" -Pope Francis By Matt Yelland CYC Board is a collective of youth from parishes all over the Diocese of Helena who are willing to engage in the active planning of and participation in both parish and diocesan youth ministry endeavors.

4 Who can participate? FREQUENTLY ASKED QUESTIONS Any high school youth (grades 9-12) who is active in their local parish is welcome to participate. Is there a cost? The cost is $300 for a youth. ($50 late fee if you register after Aug. 13) This covers the cost of food, housing, and all supplies/materials for 4 weekend retreats. Plus, every Board member will receive a sweatshirt and other swag. How about transportation? Transportation to meetings is coordinated by the local parish. Youth are not to drive themselves or other youth! - Do I have to be at every CYC Board Meeting? Yes. CYC Board is a yearlong diocesan leadership development program. The expectation is that you commit to being present at all 5 meetings. There are exceptions to every rule, and we will work with you and your family's schedule. Nevertheless, discipleship and leadership take commitment and sacrifice. How about financial assistance? Scholarships are available! (See p. 12). We are committed to working in partnership with the local parish and the youth's family to find resources to assist any youth who is committed to participating and has need. What if I'm late/leave early or must miss a meeting? The expectation is that Board members are at every board meeting for the whole time. In extenuating circumstances, youth can communicate with their youth minister to make other arrangements. Check-in/out when you arrive/leave! What if my parish doesn't have a youth minister? Talk to your pastor. Active participation in the local parish is crucial to the faith development of youth. Parishes that choose to support their youth's participation in CYC Board are expected to coordinate appropriate chaperone(s) that meet Diocese of Helena Safe Environment Policies, which is usually the parish youth minister. If your parish does not have a youth minister, then you are strongly encouraged to communicate with your pastor and work together to find an adult(s) who is willing to serve as a chaperone and your connection to the local parish. Can I sleep at home if a meeting is in my hometown? No. The expectation is that you are on-site the entire time. In extenuating circumstances and if a parent/guardian assumes liability for his/her child, other arrangements can be made. Communicate with your youth minister. What do we do at a CYC Board meeting? In short, we plan diocesan ministry events and experiences. Every weekend is rooted in prayer, both as a group and individual reflection, but the "work" of each meeting includes discerning themes and speakers, developing programming, practicing performances, and more. We also provide formation and catechesis. Why does registration include an essay this year? Participating on CYC Board is a significant responsibility and commitment. We want to encourage sincere reflection on why you want to participate.

5 I N T R O T H E C Y C B O A R D M I G H T B E F O R Y O U... W H A T I S I T? CYC Board is a collective of youth from parishes all over the Diocese of Helena who are willing to engage in the active planning of and participation in both parish and diocesan youth ministry endeavors. CYCB is for youth looking for a creative outlet in youth ministry. Youth interested in being a part of Board must be aware of its five weekend (including CYC Convention) commitment and the expectation for them to be active in their local parish. CYC Board is not just for Leadership Camp youth only. Please extend the invitation to all high school youth willing to make this very serious commitment to taking an active role in youth ministry development throughout the Diocese of Helena. Please read through this handbook thoroughly and encourage youth in your parish seeking a leadership role among the young people of the Church. It is important for youth and parish pastors/administrators to know what kind of commitment this board will require. Youth's parents and their local parish share the responsibility for finding a chaperone(s) and transportation to/from all events. All youth are welcome, but many struggle making the necessary commitment to their parish liturgy, youth ministry programs and local deaneries. Not only will we grow in community and personal spirituality, but we will mature in our desire to serve. This board is designed to listen to the young people of the Church, participate fully in parish and diocesan ministry, and ignite a fire in all of our Catholic faith communities. CYC Board is a yearlong diocesan leadership development program. If you are in grade 9-12 and are willing to commit to a powerful year of formation and enrichment register for CYC Board right away!

6 Structure M E E T I N G S & H O W I T A L L W O R K S The CYC Board is led by four CYC Board Officers: President, VP of Communications, VP of Marketing, and VP of Operations. The officers are discerned to their positions by the participants at the annual CYC Leadership Camp. All CYC Board participants are broken into three major Management Committees that are directed by the respective officer. Management Committees break into Task Committees, run by a Committee Chair. This is where the "work" of board is done, including everything from event promotion to T-shirt design to new ministry development. CYC Board meetings are both efficient and extremely busy as a result of this completely youth-run structure. Task committees are formed when an idea is generated either from the entire board or a committee, or in another task committee. A task committee chair reports to the management committee chair. The management committee chair reports to the CYC President and the OYYAM Manager. Everybody reports back to the main group and all decisions on major Board endeavors are made by consensus of the main body of the CYC Board and its officers. Adult volunteers are also voting members of the Board. The need for clear leadership channels and discussion models is imperative to the efficiency of any group. Since many organizations follow a similar structure, learning this model will help you in your adult life. Second, we don t want any ideas to get lost. Traditionally in open forum type discussions, a lot of data gets dismissed when it is not given a proper channel to develop. It is the same for CYC Board. The hope is that no good idea gets forgotten, and it always be given a place to be developed.

We encourage local parishes (youth ministers) to register their CYC Board applicants. Please do not register for CYC Board until you have first communicated with your local parish. Scholarships are available (See p. 12)! Youth Ministers: Collect registration information and fee from youth and volunteers (see pp ). Go to dohyouth.org and click the CYC Board link. Follow the online registration instructions. Submit youth essay at Payment is expected at time of registration: $300 per participant (before August 13; $50 late fee after). Make sure to register yourself and any other adult chaperones! ONSITE REGISTRATION IS NOT AVAILABLE AT ANY CYC BOARD MEETING. ALL PARTICIPANTS MUST BE PRE-REGISTERED ONLINE. Other events are highly encouraged for all and mandatory for those who volunteer for a leadership role in the event. Cyril & Methodius Parish, 120 W Riggs, East Helena, 59635) CYC Convention - March (Carroll College, 1601 N Benton Ave, Helena, 59625) M E E T I N G S Plan to arrive 5:30-6:30pm, with dinner starting at 7pm. Meetings 1, 2, and 4, will end by 11am on Sunday. Meeting 3 will conclude by 4pm on Saturday. Meeting 5 is a one-night, pre-convention preparation meeting; we will start with dinner at 7pm, then transition to Carroll on Friday morning. Once Convention begins, Board youth are expected to join their respective parish youth group for the rest of the weekend. CYC Board members are responsible for their transportation to and from a meeting. Youth under the age of 18 may not drive themselves. All CYC Board members should bring with them their journal and Bible, as well as the usual overnight necessities: sleeping bag, sleeping pad, pillow, towel, toiletries, change of clothes, etc. All CYC Board members are expected to participate in the entire meeting. Late arrivals and early departures are strongly discouraged. Allowances are always made to make CYC Board compatible with students involved in other activities, however, the same commitment is expected. All meals are provided at a Board meeting; however, healthy snacks are always most welcome.

8 Youth "The Church needs you, your enthusiasm, your creativity and the joy that is so characteristic of you." -Pope Francis All youth participating in their parish youth programs (9th-12th grade) are invited to be a part of the CYC Board for The CYC Board will assist with planning and advising OYYAM events, such as Junior High Rally, CYC Kickball Tournament, SonLight, and CYC Convention. In addition, you will assist with local youth ministry efforts in local parishes. We meet five times throughout the year (including CYC Convention) in the various deaneries of the Diocese of Helena, whereupon we will receive consistent Catholic discipleship formation and parish leadership development. Are you interested yet? E X P E C T A T I O N S Parish first, then CYC Board. All CYC Board members are expected to be active in their local parish, especially in youth ministry. At the LEAST, that means you go to Mass every weekend. CYC Board members are supposed to be leaders in their parish and set the example for their peers, which means you should also have a regular prayer life, read scripture, and participate in the life of the parish, especially youth ministry efforts. Those who do not attend regular parish liturgy or participate regularly in their parish faith formation programs will be dismissed from CYC Board. Remember, the purpose of CYC Board is to help enrich both parish and diocesan youth ministry efforts. Attend every CYC Board meeting. CYC Board members are expected to be at every meeting and CYC Convention. Other events are highly encouraged for all and mandatory for those who volunteer for a leadership role in the event. We will work with you and your family's schedule, because we realize that you juggle multiple priorities, including jobs, athletics, extra-curricular activities, college searching, and family life. Nevertheless, this important work - the work of serving and leading the young Church - demands commitment, sacrifice, and dedication. Look at your calendar BEFORE you commit to CYC Board. If more than one Board meeting conflicts with another priority that you and your family deem more important, then you should strongly consider focusing your leadership gifts on your local parish. In other words, if you can't make 4 out of 5 meetings, then you should not commit to CYC Board. Discipleship. "Lukewarm Christians are those who want to build a church to their own specifications, but it is not the Church of Jesus." -Pope Francis CYC Board members must be grounded in the practices of the faith, including regularly participating in the Sacraments and a disciplined prayer life that includes reading scripture (like, daily!). NEW THIS YEAR: We encourage prayerful reflection for every Board member on what the Lord is doing in their life. This starts at registration when every youth is expected to write a brief ( words) essay about why s/he wants to participate on CYC Board this year. You will need to submit this with your registration. All CYC Board members will be asked to keep a journal throughout the year, bringing it to every Mass - not just at Board events. If something doesn t happen at Mass worth writing down, then participants weren t fully engaged. After Mass, take some time to write in your journal. This is a challenge to be faithful participants in your local parish community and to be full and active in the source and summit of our faith. You are called to meet this challenge head-on, being a witness to your faith!

9 Parents "Parents are 'by word and example... the first heralds of the faith with regard to their children.' Thus the home is the first school of Christian life." -Catechism of the Catholic Church We cannot over-state the importance of parents to this ministry. CYC Board happens only because parents generously support this ministry with their time, treasure, and prayers. Your willingness to volunteer as chaperones, chauffeurs, cooks, and more, provide the structure that allows us to gather well and to focus on serving the youth of our diocese. We are sincerely grateful. Especially for those parents who are new to this ministry, below is some pertinent information to help you best support your child's participation on CYC Board: E X P E C T A T I O N S Pray. Possibly the greatest thing you can do to support your child's faith development is to pray for him/her. Parish first, then CYC Board. All CYC Board members are expected to be active in their local parish, especially in youth ministry. We ask that you, first and foremost, make clear that you expect your child to participate in the life of your local parish if they want to participate on Board. If your local parish does not have youth ministry or if you do not find much support for your child participating on CYC Board, then we would highly encourage you to have a conversation with your pastor about how the parish could partner with you in supporting your child. Incredible things can happen when parents advocate for the faith development of their children! Scholarships. For those with need, we encourage you to complete the "For Youth, By Youth Scholarship" application. Coordinate and confirm transportation and a chaperone. The responsibility lies with the parents and local parish (usually the youth minister) for providing or coordinating transportation and chaperones who meet Diocese of Helena Safe Environment policies. Please coordinate with your local parish to confirm that your child not only has transporation to/from Board events, but that your child will have a safe environment-compliant (VIRTUS) adult chaperone present at all times who willingly and knowingly assumes the chaperone responsibilities for your child for the duration of the event. I N V I T A T I O N You are invited to participate, too! Having trouble finding a chaperone for your child? You could be that person! While your child may say that they don't want you hanging out with them, you could be the adult who impacts the life of one of the other teens on CYC Board. The community and system of support that we build among the adult volunteers is real. Conversions happen at CYC Board, and not just for teens. Christ-centered, joyful, and authentic adult friendships form among the community of adults who serve on CYC Board. 10 Parish "Youth ministry...is not out to replace the family or the apostolic priesthood it offers humble and zealous cooperation in the Church s saving mission which begins in the family and continues in the ecclesial community. -Fr. Damian Ference, Word on Fire OYYAM seeks to partner with parishes in our common mission to make disciples of Jesus Christ. This means that we work together to create the best possible faith formation and ministry experiences for every youth in our diocese. No single event or program could ever provide every need for every individual youth. The Lord chooses to encounter each person in unique ways, and we must be committed to providing a diverse array of experiences for youth to encounter Christ. Diocesan youth ministry seeks to compliment - not supplement - local youth ministry. The large-group gatherings that are the fruit of diocesan youth ministry can be transformative moments of conversion for youth. However, without a local faith community that can sustain the flames of faith through the normal ebbs and flows of the spiritual life, any "mountain top" conversions that happen at large gatherings will merely be bright flashes of faith that burnout quickly. CYC Board serves as a tangible connection between parish and diocesan youth ministry. This symbiotic relationship exists because of our shared commitment to serve youth, bringing them closer to Christ through dynamic ministry. We invite you to support this ministry as a compliment to what you offer in your local community. Parish first, then CYC Board. All CYC Board members are expected to be active in their local parish, especially in youth ministry. This means that someone in your parish (usually the youth minister) must be willing to ensure that this is happening. This person will serve as the "Parish Contact" for the youth. Parishes are expected to know who their CYC Board youth are and encourage their participation at both a parish and diocesan level. Parishes should hold their CYC Board youth accountable and ask for constant updates on their formation and participation. If a parish s leaders are disappointed in their CYC Board member s participation and or behavior, they should immediately contact Kevin Molm in the Office of Youth and Young Adult Ministry ( or kmolm@diocesehelena.org). Management ("Parish Contact") Parishes hold much of the responsibility for managing their youth's participation on Board, including: Designate a "Parish Contact": The "Parish Contact" will serve as the liaison between OYYAM, the Parish, and youth/families. Likely, this will be the youth minister. Their primary responsibility will be to ensure that youth have transportation and Safe Environment (VIRTUS) compliant chaperones at every meeting. (The "Parish Contact" does not have to be at every meeting, but they will be responsible for ensuring that youth have a chaperone.) They will also be responsible for... Coordinate Registration: Parishes should collect registration forms and fees from families. This is an opportunity to discuss your expectations and ensure that they understand CYC Board. Make sure to encourage families with need to apply for the "For Youth, By Youth Scholarship." Register Online: Parishes should register youth online dohyouth.org after collecting forms/fees. Confirm Chaperones & Transportation: The responsibility lies with the parents and local parish (usually the youth minister) for coordinating transportation and chaperones who meet Diocese of Helena Safe Environment policies for every Board event and meeting. Communication: You cannot over-communicate with families! An individual in the parish (usually the youth minister) should regularly communicate with CYC Board youth and parents about their participation in Board, including updates, notices, and details about transportation/chaperones, and to confirm that youth are meeting your expectations regarding their participation in parish life.

12 PARTICIPANT CODE OF CONDUCT, MEDICAL CONSENT, & MEDIA RELEASE STATEMENTS I, the undersigned, hereby grant permission for my son/daughter to attend and participate in the Diocese of Helena (DOH) Catholic Youth Coalition Board (CYCB). In case of medical emergency, I understand that every effort will be made to contact the parents or guardian of the participant. If necessary, and in the event I cannot be contacted or respond, I hereby grant permission for myself/son/daughter to be evaluated, diagnosed, and/or medicated in accordance with standard medical practice by licensed medical personnel. I relieve my parish/school and the Roman Catholic Diocese of Helena of all consequences that may arise as a result of treatment. I will hold harmless and indemnify parish/school and the Roman Catholic Bishop of Helena, the Diocese of Helena, chaperones, or representatives associated with the CYCB from any liability in the event of injury. Furthermore, I agree to accept any and all financial responsibility as a result of scheduling treatment for such injuries. If participants should be found in such behavior or in possession of and/ or using such substances and/or items, participant also understands that parents/guardians may be notified and that participant may be sent home at participant s own expense. Event directors have the authority to prohibit video camera or other forms of image-recording devices, as appropriate to prevent distractions or to protect against violating the privacy of participants. Violation of this policy may result in confiscation of such equipment for the duration of the CYCB and/or dismissal. Dress Code - Youth AND Adults Youth and adults are urged to dress casually for CYCB in a manner that reflects Christian values and Catholic moral teaching. Dress should also be appropriate for seasonal and work conditions. You will bend, twist, sit, climb, work, and dance at CYCB. A good measure is to let your arms fall to your side and if your fingers touch skin, bring a longer skirt or pair of shorts. Also, if you have to ask if it s okay, then it probably is not and you should wear something else. To enable participation in the icebreakers, women and girls are asked not to wear dresses or skirts. Media Release By virtue of you/your child registering for an event or program sponsored by the Diocese of Helena, a picture of you/your child and/or work or projects created by you/your child (e.g. still pictures, motion pictures, audio recording, or video recording, or other reproduction of your image) may be published by the Catholic Parish, Catholic School, Legendary Lodge, or Diocese in one or more of the following ways: Use as a demonstration project/activity in educational workshops, classes, and/or conferences. Use in routine school publications that include photographs and student work Use as marketing materials for on-going fundraisers or other marketing for our schools, camps, programs, or parishes Post on the Catholic School/Parish/Diocese or Foundation website(s) on the internet. Printed in The Montana Catholic, the official diocesan newspaper, or other official print/news publication of the Diocese. Submit as samples to program publishers, media, or as grant and contest entries. Use portions of the project(s) on a videotape made during a presentation of the project. 13 Catholic Diocese of Helena ~ Office of Youth and Young Adult Ministry OYYAM PO Box 1729 Helena, MT \~~' DIOCESE OF H ELENA diocesehelena.org For Youth By Youth Scholarship (Updated ) - Instructions - The For Youth By Youth Scholarship (FYBY) was created in partnership between the Catholic Youth Coalition (CYC) Board and the Diocese of Helena Office of Youth and Young Adult Ministry (OYYAM) to nurture and foster a community of believers with equal access to OYYAM event opportunities. The fund was established and continues to be funded through the generous stewardship of both youth and adults in the Diocese of Helena. Funds are meant to be dispersed on a need-basis to assist youth with expenses associated with participating in OYYAM events and activities. Award Criteria: 1. Registered and active parish participant in the Diocese of Helena 2. Active in any grade 1 st 12 th (preference is given to those in 6 th -12 th grade) 3. Recommendation of pastor/youth minister 4. Declared need Application Checklist: Completed and signed application form (if handwritten, please print legibly) Completed Recommendation Form (signed by your pastor/administrator/youth minister) Personal essay: The youth must write an essay ( 300 words) describing why the youth wants to attend the event and how the experience will help him/her grow in his/her faith. Application Process: Deadline: All application materials must be received at least two weeks prior to the registration deadline of the event for which the scholarship is being applied. You may mail or the application materials. Award Limit: The maximum award for any single scholarship will be 50% of the cost of participation (registration fee) of the event. The Diocese of Helena Office of Youth and Young Adult Ministry (OYYAM) is committed to partnering with local parishes to fulfill the USCCB s goal to draw young people to responsible participation in the life, mission and work of the Catholic faith community. Only through active participation in a local parish will youth be able to participate responsibly and fully in the Catholic faith. OYYAM events are meant to complement, enhance, and affirm what youth experience in their local faith community. Therefore, we expect scholarship recipients to be active in parish life, especially youth ministry or faith formation programming. By signing this form, you are confirming the applicant s participation in parish life and recommending him/her for this scholarship. Local parishes share the responsibility of supporting youth in their faith, including providing financial assistance, spiritual guidance, chaperone/safe environment responsibilities, etc. The For Youth By Youth Scholarship will provide up to 50% of the cost of an event. We encourage the youth s local parish to also contribute to the cost of their youth s participation, especially for those in need.
