Conference checklist for group leaders: o Read over the entire packet first and contact the Office of Youth & Young Adult Ministry if you have any questions o Make copies of youth registration forms and distribute to 6 th, 7 th, and 8 th grade aged young people of the parish o Make copies of the ACYC JR. promo flyer and place them around your parish and/or school o Recruit chaperones! Introductory Letter & ACYC JR. Theme For many years, the high school aged youth of the Archdiocese of Mobile have come together for an annual Archdiocesan Catholic Youth Conference, most commonly called ACYC. After much prayer and discernment, the Office of Youth & Young Adult Ministry rebranded the diocesan junior high youth rally as ACYC JR. The most recent ACYC JR. in May 2018 attracted over 130 participants. We hope that the 6 th, 7 th, and 8 th graders of our diocese will come together, much in the same way that our high school teens gather for ACYC. Because we see this event as a close extension of ACYC for the high school teens, ACYC JR. follows a similar purpose, structure, and theme to the high school conference. Faithful Echo will be the theme for ACYC JR. this school year. As ACYC JR. falls on the feast of Our Lady of Fatima, we are focusing on discovering Jesus through Mary. St. Louis de Montfort, in his Treatise on True Devotion to the Blessed Virgin, wrote: She is an echo of God, speaking and repeating only God. If you say "Mary" she says "God". When St. Elizabeth praised Mary calling her blessed because she had believed, Mary, the faithful echo of God, responded with her canticle, "My soul glorifies the Lord." What Mary did on that day, she does every day. When we praise her, when we love and honor her, when we present anything to her, then God is praised, honored and loved and receives our gift through Mary and in Mary. Our hope is that our young people will become faithful echoes of God, so that when others see them, they see and hear the Lord working in their lives. Mary was the first to follow and say yes to Jesus. We look to Mary as a model and example to learn what it means to be a missionary disciple of Jesus Christ. Our young Church is not only the future of the Church; they are an integral part of the Church of today. Young people from our parishes and Catholic schools are encouraged to join us at ACYC JR. for fun, fellowship, and faith. We pray that by God s grace through the intercession of the Blessed Mother that our time together as one Archdiocesan family be full of grace and peace to lead us forward in building up the Archdiocese and the Kingdom of God through a deeper unity with Jesus Christ. 3

For Your Information - ACYC JR. will be held at Our Lady of Guadalupe Parish in Wetumpka, AL., on October 13, 2018. Registration will begin at 9:45 a.m., and the programming will begin at 10:00 a.m. Our day will close around 5:00 p.m. - Conference Registration Fee is $30 per participant (youth and chaperone). Registration includes lunch, t-shirt and all Conference supplies and activities. - We understand that some parishes may not have a middle school youth ministry program; however, we do not want to exclude those parishes. If families would like to register as a group, they are more than welcome to do so if the parish is unable to register a group. - Photos and videos of our conference may be used for Archdiocesan publicity including but not limited to OYM website, the Catholic Week, OYM social media, recap and promo videos, etc. If a parent would like to opt their child out of the photographs and video, please contact OYM. When preparing your group for registration, please keep these things in mind: 1. No individual registrations will be accepted. Registration must be as a parish group or family registering as a group. 2. ACYC JR. is open to 6 th, 7 th, and 8 th grade aged students and chaperones only. 3. All chaperones must be in compliance with the Archdiocesan Child Protection Policy. Each parish is responsible for verifying their chaperones compliance. 4. There must be one chaperone for every 7 youth participants. 5. All names, t-shirt sizes, and registration forms are due to the OYM by October 1, 2018. Payment may accompany the packet, or may be turned in on the day of the event by parish/school request. 6. To be considered registered- every person must have a registration and liability form, plus the code of behavior form for each youth, turned in to the OYM. ACYC JR. Guidelines for ADULT CHAPERONES Dear Chaperone: First, thank you for your willingness to serve as a part of ACYC JR. Without you and your active participation, your young people could not attend the Conference and we are appreciative of your ministry as a chaperone. As we tell our young people, you will only get out of the conference what you put into it. We thank you for the generosity of your time and talents. Young people look to you as mentors and guides. They will pick up if you are not participating fully in a session, in prayer, etc. Chaperones are as much of participants as our young people, so our staff expects you to fully and actively participate in all activities as much as possible. If we are praying, we are ALL praying. If we are singing, we are ALL singing. The following are some guidelines that you should be aware of in preparation for ACYC JR. this year: As a chaperone, you are expected to attend and supervise your youth at all sessions and workshops during the conference. Please have your group arrive a few minutes before sessions begin to ensure that everyone is on time. Youth and adults must wear their nametags at all times. Chaperones must refrain from tobacco use and alcohol consumption during the conference. We understand how difficult this may be for those who smoke or chew tobacco, but we ask that you make the sacrifice for the sake of our young people You may not bring or possess illegal drugs, alcohol or weapons of any kind. Please do not bring laptops or ipads to conference sessions. Chaperones are expected to supervise our young people and to avoid technological distractions. Turn cell phones off or to silent mode during all conference sessions. Each parish accepts full responsibility for any damage or theft caused by members of their group while attending the conference. Every parish must adhere to the Archdiocesan chaperone ratio of one adult per seven youth participants (1 to 7). Parish group leaders are responsible for the actions of the members of their group. Adult chaperones in each group are asked to enforce the code of behavior and set an example for ALL young people at the conference. Chaperones do not have free time away from their youth during the conference. Adult chaperones are to know the whereabouts of each of their attendees at all times. If needed for health reasons, I give permission to be evaluated, diagnosed, treated and/or given medication in accordance with standard medical practice by licensed medical personnel. I relieve the Archdiocese of Mobile of all responsibility and consequences that may arise as a result of this treatment. I agree to accept any and all financial responsibility as a result of scheduling medical treatment. I wish to be advised as soon as possible prior to any further treatment by the hospital or doctor. ACYC JR. Code of Behavior for Youth Participants I,, understand that by participating in ACYC Jr., I am promising to cooperate with the conference leaders and staff, youth ministry leaders, chaperones, the young people in my and other youth ministry programs, and the Holy Spirit. I promise to behave as a Catholic young adult and to follow directions and rules, knowing that I represent my church parish and the Archdiocese of Mobile. If I do not follow these standards I can be dismissed from the conference at my parent s expense. If I am removed from the conference, the proper administration at my parish and/or school would be notified. I understand that I may not bring tobacco, alcohol or illegal drugs, nor may I purchase and/or consume alcohol or drugs during the conference. I will not bring any sort of weapons to the conference. If I do, I understand that I will be immediately dismissed from the conference, and that my removal would be reported to parish/school administration. I will also be an example to others in modesty and speech. I will dress in a fashion that represents modesty and good taste, respecting other participants and our Lord. I will use positive and wholesome speech during the conference, understanding that foul and abusive language is not permitted. I will attend all conference activities and wear my nametag at all times in order to gain admission to conference activities. I will adhere to the following rules: 1. I will be prompt so Conference sessions start on time. 2. I will not bring my cell phone to the Conference sessions. 3. I will not bring other forms of technology and electronics to distract me from the conference and its activities. I have read, understand and agree to the above code of conduct. I understand that the pastor and/or school administration would be notified of any discipline situation involving my child.
