4 02 Introduction Serving can be one of the most life-giving and rewarding activities we ever involve ourselves in. We have the opportunity and privilege to assist everyone from firsttime guests to regular attendees at AWAKEN creating an unforgettable experience for them. We ve all had good and bad experiences when serving. My guess is you can think of at least 5-6 (if not more) times where either (1) you weren t given proper instructions for your involvement, (2) you were short-handed, or (3) you showed up to serve and came to find that the work had already been done sacrificing your precious time for nothing. The AWAKEN Serving Handbook exists to eliminate barriers, provide clarity, and on-board you to not just a good serving experience, but a great serving experience! In order to do just that, let s first define some terms so that we re all one the same page. Defining Terms Win Vision Point Person Time Commitment Job Description
5 03 Defining the Win We ve all been to or seen some kind of sporting event. Whether that be soccer, football, basketball etc. In any sport one thing is undoubtedly clear: you know when a team scores. Take football for example. The way we know that a team scores is when a player runs or catches the ball in the end zone. So when it comes to serving, we find it helpful to clearly identify the win in each job description. Reason being: there are a lot of good things we could accomplish when serving, but we want to make sure we re not simply getting a firstdown, but a touchdown we want to make sure we re winning.
6 04 Defining Vision Andy Stanley, in his book, Making Vision Stick says, [If God has given you a picture of what could be and should be, embrace it fully and refuse to allow the busyness and urgency of life to distract you it takes more than imagination and passion to make what could be and should be into what is. Seeing a vision become a reality requires more than a single burst of energy or creativity. It requires daily attention. Daily commitment.] 1 Many businesses and organizations have a vison. Vision is often what drives an organization. Without vision, there s a lot at stake. That s probably why the Bible tells us, Where there is no vision, the people perish (Proverbs 29:18 KJV). Grace Church s vision is to ignite a Gospel-centered movement by Knowing, Living, and Giving away the Gospel. It s clear, it s concise, and it s the driving force of Grace Church. A big part of that vision is a goal: 30 campuses in 30 years. Once again, clear and concise. Serving at AWAKEN is a micro-level of that vision. Of course, our vision is to help feed the over-arching vision of igniting a gospel-centered movement and 30 in 30, but each role in serving at AWAKEN has a vision that is specifically tailored/custom-fit for that role. To echo Andy Stanley again, it s a commitment to making what could be and should be into what is. Everything from pouring a cup of hot coffee to running lights and ProPresenter it s all geared toward making that firsttime guest experience great, to igniting a gospel-centered movement, to 30 in Andy Stanley, Making Vision Stick (Grand Rapids, MI: Zondervan, 2007),
7 05 Defining Point Person A point man or point person is the lead soldier of an infantry patrol on combat operations. 2 So maybe pouring coffee or running lights isn t the same as combat operations at least not at face-value. But in the grand scheme of things, we collectively are in a spiritual war. Notice what the Apostle Paul says in the closing of his letter to the church in Ephesus: [For we do not wrestle against flesh and blood, but against the rulers, against the authorities, against cosmic powers over this present darkness, against the spiritual forces of evil in the heavenly places (Eph. 6.12, ESV).] 3 So with that in mind, just like a real war, there s a point person -i.e. the person you look to when you have a question but don t know the answer the person who leads, guides, directs the team keeping them on track toward the win and the vision. Each ministry sphere of the AWAKEN Gathering has a point person (Ministry Director, First Impressions Coordinator, CAM Director) Unless otherwise noted, all biblical passages referenced are in the English Standard Version.
8 06 Defining Time Commitment American philanthropist Warren Edward Buffett once said, Someone is sitting in the shade today because someone planted a tree a long time ago. At AWAKEN, we acknowledge that sometimes things just take time. Making coffee takes time. Buying and preparing snacks takes time. Setting up and tearing down tables and chairs takes time. You get the idea. However, we must recognize that all of our blood, sweat, and tears together has an eternal impact. By creating a loving and welcoming environment for young professionals and college students, we re making the gospel clear and accessible 4 to everyone who comes through our doors. When we serve, we re planting trees so that later someone can sit in the shade (i.e. experience God s love). A big part of serving at AWAKEN is the giving of our time. We value your time, and because of that, we have provided you with what we call a time commitment for each job description. 4 See Grace Church Value #1
9 07 Defining Job Description Aristotle once said, Pleasure in the job puts perfection in the work. Now at AWAKEN, let s just be honest here for a second, we re NOT looking for perfection. However, we are pursuing excellence. That being said, if we can place you in a role that you find enjoyable and you re good at it, then that s what we want for you. Above all though, we serve because Jesus first served us (Mark 10:45). We don t serve because we want to make our name great, but because we live to make Jesus make sense. 5 And as Scripture tells us, Whatever you do, work heartily as for the Lord and not for men (Col. 3:23). 5 See Grace Church Value #1
10 08 Serving Opportunities
11 09 Serving Opportunities (cont.) A while back, Grace Church did a sermon series entitled, My Get-to Life. The over-arching premise of this series was to encourage/challenge people to adopt and embrace a line of thinking characteristically different (some might even say counter-cultural ) from the normal, day-to-day way of thinking. In a nutshell it s basically this: What if we viewed our lives through the grid of something we get-to do instead of something we have to do.? In other words, what if we saw our lives and situations as a privilege rather than an obligation becoming a person of gratitude rather than cynicism? At AWAKEN we want to encourage you to see serving as something we get to do, not have to do. Hence the name, serving opportunities. An opportunity to have a long-lasting (even eternal) impact in the lives of other individuals.
12 10 Event Coordinator Win: They are excited about leading and modeling hospitality Vision: Imagine a leader who encourages and challenges a team of people in showing hospitality Point Person: Ministry Director: Clark Genet (cgenet@ graceohio.org) Time Commitment: 1 hour to prepare vision-casting, logistics, and possibly announcements (the week of); 1 hour to connect with volunteers (the week before); 6:00pm-10:30/11pm on the day of AWAKEN. Job Description: - Connect with other volunteers before AWAKEN to make sure all positions are covered - Show up to lead set up (6:00pm) - Attend (sometimes lead) vision-casting and prayer (7:15-7:45pm) - Sometimes own the announcements (8:15-8:20pm) - Closing announcements after message e.g., stick around for games... (8:50pm) - Tear down (starting at 10 pm)
13 11 Setup/Teardown Win: Make the room feel like a place you want to be, all while having fun and connecting with others. Ask yourself: If I just walked in for the first time, would I want to be here? Vision/Importance: Imagine a crew that can connect and have personal conversations while accomplishing a room changeover. Point Person: Event Coordinator: Amanda Kalain (amandacgenet@gmail.com) Time Commitment: Approximately 2 hours for setup, 1 hour for teardown (starting by 10pm) Job Description: - Show up at 6pm - Move furniture upstairs and arrange as needed (planogram provided) - Vacuum area before and after - Wipe down all tables before and after - Leave the area nicer than we found it! - Spend time praying for the AWAKEN Gathering and the conversations that will happen (7:15-7:45pm)
14 12 Greeters Win: They are excited about making everyone feel welcome in their house Vision: Imagine a guest making a decision to want to come back within the first 3 minutes Point Person: Event Coordinator: Amanda Kalain (amandacgenet@gmail.com) Time Commitment: 55 minutes before Job Description: - Show up by 7:15pm for pre-game meeting - Be up at the doors with a smile before 7:45pm - Welcome people as they walk in, and look for people you don t recognize - Stay there until 8:15 (Gospitality mindset)
15 13 Coffee Bar Win: It would be a place where people feel like they have an IN with NP people are noticed and connected with Vision: Imagine a great cup of coffee and a friendly barista easing the nerves of a guest Point Person: Event Coordinator: Amanda Kalain (amandacgenet@gmail.com) Time Commitment: 1.5 hours before Job Description: - Show up early at 6pm to make quality coffee. - Follow steps in making coffee - Set up any other drinks and water - Have creamer, stirrers, cups, lids, etc., ready - Go to pre-game meeting at 7:15pm - Make connections with people who come to coffee bar (Gospitality mindset) - Help clean up coffee after event (9:45/10pm)
16 14 Refreshments Win: They would plan for snacks and arrange them to help create a homey feel to the AWAKEN Gathering Vision: Imagine young adults staying after and hanging out simply because there was food to enjoy Point Person: Event Coordinator: Amanda Kalain (amandacgenet@gmail.com) Time Commitment: Approximately 2 hours for preparation Job Description: - Being able to help bake/cook/purchase on a night of the week (Check with event coordinator to approve menu) - Following up with Point Person - Showing up by 6 pm to arrange snacks and get utensils ready - Snacks should be covered with foil and set away until after speaker is done - Attending pre-game meeting (7:15pm) - Set out snacks after speaker is done - Replenish food during AWAKEN and connecting with people (Gospitality mindset) - Help clean up snacks after event is over (9:45/10pm)
17 15 CAM Director Win: They would communicate, educate, coach, and support the people on audio, lights, ProPresenter, and Photo/Video with an attitude of love making sure they have what they need and ensuring the environment is engaging and welcoming Vision: Imagine young adults creatively co-laboring together to make the gospel clear and accessible to people at AWAKEN Point Person: Ministry Director: Clark Genet Time Commitment: Approximately 1-2 hours of preparation; AWAKEN arrival time: 6pm; shutting tech stuff down around 10-10:30pm Job Description: - This role requires people skills: loving people, leading people, and of course reminding them WHY we do what we do (the gospel) - Has a replace yourself mentality i.e., raising others to know and do what you know and do - Has an advanced-level to expert-level knowledge of audio, lights, ProPresenter, Photo/Video and has a love and passion to educate others in those areas - Is competent in using Microsoft Word, Excel, and Outlook A willingness to learn Planning Center and GraceLINK
18 16 Audio Win: Create an engaging, distraction-free experience where people can connect with God and each other Vision: Imagine young adults creatively co-laboring together to make the gospel clear and accessible to people at AWAKEN Point Person: CAM Director: TBD Time Commitment: AWAKEN arrival time: 6pm; shutting tech stuff down around 10-10:30pm Job Description: - Has a replace yourself mentality i.e., raising others to know and do what you know and do - Has beginners-level knowledge (or a willingness to learn) audio - A willingness to learn Planning Center and GraceLINK. - Run sound for the AWAKEN Gathering - Safely turning sound equipment on at the beginning of the night - 6:30pm sound-check: making sure the speaker and announcer have everything they need in terms of audio - Go to pre-game meeting at 7:15pm - Co-laboring with other individuals on tech team throughout the night - Behind the mixing console: Fading in and out/muting and unmuting audio channels for crucial times (Spotify music, announcements, promotional videos, speaker, etc.) - Safely turning sound equipment off at the end of the night
19 17 Lights Win: Create an engaging, distraction-free experience where people can connect with God and each other Vision: Imagine young adults creatively co-laboring together to make the gospel clear and accessible to people at AWAKEN Point Person: CAM Director: TBD Time Commitment: AWAKEN arrival time: 6pm; shutting lights down around 9pm Job Description: - Has a replace yourself mentality i.e., raising others to know and do what you know and do - Has beginners-level knowledge (or a willingness to learn) lights - A willingness to learn Planning Center and GraceLINK - Run lights for the AWAKEN Gathering - Safely turning lighting equipment on at the beginning of the night - Go to pre-game meeting at 7:15pm - Co-laboring with other individuals on tech team throughout the night - Safely turning lighting equipment off at the end of the night *Note: depending on availability, also helping with set design when needed
20 18 ProPresenter Win: Create an engaging, distraction-free experience where people can connect with God and each other Vision: Imagine young adults creatively co-laboring together to make the gospel clear and accessible to people at AWAKEN Point Person: CAM Director- TBD Time Commitment: AWAKEN arrival time: 6pm; shutting tech stuff down around 10-10:30pm Job Description: - Has a replace yourself mentality i.e., raising others to know and do what you know and do - Has beginners-level knowledge (or a willingness to learn) Apple computers and ProPresenter - A willingness to learn Planning Center and GraceLINK - Run ProPresenter for the AWAKEN Gathering: - Safely turning imac and video projector on at the beginning of the night Start up ProPresenter and load PowerPoint presentation Start up Spotify and play AWAKEN playlist on shuffle - 6:00pm touch-base with speaker and announcer: making sure the speaker and announcer have everything they need in terms of video and PowerPoint slides - Go to pre-game meeting at 7:15pm - Co-laboring with other individuals on tech team throughout the night - Behind the imac: your role is crucial to the night; the announcer and the speaker is relying on you to cue up certain slides, videos, and music at key points of the night - Safely turning imac and video projector off at the end of the night
21 19 Photo/Video Win: 1. Celebrate life change in NP; 2. Promote upcoming events; 3. Engage people reaching out to NP via social media Vision: Keeping New Perspective fresh and exciting through social media and web presence Point Person: CAM Director- TBD Event Coordinato- Amanda Kalain Time Commitment: 3 hours/month Job Description: - Create and curate photos/videos to promote and celebrate all NP happenings - Coordinate appropriate people to capture moments - Retrieve and deliver photos/videos to publisher in a timely manner - Attend most NP events - Video editor scheduling stories and editing them for AWAKEN and retreats
22 20 Conclusion As aforementioned, the AWAKEN Serving Handbook exists to eliminate barriers, provide clarity, and on-board you to not just a good serving experience, but a great serving experience! We are fully committed to kids and students. We unapologetically devote major resources and energy towards shaping a God-centered world view during a person s prime developmental years. We live to give. We practice joyful generosity. We give our time, resources and ideas with ridiculous selflessness. We do our best with everything we have. We are committed to excellence and effectiveness for the gospel. We will maximize every resource to focus our creativity and our efforts on the ministry that makes the most impact. We do hard things. When given two options, we will choose the one no one else wants to tackle. We will intentionally go where hope is hard to find. We actively seek ministry partnerships. We work purposefully to maximize impact for God s Kingdom through strategic partners. Grace Church cannot go it alone, and we will leverage strengths of diverse organizations and churches to pursue the movement to which God has called us.
