2 St. James Episcopal Church Pewee Valley, KY Vestry Minutes May 19, 2015 Fr. Trimble called the meeting to order at 6:30 followed by an opening prayer. In attendance: Fr. Trimble, Joe John, Shane Ball, Gabriela Keemer, Susan Hinkel, Skip Bentley, Corky Webb, Ed Heymann, Tim Beamer, David Gleason, and Ann Schatzinger. DISCUSSION OF The Vestry Resource Guide (VRG) Fr. Trimble led us in a discussion of Chapter 4, Conflict is Natural. The origins of conflict, managing conflict, and leading in a time of crisis were particularly discussed. Fr. Trimble noted that the lack of conflict is a sign of apathy. Fr. Trimble thought it would be appropriate for the next Vestry meeting to discuss Chapter VI of the VRG, Navigating Transitions in Clergy Leadership. Members are asked to become familiar with the material before the next meeting. CONSENT AGENDA Minutes from April 2015 Rector s Report Senior Warden Update - May 2015 Cover Letter - Jerry Cappel Pledge Letter - Jerry Cappel Stonework Recap Meeting MAY 13 Fund Raising Corky Webb reported his ongoing fund raising activities. In particular we talked about a fundraiser this Fall in which he hopes to raise $7500. He is working now on getting sponsorships. The Ladies of Liberty have donated a performance and there will be a silent auction. Everyone is asked to think of items that they could donate, and any other ideas for the silent auction portion of the evening. We will have regular fund raising committee meetings throughout the summer on Sunday mornings. Shane Ball, Junior Warden, spoke of the carpeting in the sanctuary. The carpet is in good shape and it is proposed to remove the pews and re-stretch the carpet. Joe John suggested that this would be a good time to update the electrical wiring. Susan Hinkel made the motion to accept the Consent Agenda, and it was seconded, and the motion passed. BY-LAWS REVISION UPDATE Skip reported that the project is going well.
3 DISASTER PLAN Shane Ball, Junior Warden, reported that at this stage he is working on prioritizing the things that need to be done to complete a disaster plan. It s a major endeavor and he feels we are making good progress. LICENSING Mary Abrams is in the process of compiling the information we need to begin the licensing of lay members. WORSHIP COMMITTEE This committee met this past Sunday, May 17; Joe John will send a copy of the minutes to the Vestry members. GLEASON HALL We fully anticipate being ready to open and rededicate Gleason Hall by June 28th, the Sunday we are having Lunch on the Lawn. NEW BUSINESS It was with great sadness that the Vestry accepted the resignation of Fr. Jim Trimble who has been called to serve as the new vicar at St. Christopher s Episcopal Church in Spartanburg, South Carolina. Joe moved that we accept the letter of resignation, Susan seconded, and the motion passed. LISTENING DAYS In March the congregation met in small groups and discussed our experiences, values, how we envision our future at St. James. We have compiled what we learned that day. These are the first two items in the PRE-READS. We need to discuss this and report back to the congregation how we envision moving forward. IMMEDIATE FUTURE As of August 1st we are without a rector and we briefly discussed what the immediate future entails. We will be supported and advised by the Bishop and Canons, and will be looking at all our options as we make decisions about what we will do in the interim, and how to complete our search process.
4 FINANCE Financially we are improved slightly this year but continue to rely greatly on fund raisers being a vital part of our budget. PRE-READS included St. James Vision Statement s of , St. James Financials April 2015, and SYB- Finance Committee Meeting notes May performance to St. James which will be accompanied by a nice dinner and a silent auction. We hope to have non-members in the community to attend also.the ticket price has not been finalized. It was suggested that we ask Dan Martin if the Music Dept. would like to participate and a part of the funds raised would go to the Music Dept. ENDOWMENT FUND Ed Heymann spoke with us about forming an Endowment Committee to work with the congregation in helping secure funds for Endowment to St. James. The committee would be composed of 3 members for a term of 3 years with two ex-officio members. We need a marketing plan. Stock Yards Bank will be a resource for us, and we will research university endowment programs for ideas. Since the Endowment Fund was set up in 1986, it has never been funded. Per Diocesan Audit, Rector s base salary is $49,224. and his housing allowance is $18,576. NEXT MEETING The next meeting is scheduled for Tuesday, June 16, at 6:30 in Gleason Hall. The members are asked to become familiar with Chapter VI, Navigating Transitions in Clergy Leadership of the VRG for the next meeting. Fr. Trimble led the members in closing prayer. 12 Meeting Minutes Episcopal Diocese of Kentucky Trustees and Council Meeting with St. James Vestry and Financial/Endowment Committee On May 26, 2015 three members of the Episcopal Diocese of Kentucky came to St. James Episcopal Church in Pewee Valley to meet with Vestry members, and members of the Finance Committee. In attendance from the Trustees and Council: Rev. Karl Lusk, Chair Budget Committee, Episcopal Diocese of Kentucky, Trustees and Council Rev. Candyce Loscher, Vice-chair, Trustees and Council Mr. Hamp Moore, Esq., Vice-Chancellor, Episcopal Diocese of Kentucky. In attendance from St. James: Fr. Jim Trimble, Rector Vestry: Joe John, Senior Warden; David Gleason, Treasurer; Skip Bentley; Corky Webb; Ed Heymann; Susan Hinkel; and Tim Beamer. Ann Schatzinger attended as clerk of the Vestry. Finance Committee members: Beth Webb and June Creek. Fr. Trimble opened with a prayer. Everyone introduced themselves and Rev. Lusk started the discussion. He began telling us that the Diocese values St. James Episcopal Church, and that St. James is a part of the Kentucky Diocese, which is made up of 35 other congregations. The hope is that those congregations strengthen and uphold one another as missionary outposts of the Gospel. Each parish grows in its own community and has its own identity. The point was made that many people think of the Diocese being at Christ Church Cathedral in downtown Louisville, when in fact we are 36 congregations depending on one another, all centered around the Bishop. The specific matter at hand concerned our budget of 2014 and the commitment that we made in July 2013 to accept the canonical assessment of 15% of our 2013 NDI. When 2014 began we did not remit 15%, nor did we inform anyone in the Diocese of our inability to do so. Our failure to communicate this with the Diocese resulted in passing a budget at the Convention that created a budget shortfall that was not discovered until halfway through the year. The Diocese felt that there was sufficient time before the convention for us to communicate our problem. It was felt that we acted independently, not as a member of the Diocese, and that if all the congregations did the same the Diocese could not function. We basically made 20% of our pledge to the Diocese but all Page 1
13 our other expenses were paid 100%. The utility bills got paid in full, salaries were paid, but the Diocesan of Kentucky was not. A congregation that can only pay 20% of its pledge is a concern not only in terms of the money, but the vitality, vision, and spirit of the congregation is then brought into question. Rev. Lusk indicated that the Trustees and Council are not here as bill collectors, but here to see how we are doing as a church in our diocese. It was also pointed out by Karl that our unilateral decision regarding the assessment itself, and our failure to honor our commitment may have prevented the rector from upholding and obeying the diocesan and denominational canons regarding support of the diocesan budget as he took a solemn and serious oath to obey and uphold the Constitution and Canons of the Episcopal Church and the Diocese of Kentucky. Beth Webb, who was on the Finance Committee, when we agreed to the pledge of $37,857, spoke to the veracity of the budget, and the financial pressures we were under. Our pledging members have consistently decreased, and from the beginning it was doubtful that we could honor the pledge. Beth apologized on behalf of the congregation for not meeting the pledge, but it was just something we couldn t meet financially. Joe John said that it was a leap of faith across a financial chasm. As it became clear to us that we were in financial straits due to the decrease in pledges, our first thought was of paying our bills. Not fulfilling our pledge to the diocese was of secondary concern to us since many of us were doubtful about that goal when we made it. Joe John mentioned that he, in particular, may have been na ve about the pledge and the reality of meeting the numbers. It was more like get one for the Gipper approach when in fact, there wasn t any possibility. In addition, Joe reiterated the fact that so many Vestry members once they are elected are not immediately imbued by the Holy Spirit a total grasp and comprehension of all of the Canons of the church. It was mentioned by the T&C members that not all the congregations in our diocese are able to pay 15% and we felt we fell into that category since we did not have the money in the bank to honor the pledge. What this says to the relationship between St. James and the Diocese is that we need to pull together and communicate better, early, so that adjustments can be made to the Diocesan budget. Discussion turned to the financial picture at St. James, specifically in terms of the decreasing pledges. It is not understood by the congregation, as a whole, how the Diocese spends the 15% the church pledges to them. Line item financial spreadsheets are not the way to educate a congregation so the Diocese now has a narrative budget. Every Vestry member should read the narrative budget and Karl offered to send it to all the members of our Vestry. Karl will call Joe John when it is sent out to ensure its receipt. This is a resource tool through the Diocese to help churches better communicate with their members about the budget. It can also be read online. Page 2
14 With Fr. Trimble leaving there were questions and concerns about the search process for a new rector. The Transitional Officer of the Diocese, Amy Coulter will help guide us through the process. The Transition Officer has other duties and if we need more assistance than she can provide we may be in the position of having to pay someone to help us. We discussed the options that are open to us in searching for a new rector. We may do a nationwide search but this is the most expensive way to proceed particularly because of the travel expenses. The Bishop may hand pick 4 candidates and we can proceed from there. In the interim we will have a priest in charge. A timeline was discussed and it is very difficult to rely on a timeline with so many variables in the search. We talked about stewardship at St. James. How does our congregation view stewardship? We are fortunate to have Ed Heymann currently spearheading a campaign on stewardship and endowment. Ed said that we need to open our eyes and our minds and think beyond our own needs and consider the needs of the Diocese. He strongly supports re-educating the congregation on the long term benefits of stewardship, and on how the Diocese spends the 15% that we are slated to continue contributing. In today s world we need to contribute to a cause, not an institution. It is not how much money you spend that is important, but how you spend your money. If it can be arranged, Karl is willing to come to St. James one Sunday and preach a sermon around the subject of stewardship. One of the resources of the Diocese that we recently utilized was The Day of Listening with Jason. We will be talking with the congregation about what we discovered in the feedback. Amy Coulter, Transition Officer, will help us with our search. We have excellent church insurance through a policy with the Diocese which was a tremendous benefit as we worked to fix the problems with Gleason Hall. These are the kinds of benefits that we derive from being a part of the Diocese and contributing financially to it, and we need to do a better job of communicating that with our members. The Trustees and Council felt it was important to come to St. James and sit down with the Vestry and see if there are deeper problems between St. James and the Diocese than the lack of communication regarding our inability to honor our 15% pledge. They do not now feel that this lack of communication is indicative of other internal problems, but rather a lack of understanding regarding our common relationships as constituent parts of the Body of Christ in the Episcopal Diocese of Kentucky. It is important that all the churches in the Diocese stay united and be supportive of one another. Karl reiterated that a goal of 15% is not open ended and we need to take steps to get back to that level of contribution. Karl spoke of baby steps as we work to reach that goal and suggested that we make incremental increases over the next 5 years to move from 7.5% to 15%. Page 3
15 Candyce s suggestion was to increase around 1% each year and reach the 15% in 7 years. In closing, Karl, Candyce and Hamp all thanked us for the opportunity to meet together and feel that it was a very positive discussion. They want to help us; they encourage us to stay in touch with the Bishop and the Trustees and Council particularly if we feel that the Diocese is not being helpful or not upholding any promises they make. 18 To the St. James Congregation. My in-box has been filling up very quickly, relatively speaking, regarding the departure of Fr. Jim and the search for his replacement. Let me begin with referencing just two paragraphs from his May 17 th sermon which was foreshadowing the announcement of his resignation, which he made at the end of each service on that day: Life goes on. Life continues long after we re gone. The two constants in life are that everything changes, and life continues. The Church is one of those things that continue. It was started, it lives and breathes, and it will continue to live and breathe long after we re gone. It might not look the same, act the same, or sound the same, but through the Holy Spirit, the Church will go on. The Vestry, the congregation s representatives for church leadership, and the entire congregation are all in this new venture together. We embrace your input and welcome your ideas; however, we will also follow the protocols we, as a vestry, need to follow with the Bishop and the Rev. Canon Amy Coultas. The steps were the same that this same parish followed more than six years ago. This isn t the first time many of you have gone through a change of this nature. As a result, you know that it s a slow, deliberate discernment process. The Vestry needs to assure you that our discernment process and our search will be based on a detailed list of criteria that all members of the congregation bring to the table. In Fr. Jim s sermon, he continues: In the Episcopal form of leadership and governance, the mission of the Church is not built around the charisma of one person, but on the three-legged stool... Scripture, reason, and tradition. Some have added a fourth leg recently...experience. Leaders are chosen and called by the gathered faithful through prayer and discernment, ensuring that the Church will continue. Now, it might look, act, or sound different than its predecessor, but that s how life works. As your Senior Warden, I am encouraging all of you to share with each other that embracing change is important and that the St. James community, you the congregation, will remain strong and unified. And yes, life goes on. We re a strong community and we can grow even stronger. I am meeting with Jim, Fr. Jerry, and Mary tomorrow, Wednesday, to discuss scheduling for July and August to ensure we have a priest at Sunday services. The
19 Vestry will NOT be excluded from the search for a new Rector. This meeting tomorrow has nothing to do with excluding the Vestry. We re not selecting priests. We are backfilling with temporary priests so that we can continue with regular Sunday Services while we get assistance from Rev. Canon Amy to list the steps for us, as a Vestry, to begin the search; which will also mean creating a search committee compromised of more than Vestry members. Believe me, the Vestry is going to be VERY HEAVILY involved in selecting the next priest. Fr. Jerry will be the primary backfiller since he s our associate priest, plus, we can also find Supply Priests to fill in when he doesn t preach on Sundays, since he s not full time. On June 21, I would like to address the congregation at both services to clear the air and create a comfort level.. peace+ Joe

For friendships made, celebrations enjoyed, and for moments of nurture: Thanks be to God. For wounds healed, expectations met, gifts given, promises kept: Thanks be to God. For trust and confidence shared; times of good humor and moments of gentle leadership: Thanks be to God. For bread and wine, body and blood: Thanks be to God. And so, to continue ministry in Spartanburg, South Carolina with other members of the family of Christ: Go in peace. To continue the journey with new friends and new adventures, new gifts to give and receive: Go in peace. To offer wisdom and experience, competence and compassion, in the ministry to which you are called: Go in peace. With our faith in you, our hope for you, our love of you: Go in peace. The Priest now says, Lord God, you are always with us on our journeys and so it is with a grateful heart that I ask your continued blessing on my friends on your St. James family. Give them your vision to persevere in their ministries of outreach, of prayer, of curiosity in Christian formation, of Baptismal gifts, of Eucharist, and of generosity in your Holy Spirit. Draw into their fellowship those in the communities around them who seek your saving embrace and enliven their hearts with the love of our Lord Jesus Christ in whose name I pray. Amen.
