MARY S EPISCOPAL CHURCH VESTRY MINUTES June 19, 2018 PRESENT: Father Mark, Sr. Warden DeWayne Crunk, Sr. Warden-Elect Andy Smith, Jr. Warden Mike Ryan, Rachel Malakar, John Harrison, Roger Banks, Mark McLochlin, Murry Parrish, Bill Lambert, Debbie Hand, Treasurer Ben Kenyon ABSENT: None GUESTS: None I. MEETING Senior Warden DeWayne Crunk called the June meeting of the Vestry to order. II. AMEND OR APPROVE MINUTES Minutes from the May meeting were reviewed. A motion was made by DeWayne Crunk to approve the minutes, with a second by Mike Ryan. PASSED (1) III. FINANCE TEAM REPORT Ben Kenyon. May 2018 Financials. At this point we are $17,000 down in operating revenue. The reason for the shortfall is that pledges are coming in below budget. We are currently budgeted to pull $72,000 off the balance sheet and we will be needing to pull an additional $30,000 off the balance sheet for the full year. The Wells Fargo account was up $28,000 this month. Ben reviewed the fund balances in relation to the capital campaign. The total of the unrestricted and restricted fund balances is $5.8 million. The total of the unrestricted/temporarily restricted fund balances is $3,959,211. There is an additional $103,000 from the permanently restricted funds that will be available. The amount of capital campaign pledges still unpaid is $810,000. All in there is $4,873,527 available to use for the building project. However, we will need to leave enough money in the fund balances to cover operating deficits in the future. Ben estimates the amount we will need for that is about $500,000. So realistically we have $4.3 million for the building project. The cost to build the church is estimated to be $6 million. Motion to receive the Finance Team report made by Deb Hand, with a second by Murry Parrish. PASSED (2). IV. RECTOR S REPORT On June 28 Ann Murray will be ordained as a deacon at the Cathedral. Ann will be coming to St. Mary s to be one of our deacons beginning July 1. Fr. Mark said he has not received any opposition to the idea of using chairs for the new church. Fr. Mark asked the Vestry to send about 10 postcards each to people in the church who gave to the annual stewardship campaign, thanking them for their support for the ministry of the church. Fr. Mark has been considering whether to move from 3 services to 2 year-round on Sundays. It raises a lot of questions, including music. Two major concerns drive the thought process. One is cost. If we can t increase giving, we have to think about where we can cut costs. The choir and the praise ensemble are expensive. Ben pointed out that the choir raises the money to pay for the 4 scholarship students from UCO that we have in the choir. The other factor that enters in is that worship services have critical mass. Our critical mass for each service is about 70. We are frequently around 50 at the 8:45 service. It s not something we will decide tonight but we will need to make a decision soon for the fall schedule. Regarding the Invite-
4 Page 4 The Magnificat Approved Vestry Meeting Minutes.. Page 2 of 3 Welcome-Connect initiative, Fr. Mark said he would like to organize the Vestry around those 3 functions in addition to a finance and building function. So everyone on the Vestry would be part of one of those groups. Vestry meetings would then be focused on those areas and not just the church budget and maintenance. There has been a resistance to these types of initiatives in the church in the past. Change will require sustained focus and effort on the part of the Vestry. V. SENIOR WARDEN S REPORT DeWayne Crunk. Regarding the church relocation, DeWayne reported that we sent a letter to the oil and gas operator asking them to expedite the relocation of the flowline. DeWayne learned that the operator, Assiduous, is planning to move the separator to the north, which will be an advantage. The lease road will also be relocated and the good news about that is that we negotiated a new surface use agreement and the operator will be responsible for maintaining the road, whereas under the old agreement, the church was responsible for the road. Miller Tippens has been chosen as the project manager. They estimate it will be about a 14 month construction project. We hope to get started before the winter weather sets in, hopefully in August. We have a meeting with the Bishop and the Diocesan Council on July 16. The architect will present our plans and we will present our financials. We have a $1.7 million deficit with our current capital campaign to build the church we have planned. The Diocesan Council and Bishop are not going to approve that. We are going to have to scale back the plans for the church to come in somewhere around our budget, give or take. We still have three lead gift donors that have not committed yet and we are hopeful they will commit. We will build a $4.3 million church instead of a $6 million church unless we get more money. Tomorrow night we are meeting with the project manager and the architect and we will have a specific cost for the planned building. VI. JUNIOR WARDEN S REPORT Mike Ryan. There is a problem with the air conditioner. Not sure if it is a repair, in which case the cost will be on us, or a replacement, in which case it would be on UCO. VII. OLD BUSINESS/NEW BUSINESS Fr. Mark said the Hensley essay team met, Deb, Mark and Murry. They selected the winning essay of the two that were submitted. The winning essay was submitted by Sam Kisthardt. The finance team came up with a recommendation that the winner and the runner up from now on receive a gift, this year $1000 for the winner and $500 for the runner-up. The finance team s recommendation was unanimously approved by the Vestry. John reported that the Welcome subgroup of the invite welcome connect team met to brainstorm ideas for the Welcome component. They are working on putting a Welcome team together that will consist of the greeters and ushers. Their thought is to have a total of 10 greeters and ushers for each Sunday. The first goal is to make sure that all new people are greeted and made to feel welcome. In addition to the two ushers outside the doors to the nave, there will be two greeters stationed at the north door. Second, they plan to put in place a process so that we keep track of all new people, with some information about them kept on a spreadsheet maintained by Debbie. Newcomers will be followed up with a phone call during the week after they visit the church. Pertinent information will be kept on the spreadsheet to help connect new people with other people in the church.
5 Page 5 Approved Vestry Meeting Minutes.. Page 3of 3 The idea of having new activities at the church on Wednesday evenings was discussed. We could possibly have dinners catered by Millie s Table. The cost would need to be around $5 a person. We could have a movie, or a study or some kind of UCO engagement. Mike will contact Millie to see if she is available on Wednesdays and what the cost would be. No further business being brought forward, following prayer, the meeting was adjourned. Submitted, John Harrison, Clerk By vote on 6/20/2018, at the request of Fr. Mark, the Vestry approved an expenditure of $ for the 2018 CROP Walk. The money will be taken from the Community Benevolence Fund. MOTIONS: A MOTION by DeWayne Crunk to approve the April Vestry meeting minutes, as amended, with a second by Mike Ryan. PASSED (1) A MOTION to receive the Finance Team report made by Deb Hand, with a second by Murry Parrish. PASSED (2). The RECOMMENDATION of the finance committee that the winner and the runner-up in the Hensley essay contest from now on receive a gift, this year in the amount of $1000 for the winner and $500 for the runner-up, was AP- PROVED (3). At the request of Fr. Mark, the Vestry APPROVED an expenditure of $ for the 2018 CROP Walk. The money will be taken from the Community Benevolence Fund (4).

7 Page 7 Mission and Ministries... Ladies Bridge - The games are the 2nd Thursday of each month in the Parish Hall. All women are welcome. For more information contact Dennis Weigand, (405) DOK - The Emmanuel Chapter of the International order of the Daughters of the King meet each 2nd Sunday of the month at 12:30 PM. A light lunch will be served. Their lifelong mission is prayer, service, and evangelism. They also meet for small Evening Prayer each 4th Monday each month at 6:30 pm in the chapel. All are invited. Forms are also available in the pews. Fill out a form if you would like to place flowers on the altar, In Memory of, In Thanksgiving for, In Honor of, or In Celebration for. (405) or dshelby1954@yahoo.com Blanket Ministry - The blankets that we provided this year are fleece blankets that carry great meaning, for each knot in the fringe symbolizes a prayer. One-by one the knots are tied by individual parishioners at the end of each service. One-by one the blanket recipient is lifted-up to God by a caring congregation. A blanket is freely and reverently offered to anyone in St. Mary s Episcopal Church Community. To request a blanket, call the church office. A donation of $10 is accepted for those outside the community. We respectfully accept all inquiries regarding this Ministry in care of Mary Lambert, at wmlambert@hotmail.com Altar Guild The Altar Guild is a lay ministry, a gift of time and talent. Altar Guild members are evangelists and help keep the traditions of the Church and the beauty and timelessness for some of the coolest stuff in the Episcopal Church. We learn the reason for the names of the linens and vessels used in performing the Eucharist. Service on the Altar Guild requires only a few hours a month and usually one Sunday. New members do not serve alone but are partnered with one or more seasoned members for training and guidance. If you are interested in becoming a member contact Tom Majors, tom.majors@cox.net or (405) Lay Reader - In our worship, these ministers read the Scriptures and pray the prayer forms that address the needs of our community and the world. There are usually two lay readers for each service and all lay readers rotate on a schedule. Anyone who is confirmed in the church is eligible for being a lay reader. 8 Page 8 The Magnificat Mission and Ministries... Lector During worship, a lector is assigned to read the scriptures and lead the prayers. You must be baptized to serve as a lector. Deb Hand is your contact if you would like to serve your Lord and your church in this capacity. You can reach her at handrab@yahoo.com Lay Eucharistic Minister (LEM) A LEM assists the clergy in distributing the sacrament during the service. You must be a confirmed communicant in good standing in order to be eligible for this ministry. Deacon Nancy Bridges is your contact. You can reach her at twink408@cox.net Usher Ushers welcome people to worship with a warm greeting and a service bulletin. During the distribution of Communion, they keep the flow of Holy Communion moving by directing people toward the altar. After the service has ended, they remove used bulletins from the pews and reset the books and count the offering for the bookkeeper. You must pass an FBI background check to be eligible to serve in this capacity. Deb hand is your contact. You can reach her at handrab@yahoo.com. (We re kidding about the FBI.) Choir Our choir is awesome. Dr. Karl Nelson, our Choir Director, is so awesome that we ve been told that you don t even need to be able to read music. Rehearsals take place on Wednesday evenings at 6:30 pm in the choir room. Acolytes are attentive to the needs of the congregation and assist the priest in leading worship. Gavin Marshall is your contact, and you can reach him at gmarshal@sbcglobal.net. UCO Food Pantry The UCO Food Pantry especially needs canned beans, canned fruits, baby diapers, and feminine hygiene items. Just a dollar or two of grocery store items truly helps a family in need. The basket to fill is in the Parish Hall. Scouts - For more info on dates/times for Cub Scouts, contact Hilarie Simpson, Committee Chair (405) For more info on the Boy Scouts, contact Roger White, Committee Chair (405) Ryan s Case for Smiles A group of volunteers who meet the 2nd Wednesday of each month to make pillow cases for patients at OU Children s Hospital. For more info contact Ruth Treat, rtsquare@cox.net Tai Chi a group that meets every Monday morning at 10:00 am. All are welcome. UCO s Pre-school - for the hearing-impaired students There are many additional opportunities to support, serve, learn, and grow in the love of Christ.

12 Page 12 The Magnificat EFM. Opportunity Alert! Attention, followers of Jesus of Nazareth: Here is an opportunity for continuing education in ones Christian Formation. Also, it enables one to better carry out ones Baptismal Covenant. The opportunity is realized via the theological education program by extension called Education for Ministry. The program is for lay persons and has been developed and is administered by the Episcopal School of Theology at the University of the South in Sewanee, Tennessee. The program is conducted at various locations in Oklahoma, one of which is at St. Mary s Episcopal Church in Edmond, Oklahoma. The program is four (4) years in length, taken one year at a time.
