3 Mississauga Canada Day Committee July 13, 2009 CALL TO ORDER 11:05 AM MATTERS CONSIDERED: 1. Slideshow of Canada Day Celebration The committee reviewed a slideshow that contained pictures taken during the Canada Day celebrations at the Mississauga Civic Centre on July 1, MG Feedback on the Canada Day Celebration Committee members, affiliates and staff to share their impressions of how the Canada Day celebration went and what changes should be made. Councillor Carolyn Parrish, Chair reviewed the budget for Canada Day and advised that there would be funds available for next year. Councillor Parrish explained that there were issues with the sound system on the main stage due to one of the musical acts changing the settings on the equipment. This issue potentially could have affected other musical acts. Councillor Parrish thanked staff for handling the situation and requested that in future she should be advised if there are any problems with the musical acts. Councillor Parrish advised that Lindsay Parrish, Canada Day Photographer had good student volunteers and that she suggested that for next year she would need 3 volunteers for each photographer during the day and 1 volunteer in the evening. Councillor Parrish noted that a registration table would be needed at the base of the stairs to the VIP garden (east entrance). In addition, there should be a list of invited guests at the registration table. Anyone at the registration table and security staff should communicate to people that the party is a private reception for donors and sponsors of the Canada Day celebration. Terence Butt noted that the there should be security at the west entrance of the garden. Councillor Parrish noted that the VIP reception may take place in the atrium of the Living Arts Centre next year. She further noted that there should have been a port-o-potty in the VIP reception. Councillor Parrish noted that Peter Fonseca, MP handed out flags and pamphlets which added to the litter in the Civic Centre. She suggested that in future there should be no politicians with booths at the Canada Day celebrations. Councillor Parrish advised that Ray Brazeau, Starlite Pyrotechnics would possibly need a clean up crew to be hired for clean up on the event night and the following day.

4 Mississauga Canada Day Committee July 13, 2009 Glenn Gumulka, Director, Smart Commute Mississauga advised that half of the stock of stickers were given to transit riders. He noted that more volunteers earlier in the day would have been helpful. Councillor Parrish advised that transit ridership for the day was around 45,000, with approximately 7000 new riders. Mr. Gumulka advised that there were people that didn t know transit was free after 12 noon. He commented that if transit was free before 12 noon perhaps more people would use it. Mr. Gumulka suggested that there should be more communication on free transit. Councillor Parrish concurred and suggested advertising in bus shelters and on the back of transit buses. Mr. Gumulka suggested that there could be a huge poster in the City Centre transit terminal. Councillor George Carlson agreed that transit ads would be beneficial in communicating free transit. He noted that there was a lot of trash following the event. Councillor Frank Dale suggested that vendor fees be increased next year. Councillor Parrish noted that it could be considered for 2011, as the program for 2010 may be shortened due to construction in the Civic and Library Square areas. Ella Basic, Public Affairs Consultant suggested that the broadcasting agreements of the music during the fireworks show be in place earlier to provide more time to communicate to the public. Councillor Carolyn Parrish agreed and suggested that there could be a billboard in the City Centre area and library to advertise the broadcasting. Catherine Monast, Public Affairs Consultant advised that there were approximately 3 million hits on the news release for Canada Day. Ms. Basic noted that there were over 20,000 hits from the Canada Day banner on the e-city webpage. Jennifer Burns, My Mississauga Assistant thanked the Facilities & Property Management staff for their work on Canada Day. She noted that there were a number of illegal vendors on the Square One Shopping Centre property. She further noted that Enforcement staff handled the issue. She suggested more food vendors and that the number of display vendors be reduced. She noted that a number of food vendors ran out of food. Jagoda Rozbicka, Canada Day Event Assistant advised that there were 174 volunteers and advised that at least 200 are needed. She noted that the volunteers were great and they have a list for next year. Ms. Robicka advised that she received s about event listings for Canada Day as it was not noted on the home page of the Canada Day website. She suggested that next year it should be on the Canada Day home page instead of clicking on another link. Ray Brazeau, Starlite Pyrotechnics commented that the volunteers that worked with him were good and described his experience on Canada Day. Bruce Kerr commented that the VIP reception was in a good location and suggested that the fireworks show be done earlier for the kids, as some of them fall asleep waiting for the fireworks. Rob Perkins, Supervisor, Operations suggested that the final band play after the fireworks show to stagger the crowd leaving and to ease traffic congestion. Councillor Parrish noted that the noise by-law would have to be taken into consideration.

5 Mississauga Canada Day Committee July 13, 2009 Mr. Perkins commented that there were some communication lapses between Melissa Di Carlo, My Mississauga Manager and Ms. Burns throughout the day. He noted that the traffic plan needs to be fine tuned for next year. He suggested that road closures could start from the beginning of the day to block cars out from the event areas. He noted that the Peel Regional Police were impressed that there was only one minor incident reported with the large sized crowd. Councillor Parrish noted that there were more than 100,000 people throughout the day. Brad Norris, Mississauga Hockey League (MHL) advised that it was the first time they were involved with Canada Day celebrations and they enjoyed the event. Councillor Parrish advised that the buns for the hotdogs would be covered by the Canada Day budget. Jamie Brown, Manager, Sponsorship Corporate Development advised that Bridgestone and Metro were very pleased with the event. He further advised that the sponsorship package needs to be streamlined and review the value of the package with reduced options. He noted that there would be a meeting with Metro to discuss renewing sponsorship for Nance MacDonald noted that she would require more staff as people started arriving at 10:30 am. She suggested that programming at the mall should also include the road (Duke of York Boulevard). Councillor Parrish suggested that Square One be added to the list for volunteers. Ms. MacDonald estimated that there were about 15,000 people on the property. She noted that half of the parking lot was occupied by noon. Mr. Brown suggested that some of the kid s programming should be spread out over the day. Terance Butt advised that additional ice was purchased for the VIP reception. He noted that more control over the ice may be needed or more ice should be purchased. He thanked Councillor Parrish, the committee and the staff for all of their work. Councillor Parrish noted that she was very pleased with the company that organized the VIP reception. Christopher Brown suggested 250 volunteers for next year. He noted that the quality of volunteers this year was good. However, there were some issues with clean up as some of the volunteers were not aware that transit service was extended to midnight. He suggested that there be some incentive to encourage volunteers to stay for clean up. He further suggested that the message should be clear what time the shift will end and that transit service continues until midnight. John Bozzo, Paint the Town Red advised that they had a great crowd and estimated that there were about 70, 000 people in attendance. He noted that money would be needed to hire a set-up and tear down crew. He further noted that there were a lot of free transit riders and that it would be beneficial to target advertising near GO stations and bus shelters. He commented that a separate website for the event would be better. Stu Taylor, District Manager, Operational Planning commented that trash was a problem. Mr. Perkins noted that people would leave garbage lying around. He further noted that the garbage bins were useless and that the doors were not functional.

6 Mississauga Canada Day Committee July 13, 2009 Councillor Parrish suggested that MHL become a permanent charitable partner with the Canada Day Committee. Mr. Butt moved the following recommendation which was voted on and carried: Recommendation That the Mississauga Hockey League remain as a permanent charitable partner with the Canada Day Committee due to their commitment to providing opportunities for underprivileged Mississauga youth to participate in sports.
