1 HOLY TRINITY NEWS November/December 2013 Holy Trinity Community to Get Private Showing Of Russian Czar Exhibit at North Carolina Museum of History Where: North Carolina Museum of History 5 East Edenton St. (Downtown Raleigh) When: Thursday, November 7, 2013 Time: 6:30 p.m. We are so honored to be invited to our own private showing of the exquisite Russian Czar Exhibit. Fr. Paul, along with our amazing choir and altar boys will lead us in abbreviated Vespers Service at the Museum. Following the service we can tour the exhibit. Our dear sister in the Lord Lekita Essa is looking into a venue where perhaps (for those who are interested or able to) go out for a meal. More information to follow. 3 We have started the Ecclesiastical New Year in full swing and invite all women 18 and older to come join us for fun and fellowship while we make a difference in the lives of others. It is our mission to foster love and goodwill, to pledge our assistance to those less privileged, compassion and dignity to the vulnerable, and uplift the disadvantaged. At our first meeting in September we focused on literacy by bringing almost 100 new and used children s books as an entry fee which were distributed directly to children who may not own a book at home through schools and other programs that serve at-risk children. We have pledged to read to the children at the Hilltop Home on the 3 rd Tuesday of each month. The Hilltop Home admits children age birth through six years who have severe developmental disabilities and are medically fragile to the extent that their families are unable to care for them. We again follow our mission to help feed the hungry by bringing a non-perishable food item to each general meeting and we also stand with GOYA to serve at the men s shelter on the 2 nd Tuesday of each month. Contact a Philoptochos member to learn how you can join a team to serve. Yes, we also bake! If your talents do not include baking (or even if they do), we will lovingly share recipes and tips when you join us in baking for our Annual Holiday Bake Sale please see the Church website for our baking schedule. 4 together! Friday the 13th was anything but unlucky in September! We had our first Angels Hope and Joy gathering of the year by sharing a meal and some outdoor play on a beautiful Friday night. We enjoyed frisbee, cornhole, stomprockets, sidewalk chalk (and more!) and spent some quality time Please join us for our next event planned for Saturday, October 26. Fr. The tree even has olives! It is between the office and the Library Enjoy it! OPA! FALL STUDY CLASS The Fall Study Course continues on Tuesdays evenings at 6:30 p.m. in the Multi-Purpose Room. This year we are studying many of the feast days on the ecclesiastical calendar. We will be inspecting each feast from many angles, including the assigned Scriptural reading as well as the hymnography and iconography of the feast. The class will run through December 10. 6 The kick off for our 2014 Stewardship program is Sunday, November 24th. Stewardship packets will be available for pick up in the fellowship hall on Sunday, November 3rd, Sunday, November 10th, and Sunday, November 17th. We will be collecting Stewardship pledge forms on Sunday, November 24th at the end of the Divine Liturgy. 7 PARISH GENERAL ASSEMBLY, Sunday, November 3 AN OFFICIAL NOTICE to all Holy Trinity Parishioners. Everyone is invited to attend the next Parish General Assembly, Sunday, November 3. The Election Committee consisting of the following members: Tamara Costa, Genevieve Catenis, Emma Paradeses, and Stephanie Starr will present the nominated Candidates to run for the 2013/2014 Parish Council. The duties of the committee are to assemble the list of Candidates for the Parish Council Elections that will take place on Sunday, December 9. The Election Committee also has the responsibility to conduct the elections and to make sure the election procedures and by-laws are followed in accordance with our Archdiocese Uniform Parish Regulations. Any member in spiritual and financial good standing may nominate someone for the Parish Council by filling out the form below. The Parish General Assembly will include: APPROVAL OF MINUTES, TREASURER'S REPORT APPROVAL PROPOSED 2014 BUDGET, GREEK FESTIVAL REPORT '13, STEWARDSHIP UPDATE, BY-LAWS UPDATE, TOOZE ESTATE, CAPITAL CAMPAIGN & MASTER PLAN, NOMINATION OF CANDIDATES FOR PARISH COUNCIL AUDIT COMMITTEE ELECTIONS COMMENTS - PARISH PRIEST OLD & NEW BUSINESS ELECTION REQUIREMENTS/GUIDELINES In order to be nominated as a candidate for the Parish Council elections, you must be an Orthodox Christian in good standing ecclesiastically, morally, and financially, according to the Archdiocesan Uniform Regulations. Ecclesiastically means that you should be faithful in your worship and participation in the sacraments. Further, if married, you should have been married by an Orthodox priest. If divorced, after having been married by an Orthodox priest, this marriage should have been dissolved by an ecclesiastical divorce. Morally means you should be trying to live a Christ-centered life style according to the precepts outlined in the Holy Scriptures and the Canons of the Church. Financially means you should be a generous steward of the Church, giving according to the blessings the Lord has bestowed upon you, but at least according to the minimum guidelines prescribed by the Parish Council and approved by the General Assembly. You should also be available to attend every monthly meeting of the Parish Council on the second Wednesday of each month and assist in the various fund raising activities of the church. Please note especially the following By-Law approved by the Clergy-Laity Congress as a revision in the Archdiocesan Uniform Parish Regulations: A:ARTICLE XV, SECTION 3, PARAGRAPHS A-D All candidates shall attend a seminar conducted by the priest prior to the elections at which the priest shall discuss and explain the Uniform Parish Regulations and significance of the affirmation of office. At the discretion of the respective Hierarch, the seminar will be held regionally on Saturday December 1 from 11 AM to 2 PM at Holy Trinity Greek Orthodox Church in Raleigh, NC, provided that candidates are given appropriate advance notice and more than one reasonable opportunity to attend the seminar in a location within close proximity to the applicable Parish. In the event that an otherwise eligible candidate(s) cannot attend the scheduled seminar(s) for justifiable cause, the Priest shall meet privately with such individual(s) to provide the seminar. At the conclusion of the seminar all candidates will acknowledge that they understand the Regulations and will abide by them and the affirmation of office. If a candidate for the Parish Council does not attend a seminar and sign the statement, his/her name shall be deleted from the list of candidates. Holy Trinity Greek Orthodox Church Minutes of the General Assembly Sunday, July 14, 2013 Those in attendance: Attendance sign-up sheet posted for parishioners in good standing to qualify for voting. Quorum is present. Meeting called to order at 12:02pm by Meeting Chairman Mark Langford. Fr. Paul led us in an opening prayer. Approval of the Minutes: (posted in June HT Newsletter) from last General Assembly of Sunday, April 7 th, Minutes reported by Meg Economy. Motion to approve was made by Mary Helen Winstead, seconded by Rhonda Milkovich. Motion carried. Treasurer s Report presented by David Ford, referred to the Executive Summary (attached). He shared that Holy Trinity is in a good financial position for the month of June. He reported that the Net Ordinary Income has been negative for a while, and he wants to see us in the black this year. John Demos reported positively on Stewardship, with notes showing a 5% increase in parish families pledging and 9% increase in stewardship income. The majority of pledging families are meeting their pledged amounts, with 25% of our income from unpledged funds last year. Overall we show excellent stewardship in our parish. David referred to the Balance Sheet, which currently doesn t indicate funds deposited from the Tooze estate, and answered general questions. Harry Kledaras commented that our property values (equity/assets/net worth) should be indicated on our balance sheet. Presbytera Mary added that our Metropolis supports that, including depreciation of assets. She noted that it would require more work, but can be done. Presbytera offered to guide this process for the parish. John Demos made a motion to approve the Treasurer s Report, seconded by Maria Kamos. Motion carried.
8 General Assembly Minutes Sunday, July 14, 2013 Page 2 Mark presented a brief update on the Tooze estate, reporting that current funds deposited into our operating account totaled $443,000. We expect the sale of the townhome to be completed within two weeks, which would add $90,000 additionally. The estate should be settled later this year, when a decision on disbursement of funds can be made by General Assembly. Bylaws Review reported on by David Ford, who thanked the Bylaws Committee for excellent work. Some remarks followed on Metropolis compliance and timing for approval, thorough committee meetings and posting of the changes for parish review over the past year. David presented the key points. General discussion followed. Motion to approve made by George Kapetanakis, seconded by Kevin Stavredes. Majority approved submitting the document for Metropolis approval, and the motion carried. Festival Update provided by Harry Costa, reporting a favorable cost analysis so far this year. He thanked all the volunteers who have helped with preparation. This is our 32 nd year, we ve seen many changes through the years, and this will be his last year as chairman. Jason Kekas will become Chairman for 2014, with Frances Mathes stepping in as Co-Chair. A new feature for this year will be a festival app linked to our webpage. Harry restated the critical importance for commitment from the entire parish in moving forward with future festivals. Audit Committee Report presented by Tom Mathes. He reported that the payroll, cash receipts, expenses and disbursements, tray collections, insurance, and profit & loss statements have been audited and show no discrepancies. He made a recommendation that high -resolution photos be taken of Holy Trinity s fine art items (including icons, stained glass, altar items). Since these items are not common to all churches, we need to maintain a clear record for insurance purposes. Mary Helen Winstead made a motion to accept the Audit Committee s report, seconded by Meg Economy. Tom added that inclusion of the audit report is now required with our 1040 assessment to the Metropolis. The Parish Council will follow up with our insurance agent to visually secure the high art items with the best method. Tom also recommended that we have these items professionally appraised. Beba Zevgolis called for the question, and all voted to accept the audit report. Motion carried. Nominations for the Election Committee were called for by Mark, and those nominated include Tamara Costa (Chair), Gen Catenis, Emma Paradeses and Stephanie Starr. All approved, and the nominations carried. Motion to Adjourn made by Jim Klemes, seconded by Arthur Paradises. Meeting adjourned at 1:27pm. Closing Prayer by Father Paul. 11 PARISH COUNCIL ELECTION PROCEDURES FOR DECEMBER 8, 2012 HOLY TRINITY GREEK ORTHODOX CHURCH, RALEIGH, N.C. Elections for the 2014 Parish Council will be held on Sunday, December 8, 2013 in the Sunday School Wing and will conclude at 2:00 PM. Parishioners unable to be present to vote may do so by Absentee Ballot. It is important to keep in mind that only members in good standing may vote. Members in good standing are those who have completed their 2013 Pledge Card and have contributed 75% of their annual contribution. Those who have not yet met their obligations must do so prior to the commencement of balloting. Voting procedures in the Sunday School wing are as follows: 1. Beginning immediately after the end of the Divine Liturgy on December 8, 2013, and until 2:00 PM, each parishioner shall have his or her voting eligibility verified by representative of the Parish Council Executive Committee, and assigned Election committee members, at the "ballot table". 2. The official ballot, given personally to the voting member, shall list the names of all candidates. The voter should place a "cross" next to each name of his or her choice. Any ballot with more than 8 crossed names shall be voided. 3. The marked ballot is then inserted into the ballot box in the presence of the Election Committee. Voting By Absentee Ballot Those members wishing to vote, but unable to come to the Sunday School wing to vote, must request his or her Absentee Ballot from the Church Office in person or by personal phone call. One Absentee Ballot, bearing the Church Seal, shall be mailed to the voting member only. The Chairman of the Board of Elections can waive this requirement, if the voting member is incapacitated or elderly, by dispensing the ballot to the appointed member of the family. The Church Office shall keep a written log of the number of Absentee Ballots dispensed and the names of the requesters. Absentee ballots with the Church Seal will be dispensed by the Church Office Manager in accordance with the prescribed procedures stated above by the Chairman of the Election Committee. The Absentee Ballot requested shall be dispensed with two (2) envelopes. The packet mailed will include: 1. One plain, unmarked envelope containing the ballot. 2. One outer envelope self-addressed to the church and stamped with required postage. The voter's name will be printed in the upper left hand corner of this envelope. The voting parishioner must personally sign his or her name below his or her printed name. If the outer envelope used to mail back the Absentee Ballot is unsigned, the ballot will be voided. After the Absentee Ballot is properly marked with crosses next to the name of candidates (not to exceed 7), it must be hand delivered or mailed to: Election Committee Holy Trinity Greek Orthodox Church 5000 Lead Mine Road Raleigh, NC ABSENTEE BALLOTS MUST BE RECEIVED NO LATER THAN 1:00 PM, SATURDAY, DECEMBER 7. 12 DUTIES FOR PARISH COUNCIL MEMBERS Arrive at 8:00 for Sunday services. Arrive at least 30 minutes before weekday services. Prior to Liturgy: Check with Father for special needs If there is a memorial, rope two or three pews off on front right Remove vigil candles that are no longer burning. Put chairs on front rows. If it is a holiday or there is no chapel, put chairs in center aisle. Discuss this with Father first. Place rope across back two pews to keep people from entering through the center aisle Clean Icons in the Narthex Make sure booklets for Orthos are placed on the candle stand prior to Orthos Light the hanging Vigil Lamp in front of the Icon of Theotokos Use the Allen key to unlock the doors for people to enter from rear parking lot and front door. Stock candle stand. Candles are stored in the room next to the Library; key to the room is in the candle stand Put today s date in the guest book and move welcome table to left of entrance Open Sunday School room doors (keys are in drawer under candles), turn on lights, and put chairs down Adjust all thermostats except sanctuary: 72 for air conditioning and 68 for heat. Turn on bathroom lights. Turn on hall lights and adjust thermostat Turn coffee machine on, put 13 oz of coffee in filter on each side Cut prosforo and take to the Alter Put out sugar, milk, cups, etc if no one is hosting coffee hour If there is a Chapel Liturgy: cut prosforo for children; make sure chairs are set out; place the candle stand and icon at entrance to Chapel. Check during the service to see if anything is needed. After the service get collection money, put with candlestand monies. Find Ambassador and ask them to come to back of church after Lord s Prayer. If you need them earlier, use them. Ambassador should help with ushering at communion, passing trays, pouring coffee, etc. During Liturgy: As soon as Doxology starts, turn up chandelier lighting. Welcome visitors and have them sign in, fill out form to put in offering tray to give to Father One person should stay at candle stand to give change and answer questions at all times. Only PC members should handle money. When GOYA is serving, they should not make change a PC member must be present at all times. One person should stay at doors into sanctuary to make sure doors are closed or blocked at appropriate times One person should be responsible for extinguishing candles once they have burned down Direct people to empty seats Suggest nursery to parents of young children Take vigil candles into church (five day candles) Remove rope in Center Aisle before Great Entrance Close or block doors at these times; do not light candles or seat people at these times: Small entrance, Epistle and Gospel readings, Great Entrance, Creed, Consecration, Lord s Prayer Do NOT light candles or usher people in when Father is standing outside the altar door Assist with Communion- one person on each side, one in front and, one at rear of church. One stay at candle stand Light candles for a memorial or Artoclasia service and carry bread or Koliva out For Artoclasia service, pull table into the center of the Solea If there are two memorials with separate Koliva, pull tables together into the center of the Solea Pass offering trays Turn on water in coffee machine. After water fills urns, add additional water to coffee. After Liturgy: All team members must stay to help with money and with cleaning/locking Ambassadors will pour coffee and help with coffee hour Count money from candles and collection trays and make deposit Clean kitchen, including coffee pot Restock candle stand Clean the pews in the Sanctuary and straighten books on pews Turn off all lights, Adjust thermostats Double check exterior doors in Sunday School rooms Turn off bathroom lights Remove chairs from front of sanctuary Check with Father for other needs Lock the church or check with whatever group is still in the Church.
