meeting to explain what we do in our commission. Old Business: A. Youth & family mission team, No meeting invite to this commission as of today. B. List of yearly events- table to next month. Anna is making list of yearly events. C. T-Shirts- discussion of details tabled until next meeting. New Business: A. Peddle Past Poverty updates. Team Church is now being formed. B. Climb to Feed Kids is now done, but we decided the congregation still can donate to both events as both help our mission of hunger in our own community. C. We will provide a large glass jar at services in Narthex for those donations. Ask the Pastors to announce each time. Sue will print labels for jar and Bill will provide the jar. D. Skating Party announced for Family night for Action Items: Discussion for more family or congregation events. Many sports events thrown out by group. Talked about the Mavericks Playoff games at MSU to support local sports. No definite action was taken at this time. Other Misc. Business: It has been suggested that we change our meeting time from 7:30PM to 6:00 PM. All agreed that it would be beneficial for all. Not such late nights for staff and members attending. Staff Report: Council Liaison communication: Worship format The council would like us to provide answers to these questions: What are the questions we should ask regarding? Should we survey the congregation and the council members for their input? Perhaps include a survey that states we are seeking information and give them choices. How would the changes impact other programs or areas within the church? Old & New Business: Worship schedule discussion (any changes would not be in place until Fall). Identified ideas related to worship style, service times, and scheduling. o Some specific critieria identified: Focus on scripture, keep options of church style, engage younger families, focus on worship quality experience, show us as a caring community; merge age groups What is the purpose of Worship was suggested as a question to discuss in a future meeting. Suggested Wendy to attend our next discussion. Mission Teams (currently in action): Sunday Forum Team: Members for 14/15- Gerri DeWitte, Matt Norland, Denise Rudolf, Jeri Retzlaff- Began November 9 th with both 9:30 and 10:15 options, we ll see how that goes. o Bible study led by Paul Meierding on Acts was well received. 62 different people o Nate and Chelsey Crary is presenting a forum on their year in Jerusalem on February 15 th. o Nature of church bible study; Andrea Berger- Healthy Living; Relay for Life- ; Pattersonmissionary trip- all ideas discussed for future forums. Jeri will connect with Andrea for April; looking for facilitator for March Bible study- will promote once confirmed. Members Absent: Jo Falgren, Vicki Ball, Becky Moe and Naomi Baker. Call to order Due to there being only two members (no quorum) we did not have an official meeting. Approval of minutes from the last meeting Unable to approve the December meetings due to no quorum. No January meeting due to inclement weather. Old Business Cindy stated that the Angel Tree delivery went well. Still need three new commission members. Mary stated that the presentation to the Council about the Servant Commission on December 16 th went well. New Business No new projects that Mary and Cindy are aware of. Briefly discussed organizing a inter-generational Habitat for Humanity event and also revisiting the Cross Roads lunch program. Will discuss this with the rest of the servant commission members at the March meeting. Pastor update: Pastor Cheryl discussed the progress of Renew, Refresh, and Rejoice project. 11 Name of Commission: Justice & Peace Date of Meeting: February 5, 2015 Christ the King Lutheran Church Covenant Commission Reports Members Present: Sue Van Boening, Julie Hatleli, Emma Kind, Pastor Patrick, Nancy Patterson Members Absent: Chuck Syverson, Mary McClure, John Frey Summary of Key Items discussed at meeting: 1. The Justice and Peace Commission now meets at 6 p.m., the first Thursday of each month. Reminders and the church calendar need to be updated to 6 p.m. 2. Pastor Patrick reported for the Green Energy team. Lights and cameras are being installed in the worship center now. Then the high efficiency lighting gets installed. Then the roof project may begin, as they are waiting for good weather, 3 days in a row about 32 degrees. 3. Sue and Julie reported for the Youth and Family Mental Health Mission Team. Their 3 rd meeting will be Tuesday, Feb. 10. Stacy Pethke leads this group as they discuss resources for families and youth in the Mankato area. Some families have faced more of a crisis management issue when needs arise. 4. Chuck will soon be following up on recent info for the ELCA Social Statement and Advocacy Team. 5. No updates from the Chilean Mission Support Team but a recent photo of Karen is posted now in the church. 6. Dollars from CTK s budget are still going to the Muhintiri Mission Team. 7. Julie reported Council notes. It s exciting to discuss the lack of a mortgage! And news and progress of the call committee, candidates and soon to be schedule interviews were included in her update. 8. Re: New Business March is Minnesota Food Share month; 9. CTK will be a collection site for Project Community Collect (Verizon Center) March 17, host a donation box to collect toiletries. This will be included in the March newsletter. 10. Day on the Hill is March 10. Last year Chuck and Patrick attended. 11. If possible, we will repeat the March prayer calendar, same as last year; if available on Sue s computer. 12.
