1 January 2019 Congregational President Todd Marten: Cell: Recording Secretary Luke Bramstedt: Treasurer Shawn Alfred: Cell: Financial Secretary Dave Probst: These four positions comprise the executive committee (or board of officers) of St. Paul s. Each position is accountable to the Council and the voters/congregation. The president oversees activity of the budget, facilitates meetings, sees to the timely completion of business, and helps coordinate the congregation s work. The recording secretary signs all deeds, contracts, official documents, and call documents, keeps the voting membership roster, and records and maintains minutes of Council and congregational meetings. The treasurer pays all bills in a timely manner, provides monthly reports of financial activity to Council and to respective committees, quarterly reports to the voters, assists with the development of the budget, and oversees tax documentation for St. Paul s and workers. The financial secretary oversees the counting, the counters, and the deposits of all financial contributions to the congregation. The person is responsible for submitting a report to the treasurer, and reporting these weekly to the congregation. Elders Chairman Eric Vant Hul: ewvanthul@gmail.com The board of Elders exists to administer to the spiritual life of the congregation under the leadership of the pastors. The elders work for spreading the gospel both within and without the congregation. This includes seeking the straying, maintaining visits to the shut-in, disciplinary measures where necessary, tending to the pastors /teachers spiritual and physical health, encouraging Bible studies, and overseeing worship services/ ushers. Board of Education Chairman Travis Krell: traviskrell82@gmail.com The board of Ed oversees the teaching staff, curriculum, needs, and education of our Lutheran Elementary School. Stewardship Chairman Trever Athorp: ctathorp@tds.net This group welcomes and interviews new members to our congregation, maintains time & talents information, encourages congregational involvement, and plans various congregational events & outings. Trustees Chairman Paul Holzwart: paulholzwart@outlook.com The trustees manage the entire property, buildings, and grounds of St. Paul s. They coordinate routine maintenance, inspections, and recommend projects to the Council/voters. 1
2 Evangelism Committee Vacant; Pastor Mueller The evangelism committee seeks to share the word with our community. It oversees the Car Show and Great Exchange events, and helps with publicity for the Living Nativity. Often the group develops materials for brochures, flyers, or postcards. It distributes these to our community. In the Silver Dollar Days Parade, the group assists with walking and advertising our church. There is also an online role with the St. Paul s website as well as advertising or promoting through Facebook or other social media. Youth Ministry Youth Ministry: Pastor Bode Youth Group Mike Leahy: mleahy@live.com Cell: Sunday School Superintendent Craig Schuenemann: craig.schuenemann@yahoo.com Youth ministry oversees the Sunday School and Sunday School teachers, Cradle Roll, Mindful Moms, Boy and Girl Pioneers, and Youth Group. Lutheran Church Council Meeting Minutes January 2nd, 2019 Attendees: Paul Holzwart, Mike Leahy, Pastor Bode, Pastor Mueller, Jim Van Alstine, Kevin Mueller, Andy Sprenger, Shawn Alfred, Trevor Athorp, Dave Probst, Eric Vant Hul, Chad Marohn, Todd Marten Meeting was called to order by President Marten. Pastor Mueller opened the meeting with devotion and prayer. Secretary minutes from the November meeting were reviewed. Updates were made to wording of MLHS report, and clarification around calls to be placed on January 6 th. Motion was made, seconded and carried to approve the minutes with the updates. Membership Action: 1. Transfer In: Matthew & Crystal Becker (Devyn & Jaden) from St. John St. Peter, Cleveland 2. Transfer Out: Rick & Peggy Gustafson to Our Savior Arlington, TX 3. Profession of Faith: None 4. Confirmation: None 5. Adult Confirmation: Emily Horne 6. Death: None 7. Marriage: None 8. Baptism: Louis Stewart on December 9 9. Release: None Current membership: Communicants Children/Other Total Motion made to accept all member action, seconded, motion carried. Reports Pastor Report Pastors working with Board of Ed reviewing feedback from Children s Christmas Service. MLHS Christmas Concert was a great event. Lots of work being done around music copyright compliance. Changes coming to format of Church Newsletter, it will also be delivered the week after Council meetings going forward. Elder s Report Kevin Mueller will be Chairman of Elders for Other topics to be covered in New Business. Principal s Report Staff is continuing work reviewing curriculum materials. Looking into purchase of gym floor cleaner, and portable basketball hoops for gym. Looking into purchase of video camera for school, will be useful in recording evidence for accreditation. School Choice registration for next year is underway. 3
4 Board of Education Call meeting scheduled for this Sunday (1/6). Board of Christian Education is reviewing school calendar for next year. Youth Ministries Report Pat Loersch working with Mom s group on ideas for improvements with cradle roll. Youth Group Fun Night planned for Saturday 1/12 (6-8pm). Eighth graders are invited to join fun night as well. Next Youth Group meeting, Sunday 1/27 during Family Bible hour. Pastor Bode working with Luther to start planning Youth Sunday. Treasurer s Report Offerings for December totaled around $83,000. We were able to catch up on WELS and MLHS contributions. Received $11,000 in debt reduction gifts. Choice Audit was completed, and certified to the DPI. No major issues were identified. Received first two School Choice Payments, totaling just over $32,000. Motion was made to consolidate remaining NEBAT bank account into the main Bank First National account. Motion carried. Treasurer snapshot can be found at the end of Council Minutes Trustee s Report Dean s Electric completed adding new circuits into kitchen, also replaced some malfunctioning emergency lights, and exterior light fixtures. Doug Luecke patched the roof leak over the member room. The NW door in the gym needs some repairs. Evangelism Report Working on promotional materials for upcoming Pre-K Open House. Stewardship Report Planning upcoming Cornhole Competition on February 10 th. Will be doing New Member welcomes during January brat fry. Officer s Report Discussed offering counter signup WELS Reviewed materials from WELS on updates on Home and World missions. Hmong Fellowship Church in Vietnam, which is in fellowship with WELS has over 100,000 members. WELS Convention will be held July 29 th August 1 st 2019 in New Ulm. MLHS No report Old Business Reviewed nominations for outgoing positions. New Business 1. Reviewed proposal from Schenck, CLA (Clifton Larson Allen) for Payroll Services. Schenck proposal will offer payroll services at lower cost than we are currently paying, also giving us access to an advisory firm that has greater network of expertise in unique Church accounting regulations. Discussed that it was confirmed there is no conflict in Schenck providing this service and also continuing to provide our Audit for School Choice. Motion made to change payroll service to Schenck, CLA, effective 2/1/2019. Motion carried. 2. Alan Rabe The Elders brought forth a motion to inform the congregation of the recommended excommunication of Alan Rabe, and to present this recommendation to the voters at the January Voters meeting. Motion Carried. Please keep Alan in your prayers, and see one of the Pastors for any questions. 3. Elders brought for a recommendation to increase WELS and MLHS giving as part of next year's budget 4. Recommending an increase of $7000 for WELS and increase of $3000 for MLHS 5. Recommending a long term goal be 15% (combined) with priority percentage given to WELS 4
5 6. Audrey Kolosovsky would like to use the commons for her mom s birthday on March 30th. Motion Carried. Motion made and seconded to adjourn the meeting. The motion carried and the meeting was closed with prayer. 5
6 Call meeting - January 6, 2019 Agenda is to call a Kindergarten teacher and a Fifth and Sixth grade teacher/athletic Director. 42 voters signed in. 11:40 The Chairman, Mr. Todd Marten, calls the meeting to order. Pastor Mueller holds an opening devotion, speaks about how called workers together can make a working ship operate smoothly. 11:45 Mr. Chad Marohn guides voters through the five candidates for Kindergarten. A vote is counted and a majority was not found. Another vote was held between the 2 highest vote-receiving candidates, and Mrs. Rebecca Briney was chosen to be called for the Kindergarten position 12:15 Mr. Chad Marohn guides the voters through the four candidates for fifth and sixth grade teacher and athletic director. A vote was taken and a majority of the voters chose to call Mr. Andrew Dais. 12:30 The Chairman, Mr. Todd Marten, recessed the meeting and Pastor Mueller closed with a blessing. Respectfully submitted, Travis Krell Board of Education - December 19, 2018 Attendance: Pastor Bode, Principal Marohn, Travis Krell, Dan Radue, Kevin Oleck, Corey Schroeder Opening devotion was given by Pastor Bode Pastor report: Cradle Roll is coordinated by Pat Loersch. Mrs Loersch is currently working on training a backup coordinator. Mindful Moms meets Wednesday mornings and incorporates Bible study in every other week. Christmas Service went well. Currently looking at future catechism curriculum with staff. Continues to make contact with college students via and social media. Principal report: Completing comprehensive study of curriculum and materials. Silent Auction money will go towards curriculum purposes. Nov 16 was in-service to complete accreditation work. New website is up and running. Veterans Day event had good feedback. Choice program audit was completed and sent to DPI. Choice registration for next year is due Jan 10. Preschool open house planned for January. Basketball is going. Old Business: Call meeting for 5-6 th grade teacher set for Jan 6 th. BCE attended PTF for an open forum meeting in November. New Business: Discussion was held about Children s Christmas Service and not enough seating. More discussions will happen on this over the year and possible changes to service may come. Kevin Oleck from the BCE has been put on Long Range Planning Committee. Called workers gift box is out. Board of Christian Education manual was gone through and will be finalized in January.
