All of our programs offer anytime, anywhere Web access to your data, and we have a couple of options. Remote Solutions gives you access to your ParishSOFT-hosted desktop programs and database. Our Web-hosted ConnectNow programs My Own Church, Online Giving, Ministry Scheduler and Ledger & Payables are true Web applications that integrate with your Parish Family Suite of desktop products, so staff can work from anywhere. Your parish members can also log in to do their own online registrations, address updates, online giving, and scheduling preferences. (See page 2 or visit for more information.) Bulk Mail Needs 2-Column Address Labels When printing labels for automated bulk mail rates, you ll need to use a 2-column label page that accommodates the full ZIP+4 barcode. The standard 5160 address labels, which use a 3-column page layout, are not wide enough to print the barcode. When we encounter those around us who are generous with their time, talent and treasure, we recognize them as persons who put their Christianity into action. Giving, however, doesn t always come easily. It s one thing to take blankets and clothes to the neighbor whose house just burned down, but it s quite another to give money when we ve lost a job or are concerned that our church may not handle the funds wisely. Habits can also work against giving missing Mass, forgetting church envelopes, believing the parish has enough donations without ours. Sometimes we ve simply become accustomed to a lifestyle that requires all of our income to support. Copy an entire school year of sessions and classes and change just a few details to freshen the information for the new year ( cloning ). Register an entire class in their next religious education class ( promote ). See for video help or the Religious Education User Guide for details. You may also use the built-in tools to help complete sacrament completion details ( bulk register ) and student milestones ( bulk complete ), but the process for these two items still requires some laborintensive steps, which we are planning to automate. See pages 130 amd 132 of the Religious Education Users Guide for details. Reach out to families who are not registering for this year. TECHNOLOGY CORNER New Features in Version We consistently deliver new and improved features to save you time and help you connect more completely to staff, parishioners, and the communities you serve. Highlights you ll find in the latest version are listed below. ParishSOFT Lists Work with Constant Contact Use the contact information already in your ParishSOFT database to connect through Constant Contact with staff, volunteers, ministry groups and parish families. Launch Constant Contact from your Family Directory, Religious Education, Time & Talent or Offering & Pledges module. A Simpler Update Process checks, upon administrator login, the installed version of ParishSOFT via the Web. If an update is available for your parish (synchronizing parish system versions are checked against the diocesan-approved version of ParishSOFT), we ll prompt the parish administrator to install the update now or defer the update up to 30 days. Installation is fast and easy, with a few simple prompts to click through. During the installation process, we ll run automated backups of ParishSOFT Reports, Tuition, and template files, as well as perform a Compact and Repair on the database. Ministry scheduling If you re using a spreadsheet for ministry schedules, stop! The Time & Talent scheduler uses member names already in your database (compliant with the Golden Rule above!) and lets you create schedules for liturgy and other events efficiently. Our new ConnectNow Ministry Scheduler product will soon let your ministers handle their own substitutions and exception dates over the Web, and it integrates with the desktop, giving you the ultimate in flexible scheduling tools. 4. Promote your online resources. Your parishioners are already using the Web for online bill payment, communication with their children s schools and, well, most everything. It just makes sense that they should connect with their parish online, too. ParishSOFT s new ConnectNow programs are easy for members to use, and they make giving, scheduling and record administration easier, more accurate and convenient for everybody. 5. Know your statistics and demographics: Use data to improve finances and ministries. Lockbox Imports Enhanced for Multi Pledges, Templates Updated The system will now prompt you to match any contributions being imported from a bank data file to the correct pledge if the family has made multiple pledges to a particular fund. The Lockbox Import template for ParishPay has been updated to accommodate important data field changes in the Parish- Pay system. Parish IQ Updates include many enhancements to improve your query results. Salutation fields are also now available. [By using best practices] we can enhance the mission of the church and the utilization of financial resources for ministry. Bishop Richard Pates, Diocese of Des Moines Thanks to ParishSOFT, I learned how to send our quarterly pledge reports via . This process used to take me a week or more, and now it takes just a few hours. In the week after the first s went out, pledge payments were double their normal levels. Theresa Hofer, Business Manager, Christ the King Parish, Ann Arbor, Michigan needs, build programs and bring people back to the faith. Just run your standard ParishSOFT reports or use Parish IQ to get the information you need. Then connect with exactly the right group of people. Ask members who have never volunteered before to help serve coffee and donuts after Mass. Ask a parent with a child in your Religious Education program to be a catechist. Begin a special steward ship appeal to your non-givers and track their pledges using a special fund in your Offering & Pledges module. 6. Market your ministries, publicize their successes. Good public relations have a place in the parish. Tell your members which ministries your parish offers by using your website, a brochure or both. Describe the purpose of each ministry and the commitment level and expectations for volunteers. Provide the name of a leader who can answer questions about each ministry. Share stories throughout the year about how your ministries positively impact the community. Hold a ministry fair to sign up new volunteers, and don t be afraid to invite someone personally to serve sometimes the one-on-one appeal is the most effective. 7. Make giving a part of your church culture. Don t be embarrassed to ask for money the truth is that without funds, there is no ministry. State your stewardship goals clearly and passionately, connect stewardship with a compelling vision for your ministries and look for different ways to appeal to families. Consider asking for 100% response. Give families different ways to contribute, including Online Giving by bank account or credit card. This method is the easiest for your church to administer, provides the most stable income and offers the best security for family account information. Online Giving can increase your church income at least 35%. Other EFT methods require more administration, but they will work, and { PARISHSOFT OFFERINGS SUMMER 2009 PAGE 4}

Use your software to review how you re doing periodically throughout the year and report your findings to the parish and individual families as appropriate. 8. Protect your finances, use sound accounting practices. Families give to the organizations they trust, and churches need to use business-proven best practices to sustain parishioners trust and reduce the risk of fraud, embezzlement and misuse of church funds. Independent audits, regular finance council meetings and detailed reporting all promote credibility and accountability. Accounting software like Ledger & Payables provides a standard chart of accounts to provide better information in a consistent format. It also integrates with your Parish- SOFT Offering & Pledges Program, so batch postings need to be entered only once. 9. Cut printing and mailing costs. Most of your parishioners use and other electronic methods to manage their personal business. Delivering registration forms, schedules and reminders electronically makes sense from a financial, administrative and effectiveness perspective. 10. Learn, innovate and share. Get trained on the tools you have so you can be sure you re using them to their fullest potential. Avoid the administrative rut by committing to continuous improvement for your parish staff. Users groups and webinars (ParishSOFT s webinars are free) are great resources for best practices and reliable information on new technology for churches. The dioceses of Des Moines, Atlanta, St. Petersburg and Toledo all have active users groups that provide training and support. If your diocese doesn t have a users group, call us, and we ll help you get one started. Finally, update your software. ParishSOFT s current version is If you re using something older, you re missing out on a lot of great enhancements that could save you time and money. In this economy, financial health doesn t have to be an oxymoron. With judicious use of your existing resources, you can reduce your costs and create more time for ministry. Incorporate the new Connect- Now products, and you can increase your income and administrative efficiencies exponentially. The economic crisis holds much promise as an opportunity for parishes to reconnect with the basics of Christian community. Nothing builds a sense of belonging more than working shoulderto-shoulder with brothers and sisters in Christ to help others. TURNOVER, KNOWLEDGE TRANSFER CHALLENGES FOR PARISH STAFF In keeping with our mission to listen to our customers, we ve begun a series of site visits to parishes using our software. These visits help us provide better products. We also learn about your challenges and connect you with solutions from thousands of other parishes. We were a little surprised to hear from so many of you how frequently staff turnover disrupts the rhythm of your parish offices. Many of our other parishes have tackled this very issue, and we hope their solutions will help make life at your parish office a little easier. Document what you do. Rather than being the only person in the office who knows how to do things, take time to write and update Standard Operating Procedures (SOP s). Parishes in the Atlanta use SOP s to set data management guidelines and provide documentation that keeps records consistent and reliable within the parish and across the diocese. SOP s are a great resource for other staff members who may need to fill in for you and the next person hired to do your job. Keep records you (and others) can trust. Sound data management practices, used consistently by everybody, deliver accurate information that helps each staff member do his or her job. With good records, staff will make better-informed decisions, budgets and ministry programs. Your church will keep connected with more families and members. And your reports and mailings will not only be correct, they ll look professional. SOP s and users groups can help you keep better records and reach consensus on what your data standards should be. Take advantage of Parish- SOFT s training tools and knowledge base. ParishSOFT offers online self-help tools (videos, FAQ s, user guides, forums) and hands-on teletraining courses for all levels of users. So whether you re a new staff member or an experienced user who could use a refresher, we have a class to help you get your job done more efficiently.
