5 Page 5 Rectors Discretionary Fund The Rectors Discretionary Fund balance at St. Mary s is currently very low (about $20.00). Our Rector receives calls frequently from people down on their luck, without gas money, who need lodging, food, or other necessity. Currently we are not able to assist in any of those needs. If you are able, please consider making a contribution to the Fund as it is outside the budget and does make a difference in the community. For your information, the following are national guidelines for management of Discretionary Funds: The clergy does not have complete discretion for the use of the funds. The clergy discretionary fund is used to address needs among congregation and community members. Payments for food, rent, utilities, medical bills, and the like for persons in need are typical uses of these funds. An inappropriate use is to meet expenses, which normally should be covered by the operating budget. You should never use the discretionary fund to make payments for anything that personally benefits you, as the fund is designated for charitable uses. This includes using the funds for personal clothing, food, books, rent, utilities, insurance premiums, medical expenses, clericals, etc. If you personally benefit from the discretionary fund, the IRS may deem the full value of the discretionary fund as taxable income to you. Remember, the discretionary fund belongs to the church and is subject to the audit requirements of the church. Detailed guidelines for discretionary funds are available in the Manual of Business Methods in Church Affairs. When in doubt about the use of the fund, seek advice from the wardens or vestry. Misusing a discretionary fund may expose you to civil and/or criminal liability and even potentially to disciplinary actions under the Constitution and Cannons.

8 Page 8 The Magnificat We seek to be formed into the image of Christ. This is done through spiritual formation, and at St. Mary's we strive to offer something for all ages. Sunday School (10:00 to 10:45) Fr. Mark s class meets in the Library at the west end of the building. Good Book Club Wired Word meets in the room in the middle hallway bathrooms. Looking at current events from the Gospel perspective The Seekers meets in the middle room of the west hallway. Cultivating a more personal relationship with Christ Children s Formation gathers in rooms upstairs in the west hallway. The basics of faith with snack, Scripture, and Prayer Youth meet in the Canterbury House, west end of the playground. A great group learning to live out Faith in their daily life Thursday Mornings (when scheduled) Bible Study from 9:30-11:30 in the middle room in west hallway. Wednesday Nights Youth Group worship together and discuss the depths of faith Meet in the Canterbury House by the playground Good Book Club Library 6:15 pm Chancel Choir 6:30 pm 8:00 pm Meets in the Choir room Friday Nights The 1st Friday of each month is Men s Dinner: Sign up sheet is by the T.V. in the Parish Hall. The 2nd and 4th Fridays each month: singles group (Whole in One) 5:30 PM in the Library followed by dinner out together *The Church also hosts a women s bridge group, Scouts, UCO s Pre-School for the Hearing Impaired, Ryan s Case which is a number of volunteers who make pillow cases for patients at OU Children s hospital, a group that meets for Thai Chi, and there are many additional opportunities to support, serve, learn, and grow in the love of Christ.

MARY S EPISCOPAL CHURCH VESTRY MINUTES January 15, 2019 PRESENT: Father Mark Story, Sr. Warden DeWayne Crunk Jr. Warden Mike Ryan, John Harrison, Bill Lambert, Debbie Hand, Mark McLochlin, Murry Parrish, Treasurer Ben Kenyon ABSENT: Rachel Malakar, Roger Banks, Sr. Warden-Elect Andy Smith GUESTS: None I. MEETING Sr. Warden DeWayne Crunk called the January meeting of the Vestry to order. II. AMEND OR APPROVE MINUTES Minutes from the December meeting were reviewed. A motion was made by Deb Hand to approve the minutes, as amended, with a second by Bill Lambert. PASSED (1) III. FINANCE TEAM REPORT Ben Kenyon. Year-end financials. Ben explained the difference on the balance sheet between renewable balance sheet transfers and non-renewable balance sheet transfers. The Cochran Trust is a renewable balance sheet transfer. The nonrenewable balance sheet transfers are what we have to be concerned about going forward. Total pledge receipts did not come back as high as we had hoped. Receipts are at 93% of pledges which is substantially lower than normal. We ended the year substantially below budget on total costs. For the year we had to take $17,500 of nonrenewable funds. Construction finances. We are looking at borrowing something between $1 million and $1.25 million. Anticipated mineral revenues from the Mosier minerals should be more than sufficient to make the monthly payments on a 15 year amortization. For the last five years monthly average mineral revenue has been about $15, Budget. Our budget is $472K, with budgeted pledges of $350K. The budget includes income of $15,000 from nonrenewable balance sheet transfers and $24,000 from renewable balance sheet transfers. Stewardship. We have 100 pledges for 2019 totaling $338,536. We are at 96% of our goal of $350,000. We have 21 families who pledged $59,000 in 2018 and are attending services, who have not pledged for We will continue to engage with those families in an effort to reach our budget goal. A motion was made by Bill Lambert and seconded by Mark McLochlin, to accept the December financial report, as well as the October and November financial reports. PASSED (2) III. RECTOR S REPORT Fr. Mark. a. Good Book Club. The Presiding Bishop is promoting The Good Book Club to encourage everyone to reflect on the book of Romans. Fr. Mark is doing this on Sunday mornings as a replacement for the Seekers class and also on Wednesday evenings. b. Fr. Mark will be away from the parish for church meetings February 4-7 and February

11 Page 11 Approved Vestry Meeting Minutes.. Page 2 of 2 c. Starfish award. We have a new pewter ornament for the award which is given at the annual meeting every year. d. This is DeWayne s last meeting and we want to give him a big thank you. He has done a great job the last two years. e. Tim Bridges has agreed to stand for election as Jr. Warden, so we have that position filled. For the at-large vestry positions we have four candidates for two spots. IV. SENIOR WARDEN S REPORT DeWayne Crunk. As a parting recommendation DeWayne thinks that we should begin including financial information in a thermometer, in the Sunday bulletins and in the monthly Mag in order to keep the parish apprised of church finances. DeWayne thanked the Vestry for all their efforts and support. VI. JUNIOR WARDEN S REPORT Mike Ryan. We need to keep an eye on the Cochran rental house. It is young people living there and they are not tearing it up but they are not keeping it very clean. Fr. Mark will call UCO and ask if they can do something about the potholes in the parking lot. VII INVITE, WELCOME & CONNECT John reported that we are revising the welcome/prayer request card to make it foldable so that it will fit into the racks in the back of the pews. Kelsey and Gary Clark are planning to have a newcomer dinner the first week in February. As a part of Saints and Sinners Fr. Mark is going to form a new group and invite new members to be a part of a group with him and Susan. VIII. OLD BUSINESS/NEW BUSINESS The Vestry is going to conduct its annual audit of church finances on Saturday, February 23. No further business being brought forward, following prayer, the meeting was adjourned. 12 Page 12 The Magnificat Mission and Ministries... Ladies Bridge - The games are the 2nd Thursday of each month in the Parish Hall. All women are welcome. For more information contact Dennis Weigand, (405) DOK - The Emmanuel Chapter of the International order of the Daughters of the King meet each 2nd Sunday of the month at 12:30 PM. A light lunch will be served. Their lifelong mission is prayer, service, and evangelism. They also meet for small Evening Prayer each 4th Monday each month at 6:30 pm in the chapel. All are invited. Forms are also available in the pews. Fill out a form if you would like to place flowers on the altar, In Memory of, In Thanksgiving for, In Honor of, or In Celebration for. (405) or dshelby1954@yahoo.com Blanket Ministry - The blankets that we provided this year are fleece blankets that carry great meaning, for each knot in the fringe symbolizes a prayer. One-by one the knots are tied by individual parishioners at the end of each service. One-by one the blanket recipient is lifted-up to God by a caring congregation. A blanket is freely and reverently offered to anyone in St. Mary s Episcopal Church Community. To request a blanket, call the church office. A donation of $10 is accepted for those outside the community. We respectfully accept all inquiries regarding this Ministry in care of Mary Lambert, at wmlambert@hotmail.com Altar Guild The Altar Guild is a lay ministry, a gift of time and talent. Altar Guild members are evangelists and help keep the traditions of the Church and the beauty and timelessness for some of the coolest stuff in the Episcopal Church. We learn the reason for the names of the linens and vessels used in performing the Eucharist. Service on the Altar Guild requires only a few hours a month and usually one Sunday. New members do not serve alone but are partnered with one or more seasoned members for training and guidance. 13 Page 13 Mission and Ministries... Lay Eucharistic Minister (LEM) A LEM assists the clergy in distributing the sacrament during the service. You must be a confirmed communicant in good standing in order to be eligible for this ministry. Deacon Nancy Bridges is your contact. You can reach her at twink408@cox.net Usher Ushers welcome people to worship with a warm greeting and a service bulletin. During the distribution of Communion, they keep the flow of Holy Communion moving by directing people toward the altar. After the service has ended, they remove used bulletins from the pews and reset the books and count the offering for the bookkeeper. You must pass an FBI background check to be eligible to serve in this capacity. Deb hand is your contact. You can reach her at handrab@yahoo.com. (We re kidding about the FBI.) Chancel Choir Our choir is awesome. Dr. Karl Nelson, our Choir Director, is so awesome that we ve been told that you don t even need to be able to read music. Rehearsals take place on Wednesday evenings at 6:30 pm in the choir room. Acolytes are attentive to the needs of the congregation and assist the priest in leading worship. Gavin Marshall is your contact, and you can reach him at gmarshal@sbcglobal.net. EFM Education for Ministry. The program is for lay persons and is administered by the Episcopal School of Theology at the University of the South in Sewanee, TN. The program lasts four (4) years in length. Enrollment for the school term is now open. For more information, contact the Rev. Bill Hesse hessewa@aol.com or (405) Youth Group The youth groups are grades 6 th through 12 th. They meet on Wednesday evenings at 6:15 pm throughout the school year. Meetings begin by gathering in the Canterbury building and Evening Prayer worship reflecting on life and scripture. New groups of 6 or 8 which begin each September and again in February meet once in each other homes during a four-month period. All singles and couples are extended a sincere invitation to participate in this fellowship and friendship offering. UCO Food Pantry The UCO Food Pantry especially needs canned beans, canned fruits, baby diapers, and feminine hygiene items. Just a dollar or two of grocery store items truly helps a family in need. The basket to fill is in the Parish Hall. UCO s Pre-school - for the hearing-impaired students There are many additional opportunities to support, serve, learn, and grow in the love of Christ. There s a place for you!

15 Page 15 Regional Food Bank Please help the ministry and outreach for the Oklahoma City Regional Food Bank. This event will be open to the congregation, our youth group and St Mary s school. We have 40 spots available to help at the Oklahoma City Regional Food Bank. When: Saturday April 21 st 1:30-4:00 You can meet us at the food bank, or caravan with us leaving the church at 12:50 PM sharp. Where: Regional Food Bank 3355 S Purdue Oklahoma City, OK Contact: Christopher Hand (cell) Please don t forget to donate to the Food Pantry at the church. This ministry is often overlooked or a second thought. Nobody should go to bed hungry! There will be a sign up sheet posted.
