4 Page4 Minutes of the 2018 Annual Meeting The Reverend Jan Oller opened the Annual Parish Meeting with prayer. Jerilyn Yerkes accompanied the group as Hymn 700 I m Gonna Live as God Can Use Me was sung. Marie Stocks was elected as clerk of the Annual Parish Meeting for The minutes of the 2017 meeting were approved, as moved by Nancy Bennett and seconded by Ellen Ball. The outgoing Vestry members Kitty Haffner, Carole Meyer and Peter Swanson were recognized and thanked for their service. The nominations for Vestry, Convention Delegates, and Convention Alternates were read and elected as follows: Vestry, elected by acclamation: Jeff Burd Sheila Evans Jim Gary Convention Delegates elected by acclamation to represent St. John s at the 2018 convention in Bloomington: Mark Kussmaul Meribeth Kussmaul Convention Alternate elected by acclamation in case a Delegate is not able to attend: Ellen Ball Committee/Ministry Reports: Motion was passed and seconded to approve the reports. Reports were approved by acclamation. Rector s Report: Rev. Jan highlighted the previously distributed Annual Report and asked for questions and comments. As there were no questions or comments, Rev. Jan moved on to the Financial Report. She showed the growth that St. John s has shown between the years of 2012 and Rev. Jan thanked the Building and Grounds Committee for their volunteer work which means the outlay for repairs is a fraction of what it would cost to hire the work to be done. 5 Page5 Amounts Moved into Major Repairs Year Total 2012 $ 2, $ 12, $ 8, $ 17, $ 12, $ 16,000 Financial and Budget Report: John Culley reports that the 2017 Year-end financial report and the 2018 Budget which has been approved by the Vestry. He shared that the church finances are in good shape and that we are spending carefully and intentionally. Net Total Year Total 2012 $ 21, $ 4, $ 24, $ 9, $ 3, $ 2,966 Deb Swanson comments additional projects for next year include the roof, the hot water heater (installed in 1999), air conditioner in the sanctuary (Freon unit can no longer be replaced). Planned Giving: Sam Hildebrand reminded parishioners of the opportunity to participate in planned giving to support St. John s in the future. Rev. Jan reminded the parishioners that contributions to St. John s can also be made through the Kroger Rewards program. Lent update: St. John s will once again host a Shrove Tuesday Mardi Gras on March 13 th under the leadership of Christopher Short. This year s Lenten study will be an ecumenical event with First Christian Church, Christ Lutheran Church, Trinity United Methodist, Christ s United Methodist Church and St. John s. It will be held at St. John s Episcopal this year, and will be kicked off Tuesday, February 20 th with a 5:30 soup supper. Rev. Jan reminded the new Vestry that a short meeting would follow in the library. The meeting was adjourned at 11:25a. --Respectfully submitted, Marie Stocks, Clerk of the Annual Meeting Rector s Report We are committed to God, to our church, and to each other as a family in Christ, providing and cherishing spiritual growth and living our faith in the community. Another year full of worship, formation, outreach and fellowship has concluded with joyous Christmas Lessons and Carols on December 30, Thanks to Alix, Helen and Marc Hudson for leading those services! I give thanks for all of you: for your presence, your leadership and participation in the wide variety of ministries at St. John s and for your financial support. While membership goes up and goes down, reflecting births, deaths, marriages and funerals, we gather each Sunday to give glory to God following the traditions of The Episcopal Church. There is a richness that is deeply satisfying in singing hymns both old and new; of hearing Scripture we

6 Page6 know and perhaps some we are less familiar with. There is a desire for formation for learning who we are called to be as disciples of Jesus Christ. And we have been given a model by our Presiding Bishop The Way of Love. Let everything you do be from love and the world will notice. In these times of great divides it is wonderful and life-giving- to have at least one place where we can gather and be a community that shares the bread and the wine, the body and blood, of Jesus each week. When we can be reminded that no matter what political positions we hold, we are welcome in this place as children of God, always beloved. It is time for me to take a Sabbatical. I will be away from St. John s between June 2 nd and August 24 th. According to the Diocese: The term sabbatical is derived from the Hebrew word translated into English as Sabbath. Therefore, a sabbatical leave should be an extended Sabbath in which the grace afforded by Sabbath rest can be available to those who work for others. Every clergy person is eligible for a Sabbatical after five years of continuous service in a single position in the Diocese. Such paid leaves are usually for a period of approximately three months. Purpose: The purpose of the sabbatical shall be to refrain, rest, remember, reflect, rejoice and return. Refrain from what one normally does on the job. Rest by sleeping late, napping, reading, or whatever seems desirable. Remember the basics of life, one's self, one's relationships, in terms of their Biblical, theological and spiritual implications. Reflect on one's worth, not only to the workplace, but also to the world in general, one's ministry and vocation. Rejoice as one contemplates the grace of God's creation and being a part of the loveliness that surrounds us all. Return to one's environment as a refreshed and reinvigorated person who has cast off superfluous things that can tend to attach themselves to us without our knowledge. St. John s will be served during my Sabbatical by Rev. Bill Wieland, Canon Kristin White, Rev. Dr. Hilary Cooke and other clergy (a schedule of who is celebrating on which Sundays will be made available prior to June 2 nd ). In addition, it has been suggested that St. John s might take this opportunity to visit with other parishes in our neighborhood and those details are being worked out. The Senior Warden will be the point person in my absence for administrative issues. I encourage you to also consider what aspects of a sabbatical might be helpful in your life. We can each use a time of rest, reflection and rejoicing to celebrate the gifts and talents given to us. --Rev. 7 Page7 18 Baptisms 2 Ministry Leader Opportunities The following ministry groups are one way people may serve. They meet as needed. o Altar Guild: Sets the Altar for worship services and otherwise beautifies the Sanctuary/Nave. Assists the priest as requested and keeps the Eucharistic Vessels and paraments in good order. o Education: Plans religious formation (education) for adults, youth, and children. o Finance: Helps prepare a budget, interacts with the Gratitude Team and Treasurer, and performs bookkeeping tasks. o Gratitude Team: Works with the Finance Team and Vestry to encourage the giving of time, talents, and resources by parishioners so that the needs of the church and the world are met. o Outreach: Organizes and carries out giving to the community, Diocese, and the world. Helps decide areas where needs occur and publicizes appeals. o Parish Life: Organizes and offers opportunities for parish-wide gatherings or outings outside of St. John s building and grounds. o Pastoral Care: Works to provide for the needs of parishioners in times of sickness, family loss, etc. Includes planning support, calling parishioners for donations of food, time, or transportation. o Planned Giving: Encourages parishioners and friends of St. John s to remember St. John s in their estate plan or in other ways by making financial gifts in addition to pledge and plate. o Property: Maintain the physical plant of the church, including upkeep, inspections, security, cleaning, and outside maintenance. o Shepherds & Flocks: Each shepherd has a flock of parishioners. Shepherds maintain contact with their flock, and sends cards for birthdays, anniversaries, and holidays. o St. Martha s Guild: Plans coffee hour and special meals that occur at St. John s. o Worship & Liturgy: Works with the priest to plan worship services. Types of services may include traditional, healing and/or Taizé services. Members train acolytes, Lay Eucharistic Ministers, lectors, and Crucifers. Worship Leader Opportunities o Acolytes: Light the candles at worship service, and aid in getting the altar ready for Eucharist. o Altar Guild: Teams take turns preparing the Altar for communion each Sunday and for special services. Training is given so that members know what is expected of them. o Choir: Choirmaster and organist Jerilyn Yerkes leads the choir. Practices are on Thursday at 7:00 pm during the school year. o Crucifer: Carries the Cross for services and assists the priest in setting the table for Eucharist. o Greeters: Welcome people as they enter the church on Sundays. Present the Communion Elements (bread and wine) to the priest, and collect the offering. Following the service, they inspect and pick up items from the pews and lock the doors. o Lay Eucharistic Ministers: Participate in church services, helping to serve the Eucharist. o Lay Eucharistic Visitors: Take the Eucharist to those who can t attend services. o Lectors: Read the scripture and prayers during Sunday services. o Offering Tally/Counters: A team of two people count and record the offering following the Sunday services.

8 Page8 Committee Reports Altar Guild Report TREMENDOUS THANKS to St. John s Altar Guild members for their conscientious service to St. John s during They are C. J. Charles, Betty Culley, Sheila Evans, Cyndy Fields, Jane Gallagher, Terry Lawrence, Carole Meyer, Meegan Reidy, Jo Tussey, and Jerilyn Yerkes. Every week, Altar Guild members, in teams of two, faithfully meet to prepare for St. John s 8 and 10:30 a.m. Sunday worship services. Also, during their assigned week, they may ready the sanctuary for a special service. To prepare for services in the church, Altar Guild members polish the silver and brass communion vessels and offering plates, prepare the altar hangings and books used, list the hymns, replenish the candles with liquid wax, and prepare the bread loaves and the gluten-free wafers for distribution. Afterward, the communion linens are laundered and ironed. Special thanks to Meegan Reidy for continuing to bake the communion bread, and Carole Meyer for continuing to launder the Fair Linen that covers the altar. Altar Guild members pitch in to help each other whenever needed. That is so appreciated! On the yearly Altar Flower Chart posted outside of Whitlock Hall, parishioners sign up to provide two bouquets on a specific Sunday during the church year. They are contacted prior to their designated week to remind them of their upcoming Sunday donation and to request that they provide a dedication to be printed in that Sunday s church bulletin. --Respectfully submitted by Betty Culley, Altar Guild Chairperson Choir Report The dedicated St. John's choir continues to sing for the 10:30 a.m. Sunday service during the academic year. The choir rehearses on Thursday evening, downstairs in the choir room from 7:00-8:00 p.m. Sunday morning warm-up runs from 9:00-9:20 a.m. This allows choir members to participate in adult formation. The choir continues to sing for the late Christmas Eve service as well. --Submitted by Jerilyn Yerkes, Organist/Choirmaster Columbarium Report During 2018, three niches were purchased by parishioners and one interment took place. While niches are usually purchased by and for members of St. John s, the Columbarium is available for the interment of the cremated remains of any child of God, upon approval by the Vestry. This year the Vestry approved removing the two pews and the frontal from the south transept and adding 64 new niches on the east wall. The de-commissioned pew furniture was adopted by three parish families. The new Columbarium unit was received in July and installed by Tom Sheets and Sam Hildebrand. Niches are available for purchase. The Columbarium unit located on the west wall has three niches remaining for purchase. The Vestry also approved raising the price of an individual niche and urn to $600. The Columbarium Customary may be found in Guidelines for Sacraments which are posted on the St. John s website. This document provides up-to-date information about our Columbarium and its management. Our Funeral Customary and the End of Life and Funeral Arrangements Customary are also available on the website. Both documents include references and links to the Columbarium Customary along with information about cremation and the niche purchase application.

Jan Oller or any member of the Committee. --Respectfully submitted by the Committee, Sheila Evans, Tom Sheets, Randy Pickering and Sam Hildebrand Education Report: Adult Forum After focusing on the 500th anniversary of the Reformation in 2017, the adult education program returned to its more typical model of several modules each semester of The spring began with Helen Hudson leading us through three weeks on the Gospel of Mark. Then we had two weeks with Jim and Patience Barnes on his book Unforeseen. During Lent, we viewed and discussed Max Lucado s He Chose the Nails with the help of Cindy Turner, Jessica Roosa, Shirley Burd, and Andrew Klein. We ended the semester with seven weeks on Adam Hamilton s DVD series Confronting the Controversies: Biblical Perspectives On Tough Issues facilitated by Judy Wynne, Christopher Short, Matt Wells, Kari Brock, Sue Fain, Bill Wieland, and Jessica Roosa. We began the fall semester with three weeks on spiritual type and gifts led by Helen Hudson, Jessica Roosa, and Shirley Burd. Most of the fall was devoted to talking about the Jewish practice of Midrash and Sandy Sasso s book God's Echo: Exploring Scripture with Midrash, with discussions led by Christopher Short, Helen Hudson, Jessica Roosa, and Shirley Burd. In the middle we took two weeks off. One was for a visit by Elizabeth Justice and Frank Howland to talk about their experiences with Midrash. The other was for our annual visit by Bill Cook, who talked about Vocation. Finally, we ended the semester with Rev. Jan and three weeks on the Gospel of Luke. We will start 2019 with three weeks on the DVD Won t You Be My Neighbor. Then, after the annual meeting and the Bishop s visit, we will have ten weeks with the Great Courses DVD series Science and Religion. We will end the spring semester with four weeks on our evangelical neighbors. Thank you to the adult education committee: Shirley Burd, Helen Hudson, Jessica Roosa, Christopher Short, and Rev. Jan. They have made this year run very smoothly, and I could not have done it without them. Thank you also to everyone who helped facilitate a discussion during the year: Kari Brock, Shirley Burd, Sue Fain, Andrew Klein, Jessica Roosa, Christopher Short, Cindy Turner, Matt Wells, Bill Wieland, and Judy Wynne. Finally, thank you to all the members of the parish who have helped us by giving us suggestions and feedback. The program is much better because of all of you! --Submitted by Will Turner, Adult Education Education Report: Children s Christian Education 2018 was another fun and educational year for the children of St. John s. During the spring semester of 2018, we had three classes divided by Pre-K/Kindergarten, Grades 1-5, and Grades 6-8. Due to changes in our demographics, primarily due to families moving away (and returning!), we changed the class number to two - Pre-K-Grade3 and Grade 4-Grade 8. There are currently 14 kids who attend Sunday School and my goal is to have all 14 show up every Sunday! We continue to use a curriculum that is Episcopal Church based called Weaving God s Promises. We supplement that curriculum with special lessons geared toward the church seasons such as the Jesse Tree that the younger children worked on during Advent. I would also like to thank Jim Gary for doing a series of lessons with the older class based on the Prayer Book this fall. Jerilyn continues to have music with the children on Sunday mornings. We have continued with Change for Change as well as doing special projects in Lent and our Advent jars.

10 Page10 I would like to thank all of the people who have helped teach this past year. Kathy Gary and Suzie Siamas taught the little ones last spring, while Kitty Haffner and Shirley Burd worked with our middle schoolers. This fall, Kitty has continued with the older children while Jessica Short has been a great help to me with the younger kids. As always, I appreciate the folks who have stepped in as substitutes: Debbie Swanson, Kim Green and Kathy and Jim Gary. Others have offered to help and I m sure I will be calling you soon! Thanks to everyone for all of your support. --Respectfully submitted by Kim Roberts Outreach Report The Outreach Committee exists to share our resources with our wider community and to reach out into the community with our blessings. We hope that doing so enables others to understand how much St. John s cares for all of God s children. Projects overseen by the Committee in 2018 included: o Mardi Gras: Free will offering was matched by St. John s and went to Half Way Home o Food Finders: May distribution at FCC with St. Johns paying the $500 fee. 165 families were served and John Binder donated dozen eggs. o Summer Lunches: Provided and distributed lunches. o Dinner for Wabash incoming freshmen o Gifts of $100 to: Dusk to Dawn Bereavement Services Animal Welfare League Half Way Home Christ Lutheran Church: to assist their quilt outreach project o Kairos Ministry: Cookies were provided for their prison ministry.. o FMC Fish Pantry: Ongoing contributions of food as well as a new freezer o Meals on Wheels o Recovery Coalition: Providing assistance of $500/month for the period of one calendar year. Also donated a bookcase and miscellaneous books. o Abby Twarek: Provided $300 assistance with her utilities for six months. o Christmas gifts for Mental Health o Bill Cook Foundation: Gift of $2,000 toward his work to provide educational opportunities for children in third world countries. o HUE Community Dinner: Brought food and attended. Outreach committee members include Bud Arnold, Ellen Ball, Sheila Evans, Jane Gallagher, Helen Hudson, Meegan Reidy, Chris Short, Cindy Smith, and myself, Carole Meyer. I m grateful for all these members who have faithfully attended our meetings (often every other month) and were quick to step up to the plate when asked to do so! --Respectfully submitted, Carole Meyer, Chair Pastoral Care Report As Outreach Ministry looks outside to provide help, Pastoral Care Ministry looks inside to give help to our church family. Over this past year, there have been ample opportunities to fix meals, provide transportation, run errands, walk dogs, or visit. This ministry offers a chance to get to know one another a little more deeply. There are presently 21 people who have signed on and are willing to help out. 11 Page11 Planned Giving Report The Vestry adopted St. John s Endowment Fund Policies and Guidelines on June 17, Since then, all of the Planned Giving governing documents have been posted on our website (look for the Planned Giving button) and are available for review at any time by St. John s parishioners and friends as well as their legal and financial advisors. Committee members this year were John Culley (ex officio), Kitty Haffner, Sam Hildebrand, Kim Roberts, Deb Swanson, and Harry Siamas. Since Sam and Harry are completing their three-year terms, the committee is accepting names for candidates willing to be considered by the Vestry for appointment to the committee. Please talk to any member if you have an interest in serving on the committee. The committee uses various ways to communicate to members of our congregation the importance of including St. John s in their estate planning. Since we generally talk of St. John s as our Church Family, it seems only natural to include the church as a family member in our estate plan, whether through a bequest or other type of planned gift to St John s unrestricted endowment fund. In addition to producing and posting the documents available on the Planned Giving portion of our website, the committee included articles about giving in occasional s to the congregation via St. John s Google Groups, made literature about planned giving available to interested persons and also made available a book entitled Provide & Protect Important Life and Death Decisions furnished to us by the Montgomery County Community Foundation. Additional free copies are available in the church library. The Endowment Fund is administered by the Investment Committee of the Diocese of Indianapolis under a no-fee arrangement. This is a permanent endowment, so only the income from the Fund is available to the Vestry to support the activities and programs of St. John s. During the past year, $113,036 in gifts were added to the Fund, bringing its current total to just over $216,412 as of October 31st. Any changes in fund totals between then and December 31st will be in the Year-End Financial Report to be presented by our Treasurer, John Culley. On April 21, 2018, the Committee hosted the 2nd annual Whitlock Legacy Society Lunch recognizing and honoring parishioners who have advised the committee they have included St. John s in their estate plan or have already made gifts to the Endowment Fund. On Saturday, April 13, 2019, we will host the 3rd annual Whitlock Legacy Society Lunch. Invitations will be forthcoming. Meanwhile, please hold that date. At this time, we have 39 living members and 13 deceased members. During 2019, the Committee will continue its responsibilities which are outlined in our Charter and Plan of Operations including making estate planning materials available, raising awareness of the importance of Family Estate Planning and Planned Giving, and offering another seminar on specific aspects of this planning. --Respectfully submitted: Sam Hildebrand (Chair), John Culley, Ed Fain, Kim Roberts and Harry Siamas Pledge Secretary Report For 2019 we have 47 pledge units totaling $154, Of this, $30, was prepaid in We have 3 new pledges; 4 have not renewed their pledge to St. John s so far (one moved); 12 increased their pledge, 2 decreased and 30 remained the same. Average pledge = $3348/year.

12 Page12 For 2018, we ended the year with 49 pledge units and received $178, of $155, pledged. (An additional $22, was given over pledges.) Uncompleted pledges to date -$ Note: Numbers vary from week to week so these numbers will not necessarily match the budgeted figures. It never comes out exactly because there is over-lap in December and January and some units give more than pledged. A special thank you goes to the Tally Committee that quietly goes about the business of preparing the bank deposit each week for St. John s. They include: Susan Albrecht, Nancy Bennett, Ed Fain, Jim Gary, Wayne Olander, John Roberts, Tom Twarek, Ellen Ball, and Alan White. A special shout-out goes to John Roberts for setting up the Google Site for Tally scheduling, helping to ensure that counters show up each Sunday. --Respectfully submitted by Cindy Smith, Pledge Secretary Property Report 2018 was a year of relatively 'minor' projects at St. Johns for building and grounds. These projects included: Replacement of 30 gallon, 19 year old water heater and replacement with a 3 gallon on-demand unit which services the sacristy and Sunday school kitchen sink. Installation of a new pressure tank for one of the boilers (sanctuary and classroom hot water heat) Installation of programmable Wi-Fi thermostats in the sanctuary and lower level classroom areas. Removal of deteriorated concrete and replacement concrete installed at sacristy sidewalk entryway. Removal of excess copper water piping and valves in the boiler room and replaced with PEX piping and new shut-off valves. Installation of an on-demand water softener in the boiler room. Replacement of T11 bulbs with T7 bulbs in the offices. All exterior wrought iron railing and fencing was scraped and repainted. Patio furniture was also painted and welding repairs were done on several chairs. Removal, painting and re-installation of shutters on Whitlock hall exterior. Exterior doors to kitchen, rear ally and outside the rector's office were sanded and painted. A new 64 unit columbarium was installed which also involved removing pews, the frontal and repair to the carpet. Temporary repair to the south transept flat roof will see several major projects needing attention: The transept roofs were installed in 1988 and have deteriorated to the point of needing immediate replacement. Bids for this have been requested, so that work can proceed once the weather is conducive to this work. Those roofs also hold the 2 AC units for the sanctuary which are in excess of 20 years old. The AC units will need to be replaced at this time and Hay-Bush has provided a quote of approximately $3,000 per unit. The Wheat House will be vacated by YSB this spring (April?). Gil Tobias, the architect for the Mills school project, has agreed to provide an assessment of the Wheat house, so that the church may have information as to how to proceed with regards to this property. The roof of the sanctuary will need replacement within the next 3 years and planning for this expense needs to be done.

The purpose of this committee is to have another level of contact with parishioners, either to wish a happy birthday or to deliver a goodie bag to someone in our flock who might be under the weather. Also, if you should have a concern you would like to discuss or bounce an idea off, your shepherd is an additional resource. We have been updating the photo directory so if we don t have a picture of you/your family or you would like a more current one, please text me a current photo or bring in an actual photo so we can get that up for you (you can also find me at church and I ll grab a snap shot as well!) Receptions were offered following funerals as requested by the family. Thank you to all who helped St. Martha s Guild so willingly, whether you helped set up for an event, provided food for a reception or Coffee Hour, Helped serve, or worked to clean up afterwards.
