2 YOUR ROLE AS SACRISTANS: It is so important to be aware of your surroundings. The priests count on you to help them with the entire service preparation and especially during the preparation of the gifts. Some examples are: Do we have a lector(s), extraordinary ministers of Holy Communion, and ushers (so the gifts are brought forward)? Are all of the servers there and ready? Are the candles lit? Does every sacristan know what to do regarding the gluten free hosts? Knowing who the presider is and preparing the correct chalice and missal; knowing how many extra priest s ciboria are needed on the servers table before mass. When we have a visiting priest or deacon the sacristan should be ready to assist them in getting a Eucharist Minister position. In addition, the sacristan needs to help the servers in the following manner: The sacristan needs to set up the credence table in the order in which the items are used. Pictures of the credence table are included in this binder to help us visualize this order. (See page 7) The sacristan should also be available to guide the servers if needed. The servers need help mostly at the preparation of the gifts. The sacristan should ensure that everything gets to the altar, that the priest has enough hands to get the gifts to the altar, that the servers are at the altar with the water and the hand washing items before the priest needs them. When Mass is over it is also the Sacristans responsibility to make sure the vessels are put away and that the tabernacle key is returned to its place on the hook in the cabinet where the vessels are kept in the sacristy. There is a picture of the cabinet for properly putting things back in order. (See page 10) If a few basic principles are kept in mind and a checklist for celebrations becomes a habit, liturgies will tend to run smoothly. That should be your goal! 3 Sacristan Roles and Responsibilities SIGN UP Schedules are done via a scheduling system, Ministry Scheduler Pro (MSP). New sacristans will receive an introductory from MSP with login credentials and video tutorials for how to use the system. To sign up go to stasb.org/liturgysignup. Any questions about MSP can be directed to the parish office or send an to liturgy@stasb.org. Once a sacristan is in the system, it will be their responsibility to block out any vacation or other times he/she is unavailable to serve. It will also be the minister s responsibility to seek substitutes through the system. Contact the Church office to schedule training or for any technical questions regarding the system. If you do not receive s, the system will allow us to send out the schedules via the regular postal system. It will still be your responsibility to let the coordinator know of your availability prior to the transmission of the new schedule. IF YOU CAN T ATTEND A SCHEDULED MASS FOR A PARTICULAR REASON, IT IS YOUR RESPONSIBILITY TO FIND A SUBSTITUTE. We suggest sending an request through the MSP system, or calling people who like to attend a particular Mass or are scheduled for the same Mass the week prior or week after you. Then you may be able to switch weeks with the other person. MASS TIME RESPONSIBILITIES 1. Arrive 30 minutes before the start of Mass. Sign in at the Sign-in Desk. 2. Get the Tabernacle key and check to determine the number of Sacred Hosts and number of ciboria in the Tabernacle. Keep in mind that a full ciborium will hold approximately 400 hosts. After checking the Tabernacle, the Tabernacle key should be left in the Tabernacle. This also ensures that the key is ready for the priest or deacon to open the tabernacle during Mass. 3. Lay out the one rectangular corporal to be laid on the altar prior to the start of Mass (see diagram on page 6). 4. Pre-fill the chalices with wine to be consecrated and place on the credence table. The chalices should be around ½ full or less (depending on the number of Mass participants, and the discretion of the Sacristan based on past experience for that particular Mass). 5. Use the Sacristan Pictorial Resource Book to ensure that the following items are at their proper places: Priest Table by presider s chair Roman Missal (set to today s date per the Missalette or Ordo). Opened. Missal Stand Credence Table: Glass lavabo pitcher (with water), lavabo bowl and lavabo towel. Glass cruet filled with water. 3

4 Choir ciborium, if the choir is present (generally for school Masses). The tray for the homebound pyx Shelves in the Work Sacristy Alcove Use correct size purificator and chalice pall on top of Priest chalice as required. (See Sacristan Pictorial page 8) Gift Table Place the following items on the Gift table (1 ciborium and wine cruet) Fill the ciboria to the desired number of hosts for the Mass. Priest s paten must have a priest host. 6. Work with the Liturgy Coordinator (if present at your mass) to ensure the following Ministers are present. Check to be sure that all Servers are present and properly dressed. Find substitute servers when needed. If the Altar Servers have not done so already, ensure that someone lights the altar candles about 10 minutes before Mass. Have the Servers light the processional candles about 5 minutes before they line up in the entry alcove of the church. Confirm that ushers are present and that gift bearers have been assigned. Confirm that the lectors are ready to proclaim, and that the lectionary is at the ambo and opened to the correct spot. Remain near the Sign-In desk area until Mass starts, to do any other tasks which may be assigned or duties that may need coordinated. If more hosts are needed after the start of Mass, there are extra hosts in the upper right cabinet in the Sacristy. AFTER MASS DUTIES Return lights to pre-mass setting if there is another Mass to follow that day or shut completely off. Cleaning of all vessels is the work of the sacristan. This will be completed, immediately after Mass in the Work Sacristy. Be aware that the vessels may still be on the shelves on the credence table. Servers should be bringing these sacred items back. Please make sure that the Tabernacle key is back in the cabinet on the hook. After the 4:30 pm or 11:00 Masses be sure the work sacristy lights are off and the door is shut. The door is locked when shut. Lock all the doors to the church and shut off all lights. 4

11 *Chalices go on the Left Side *Ciboriums go on the Right Side * goes on the right side in front of the ciboriums Low Gluten Host Procedure ***Pictures in Sacristan Pictorial Resource Book*** Items Needed: All found in Server Vesting Sacristy These items are in the first upper cabinet: Tray Gold Low Gluten mini Ciborium with lid Glass Dish with lid Tongs Instruction Card Low Gluten Hosts Procedure 1. The sacristan is to take the Low Gluten tray out of the upper cabinet in the Server vesting sacristy and place it on the countertop below so it is visible for those who need it. PLEASE REMOVE THE MINI CIBORIUM LID AND LAY IT IN THE TRAY. 2. Check to be sure all items listed above are on the tray. 3. Check that there are several Low Gluten hosts in the glass dish. Keep the lid on the glass dish. 4. Just prior to mass starting, if there are hosts in the mini Ciborium place the lid back on the mini Ciborium and immediately after Father processes into the church take the mini Ciborium to the offertory table and secure it on the inside edge of the Priests paten. 5. The Saturday 5 pm and Sunday 6 pm Sacristans need to return the tray to the upper cabinet after mass. Please check to be sure all Low Gluten items have been returned to the tray prior to putting it in the cabinet. **If you take the last bag of low gluten hosts out of the box please write a note and give it to one of the parish staff members. Thank you. **The Benedictine Sisters of Perpetual Adoration have stated that the Low Gluten hosts are good for at least 6 months if not refrigerated. The box will hopefully be marked to designate its out of 11

12 refrigerator expiration timeframe. In addition, the Sisters make their hosts following the rules of the Catholic Church and are listed on the USCCB website. Updated May 12,
