Youth Retreat Registration Packet White Oak Conference Center Youth Striving to Be Great!

Dear Youth Retreat Participants: Thanks for choosing to attend our 1 st Annual Youth Retreat. We re really looking forward to your attendance. The Gethsemane Baptist Association Youth Auxiliary is responsible for identifying spiritual, social, psychological and academic needs of young people. It is also our responsibility to sponsor youth enrichment activities. The Gethsemane Baptist Association promotes united efforts among its churches. The Youth Auxiliary of the Gethsemane Baptist Association is sponsoring a Retreat at The White Oak Convention Center, Winnsboro, SC; Friday thru Saturday, August 5-6, 2016. The Retreat will focus on children and youth, from elementary to high level. We are anticipating 150 youth striving to be great. The activities will culminate on Saturday with a cook-out, games, back to school supplies give away, and other fun-filled events. Please consider joining our joint effort to save our children. We realize the problem is too large for one church, one prayer, one community, one profession, one corporation, one volunteer and even one effort. It will take a joint effort. Retreat Policies Supervision: The Gethsemane Youth Auxiliary requires all churches participating in our retreats to provide adult leadership to supervise their youth while here at the retreat. We have found that it works best when there is at least one advisor for every 6 youth. Each Church s Youth leaders/advisors/chaperones are ultimately responsible for the supervision of their youth. There will be several youth groups attending and it is our primary goal to ensure everyone s safety. Health Forms/ Permission Slips: Enclosed in this packet is a copy of The Gethsemane Youth Auxiliary Retreat Health Form/Permission Slip. You must bring a complete and signed copy of this form for each participant. These forms are mandatory and youth cannot participate without a form signed by a parent or guardian. We suggest that each group hold onto their forms, so that they are easily accessible in the event of a medical emergency. We will check to verify that you have the forms. Safety/Emergency Information Emergency Assistance: The White Oak office number is (803) 635-4685 or (800) 723-7242, ext. 5900. You may call this number 24 hours a day. Calls after 5:00 p.m. may be answered by the answering machine, which will give you the telephone number of the staff person on call. The emergency phone located in the entrance of the Administration Building may be used for on-campus emergencies after hours. The phone number of the person on call will be posted in view. On weekends, the weekend coordinator, manager, or director is on call. There may be limited cellphone signal services at the Conference Center. Other Regulations: Health Department policy prohibits: pets, alcoholic beverages, illegal drugs, and weapons of any kind including firearms and ammunition are prohibited. Smoking is not allowed in any of our buildings. Roller skates, roller blades, scooters, and skateboards are prohibited. CAMPSITE HEALTH & SAFETY Do not climb into or out of windows at any time EXCEPT in the case of an emergency. Please be mindful of and stay away from all wildlife on site. Insect repellant is advised to deter mosquitoes and ticks. Please park in designated parking areas. Smoking is not allowed inside any building!

WATERFRONT REGULATIONS Lake: Our 25 acre lake is beautiful and filled with a variety of fish. From a paddle boat on the lake, canoeing or while hiking the path around the lake, our guest may enjoy the view and catch a glimpse of occasional deers, turkeys, or rabbits. All lake participants must wear a life jacket tied and fastened that we provide. Pool: Girls are to wear one piece suits and Boys swimming trunks. Each swimmer should have a buddy when in the water so everyone can be accounted for quickly. If you are a non-swimmer please stay in the shallow end. CARE OF SITE & BUILDINGS: We are fortunate to have a beautiful 840-acre site, and to help us maintain its beauty we ask you to help us by picking up and disposing of litter around the site when you see it. Also feel free to use the fireplaces. Additional instructions are in each building. Thanks for your help! First Aid: White Oak Conference Center has trained first aid staff on campus. Any accident or injury should be reported to the front desk immediately. In emergencies White Oak Conference Center will call 911 and/or local emergency squads to serve us. There are two hospitals within 15 minutes of campus. Emergencies will be directed to Fairfield Medical Associates or Fairfield Memorial Hospital in Winnsboro, SC.

General Retreat Info What to Bring: Clothes: Dress for the weather!! Bring casual clothes that you do not mind getting dirty and a change of clothes if you do get dirty. There will be outside games and activities as well as free time. Appropriate weight coats, raincoats, sneakers, extra shoes, mittens, gloves, Etc. Layers! Miscellaneous: Bring your Bible, flashlight, pen/pencil, paper/notebook, toiletries (Soap, Shampoo, Toothbrush, etc.) Optional: Volleyball, Frisbee, kickball, basketball, Guitar, camera, fishing pole and tackle, sun block, and spending money for Hub Café. This list is only a suggestion of what you will need for the weekend. Please check the weather for your visit!

Check In/Check Out Procedures Check In/Check Out Check in time for the motels and group house is 4:00 pm. Check out time for the motels and group house is 11:00 am. Times other than these must be agreed upon and authorized by WOCC. Group Registration Desk WOCC will gladly check in your group at the front desk, or you may register your own participants. If you decide to register your own participants, tables may be setup in the lobby of the Classroom Building, Beacham Auditorium, or Lecture Hall lobby Directions to White Oak Conference Center From Columbia (Two Ways) - 1. I-77-Travel North toward Charlotte. Get off at exit 46 (SC 20) and take a left at top of ramp. Travel approximately 3 miles and come to stop sign. Go straight approximately 5 additional miles. White Oak Conference Center will be on your right. 2. Highway 321 North -Take 321 By-pass around Winnsboro, Travel North on 321 for approximately 8 miles until you see White Oak community sign. Turn right at this sign and travel 3/10 mile. First right will turn onto Mobley Hwy. White Oak Conference Center is 1/2 mile on left.
