3 INTRODUCTION MISSION STATEMENT VC CREATIVE DEPARTMENT We are ONE church in MANY communities, using our gifts to create an environment in which people experience the presence of God. Through those gifts, we want to help people take the NEXT STEP in their journey of faith with the Lord Jesus Christ! We strive for three things in our pursuit of His Presence: Heart: Being passionate about the presence of God and living a life that reflects the love of Christ (Psalm 24:4) Excellence: Excelling in our creative gifts and continually developing the talents that God has given you (Psalm 33:3) Community: Growing relationally with the team and having a genuine love for people (Philippians 2:1-4) Your representation of Victory Church continues even beyond our services. Wherever you go, let your attitude and character reflect that of Christ. 4 FROM OUR LEAD PASTOR TO YOU We are so excited that you have chosen to be a part of the Creative Arts Team at Victory Church. I believe we serve a God that is immensely creative and He has uniquely gifted each of us. We are at our best when we use and develop our God-given gifts for His pleasure. When each of us were created, God gave us certain and specific gifts and talents. They were God s gifts to us. What we do with them is our gift back to Him. We don t just recruit, but we work hard to help people discover their purpose through building relationships and having conversations around NEXT STEPS and growing in Christ. This is a team and we re a family. So, we want you to jump in with both feet and be a part of creating a healthy worship culture, developing your individual gifts and having the most remarkable experience you can imagine. At Victory, we stress great importance on the Worship of God and the Word of God. As a matter of fact, Worship and the Word of God are the two wings on the plane that Victory soars on. We can t have one without the other. Let me encourage you to spend time in daily worship. It s hard to lead people to a place you ve never been, or rarely go yourself. Reading the Bible and having personal prayer time is important to maintaining your relationship with God. What happens during the service should be an overflow of what God is doing in your life. Finally, this handbook isn t a list of dos and don ts, but more of a cohesive way to build healthy teams and a healthy church. So, as you prayerfully consider being a part of the Creative Team of Victory Church, recognize that we simply want to be the best we can be for the glory of the Lord. 5 CREATIVE ARTS EXPECTATIONS PLANNING CENTER 1. Login Information. a. Every team member should have a current login and password. If you do not have one, please contact your campus department lead. b. It is your responsibility to update your personal profile as needed. Be sure your name, home address, phone number, , and birthdate are entered correctly. 2. Planning Center Requests Response Time a. Once scheduling s go out, please respond within 48 hours if you are accepting, declining, or if more time is needed because of potential conflicts, please indicate that as well. This helps the entire team be able to move forward in a timely manner. 3. Block Out Dates. a. As part of the team, it is your responsibility to block out a date or dates that you cannot volunteer. If you are unfamiliar with how to do this, you can watch the video below with the provided link or you can read through the HOW TO in the next section. i. Video link: ii. HOW TO BLOCK OUT A DATE(S) 1. Log into your planning center account 2. At the HOME dashboard, click BLOCK OUT DATES on the top left hand side underneath the calendar. 3. Click on any date in the calendar you need to block out. Please be sure you always type a reason as to why you re blocking out the date(s). 4. If you have another date(s) to enter, click the calendar again and you will notice a second space will open for you to write out the reason. Please be sure you always type a reason as to why you re blocking out the date(s). 5. If you have multiple dates to enter and want to do it quickly, click the calendar, then on the date, and then drag to the ending date. Please be sure you always type a reason as to why you re blocking out the date(s). 6. If you add a date by mistake, click the TRASH CAN icon on the mistaken date to delete it. 7. You can also click to edit dates before you save them. For example, if you are unavailable at a certain time of the day, you can change it by de-selecting the ALL DAY button at the top. You can set the start and end times as well. 8. There are also REPEATING OPTIONS available to you for your block out dates. For example, in addition to every week or every month, you can choose every 2-6 weeks or months. If you choose month, you can select a specific day or a day pattern. 9. When you are finished blocking out your date(s), be sure to save it. You will notice that your master calendar on your HOME dashboard will have RED dates, signifying those dates you ve blocked out. iii. EDITING BLOCKED OUT DATES 1. If you ever need to change or edit those saved block out dates, you can edit them by hovering your mouse over the specific date(s) and choose EDIT. LEADERSHIP COVENANT As we, in the Creative Arts Team, are on the front lines of leadership at Victory Church, we require every team member to go through and sign the Victory Church Leadership Covenant. We are ALL IN for the mission and vision of Victory Church and are held to a high standard of leadership. Please refer to your team leader for any questions regarding the covenant. After reading through the covenant, please sign and date it and give it back to your team leader as soon as possible. You can find the Leadership Covenant in the back of this handbook. 6 SOCIAL MEDIA All posts, shares, comments, and the like will always be biblical, uplifting, and Christ centered. Being on the Victory Church Creative Arts team, we are all held to a higher standard; we are at the forefront of the eyes of everyone as they walk into our church walls and we have the incredible responsibility of leading people into worship every week, whether we sing it, play it, or help to produce it. As a good rule of thumb, when in doubt, leave it out. It is our responsibility to be the example of Christ in everything we say and do, especially with our presence on social media. We want a team that desires to live a life and be a church that does not do anything that will cause [our] brother or sister to fall (Romans 14:21-22). Therefore, the public display or posting of comments, shares, media, and the like that pertain to things such as lust, greed, drugs, alcohol, sex, etc. is grounds for disciplinary action and possible removal from the Creative Arts Team. PARTNERSHIP We are ALL IN with the mission and vision of Victory Church. Therefore, we strongly encourage all team members to go through Partnership class. Part of this process entails going through Know Victory and Be Victory. 1. Know Victory a. This is your opportunity to know our WHO, WHAT, and WHY. This class is a basic introduction to the ministry of Victory Church and will help you understand church Partnership. This class is held on the 2 nd Sunday of each month. See your team leader or sign up at the NEXT STEPS Area. 2. Be Victory a. This is your opportunity to Connect & Grow. This class will help guide you through the essential practices that every believer needs to become a fully devoted follower of Christ. This class is held on the 4 th Sunday of each month. 7 TECH TEAM Policies & Procedures for All Tech Team Positions Across All Campuses DRESS CODE POLICY At our weekend services, it is important that we are presentable, well groomed, and modest in our attire. Therefore, the following clothing are not permitted, for men or women, for any reason, unless told otherwise: 1. No shorts of any kind. 2. No sleeveless tops of any kind. 3. No tank tops or spaghetti strapped tops of any kind. 4. No white clothing. We desire to be a biblical standard of modesty while serving so please be mindful of this when choosing your attire. Acceptable colors include but are not limited to black, black, and black. AUDIO TEAM MEMBERS What s the win? You are an environment facilitator. As a member of the Audio Team, always strive to create and maintain an atmosphere that is conducive for everyone to experience the presence of God. Just as the priests in the Old Testament were instructed to maintain the Temple in a very organized and specific manner, you too carry a great responsibility to maintain a certain atmosphere. The atmosphere you are tasked to facilitate can either help or hinder someone entering the presence of God. As audio team members, we always strive to create and maintain an atmosphere that is conducive for someone to experience the presence of God. We do this by: 1. Preparing ourselves. We serve from the overflow of our relationship with God. a. Spiritually Always having your heart in a place of submission and oneness with God, operating in an overflow of your relationship with the Lord, and always asking for help beyond yourself. b. Physically Allowing yourself adequate rest, both mentally and physically, in preparation for serving. c. Practically Putting in time to listen to the songs on the set list for the day and spending extra time analyzing mix elements of new songs. 2. Preparing our tools. This is dependent on your position. a. Arrive early, allowing time to check all aspects of the sound system & stage. b. Verify playlists, video, and any other special elements. c. Prep your console, verify FX, saved scenes, etc. d. Change batteries & prep recording devices. e. Verify & prep instrument locations. 3. Connecting with the team. Relationships are crucial. a. Connect on a personal level with the Tech Director and the rest of the tech team. A one-to-one connect point builds relationships. 4. Discernment. We must rely on the Holy Spirit. a. Pray for discernment and speak against attacks of the enemy. b. Stay tuned to the leadership, the flow of the service, and the flow of the Holy Spirit. c. Manage your mix or task in such a way as to facilitate the presence of God while not causing distractions. d. Read the Room: know if people are engaging in worship. You do this by discerning how to manage your mix or duties in a way that helps people better engage. 5. Atmosphere. We are atmosphere facilitators. a. Maintain sound levels within the pre-established parameters set by the leadership. b. Always be aware of the feel of the room. This is where the wiggle room of levels can affect the atmosphere. c. Creating a mix and continually adjusting elements of a mix to maintain this environment. d. Seamless flow between all elements of services. No distractions. Revision 3.0 7

8 e. Consistency with excellence. It s not about perfection, but always with an attitude toward excellence. Song Evaluation Questions for All Audio Positions Below is a list of questions to help you evaluate the worship songs for the week. As you are preparing yourself to serve make certain you are actively listening to the songs and answering the following questions. Doing this will help us to better serve our fellow worship team members by understanding what needs to happen in our mixing of the worship set. 1. What stands out to you about the song? 2. What is the loudest thing in the mix? 3. What is the quietest thing in the mix? 4. What instrument plays the hook? 5. Are there any featured instruments or solos during the song? 6. What is it that makes this song unique? 7. What types of reverbs and delays are used? 8. How long are the reverb and delay times? 9. How would you describe the mix? Warm, edgy, bright, laid back, in your face, etc.? 10. How are the vocals mixed? Are they in front of the music or with the music? 11. Is there a lead vocal with background vocals (BGVs) or is it a blended team approach? CAMERA OPERATOR TEAM MEMBERS What s the win? You are an environment facilitator. As a member of the Camera Team, always strive to create and maintain an atmosphere that is conducive for everyone to experience the presence of God. Just as the priests in the Old Testament were instructed to maintain the Temple in a very organized and specific manner, you too carry a great responsibility to maintain a certain atmosphere. The atmosphere you are tasked to facilitate can either help or hinder someone entering the presence of God. As camera team members we always strive to create and maintain an atmosphere that is conducive for someone to experience the presence of God. We do this by: 1. Preparing ourselves. We serve from the overflow of our relationship with God. a. Spiritually Always having your heart in a place of submission and oneness with God, operating in an overflow of your relationship with the Lord, and always asking for help beyond yourself. b. Physically Allowing yourself adequate rest, both mentally and physically, in preparation for serving. c. Practically Putting in time to listen to the songs on the set list for the day and looking over the service order before you arrive. 2. Preparing our tools. This is dependent on your position. a. Arrive early, allowing time to check all aspects of the camera, tripod and headset. b. Verify camera settings and any other special elements. c. Prep your camera, tripod, seat, etc. d. Check batteries and connections to video switcher. 3. Connecting with the team. Relationships are crucial. a. Connect on a personal level with the Tech Director and the rest of the tech team. A one-to-one connect point builds relationships. 4. Discernment. We must rely on the Holy Spirit. a. Pray for discernment and speak against attacks of the enemy. b. Stay tuned to the leadership, the flow of the service, and flow of the Holy Spirit. c. Manage tasks in such a way as to facilitate the presence of God while not causing distractions. d. Read the Room: know if the people are engaging in worship. You do this by discerning how to manage your duties in a way that helps people better engage. 5. Atmosphere. We are atmosphere facilitators. a. Maintain steady and well framed shots within the pre-established parameters set by the leadership. 8 Revision 3.0

9 b. Always be aware of the feel of the room. This is where the wiggle room and creative shots can affect the atmosphere. c. Creating a look and continually evaluating elements of that look to maintain this environment. d. Maintain constant communication with the video switcher. e. Always be thinking of What comes next. LIGHTING TEAM MEMBERS What s the win? You are an environment facilitator. As a member of the Lighting Team, always strive to create and maintain an atmosphere that is conducive for everyone to experience the presence of God. Just as the priests in the Old Testament were instructed to maintain the Temple in a very organized and specific manner, you too carry a great responsibility to maintain a certain atmosphere. The atmosphere you are tasked to facilitate can either help or hinder someone entering the presence of God. As a lighting team member we always strive to create and maintain an atmosphere that is conducive for someone to experience the presence of God. We do this by: 1. Preparing ourselves. We serve from the overflow of our relationship with God. a. Connect on a personal level with the Tech Director and the rest of the tech team. A one-to-one connect point builds relationships. 4. Discernment. We must rely on the Holy Spirit. a. Pray for discernment and speak against attacks of the enemy. b. Stay tuned to the leadership, the flow of the service, and flow of the Holy Spirit. c. Manage your mix or task in such a way as to facilitate the presence of God while not causing distractions. d. Read the Room: know if the people are engaging in worship. You do this by discerning how to manage your duties in a way that helps people better engage. 5. Atmosphere. We are atmosphere facilitators. a. Maintain lighting levels within the pre-established parameters set by the leadership. b. Always be aware of the feel of the room. This is where the wiggle room of level and colors can affect the atmosphere. c. Creating a lighting look and continually assessing elements of that look to maintain this environment d. Seamless flow and transitions between all elements of services. No distractions. e. Consistency with excellence. It s not about perfection, but always with an attitude toward excellence. PROPRESENTER TEAM MEMBERS What s the win? You are an environment facilitator. As a member of the Tech Team, always strive to create and maintain an atmosphere that is conducive for everyone to experience the presence of God. As ProPresenter Team members, we always strive to create and maintain an atmosphere that is conducive for someone to experience the presence of God. We do this by: 1. Preparing ourselves. We serve from the overflow of our relationship with God. a. Spiritually Always having your heart in a place of submission and oneness with God, operating in an overflow of your relationship with the Lord, and always asking for help beyond yourself. b. Physically Allowing yourself adequate rest, both mentally and physically, in preparation for serving. c. Practically Putting in time to listen to the songs on the set list for the day. Spend extra time familiarizing yourself with the song structure of new songs. 2. Preparing our tools. This is dependent on your position. a. Arrive early, allowing time to check all of the media loaded onto the computer. This includes, but is not limited to: i. Song Lyrics ii. Sermon Notes iii. Videos iv. Announcement Slides b. Verify playlists, video, and any other special elements. c. Prep your area. Be sure it remains free from all distractions. d. Check batteries in the provided equipment: keyboard, mouse, etc. e. Verify that the video switcher team member and the audio team member are getting signal from the computer. 3. Connecting with the team. Relationships are crucial. a. Connect on a personal level with the Tech Director and the rest of the tech team. A one-to-one connect point builds relationships. 4. Discernment. We must rely on the Holy Spirit. a. Pray for discernment and speak against attacks of the enemy. b. Stay tuned to the leadership, the flow of the service, and the flow of the Holy Spirit. c. Manage your task in such a way as to facilitate the presence of God while not causing distractions. d. Read the Room: know if the people are engaging in worship. You do this by discerning how to manage your duties in a way that helps people better engage. 5. Atmosphere. We are atmosphere facilitators. a. Maintain prompt switching of lyrics by putting up the next slide before it s needed. Don t wait. b. Seamless flow between all elements of services. No distractions. c. Consistency with excellence. It s not about perfection, but always with an attitude toward excellence. VIDEO SWITCHER TEAM MEMBERS What s the win? You are an environment facilitator. As a member of Victory Tech, always strive to create and maintain an atmosphere that is conducive for everyone to experience the presence of God. Just as the priests in the Old Testament were instructed to maintain the Temple in a very organized and specific manner, you too carry a great responsibility to maintain a certain atmosphere. The atmosphere you are tasked to facilitate can either help or hinder someone entering the presence of God. As video team members we always strive to create and maintain an atmosphere that is conducive for someone to experience the presence of God. We do this by: 1. Preparing ourselves. We serve from the overflow of our relationship with God. a. Spiritually Always having your heart in a place of submission and oneness with God, operating in an overflow of your relationship with the Lord, and always asking for help beyond yourself. b. 11 c. Practically Putting in time to listen to the songs on the set list for the day. Spend extra time analyzing the service elements and the flow/order. 2. Preparing our tools. This is dependent on your position. a. Arrive early, allowing time to check all aspects of the video system and stage. b. Verify lower thirds, videos, and any other special elements. c. Prep your switcher and re-familiarize yourself with equipment since the last time you served. d. Test all communication devices for your team. e. Verify camera, computer, and audio feeds. 3. Connecting with the team. Relationships are crucial. a. Connect on a personal level with the Tech Director and the rest of the tech team. A one-to-one connect point builds relationships. 4. Discernment. We must rely on the Holy Spirit. a. Pray for discernment and speak against attacks of the enemy. b. Stay tuned to the leadership, the flow of the service, and flow of the Holy Spirit. c. Manage your task in such a way as to facilitate the presence of God while not causing distractions. d. Read the Room: know if the people are engaging in worship. You do this by discerning how to manage your duties in a way that helps people better engage. 5. Atmosphere. We are atmosphere facilitators. a. Maintain visual look and feel within the pre-established parameters set by the leadership. b. Always be aware of the feel of the room. This is where the wiggle room of levels can affect the atmosphere. c. Creating a visual flow and continually adjusting elements of that flow to maintain this environment. d. Seamless flow and transitions between all elements of services. No distractions. e. Consistency with excellence. It s not about perfection, but always with an attitude toward excellence. f. Know who is singing/playing during the worship sets. The camera should be on those special elements when they are happening. Revision

12 WORSHIP TEAM Policies & Procedures for All Worship Team Members Across All Campuses WORSHIP TEAM REHEARSAL POLICY You agree to attend the weekly weekday rehearsal for the weekend you are scheduled in order to participate on the weekend service(s) as well as the Sunday morning sound check. However, exceptions do arise; grace wins! Examples of special exceptions are below but not limited to: 1. Sickness 2. Family related emergencies 3. No other team member available to play The final decision, if a team member can miss a rehearsal or not and still participate in the service, is left to the discretion of the Campus Worship Leader. MUSIC STANDS & MEMORIZATION Music stands, chord charts, vocal charts, etc. are only to be used during rehearsals. Sunday mornings/special events music and/or vocal parts are to be memorized. Keep in mind that for all rehearsals, we do have access to the Planning Center Music Stand App for your chord charts. Last minute fill-ins, for band and/or vocals, are at the discretion of the worship leader. The worship leader will also make the final decision in regards to sheet music being used on a Sunday morning, if there is short notice given to a worship team fill-in. We are striving to play with excellence, just as Psalm 33:3 states, play skillfully and shout for joy. If you have difficulty or reason, great or small, as to why you feel you cannot memorize your music, lyrics, or parts, please ask your campus worship leader for help. We are here to help you take your NEXT STEP in your musicality. We want you to succeed! CREATIVE ARTS NIGHTS PARTICIPATION These mandatory nights happen 2 times a year and are church wide. These nights include everyone involved in the Creative Arts at Victory Church who are members from all campuses that are a part of the Bands, Vocals, Tech, and Creative Teams to come together as One Team to accomplish our goals. These nights are full of fun and laughter, vision casting, food, and community. DRESS CODE POLICY While on the platform for all weekend services, it is important that we are presentable, well groomed, and modest in our attire. The following clothing are not permitted on the stage, for men or women, for any reason, unless told otherwise: 1. No shorts of any kind. 2. No sleeveless tops of any kind. 3. No tank tops or spaghetti strapped tops of any kind. 4. No white clothing. We want to be a biblical standard of modesty while leading worship from the stage, so please be mindful of this when choosing your attire. SERVICE ATTENDANCE It is imperative that you know the heartbeat of our pastor and the tribe. As worship leaders, musicians, and vocalists, you are the 2 nd most visible person on stage, besides the lead pastor. Being on the worship team is not a gig. You are part of a team and culture. Because of that, your attendance is required in at least one of the weekend services. 12 Revision 3.0

13 EXPECTATIONS FOR ALL VOCALISTS 1. Have a relationship with Jesus Christ and be growing in your faith. 2. Know the songs with the correct vocal part(s) you have been scheduled for (See VOCAL PREPARATION VOCAL MP3S). 3. Please respond to all Planning Center requests (accept, decline, or need more time) within 48 hours of the schedule being sent out. The schedules are sent out every 4-6 weeks. 4. Be open to suggestions, changes, critiques, and leading from the Worship Leader. 5. All vocal charts and music are to be memorized for Sunday mornings/special events. 6. We are one church in many communities so it is encouraged that all team members serve at multiple campuses, when needed. 7. Please arrive early to weekly band rehearsals to facilitate an on-time start. 8. Please arrive early to Sunday morning sound checks to facilitate an on-time start. 9. To be ALL IN at Victory Church, you must attend and complete Partnership (Know Victory and Be Victory) within the first 3 months of joining the team. Vocal Preparation Vocal Mp3s When you are scheduled as a vocalist, you will be assigned at least one vocal part to sing. During your personal rehearsal time, refer to the specified mp3 vocal part on Planning Center. You can find this under the KEY ATTACHMENTS. Be sure you are also referring to the vocal chart available on Planning Center. You can find this under the ARRANGEMENT ATTACHMENTS. For band rehearsal, come with your prepared part ready to go. If you have any questions, please your campus worship leader immediately. There is no such thing as a bad question, so please don t hesitate to ask anything. EXPECTATIONS FOR ALL BAND MEMBERS 1. 15 LEADERSHIP COVENANT Thank you for serving as a LEADER in Victory Church. As a ministry leader you will be viewed by those in your group or ministry department as a leader in the church. We ask that you enter into covenant with other leaders by making the following three commitments: " ALIGN YOURSELF TO VICTORY S MISSION & VALUES Our Mission: Helping people take the NEXT STEP in their journey of faith in the Lord Jesus Christ Our Strategy: We seek to: Worship (Matthew 4:10; Psalm 29:2) As believers, we were created to worship. When our campuses gather as one Tribe for our Weekend Services, we worship Him together. It is about so much more than singing songs or lifting our hands. Worship helps us take our NEXT STEP by strengthening our faith, filling our hearts, and positioning us to keep our focus on Jesus, no matter what life brings. Equip (Ephesians 4:11-12; 2 Timothy 2:1-2) At Victory Church our goal is to make sure that taking your NEXT STEP is not limited to Sundays, but continues to be a goal for each person through the week, and throughout his or her lifetime. We strategically plan classes and events geared towards personal growth, family health and leadership development. The goal is to equip you with the tools necessary to not only take your NEXT STEP, but also influence others to do the same. Community (Mark 3:14; Acts 2:44-47) Life is about relationships. This thriving community, designed by God, is modeled perfectly through the relationship of the Father, Son, and Holy Spirit; even God does not exist alone. At Victory Church we desire to see each person fully engaged and connected into a community where they have meaningful friendships, accountability, and support. Our NEXT STEP can be taken through participating in small groups. Serve (Matthew 20:28; 1 Thessalonians 2:7b-8) Scripture tells us that Jesus came not to be served, but to serve others. The act of serving (giving of our time to others) is a direct reflection of the heart and nature of Jesus Christ. When we serve, whether at church, in our homes or in the community, we are an extension of Christ here on earth. Serving allows us to see differently. Faithful to Jesus Christ There is a saying that goes with any leadership Others may but I cannot. There are higher standards and higher expectations on leaders. Our obedient walk, as a Christ-follower, should point people directly to Christ. According to Ephesians 4:1, leaders are called to live a life worthy of their calling and to witness to the good news of salvation by the way they live their lives is what Matthew 5:16 says. Just because you may have certain freedoms, do not allow those freedoms to be a stumbling block for those you lead (1 Corinthians 8:9). Lifestyle choices matter because as a leader, people are watching. Drunkenness - or appearances of - substance dependency, marital unfaithfulness or premarital sex or cohabitation, criminal conduct, physical or verbal abuse, etc. are not acceptable as a Christ-follower, and definitely not as a leader. A Christ-following leader lives his/her life for the purpose of bringing glory to God and pointing (leading) people to Him. Leaders are not perfect, but leader expectations are high at Victory Church because eternity is at stake. I recognize and commit to the expectations of leading at Victory Church.
