1 New England Music Festival Association Executive Board Meeting Americinn 375 Voluntown Rd, Griswold, CT Time: 7:30ish December 7, Call to Order a. 7:52 PM by President Marj Rooen 2. Roll Call a. Members: Scott Benson, John Deeb, Marj Rooen, Bill Sittard, Sal Ciccarella, Danielle Conerty, Rob Gattie, Steffen Parker, John Kuhner; Guest: Lauren Churchill 3. Association Member Comments a. None 4. Minutes September 8, 2018 Frank Whitcomb (move, accept, vote) a. Correction of location to The Woodstock Academy b. MOTION to accept (Deeb / Benson): Approved 5. Board Member Reports: a. Executive Secretary/Treasurer Bill Sittard i. We have a balance of $ at start of weekend ii. Morgan-Stanley & Checking account amounts in alignment with past December reports iii. MOTION to accept (Rob Gattie / Scott Benson): Approved b. Past President Sal Cicciarella i. In discussion with Jennifer Chambers (Hanover High School) on possible Concert Festival there c. President Elect John Deeb i. No report d. Bulletin Tom Reynolds e. Solo & Ensemble Festival Steffen Parker & Rob Gattie

Mr. Gattie: Good Northern S&E; Two more vocal solos adjudicators in the north, two more string adjudicators in the south; Typical concerns shared by sponsors in the week in between, but nothing unusual and none that requires any board action ii. Mr. Kuhner asked what those concerns were in general; Mr. Gattie & Mr. Parker responded with examples f. Solo & Ensemble Performance Selection process Steffen Parker i. Mr. Parker presented a set of procedures to follow for selecting the Solo & Ensemble Performances to be featured in the Concert Festival ii. Discussion involved making sure that only nomination come from any adjudicator and that only the board be involved in the decision making iii. MOTION to accept with those clarifications (Gattie / Deeb): Approved g. Member Services/Background Checks John Kuhner i. Mr. Kuhner asked that we change our background check from the basic one to the complete one offered by LexisNexis ii. Change would almost double the individual cost iii. Discussion included the need to provide due diligence for our students, sponsors and supporters iv. MOTION to have our background checks done in this manner (Gattie / Parker): Approved h. Librarian Frank Whitcomb i. Chorus Manager Eddie Wilkins j. Orchestra Manager Scott Benson i. Mr. Benson noted that Alan Tinkham has agreed to be our Orchestra Conductor for 2020 ii. He also noted that he will be asking Brian Norcross to be our Orchestra Conductor in 2021 k. Band Manager Danielle Conerty i. Ms. Conerty reported that all is set for this year ii. She also noted that Dr. Beth Peterson has agreed to be our Band Conductor in 2020 l. Festival Hosts Amy Ranta & Lauren Churchill i. Ms. Churchill reported for The Woodstock Academy; ii. Tickets & t-shirts on sale now online

3 iii. Percussion equipment being supplied by Majestic percussion and that slightly used equipment will be for sale afterwards iv. Maps, hotels & directions ready for website v. Recording engineer has been contracted (has done festivals before) vi. 375 beds ready for guests; Forms being collected for background checks; Awaiting student list (to be sent on February 1 st ) vii. Mr. Cicciarella ask about the timing of choral hearings: Mr. Parker responded that they depend on available space, number of pianos, number of volunteer adjudicators viii. Mrs. Churchill noted that their Booster Club will be offering pre-ordered food for student lunches on Thursday. The form to be included with other pre-festival mailings 6. President s Report Marjorie Rooen a. Membership Directory (Online info and/or form at S & E Festival) i. Ms. Rooen noted that it was in-progress and would be valuable as an aide to members to learn each others and network better ii. She noted that it would need to be password-protected b. Liability Insurance i. Mr. Sittard noted that we have an NEMFA general liability policy for our events ii. He noted that NEMFA would pay for a board member s membership in the NFHS Music Association to fall under their personal liability insurance c. scams i. Ms. Rooen said that the recent use of our board s for spam & scams has been investigated 7. Centennial Celebration a. Committee Members i. Ms. Rooen noted that only Mr. Thomas Reynolds and Mr. Parker had volunteered to serve on this committee. ii. Mr. Cicciarella offered to serve on the committee as well b. Chair for the Committee i. Currently no one has volunteered for this position 8. Unfinished Business a. By Laws i. Initial proposal shared by Mr. Frank Whitcomb via ii. Mr. Gattie presented that proposal to the board

4 iii. Discussion: several points raised by board members: 1. Needs to include Executive-Secretary 2. Refund policy 3. Correction on which members should be listed as elected (President-Elect, Secretary and three managers, others to be appointed 4. Some semantics, spellings, etc. to be corrected iv. Mr. Gattie & Mr. Whitomb to resubmit for board approval via v. A vote by membership planned for March meeting b. Instrumental Ensembles i. Ms. Rooen tabled this disucssion 9. New Business a. New Southern S & E Festival hosts, Griswold HS i. Mr. Parker & Mr. Gattie said all is ready; Great site and supportive teachers b. Host for 2020 Concert Festival i. Mr. Cicciarella asked if others knew of anyone interested c. Membership i. Mr. Sittard & Mr. Parker reported that the number remains about the same with the usual transitions of some returning or joining anew and some leaving 10. Future Dates a. Saturday December 15, 2018 S & E Festival Snow Date i. Unneeded this year b Concert Festival- Woodstock Academy, Woodstock CT, March 21-23, i. See Section 5:l above c.
