3 Iowa State Council Knights of Columbus My very dear brothers: December 2018 This has been a tough year so far for the Knights of Columbus and for the Church. The media is full of negative news about our beloved Church and thousands of Catholics are wondering about what the future holds for our parishes and faith communities. Our Order was founded to face and beat crisis situation in our community. Our very foundation was to solve the crisis of Catholic families facing financial setbacks because of the loss of their breadwinner. We responded to the crisis in which the patriotism of Catholic was questioned and the Patriotic Degree was implemented in addition to the support to our troops during WWI. When the Catholic Church was persecuted in Mexico and being a Knight of Columbus was a crime, we faced the crisis through prayer, support, and education. When Christians in the Middle East are being torn away from their homeland, the cradle of Christianity, we respond with solidarity and support to rebuild their homes. WE ARE CALLED to face any crisis and defeat. We have done it before and we will do it again this time. Today more than ever we need to bring strong Catholic men to the Order asking them to come and help us so that, as the Strong Right Arm of the Church, we can stand firmly with our bishops and priests and rebuild the Body of Christ. Father McGivney had the vision of laymen taking their Faith into Action to rebuild the world of the Irish Catholic in the 1880s. Let us now put Faith in Action to rebuild the image of the Church and bring its true face to all corners of the State: and all powers of hell will not conquer it. 5 Iowa State Council Knights of Columbus Dear Brothers in Christ, Advent is a brief liturgical season, and is even briefer this year since Christmas falls on a Tuesday. There is hardly any fourth week of Advent this year. This suggests a sense of urgency, which is itself emblematic of the season of Advent, a season of urgent waiting, which is nearly an oxymoron. Yes, this is a season of waiting waiting in joyful hope. We wait in hope for the eruption of the Christ into our world. Advent invites us to recall in joyful thanksgiving the first eruption of Christ in the world with his birth in Bethlehem. We are all aware of the temptation to allow Christmas to seep into Advent. This we should avoid. The second coming of Christ will be at the end of time, when everything will be restored in God. We began hearing about this on the 33rd Sunday of Ordinary Time. Both the end of Ordinary Time and beginning of Advent make reference to the end of time when Christ will come again in glory. How does this notion of waiting in joyful hope touch us as Knights of Columbus? Think of Columbus sailing the Atlantic, passing many days at sea, waiting for the sighting of land. This was not only waiting in joyful hope, but also waiting with supreme trust. Hope and trust should mark our journey in Knighthood. In our service to our families, our councils, our parishes, and our assemblies we must be men who engender and inspire hope and trust in others. Both the Church and the world need hope and trust at this time. Amplified by our charity, unity, fraternity, and patriotism, the hope and trust we bring to our families, our communities, our councils and assemblies and our Church can be a source of stability and blessing. Be that blessing and stabilizing influence so desperately needed in our world today. This will happen when you are the Knight you are called to be. Sincerely in Christ, Rev. William E. Reporting our activities is necessary for the Knights of Columbus to maintain records, maintain our tax status with the IRS, and to receive recognition for our good works. 8 This could be YOU next year! The State Council is run by dedicated volunteers. Some are retired, most are working Knights with kids at home. In order to provide the proper support to our nearly 250 councils throughout the state, we need good men like YOU to join us. Some roles are intense, most are easily doable with an active family. Plus, the rewards are HEAVENLY!! 10 State Awards /stateawards State Awards The Iowa Knights of Columbus annually recognizes outstanding individuals, families, and programs that exemplify the principles of Charity, Unity, Fraternity, and Patriotism of the Order and serve as examples and inspiration for all Knights of Columbus. For the fraternal year, the Iowa Knights of Columbus seeks nominations for the following awards: Outstanding Council Activity Awards- in the following categories Faith Community Life Family Deacon of the Year Chaplain of the Year (one for each dioceses) Family of the Year Grand Knight of the Year Knight of the Year Youth of the Year Award nominations can be submitted on-line or can be downloaded. A description of each award can be found on the subsequent page as well as online. 11 State Awards Awards Descriptions Outstanding Council Activity Awards- Faith Recognizes programs that grow in faith and build a strong parish and Church. Aid priests and religious in formation, honor Mary, mother of God, and engage in serious spiritual reflections and religious education activities. Community - Recognizes programs that make a powerful difference in your community. Help those less fortunate with the basic human needs of clothing, shelter, mobility and compassion. Life- Recognizes programs that create a culture of life. Assist pregnant women in need, care for the elderly, aid the handicapped and empower those with special needs to realize their full potential. Family- Recognizes programs that strengthen families through faith and service. Socialize and pray with other faith-filled Catholic families through special events, religious services and volunteer opportunities. Deacon of the Year- Recognizes a deacon (permanent or transitional) for outstanding and noteworthy service to the Knights of Columbus, his church, and/ or the community at-large. Chaplain of the Year- Recognizes one council chaplain per diocese for outstanding and noteworthy service to the Knights of Columbus, his church, and/ or the community at-large. Family of the Year- Recognizes one family for their distinguished example of building a domestic church within their parish and/or the community; special consideration given to families with young child(ren) Grand Knight of the Year- Recognizes one council Grand Knight for outstanding and noteworthy service to his Council, parish, and/or the community Knight of the Year- Recognizes one brother knight for outstanding and noteworthy service to his Council, parish, and/or the community; District Deputies and state officers are not eligible to receive this award. Outstanding District Deputy- Recognizes one current District Deputy for outstanding and noteworthy service within his District; for specific partnerships and growth of the Order; Youth of the Year- Recognizes one youth for outstanding and noteworthy service to their family, parish, school, and/or community. Both male and females are eligible for this award. 11

12 SAFE ENVIRONMENT PROGRAM Brother Knights, There are two points that I wish to make clear regarding your council s compliance with the Safe Environment Program: The Safe Environment Program is for the safety of our children. Your councils compliance is the best way for you to ensure that protection. Supreme is taking this very seriously, as should we all. Once a Knight is in a position in their records which requires Safe Environment training, he has 30 days to complete the program. If not, Supreme will drop the Knight from his position, and the Grand Knight must re-appoint him. Please don t let this happen. 13 Iowa VIP Recruiters for the Fraternal Year will receive a Christian Relief Solidarity Cross VIP Recruiters are those proposers of two or more members. You need to sign and put your Membership # in the Form 100 of new Knights You will be given a 5 inch Olivewood Cross made by Christian craftsmen in the Holy Land. Each Cross is worth $10 and all the funds assist directly in the Christian Refugee Relief Fund of the Supreme Council. If we get 200 VIP members this Fraternal Year we would have rescued a Christian Family in Karamles, in the Niniveh Plains. 15 Membership WHY ONLINE MEMBERSHIP? The Supreme Council has conducted numerous listening sessions and surveys with both members and non-members over the last few years. Among the many findings was a strong indication that the Supreme Council should develop a new, online way to recruit potential members and form those men for committed, lifelong membership in the Knights of Columbus. This new fraternal program seeks to help the Order maintain sustainable long-term membership growth by providing the opportunity for membership throughout the modern man s life cycle. This streamlined alternative helps acclimate men to the Order. Once a man has joined online, we will then work to incorporate him into a council and get him fully integrated with its activities. WHAT ONLINE MEMBERSHIP DOES This initiative is an important step for our Order, and presents a tremendous opportunity for membership growth and engagement. The initiative allows for: A Faster Way to Join One of the most common objections to joining the Knights of Columbus is I don t have time. Through Online Membership, a join process that can take as many as two months now takes five minutes. A Digital Experience This initiative provides a new membership experience that is tailored to younger men and busier men who may not yet be ready for council-based membership. This lowpressure, low-commitment and digital experience meets men where they are, helps to form them as Catholic men, and enables us to bring more men into the fold. An Amplified Message The Online Membership initiative is backed by a substantial marketing campaign that will find and work to convert prospective members. WHAT ONLINE MEMBERSHIP DOES NOT DO Does not change requirements for membership. Membership in the Knights of Columbus remains open to practical Catholic men. Does not eliminate degrees. Men who join online are non-degreed members. Once they are ready to convert to a local council, they are required to take the first degree. Does not eliminate councils. The goal of online membership is to form men for committed, lifelong and council- based membership in the Knights of Columbus. In fact, Online Membership creates a pool of recruits for local councils to engage with. Does not eliminate dues. Online Members are required to pay $30 annual dues. Does not create a new class or type of member. Online Members are members of the Knights of Columbus. They are non-degreed members, and they do not belong to local councils, but they are not provisional or partial members. 15

16 Membership Online Membership Benefits Members who join online will receive the following: Welcome Package All new members will receive a Welcome Package (contents include membership card, Columbia, welcome letter, and copy of Into the Breach). Access to Online Membership Portal All new members will receive full access to the Online Membership portal and all of its faith, values, insurance, and charitable content, as well as Supreme Council and State Council news and events content. Membership Communications Members will receive weekly s from the Supreme Council on a variety of topics, including faith formation, public policy developments, charitable opportunities, financial planning, Order-wide news, and membership events. Programs & Events Members will be eligible to participate in or attend local, regional, and national charitable and fraternal events. Columbia Magazine Members will receive the print edition of our monthly magazine, as well as any special fraternal publications produced throughout the year. Insurance Members, their spouses, and their dependent children are eligible to purchase our life insurance, long- term care insurance, disability income insurance, and retirement products. Accidental Death Coverage Eligible members and their spouses will be automatically enrolled in the Order s accidental death coverage at no cost. Annual Financial Review Members are entitled to an annual review by one of our field agents. 16

17 Membership Online Membership Frequently Asked Questions What will these members do? Once they have completed their registration, men who join the Order online will be given access to a web-based Online Membership portal and will begin receiving regular electronic communication from the Supreme Council. While they will receive a number of other benefits, the digital experience will form the core of their Knights of Columbus experience. Content distributed to the member through the portal and direct communication will revolve around the four themes of: Lead with Faith, Protect Your Family, Serve Others and Defend Your Values. Through these four themes, these men will not only grow as individuals, but will become acclimated with the good work and rich history of the Knights of Columbus, thereby strengthening their affinity with the Knights of Columbus brand, and setting the stage for lifelong, active membership. They will also receive regular news updates from the Supreme Council, as well as news and event information from their State Council. Do these members belong to councils? Online Members do not belong to local councils. Instead, they belong to state divisions. Each jurisdiction will have one state division, which houses all of that jurisdiction s Online Members How do these members differ from members of local councils? Though they have not yet taken the first degree, online members are members of the Knights of Columbus. As members, they are entitled to all of the great benefits listed in the Membership Benefits section above. These benefits include: a welcome package, access to the Online Membership portal, a membership card, Columbia, and the ability to participate in our insurance program. They are not a different class or type of member, but as they are not yet degreed members and not yet members of local councils, they are at the earliest stage of their Knights of Columbus journey. Can these members join local councils? Yes. State division members who have joined online can transition to local council membership, just as members from other local councils do today. When a State Division member finds a local council he likes, he may deepen his involvement in the Knights of Columbus by converting his membership from his State Division into that local council to take his degrees. Since these members will not have taken the first degree, that ceremonial will be part of their transition to a local council. How will councils know about these potential new members? During the application process, applicants will need to provide the name of the parish they attend. There is a field to indicate if they would like to join a local council, and the opportunity to indicate their preferred council number if they have one. Both of these tools will generate reports and s to facilitate the transition towards local council membership. 17

18 Membership Online Membership Frequently Asked Questions How would a council admit a member who joined online into their council? A transition would be initiated by the local council s Financial Secretary. The receiving council would complete a Form 100 for Transfer after the First Degree and submit to the Supreme Council. After transitioning to a local council, the member would retain his online access to the Knights of Columbus membership experience, but cease paying his membership dues online, and instead begin to pay his local council s membership dues. The receiving council would receive the member s dues adjustment for the fraternal year. How will we know that prospective online members are eligible for membership? When a prospective member begins the Online Membership application process, the first step is for them to declare that they are: (1) a baptized Catholic male, (2) 18 years of age or older, and (3) a practical Catholic. Once they check those boxes, and agree to abide by the laws and rules of the Knights of Columbus, they click Proceed to Join and proceed to the next page. They cannot continue if any of the boxes have not been checked. Additionally, before they hit the proceed to join button, they are presented with the following message: "Failure to answer truthfully to any of these declarations, or failure to remain a practical Catholic in union with the Holy See, renders void your membership in the Knights of Columbus." Prospects are also required to submit parish information during the application process. 18

19 Membership CEREMONIALS Members attaining the Knighthood Degree are much more active and will remain a Knight. If new members have not received the Knighthood Degree within one year, there is a slim chance of them ever attaining the degree. There should be Formation and Knighthood degrees within close driving range every 3 months. Join with surrounding districts to achieve this. Things to remember review the Iowa K of C website forms section for Ceremonials. All requests for Formation/Knighthood degrees should be submitted using those forms. Submit requests far enough in advance that there is time to schedule a team to conduct the exemplification and to contact all potential candidates. If possible submit the form at least 60 days before the requested date. A good turnout for degrees is important for both those being exemplified and the degree team. To achieve this it is not only important to inform candidates of the degree but make arrangements to bring them. Too often it is easy to make excuses why they cannot come, but if someone will bring them the excuses disappear. The magic number for conducting a degree is ONE (1). All Councils are reminded that they have the ability to conduct their own Admissions Degree at their own Council, and may read the parts (if necessary) or use the narration DVD in case they become short-handed. The Official Suppliers have available higher quality and lower cost Admissions Degree paraphernalia items and should be contacted directly for those items, along with Ceremonial Baldrics. Districts are to schedule to have Formation and Knighthood degrees at least once per year. Districts are encouraged to work together to host regional knighthood degrees. Request forms and all information can be found at ceremonials. 19

This is Building up the Domestic Church. Focus on what s right in your council use an it's good and getting better attitude; but then work to make your council more relevant. Review the SP-7 Columbian award from previous years to evaluate where you ve been and where you need to go. 21 Membership The Knights of Columbus is the place to match your life, your actions and your faith together in a Band of Brothers Six Great Reasons to Join the Knights of Columbus: 1. You Can Change Lives The Supreme Knight and the Board of Directors has forged a partnership with the Global Wheelchair Mission, which provides low-cost, high-quality wheelchairs to poor people around the world. The Supreme Knight has personally seen in Haiti how a wheel chair can change a life. During his experience in Haiti, he joined others in lifting people into wheelchairs who were injured in the earthquake. In addition, the Order is making available prosthetic limbs to all children who lost a limb in the Haiti earthquake, at no charge. 2. You Can Save Lives The Knights of Columbus is dedicated to providing ultrasound machines to pro-life pregnancy centers across the United States and in Iowa. Thus far, nearly 1000 machines have been delivered to centers across the country. One machine saved a set of twins when the mother canceled a scheduled abortion after seeing the babies on an ultrasound. She was the first woman to have an ultrasound on that machine. 3. You Can Help Build Up the Church As stated by St. Pope John Paul II, The Knights of Columbus is the strong right arm of the Church and the helping hand of every pastor. The Order is an ardent supporter of vocations to the priesthood and religious life, and many of the newest vocations today come directly from Knights of Columbus families and the members of college councils. 4. You Can Discern Your Own Vocation Whether God is calling you to priesthood or the lay life, membership in the Knights of Columbus is a sure way to discern just what God has in mind for you. In the fraternal company of like-minded Catholic men; in the process of planning and carrying out charitable and religious programs with your council, and in prayerful reflection at spiritual events, you are more likely to hear God s call, and to have the courage and conviction to respond with generosity. 5. You Can Develop Leadership Skills As a Knight, men are called to be not only tomorrow s leaders, but the leaders of today. By joining a Catholic organization of 1.9 million men and their families, a man has a built-in structure and tradition through which to express his individual talents and skills and build them as he moves along the leadership positions in his council and beyond. We are all called to leadership in our faith, family and fraternal circles. 6. You Can Protect Your Family As a Knight you have exclusive access to top rated insurance protection for your family. 22 Retention /membership Retention efforts must start immediately after the Admission Degree has been conferred on a new member. Encourage the new member to take the Formation and Knighthood degrees as soon as possible. Establish a "welcoming committee" of several council members to provide the member and his family with information on the council, show them around the council's facilities and answer questions they may have. Present the new member with a baseball cap or T-shirt emblazoned with the Order's emblem and the council number. A new Knight's proposer should introduce him to other council members, help make him feel at home and inform him of the dates and times for council meetings and activities. Establish a car pool to bring new (and old) members to meetings. Also, as soon as the First Degree is over, get new members interested in earning the Shining Armor Award to help their knowledge and involvement in the Order grow. Establish a retention committee to examine reasons why Knights become inactive and let their membership lapse. This committee plans programs to conserve the council's membership and anticipate and solve problems that may cause membership suspensions. The deputy grand knight should be named to the position of retention chairman and his committee be composed of the council's trustees. After discovering problems, the committee should work with council officers to remedy them. The financial secretary should provide the retention committee with a list of members in danger of being suspended. Contact these members and discuss their reasons for being inactive. Urge them to become active again. The financial secretary can also furnish a list of suspended members. Contact former Knights who still meet membership eligibility requirements and ask them to rejoin. Keep council meetings interesting and relevant. If a member asks himself, "Why am I here?" then something is wrong. Start meetings on time and keep discussions, comments, etc., within proper limits. The grand knight should refer any nonessential matters to the appropriate committees. Hold meetings on a night convenient to most members. Allow all members to voice their opinions in an orderly way and try to keep meetings open and relaxed. Another way to help retain members is personal follow-up. Let a member know he is missed the first time he fails to attend a meeting or event. Forward a "We missed you at the meeting" postcard message. Call him on the telephone or write a personal note at the bottom of the next meeting notice. 22

23 Retention /membership Marked decline in meeting attendance and committee involvement among formerly active members is a sign of lost interest. Although these members may have compelling reasons for reducing the amount of time they give, do not give up on them. Handle such members with tact and consideration. Make missing members feel valued and needed by asking them to take on a task that "only they can do," one which their experience truly counts. Ask them to give just a small amount of their time to one particular project. Explain that their contribution is very important. Take time to say thanks. Honor members with a luncheon, ceremony, award or certificate in recognition of their years of involvement and service in the council. Look at your current programs and activities to evaluate whether your council's resources and members are being fully used. Do members express interest in these programs? Are a majority of the members participating? What type of council image do these programs project to the community? Are these programs meaningful, sincere and diversified enough to appeal to all council members? If your council has lost good Knights, develop a campaign to retrieve those members. Organize a number of active members with good telephone personalities located throughout the geographic area your council covers. Give each volunteer a list of lapsed members in his neighborhood, with details of when they joined, what committees each served on and what each did for the organization. Add to the list whatever personal data your records contain. This information serves as a good starting point for conversation. Supply these workers with up-to-date information about the organization including present activities, future plans, a supply of current K of C publications, and Membership Document (#100) forms. Through efforts to retain current members and recruit new ones, we help the Order remain strong and growing. 23

24 Membership Keeping Members Interested The key to success in any council is keeping members interested, excited and active. One way you can do this is by encouraging members to participate fully in council activities. Here are some of the ways to show interest in new and established members alike and to help them become active participants in the council: 1. Telephone members and remind them of meetings. 2. Offer to provide transportation to members who would like to attend council functions, but don't have the means to get there. 3. Answer questions. Members will ask why council activities are done in a certain way and if things can be changed. Provide them with sufficient information. 4. Inquire about the particular interests of the members through membership surveys. 5. Help new members make new friends in the council by introducing them to all fellow Knights. 6. Be aware of personality conflicts and try to avoid them as much as possible. 7. Do all you can to help members feel important to the council. 8. Get members' names in the council's newsletter, both when they join and as they begin to take an active role. 9. Be sure members' names are always spelled correctly, whether in the membership directory, on a name tag at a meeting or in a news story. 10.Establishing caring and concerned relationships among council membership will encourage your members to participate in council activities. By showing interest in new and old members alike, your council will confirm its commitment to members and will increase their willingness to assist in programs. 24

25 Membership Well-Run Meetings will Boost Attendance If members ask themselves "Why am I here?" then something is wrong with the way your council is conducting its meetings. Follow these guidelines for well-run meetings: Keep council meetings interesting and relevant. Start meetings on time and keep discussions, comments, etc. within reasonable limits. The grand knight should refer any nonessential matters to the appropriate committees. Hold meetings on a night convenient to most members. Allow all members to voice their opinions in an orderly way and try to keep meetings open and relaxed. The flyer "Responsibilities of Grand Knight" (#1937) explains the guidelines for conducting a council meeting. Grand knights should also be familiar with parliamentary procedure. The booklet How to Conduct a Meeting: Parliamentary Procedure (#438) is also helpful. Encourage a free exchange of ideas on council programs and business during council meetings, but make sure the council remains focused on the issues under discussion. If possible, complete the business portion of the meeting within an hour. 25

26 Membership One-on-One Recruiting Sometimes, the hardest thing about recruiting is taking the first step. Recruiting a new member can be as easy as asking him to join. Amazingly, many individuals haven't joined the Knights simply because they have never been asked to join. When the opportunity arrives, take the initiative and start a conversation with a potential prospect. It s the first step for recruiting on a one-on-one basis and can yield very positive results. Once a conversation begins, be confident that you will be able to answer their questions, no matter what direction the conversation will go. The Knights of Columbus, through its many programs and activities, assists individuals in so many ways that there is sure to be something that will appeal to anyone who wants to help his community, Church, or family. To ensure the best chances of recruiting a new member, refer to the checklist below. Make sure you ask all the pertinent questions while talking with the prospect, including: His complete name and address, Facts about his job, His parish affiliations and activities, Friends he has among present council members, and Information on his wife and children. 26

27 Membership One-on-One Recruiting All of these facts can branch off into different areas: Knights of Columbus benefits, service projects, community involvement, or social events. Be prepared to answer any question he may ask in order to make your council look its best. You only get one chance to make a first impression, so make sure you have all the answers and necessary materials ready at your disposal: A Membership Document (#100); Copies of various flyers including Did You Know (#1267), The Greatness of a Man (#4496), Member/Spouse Fraternal Benefit (#2773), Family Fraternal Benefits (#2761), and any other appropriate council publications; Facts on the Order s insurance program; A clear explanation of how membership has benefited you and your family; The Order s website so he can research more on his own. During the home visit, review promotional materials with the prospect and his wife. Bring a recruitment video and DVD (such as Experience of a Lifetime), the above mentioned flyers, the latest issue of Columbia, council newsletters and other items of interest. After making the pitch and answering any questions, ask the prospect to join and assist him in completing the Membership Document (#100). The proposer should then follow through with the new member by escorting him to his First Degree exemplification and his first council meeting. Recruiting on the personal level helps the potential member understand that you are not looking for numbers as much as you are looking for individuals like him. Let him know that he is not only wanted as a member, but that his membership can take all aspects of his life to new levels. 27

28 Membership Honor Those Members Who are Always There Every council has a group of members whose outstanding qualities aren't flashy or very noticeable. These are the men who always pay their dues on time, never miss a meeting or have maintained their membership for many years. Like those men whose outstanding abilities show through in their volunteer or membership recruitment activities, these members are deserving of recognition. There are many ways your council can recognize these faithful Knights. In recognition of long-term dedication to the Order, after 25 years of continuous service (at the age of 70), or 50 years of continuous membership regardless of age, a member merits the distinction of Honorary Life membership and is exempt from the further payment of dues, per capita charge and assessments. All priests and members of religious communities automatically receive Honorary Life membership. These dedicated Knights are an asset to their councils and should be treasured and respected. Materials available to councils for honoring these Knights include: The Honorary Life membership card is available from the Membership Records Department The Honorary Life membership certificate (#1458) Honorary Life Membership lapel pins (#PG-110) that can be bought ($7.50 each) Any or all of these items can be presented to the long standing member as part of the Honorary Life membership ceremonial. This ceremony is described in the Grand Knight s Handbook (#915). 28

29 Membership Organize Your Membership Committees The first and perhaps most important step in setting up a successful membership program is organizing your membership committees. The key is to ensure that these important positions are filled and appointees are dedicated and enthusiastic Knights. The grand knight appoints a membership director to oversee all membership programs and recruitment activities. Upon recommendation of the membership director, the grand knight appoints a membership committee of three or more Knights. Select successful recruiters or sales-oriented members. The membership director and recruitment committee members form two-man recruitment teams. The grand knight, upon recommendation of the membership director, appoints a retention chairman and committee. The grand knight appoints an insurance promotion chairman, preferably the council s insurance agent. The membership director, committee chairmen and committees set goals and plan specific recruitment, retention and insurance promotion activities for the entire year. Plan a full schedule of First Degree exemplifications Identify and schedule recruitment methods that best suit the council s needs and goals; Membership Blitz, church drives, open houses, team recruiting, etc. Set membership goals (exceed quota, achieve Star Council, win Century Club, break previous council recruitment record, etc.). Refer to the Supreme Council Awards section in the Surge...with Service manual. Get the ENTIRE council involved. Those who don t recruit directly can identify/suggest prospects. 29

30 Membership 30 How to Conduct a Church Drive It makes sense to look for new members in the place you re most likely to find them your parish. One efficient and proven way to do this is to hold a Church Recruitment Drive. Here are steps to success for your event. 1. The Preparation Phase Get permission from your pastor to hold a Church Recruitment Drive Weekend after all Masses. Contact your council's field agent to get his assistance. Advertise the drive in the parish bulletin. To order supplies for your next Recruitment Drive, officers with access to Officers Online should log in, click the Supplies Online link, and search under Kits. Organize your members into teams for the drive weekend. Make sure that enough council members are committed to covering each Mass. Conduct a First Degree Ceremonial within one week of the recruitment drive. If necessary, use the First Degree Video Production available via Officers Online. 2. The Implementation Phase Arrange for a membership recruitment announcement to be made before or after Mass. Have members, wearing Knights of Columbus branded apparel so they are easily identified, positioned at the entrances of the Church or other appropriate area, to talk to prospects about joining and help them complete a Membership Document (#100) or a Prospect Card (#921A) if he d rather learn more about the Knights before filling out a Membership Document. 3. The Follow-Up Phase Within 48 HOURS, council members must contact every prospect who completed a Membership Document (#100) or expressed interest in joining during the Implementation Phase. Inform prospects of the date, time and location of the open house and invite families to attend as well. Also, let them know the date, time and location of the First Degree Ceremonial.

31 Membership What Your Council Needs for a Church Drive To make your Church Recruitment Drive a success you will need the right tools. Here is a quick guide to what every council might need to have on hand for their recruitment drive: Membership Document (#100): This is what it is all about: getting those prospects to sign up and join you as brother Knights. Next stop the First Degree, and then your prospects and their families can start being active within your council. Prospect Cards (#921A): These 3 x5 cards will help your council collect the contact information on prospects who are looking for more information on your council before completing a Membership Document. Membership Recruitment and Retention Manual (#10237): Finding potential new members for your council can be as simple as reaching out to the members of your parish. An announcement by your pastor or a fellow Knight at the end of each Mass on a given weekend, or once a month, is one of the most effective ways to encourage men to join your council. To assist your council in putting together a message to your parish, please consult the Membership Recruitment and Retention Manual (#10237). This booklet includes an announcement that should be customized to reflect your council s activities as well as some suggestions on follow-up activities. 24 Hours Can Change Your Life flyer (#10099): This flyer explains how by only giving 24 hours a year to the Knights of Columbus a man can make a difference in his community, serve his parish, grow in his faith, and protect his family with Knights of Columbus insurance. Why You Should Become a Knight flyer (#10100): This flyer gives a quick overview of the Knights of Columbus, explaining how the Order was created to unite men in their faith and help them in times of need, as well as how the Knights offers many opportunities to grow in service to their faith, community, family and youth. It also highlights the value of the Order s insurance program. 31

32 Membership How To Recruit Using The Two-on-One Team Concept Bringing twice the energy, enthusiasm, knowledge and persistence to any endeavor doubles the likelihood of success. That s why 2-on-1 recruiting is the way to go. Organize two-man recruitment teams from the membership committee and additional recruiters. Train recruiters; ask your insurance agent to assist; show recruitment productions and order and distribute copies of the Pocket Flip Chart (#2041), and Membership Documents (#100). Divide the prospect list among two-man teams. Telephone each prospect to a schedule a visit with the prospect and his wife by the two-man team. Conduct personal visits at the prospect s home, emphasizing local council activities and opportunities for involvement by prospect, wife, and the entire family. View the productions of Experience of a Lifetime or Recruitment Flip Chart or use Flip Chart/Binder (#889, #889A). Review promotional materials with the prospect and his wife As Knights we not only act on faith... flyer (#4497), Our Future Knights... flyer (#9116), The Potential of a Man... flyer (4496), What this organization stands for... booklet (#4495), Member/Spouse Fraternal Benefit flyer (#2773), Columbia magazine, council newsletters, etc. ASK PROSPECT TO JOIN. Assist in completing Membership Document, and collect fees. Ensure prompt initiation. Inform candidate of the dates for the Admission Committee interview and First Degree. Complete proposer duties: Accompany the prospect to the Admission Committee interview, First Degree and council meetings; Introduce prospect and his family to council members; See that the prospect is assigned to committees/programs of interest; Encourage prospect to complete Second/Third Degrees. 33 Membership A Privilege to Serve - Recruiting and Organizing Volunteers I must give to others not only something that is my own, but my very self; I must be personally present in my gift. So wrote Pope Benedict XVI in his encyclical on charity, Deus Caritas Est. His statement reflects the core of the charitable work of the Knights of Columbus, the giving of ourselves through volunteer service. Whether your council is conducting food drives, working with veterans with disabilities, collecting clothing for needy families, or any other charitable activities, mobilizing volunteers, both among members of your council and their families and other groups and people in the community, is the key to success. Here are some things to consider when recruiting volunteers and strategies to use when asking people to give their time. Appoint a council volunteer coordinator to maintain a list of people willing to volunteer for activities and to work with the program chairmen in making sure each activity is sufficiently staffed with volunteers. Start with your council members and their families when building a list of potential volunteers. Contact each member on the council s roster (even those who might not have attended a meeting or an event for some time) and ask if he is interested in helping out at council activities throughout the year. Be sure to mention that this is not a commitment to volunteer at every event, but rather it is an opportunity to be included in the council s pool of volunteers. It is up to the individual which events he chooses to participate in. Also, if the member is interested in being included in the database, ask him if any of his family members would also be interested in acting as volunteers and include their names on your list also. Once you have a good foundation of Knights and their families for your volunteer pool, start looking at other groups of potential volunteers to add volume to your numbers. Remember, the most important aspect of recruiting volunteers is to ask them to become involved in a welcoming way. Some groups to consider are: Parish members who are already familiar with your council s members and what they do. Council member friends and relatives. Members of other groups in the parish (various guilds and other service groups). 33

34 Membership A Privilege to Serve - Recruiting and Organizing Volunteers parents of children attending the parish school or nearby parochial school. Members of other churches, synagogues and mosques in the community. Students at both public and parochial high schools. (This might be a very productive group to contact because of their youthful energy as well as the point that many high schools now require an amount of volunteer hours by students as a requirement for graduation.) College/University students (especially on campuses that have a Knights of Columbus college council) are also viable prospects. To supplement your volunteer pool when needed, place a Call for Volunteers in your council, parish, and community publications at least a month prior to an event. Keep this announcement simple including the type of event (i.e. a food drive, a collection of used clothing, helping to paint a senior citizen s house), the date, time, type of work that will be done, and any tool/materials that volunteers would need to bring. Also include a name and contact information (phone and/or ) for your volunteer coordinator or program chairman When asking a prospect to be a part of your volunteer list, be sure to mention the commitment is as much as he/she wants it to be. A volunteer commitment can be as much as volunteering at two to three (or more) projects throughout the year, to simply purchasing an extra can of food once a week for the council s food drives. Set up a schedule of events your council will sponsor throughout the year, and begin recruiting people from your volunteer pool to work at these events. Set up an Excel file, a Word document, or a calendar in your newsletter or the parish bulletin to list the event, date, time, and the people scheduled to work at it. Send this information to your volunteer pool so they can keep track of their commitments. The week prior to an event, phone or the volunteers who will be working at it to confirm they will be able to attend. 34

35 Membership A Privilege to Serve - Recruiting and Organizing Volunteers Make sure that when you schedule someone to help at an event that they have a specific job to do. Nothing will turn off volunteers more than to show up and have nothing to do. Always take time to say thanks to your dedicated volunteers. One way to do this is through having a frequent volunteer points system. Like frequent flyer mileage points, your council could offer volunteer points to volunteers for every hour (five hours, ten hours, whatever works for your council) of volunteer time given to the council. These points can be redeemable for items such as: Tickets to council social functions Council T-shirts, hats, etc. Knights of Columbus materials Gift certificates to restaurants or stores Anything else you can think of Along with frequent volunteer points, be sure to recognize your best volunteers by listing their names in the council newsletter and awarding them with certificates obtainable from the Supreme Council office. See the Knights of Columbus Certificates flyer (#2640) for a listing of available certificates. 35

36 To effectively recruit younger men: Membership Best Practices Focus on the individual ask potential members what their wants and needs are. If they are married ask what their family wants and needs are. Explain how the Knights of Columbus can help them pursue these interests. Be understanding of time many young people may object that they do not have enough time for the Knights of Columbus. Emphasize that attendance at every event or meeting is not necessary and ask if they can commit to a couple events per quarter. Utilize the 24 Hours Can Change a Life brochure for a year long plan for active membership. Use Faith in Action Programs Programs such as Helping Hands, Sacramental Gifts, Spiritual Reflection, Holy Hours and Family of the Month/Year are great ways to attract and engage young men and their families. These programs meet needs to allow for interactive community service, grow in faith, and participate in the Knights of Columbus as a family unit. 36

Assume 40% are men that means 37,260 Hispanic Catholic Men in the state. With a median of 22 years old, that means 18,810 Hispanic Catholic Men over 22 years old. There were about 400 homes in Marshalltown that were damage. Donations were sent to the North Carolina and Florida State Councils. This money was for those affected by the recent hurricanes. Relief in Action The Iowa Knights of Columbus Disaster Fund has continued to help those in need during personal tragedy caused by natural disasters. As we all know the weather is something that we cannot control. Gift cards are distributed to offer ready cash to assist in everyday living needs as lives are put back together. This truly exemplifies the first principle of our Order - Charity. Iowa is a state where inclement weather can occur. In there will be a continuing need to receive donations in order to keep our mission to help those in need. We have received donations from individuals and councils. An extra pancake feed or fish fry from your council or assembly would help keep this program on track. The Iowa Knights of Columbus contributed several thousands of dollars to other states disasters in the past. Iowa should be proud to be able to help others in need. It is only fair because during our period of disaster in recent years we have received several donations from other states to be given to the people affected by disasters. We would like to thank everyone who has helped to make the Disaster Relief Fund a success. 42

I want to take this opportunity to thank everyone for what you, your councils and your assemblies do to support faithful Catholic citizenship in our local communities. The Fourth Degree team has been bringing the patriotic degree to your local areas so men can take this next step in the Knight s journey. We have completed four exemplifications in Ames, Waterloo, Guttenberg and Council Bluffs during the first half of the fraternal year. Confirmed dates for 2019 Exemplifications are as follows: Saturday, February 23 rd, Sioux City (weather date March 2 nd ) Sunday April 7 th, Mason City Friday, May 3 rd, Des Moines (State Convention) To support and grow involvement in out patriotic endeavors assemblies from each part of the state are encouraged to host a Fourth-Degree exemplification in Hosting is not an expensive proposition and our Fourth-Degree staff will work with you to keep it affordable. A key change for new candidates should be emphasized especially with our younger candidates: the dress code for a candidate for the fourth degree no longer requires a tuxedo. Rather: A candidate will wear a black or dark (blue or grey) business suit, with black shoes, white dress shirt and dark tie. A tuxedo will still be acceptable but not mandatory. A candidate serving in the armed forces of his country, fulltime police and firefighters may wear a Class A or dress uniform. For those of you who are not yet a member of the Fourth Degree, consider the benefits of joining us this year. You may only know the Patriotic Degree from what you ve seen when we are visibly present as an honor guard during a liturgical event or as Color Corps in a community parade. Assemblies get involved in supporting veterans and patriotic celebrations but mostly we encourage our member Sir Knights to keep our high ideals foremost in their lives. One of those ideals is to live for one s country as patriots have done since our founding. A Fourth Degree Knights is always there to offer leadership, guidance, and encouragement in the context of Fraternity and Brotherhood. Proudly Serving the Country Knights of the Patriotic Degree glorify God by serving our communities and nation as though Christ were the one being served. It is also our mission to know and make known our Catholic heritage. Unwavering Support of the Faith Knights of the Patriotic Degree hold unwaveringly to what is right, true, and honorable, working to keep God and Catholic values in the civic arena, serving the life of the Church, and defending laws that recognize the sanctity of life and true religious liberty. Honoring the Legacy of Knighthood The Color Corps is an elective division of the Patriotic Degree that presents a visible reminder of our service to the community. You can be an active 4 th degree member and not be in Color Corps. Programs & Recognition Assemblies are encouraged to develop programs to be visible within their councils and communities. These need not compete with but work alongside existing council activities where possible. Civic Award recognizes assemblies which implement at least four (4) varied patriotic programs throughout the fraternal year. To Be a Patriot recognizes the best patriotic themed programs which combine our Catholic heritage with our love of country. Membership Growth To Succeed the Order & the Fourth Degree must grow First to Fourth: encourage new members to continue their formation as Knights by continuing through all degrees of the order. It should be expected to learn all our principles. Our lessons provide guidance to men on their life journey as they walk with Christ. Frequent exemplifications: schedule fourth degree exemplifications in your area following Formation (2 nd ) and Knighthood (3 rd ) degrees. Attainment of the fourth degree should be an appeal to a man s desire to become his best self in service to God, to country and to others. 44
