Congratulations for showing interest in the roles of an officer of the Holy Rosary Council. We have provided you a summation of officer duties so you can take the opportunity to review and become familiar with. If you have questions after doing so, please see the Advocate for clarification. Thank you again! Council elections are conducted at the June Business meeting and all offices are open to all members who have achieved the Third Degree. GRAND KNIGHT - elected by the membership for a one year term Is the highest ranking elected officer of the council and is responsible for observing the laws of the order and the council. He is also responsible for the overall welfare of the council and will: Foster an atmosphere of cooperation and teamwork in the council. Establish council goals (both membership and programming) for the fraternal year. Preside over all council meetings and functions; host monthly council officer meetings. Appoint committees as required Act as chairman for the past grand knight dinner. By right of office is a member of all committees. Along with the treasurer and financial secretary he is responsible for the creation of a budget fraternal year. Co-sign checks with either the Treasurer or the Deputy Grand Knight. Appoints the lecturer, chaplain, membership director (if need be). He is responsible for educating the deputy grand knight in the workings of the council to prepare him for his term. Act as chaplain in the absence of the council chaplain or church director Represent the council at all building corporation meetings Be responsible along with the deputy grand knight for formulating a slate of officers for the following fraternal year Be responsible to oversee the communication committee which includes the newsletter, website and e- mail communications.* Be the contact person for the ladies auxiliary. *Communication Committee along with the Grand Knight is responsible for seeing that information is communicated in a consistent and timely manner to all members of the council and the public using multicommunications channels. (i.e.: website, LinkedIn, email, Facebook, Google Calendar, monthly newsletter, mail, etc.) Obviously these tasks are far too much for one knight alone. they must be achieved by teamwork through generous and eager cooperation with the council s family it is the grand knight s obligation, by his actions and his words, to inspire mutual cooperation and voluntary service among members. - 2 -
DEPUTY GRAND KNIGHT - elected by the membership for a one-year term Is the assistant to the Grand Knight and will preside over meetings in the absence of the Grand Knight. Has check signing privileges along with the Grand Knight and Treasurer Co-chairs the Newman Charity and the Vocation Raffle Charity with the inside and outside guards Is the chairman of the Charity Committee* Is Chairman of the Retention Committee** Chairs or Co-chairs the Intellectual Disabilities (ID) Tootsie Roll drive which includes the overseeing of the financial aspect and is expected to be on-site the Friday and Saturday of this event *Charity Committee consists of four members appointed to three- year terms by the Grand Knight and Deputy Grand Knight. The Charity Committee is responsible for reviewing and presenting all requests to the council-at-large for approval at the monthly business meetings. **Retention Committee includes the three trusties and the financial secretary. The committee will personally contact all members who are delinquent in their payment of annual dues. CHANCELLOR - elected by the membership for a one-year term He is charged with strengthening the member s interests in council activities. He will preside over a meeting in the absence or inability of both the grand knight and deputy grand knight. He primarily assists the Grand Knight and Deputy Grand Knight in the execution of their duties. Reports on events that the council is running at meetings With the assistance of the Grand Knight arranges for chairmen for each event Sets up and maintains the yearly calendar while working with the Grand Knight, Lecturer and Church Director. Notifies the hall manager in ample time about council and special events (for example: poker dates) to secure these dates on the hall calendar. Is the lead person for the Resource for Community Living Christmas party which is a council sponsored event held in December. Ensures that the Church Director properly executes his duties of addressing the needs of the church and spiritual needs of the council Responsible for the following standing committees: o Respect life o Rosary o Youth Activities (Squires) o Church Director o Lecturer o Sword and Baldric - 3 -
WARDEN - elected by membership for a one-year term Is charged with of recruiting new members and establishing and maintaining a membership committee* which also includes a close working relationship with the insurance field agent. Supervisees the Inside and Outside Guards Is responsible for the care of the ceremonial items including robes, banners and jewels Is responsible for the setup of all council meetings (assisted by the guards) this includes chairs, tables, flags, cross, podium and jewels. Insures the qualifications of those attending business meetings and will report this to the Grand Knight. Reports on membership candidates at business meetings Is responsible for coordinating degree ceremonies with the degree team Is responsible for coordinating an annual council open house with the Grand Knight and Chancellor Insures the qualifications of those attending business meetings and will report this to the Grand Knight. Shall maintain and keep stock of all recruitment literature and order such as need be. *Membership Committee consists of three or four members appointed by the Warden (approved by the Grand Knight) to assist in recruiting new members and seeing that events are created and communicated to attract interest and attendance by potential knights. FINANCIAL SECRETARY - appointed by Supreme with recommendation from GK,DD, & Trustees for a term of three-years. Receives and records all monies taken in by the council, whether from events, dues, fees etc. turns these monies over to the Treasurer and will present these records for review by the Trustees at the semi-annual audit. Collects dues from members and maintains an active record of their indebtedness. Keeps the council records for all members Keeps the seal of the council Writes warrants to initiate payment of bills by the Treasurer TREASURER - elected by the membership for a one-year term He maintains proper records of all monetary transactions for review at the semi-annual audit of the trustees and Grand Knight and reports the financial status of the council at the monthly business meeting Will create an annual budget for review Will report quarterly on income and expenses against budget controls any council savings or CD account Deposits in the council checking account all monies received from the financial secretary. Will issue checks as required for council business against the council account Will sign all council checks, co-signed by GK, DGK, or a PGK. Makes disbursements and deposits only as approved by the membership - 4 -
RECORDER - elected by the membership for a one year term He keeps records of all doings of the council in the minutes log book. Will recite at each meeting from notes taken at the previous meeting Will conduct all correspondence necessary for the functioning of the council at the request of the Grand Knight and the other officers ADVOCATE - elected by the membership for a one-year term Interprets the laws of the Knights of Columbus when situations arise Will be the guide to parliamentary procedure-to keep the business meeting on track Acts as chairman of the bylaws revision committee TRUSTESS elected by the membership for a three year term The board of trustees consists of three members (elected by the council) and the Grand Knight, who serves as chairman of the board. They oversee the work of the financial secretary and Treasurer through the semi-annual audit. With the Deputy Grand Knight, serves on the council s retention committee. During council elections, only the three-year trustee is voted on, with the others moving on to become two-and one-year trustees, respectively. Also acts as mentor to the current Grand Knight. INSIDE AND OUTSIDE GUARDS elected by the membership for a one-year term They are under the supervision of the warden. Assist the Warden in setting up and taking down of the council chambers for meetings Ensures that all persons entering the council chambers are current dues paid up members of the proper degree status Conducts the 50/50 raffle at dinner after the business meeting as well as other events as designated to defer meal expenses Will conduct the annual Vocation raffle while conferring with DGK Assist with the Newman drive while conferring with the DGK. LECTURER - appointed by the Grand Knight Insures that the membership is provided with informative and enjoyable entertainment at social meetings Works closely with the chancellor in scheduling these events for the yearly calendar Assists the Chancellor as needed for the social meetings and other special events Coordinate special events at the request of the Grand Knight (i.e. Keep Christ in Christmas) Works with Church Director on the Fatima walk in the park (October) AND Thanksgiving Mass. - 5 -
CHAPLAIN - appointed by the Grand Knight As the council s spiritual advisor, he is expected to make a report at council meetings consisting of any business matters relative to his office and a brief talk by him on any religious matters. Serves as an advisor to the church director and members of that committee In the case that the Chaplain is a priest, the council officers will provide him with as many opportunities as possible to present the teaching phase of his ministry for the benefit of the council members, their families and possibly the community. In the case that the Chaplain is a priest, no other specific duties in regard to running the council are assigned to him. CHURCH DIRECTOR - appointed by the Grand Knight He assists the Chaplain in addressing the needs of the church and spiritual needs of the council. In the absence of the Chaplain, during meetings, he will lead the council in prayer. Arranges for corporate communions at the various parishes Works with the rosary committee and May Crowning committee. Schedules and set up with the lecturer our Fatima walk to the park in October. Schedules and sets up with the lecturer the annual thanksgiving mass. Will work with a care ministry* person or team appointed by the Church Director to arrange for: o Masses to be said for deceased members and their families o Cards to be sent to members or their families who are sick in the hospitals, nursing homes or at home o Sympathy cards to be sent to family members of a deceased member o Delivery of flowers to the funeral home for a deceased member or spouse from the council *Care Ministry (person or team) will keep track of the brother Knights that need to be included in our prayers. The Care Ministry will also make arrangements to see that personal contact is made with brothers who need to be visited during their illness. The Care ministry will also arrange for flowers to be sent for funerals on behalf of the Holy Rosary Council. - 6 -
