Toby A tour of Utah Disaster Kleenup will be done in conjunction with the Disaster Recovery Workshop. For those not signed up for the workshop, a small fee will be charged if they want to go on the tour (buses will be needed to get to their facility). Tour is set for Thursday from 3:00 to 4:00 pm. Thursday evening, April 29 th, a reception will be held from about 5:30 pm to 7:30 or 8:00 pm at the Clark Planetarium, which is Salt Lake County s new facility. We are working with the Planetarium to get $1.00 off tickets to either the Star Theatre Show or the IMAX show. Check it out at: Gordon reported that the Fall Caucus had 50 registrants. The moving archives theme was well received since four archives in Utah are planning major moves in the near future. Proposal to disburse $100 to the Abbey of the Holy Trinity for tour and hospitality approved. CIMA Council Meeting Highlights The CIMA Council Meeting met on Tuesday, November 4, Here are some highlights of the meeting. Su Kim Chung reported on the 2005 joint meeting with the Society of California Archivists, Rocky Mountain Archivists, and the Northwest Archivists planned to be held at Las Vegas, Nevada on April 13-16, All councils have met and approved the hotel site as the Alexis Park. A program committee with two representatives from each council will be appointed. It was agreed that the anticipated numbers of registrants be lowered, that bigger rooms be requested for some sessions, and that more pre-conference rooms be included in the planning. Terry Ellis, head of the local arrangements committee, sent a report on the progress of the 2004 Annual Meeting planning. The Sheraton City Centre Hotel has been selected as the conference site for the 2004 CIMA Annual Meeting which is April 29- May 1, Continental breakfast, am and pm breaks, a buffet lunch (Friday), and a buffet breakfast on Saturday are planned. Gordon reported that SAA received an IMLS grant to conduct a comprehensive survey of archival education needs. Regional archives groups will participate and results will be broken down by region. Gordon will attend a briefing meeting in Chicago next week and report later. A*C The CIMA 2004 Annual Meeting is just around the corner! Salt Lake County Records Management & Archives is the host institution for the meeting and would like to encourage everyone to plan ahead and come to Salt Lake City for a great meeting. The local arrangements committee is working hard to plan a great conference experience for everyone. 2 CIMA Newsletter January, ENSUS Working Group Breaks New Ground The working group charged with developing and conducting a comprehensive nationwide census of the archival profession, A*CENSUS, began deliberations about the scope and nature of this unprecedented collaborative effort during its first meeting in Chicago, November Funded by the Institute for Museum and Library Services (IMLS), A*CENSUS (Archival Census and Education Needs Survey in the U.S.) seeks to define the universe of archivists currently in the workforce, determine the knowledge and skills they need to do their jobs now and in the future, and provide graduate and continuing education programs with baseline data to support recruitment and training of new archivists. A broad range of archival interests are represented within the working group, including graduate archival education programs, continuing education programs, and the following national and regional organizations: Academy of Certified Archivists, Association of Moving Image Archivists, Conference of Inter-Mountain Archivists, Council of State Historical Records Coordinators, First Archivists Circle, Historically Black Colleges and Universities, Mid-Atlantic Regional Archives Conference, Midwest Archives Conference, National Archives and Records Administration/ Modern Archives Institute, National Association of Government Archives and Records Administrators, New England Archivists, Northwest Archivists, Inc., Rare Books and Manuscripts Section of the Association of College and Research Libraries, Society of American Archivists, Society of California Archivists, and Society of Southwest Archivists. The goal of A*CENSUS is to reach everyone in the United States who works with archival materials. The project will seek active participation from all archival associations in the U.S., as well as many organizations serving closely allied fields whose members bear significant responsibility for historical records, including librarians, local historians, records managers, and museum curators. According to Society of American Archivists (SAA) president Timothy Ericson, SAA is delighted to participate in and fully supports this groundbreaking effort, which will help to shape the individual and collective interests of the archival community. Current plans call for the census to occur during the spring of 2004, with preliminary reports available by the time of the Society of American Archivists annual meeting in Boston in August. For more information, contact Debra Mills Nolan at dnolan@archivists.org or refer to Papers Needed for the 2004 Annual Meeting Members of the Conference of Inter-Mountain Archivists are invited to submit paper and session proposals for the 2004 Annual Meeting, which will be held April 29-May 1, in Salt Lake City, Utah. Registration information will be mailed out in late February or early March. This meeting has traditionally been an excellent opportunity for CIMA members to network with their colleagues and to learn about current trends and activities in the archival field and in regional repositories. We encourage all members, whether or not they present a paper, to attend the meeting. There is no specific theme for this year's meeting. An opening reception, six ninety-minute sessions, two pre-conference workshops, and pre- and postconference tours are being planned, as well as a plenary session speaker and a luncheon speaker. The breakfast business meeting will conclude with the second annual CIMA Scholarship Raffle. CIMA members are encouraged to submit proposals that focus on any area of interest. Some of the topics and sessions suggested thus far include marketing, security, copyright, preservation, conservation, digitization, oral history, access to unprocessed papers, and a student session. While individual papers will be considered, preference will be given to complete panel sessions. Proposals should include an abstract of the session and paper topics, a list of confirmed participants (preferably including a chair and three presenters), and a list of any special audio-visual needs the presenters might require. Class topics included naturalization records, probate records, state and local government publications, and Utah military records. The first two classes attracted near capacity audiences while

3 CIMA Newsletter January, additional sessions for the final two classes were added after the scheduled sessions were filled through advance registration. The "Research at Noon" classes were developed in conjunction with the annual observance of "Archives Month." Utah State Archives Staff News Laura Ann Bowers, records technician, returned to work September 25 following a six-week leave of absence. Bowers underwent successful surgery at LDS Hospital to donate a kidney to Elizabeth Draper on August 14. Earlier this year Elizabeth's sister, Allison, received a kidney from Kerri Adams, human resource specialist in the Department of Administrative Services. Elizabeth and Allison are daughters of Jean Draper, who works for the Division of Facilities Construction and Management. Stewart R. Preece, records analyst, was recognized as the Utah State Archive s "employee of the year" September 10 at the annual Department of Administrative Services (DAS) awards presentation and picnic. Preece briefly served as acting director of the archives following the retirement of Robert Woodhead in August. Probate Research Guide Posted Online The Utah State Archives recently posted a new research guide for probate records. This guide includes links to probate records available at the Archives ( In addition to the probate of estates, probate divisions of Utah District Courts also have jurisdiction over guardianships for minors and incompetent adults. Probate records generated by Utah District Courts typically also include records of adoptions (which are closed for 100 years) and may include other miscellaneous cases such as name changes. New Micrographics Equipment Installed Two pieces of aging microfilm equipment have been replaced. A new microfilm processor and a diazo duplicator were acquired in September. A special supplemental appropriation for the 2003 fiscal year budget passed by the legislature in March authorized the Archives to replace the faulty equipment. Utah State University News history at Harvard, delivered the ninth annual Leonard J. Arrington Mormon History Lecture to a packed audience at the Logan Tabernacle on Thursday, October 23. Her talk, entitled Rachel s Death: How Memory Challenges History, was an extended reflection on the differing perspectives and accounts of the accidental death of her greatgrandmother, Rachel Davis Thatcher, in Gentile Valley, Idaho in Dr. Ulrich discussed how conflicting versions of the accident and aftermath were reported in the newspapers and contemporary correspondence, as well as subsequently handed down through different branches of the family. She also spoke at length about the guilt that Rachel s sister (and sister-wife in polygamy), Sarah, felt about Rachel s death, and how these feelings grew out of the internal dynamics of this polygamous family. The Arrington Lecture series is sponsored by USU Special Collections & Archives, and was established in conjunction with the Leonard Arrington Mormon History Archives housed in the department. Past speakers have included Howard Lamar, Richard Bushman, Donald Worster, Claudia Bushman, and Jan Shipps. The lectures are published in booklet form by USU Press, and are available for purchase from Special Collections. News from Salt Lake County Salt Lake County Receives NEH Grant Records Management and Archives has received grant funding for fiscal year 2004 from the National Endowment for the Humanities. The grant will fund an archival preservation assessment project in the amount of $ The project will provide funding to hire a consultant to review county archival holdings and develop a planning tool for future processing and preservation projects. Staff members are currently conducting an inventory of holdings and updating the database to prepare for the project. 4 CIMA Newsletter January, Utah State Historical Society News Archives Month at the Utah State Historical Society The Utah State Historical Society research library presented two noontime lectures as part of its Archives Month activities. Cory Jensen, National Historic Register Coordinator and Stan Layton, Weber State University history professor were the speakers and both presentations were well received. Cory Jensen s presentation, How to Research Your Historic Home provided information on what resources are available to research a home and where you can find those resources. Cory highlighted material not only at the Utah State Historical Society but also at other institutions around the Salt Lake Valley. Stan Layton s presentation, Rejuvenating Land and Men: The CCC in Utah used materials from the Utah State Historical Society collection to recount the work and camp experiences of CCC members. To see images of the CCC in Utah visit our digital photographic library at AncestryPlus Now Available The Utah State Historical Society recently subscribed to AncestryPlus. Patrons visiting the library can access Military, Census, Birth, Marriage, Death, Immigration, Court, Land, and Probate Records. A number of biographical publications and directories are also available. The program is great for researching individuals and provides a wealth of information. Nevada Nevada Archives Week Governor Kenny Guinn proclaimed October 26 to November 1, 2003 as Archives Week in Nevada. State Archives Manager Jeff Kintop and Jim Smith, a member of SHRAB appeared on two broadcasts of We the People, a program of Sierra Nevada Community Access Television. With host Shayne del Cohen, also a SHRAB member, the two discussed Archives Week, the Nevada State Constitution and its elements of Initiative, Referendum and Recall. The programs aired in the Reno and Carson City areas on October 20 th and 26 th. NSHRAB and WSHRAB Meet Together The SHRABs of Nevada and Washington met together in a joint meeting in Seattle Washington on November 12-13, This was the first meeting of two western SHRABs. Members of the two boards will discussed the histories of their respective boards, Archives Week, Re-grants in Nevada and other States and plans for future meetings including the May 2004 meeting of the Society of Northwest Archivists in Olympia Washington and the joint meeting of the Conference of Intermountain Archivists, Society of California Archivists, Society of Northwestern Archivists and the Society of Rocky Mountain Archivists in Las Vegas Nevada in NSLA's Classes and Workshops State Archives Manager Jeff Kintop taught a class about "Nevada's Treasures in the State Archives" for the University of Nevada Continuing Education Program on November 7-8 at the Nevada State Library and Archives. This one-credit class was offered through the University's Historic Preservation Studies Program and featured the use of primary sources to teach Nevada History with information on how documents are preserved and their value in historical research. Jeff Kintop taught two classes in book repair for librarians and library volunteers at the Western Nevada Community College in Fallon on September 16th and the State Library and Archives in Carson City on October 2nd. Preservation Librarian Toby Murray of the University of Nevada-Las Vegas Library taught two similar classes at UNLV earlier in September. The programs were part of a joint effort of the Nevada SHRAB and the Nevada Library Planning and Development Program to bring training opportunities to librarians, archivists and museum curators in Nevada. Nevada State Records Manager Teri Mark, Jeff Kintop and Shayne del Cohen presented a workshop on Records Management at the annual meeting of the Inter-Tribal Council of Nevada at John Ascuaga's Nugget in Sparks, Nevada on Tuesday, October 21 st. Local Records Manager Jerry Lindsay went to Fernley, Nevada's newest incorporated City and met with local officials to train them in setting up their own records management program and how to use the Nevada Local Government Records Retention Schedule. Rick Rasmussen and Baylen Limasa of NSLA's Micrographics and Imaging Program was also there to describe the program's services to local

NSLA and Universities Work on Digital Archives NSLA is currently working with both universities' Special Collections Departments on a state digital library and archives. As part of this project, archivist Susan Searcy and webmaster Cheryl Mathwig from NSLA joined the Nevada Historical Society's librarian Michael Maher and curator of photography Lee Brumbaugh at the two-day workshop, "Off the Wall and Online: Providing Web Access to Cultural Collections" at the Riviera Hotel and Casino in Las Vegas on November 4-5. "Their attendance will bring all the project participants to the same level of training, " said project director Jeff Kintop, "and we can start to bring our separate projects together." The conference was co-sponsored by the Northeast Document Conservation Center, Museum Computer Network, the Historic New Orleans Collection and the Balboa Art Conservation Center and was funded in part by a grant from the National Endowment for the Arts (NEA). For more information, contact State Archives Manager Jeff Kintop at Arizona Arizona Archives Week Arizona celebrated its first Arizona Archives Week in October of Beginning in 1997, the Salt River Project, a quasi-government agency dedicated to providing water and electricity to the Phoenix area, has donated the talent and materials to produce our annual Archives Week poster. Take a look at to see all the posters and Archives Week activities in other parts of the state. This year s theme, Law and Disorder, lent itself to some wonderful images provided by historical organizations around the state for our Archives Week poster. The State Archives capitalized on the theme in several ways. We enticed Jana Bommersbach, a local author and Pulitzer Prize nominee, to talk about the trail of archival research for her book, The Trunk Murderess, Winnie Ruth Judd. The setting for the presentation added significantly to the impact; thanks to the Maricopa County Superior Court, we were able to use the historic courtroom where Judd was tried and sentenced to death for the murder of two female friends in She was later committed to life in the state insane asylum, from which she escaped numerous times before she received a governor s pardon. Jana spoke of researching in the Arizona State Archives for her book, finding Winnie after she d disappeared for many years, and her eventual friendship with the woman. We also co-sponsored a display and program with the Phoenix Police Museum in the capitol rotunda, focusing on archival materials that document the both the history of law enforcement and of crime. Court cases The civil and criminal cases found in our county courts not only provide legal precedent, but also provide a social geography that documents class, race, gender, culture, and the social and economic environment of a population. Like other states, many of Arizona s Superior Courts are overwhelmed with the sheer numbers of court cases and records in storage and many smaller counties do not have the resources for microfilming their records. For six years a statewide committee of county clerks of the court have been working to address these issues. In November they proposed that no county court records created after 1960 be considered permanent except those dealing with water, one or two other topics, and anything considered a landmark case. For the next two weeks, Archives staff worked closely with the Arizona Supreme Court and with historians to develop a rationale for why certain categories of cases should be kept permanently and to incorporate sampling into the selection process. At a hearing in late November, Melanie Sturgeon, Director-Arizona State Archives and Ted Wilson, Supreme Court administrator, presented our proposal to a statewide committee of court administrators and were pleased that they accepted our plan. We now need to go back to the original committee and work out the details. Museums for America Grants IMLS announced its new Museums for America grant program for museums. The agency expects to award over $15 million in grants to support the role of museums in American society sustaining cultural heritage, supporting lifelong learning and serving as centers of community engagement. Grant amounts range from $5,000 to $150,000 and require a 1:1 match. Grants strengthen the ability of museums to serve the public more effectively by supporting high priority activities that advance the institution's mission and strategic goals. Museums for America grants are designed to be flexible. They can fund ongoing museum activities; improvement of institutional infrastructure; planning; new programs or activities; purchase of equipment or services; research and scholarship; or efforts of museums to upgrade and integrate new technologies into their overall institutional effectiveness. 6 CIMA Newsletter January, Eighteenth Annual Western Archives Institute To Be Held The 18th annual Western Archives Institute will be held at the University of California, Davis in Davis, California, June 20-July 2, The intensive, twoweek program provides integrated instruction in basic archival practices to individuals with a variety of goals, including those whose jobs require a fundamental understanding of archival skills, but have little or no previous archives education, those who have expanding responsibility for archival materials, those who are practicing archivists but have not received formal instruction, and those who demonstrate a commitment to an archival career. Tuition for the program is $650 and includes a selection of archival publications. Housing and meal plans are available at additional cost. Admission is by application only and enrollment is limited. The application deadline for the 18 th Western Archives Institute is March 15, For additional information and an application form, contact: Administrator, Western Archives Institute 1020 O Street Sacramento, CA T: 916/ FAX: 916/ ArchivesWeb@ss.ca.gov The application package will be available online at the Society of California Archivists website, in January St. Stephen s Mission Records Donated to Marquette University Marquette University Libraries Department of Special Collections and University Archives has acquired the records of St. Stephen s Mission, located on the Wind River Reservation near Riverton, Wyoming. The mission, established by Jesuit missionaries in 1884, serves Catholics from the Northern Arapaho and Eastern Shoshone tribes. The Wisconsin Province of the Society of Jesus now manages St. Stephen s mission. The initial installment of records from St. Stephen s spans the mission s 119 year history, and includes Jesuit "house diaries," correspondence, general subject files, unpublished histories of the mission, photographs, and Arapaho vocabularies. The collection is greatly enhanced by the availability of the Bureau of Catholic Indian Missions records, also preserved at Marquette, which contains annual reports, correspondence, and hundreds of photographs from the mission. The Marquette Archives maintains more than three dozen other collections documenting Catholicism among Native Americans, including the Tekakwitha Conference, St. Francis Mission (Rosebud Reservation) and Holy Rosary Mission (Pine Ridge Reservation). The collection will be processed and microfilmed in A complete set of microfilm will be supplied to the library at St. Stephen s. The acquisition of the collection was made possible thanks to a 2003 travel grant from the Simmons Religious Commitment Fund at Marquette University. It s About Time The National Digital Information Infrastructure and Preservation Program (NDIIPP) at the U.S. Library of Congress has published "It's About Time: Research Challenges in Digital Archiving and Long-term Preservation." The report presents findings from a joint Library of Congress/National Science Foundation workshop on research challenges in digital preservation. Margaret Hedstrom chaired the workshop, which was attended by experts from government, academia, professional organizations, and the private sector. As detailed in the published report, the workshop identified a number of priority areas for research into new models, methodologies, and tools for long-term preservation of digital material. 7 CIMA Newsletter January, CLIR and NIST Publish Guide to Care and Handling of CDs and DVDs Washington, D.C. A new guide from the Council on Library and Information Resources (CLIR) and the National Institute of Standards and Technology (NIST) offers current, practical advice on the care and handling of optical media. Care and Handling of CDs and DVDs: A Guide for Librarians and Archivists describes in nontechnical language the various types of CDs and DVDs now in use, how they are made, and how they work. It then distills current industry knowledge about disc longevity, conditions that affect life expectancy, and how to care for optical media. The guide is amply illustrated and includes a glossary and bibliography. The guide s author, Fred R. Byers, is a technical staff member in the Convergent Information Systems Division of the Information Technology Laboratory at NIST. The guide was written for use by librarians and archivists; however, it will be equally useful to any business or individual wishing to safeguard CD or DVD collections. Care and Handling of CDs and DVDs is available on CLIR s Web site at The print version has been produced with spiral binding and a heavy cover. Print copies will soon be available for ordering through CLIR s Web site, for $15 per copy plus shipping and handling. The Council on Library and Information Resources is an independent, nonprofit organization dedicated to improving the management of information for research, teaching, and learning. CLIR works to expand access to information, however recorded and preserved, as a public good. Oral History Association Awards for 2004 The Oral History Association is looking for submissions for their 2004 awards. The submissions are for the following areas: Post Secondary Teaching Award 2004, Article Award 2004, and the Elizabeth B. Mason Project Award Submissions must be postmarked by April 1, Award winners receive a framed award certificate, a one-year membership in the OHA, and a complimentary registration to the annual meeting. Archives Positions Archivist The HistoryMakers Chicago, IL The HistoryMakers seeks applications for a trained archivist with a master's degree in library science. The HistoryMakers is a 501(c)3 not-for-profit corporation dedicated to the creation of a video archive of first person narratives of African American history makers. The initial goal is to create an rchive of 5,000 interviews over a 5 year period. For a look at our current projects go to The archivist will be responsible for the planning and implementation of a preservation and cataloging system for the HistoryMakers videotaped oral history collection under a IMLS grant for 2004 to digitize, encode, catalogue and index the oral history interviews of 400 subjects. Qualifications: The ideal candidate will have a graduate degree in African American or American history, library science with a concentration in archival management, or other related field. The candidate must have experience working in an archive or library with videotaped resources.
