Conference Checklist for Group Leaders: o Read over the entire packet first and contact the Office of Youth Ministry if you have any questions o Make copies of DCYC Form E for youth registration and distribute to youth in grades 9-12 only. o Make copies of the DCYC promo flyer and place them around your parish and/or school o Publicize DCYC in your parish bulletin, other parish communications, parish website and parish/youth ministry social media accounts (using hashtag #ablaze18) o Recruit chaperones! Please bring one male chaperone for every 10 male participants and one female chaperone for every 10 female participants. List names of chaperones on group registration form. o All chaperones should be age 21 and over and compliant with the Diocesan Child Protection Policy. o Complete all registration forms and return forms and final payment to the OYM by December 15*, 2017 (*early-bird deadline) or January 5, 2018 (final deadline). Individual registrations not accepted. o Reserve your rooms at the Conference Hotels as early as possible but no later than January 5, 2018. Each parish is responsible for making their own hotel reservations separately. The Office of Youth Ministry does not reserve hotel rooms for parishes. o Bring copies of Form A (for youth participants) and copies of Form C (adult chaperones/leaders) with you to the conference. Keep originals of Form A and C on file at the parish. The Office of Youth Ministry is thrilled to be sponsoring a high energy, dynamic, truly Catholic -- Diocesan Catholic Youth Conference for 2018! The theme for DCYC 2018 is Ablaze! Focusing on the Feast of the Presentation of the Lord and the Feast of St. Blaise, throughout the weekend, we hope that the youth participants will come away with their hearts set ablaze for the Lord. For you were once darkness, but now you are light in the Lord. Live as children of light..." - Ephesians 5:8 As we discerned the theme for this year s event given the date, we determined that all of us, including our youth need to have our hearts set on fire; set ABLAZE if you will, to spread the Gospel of Jesus Christ and to share the light that we ve been given through our Baptism. We also found it fitting that we all have people in our life who have been a light to us in some way. Throughout the weekend we will focus on those themes through the keynote presentations, the breakout sessions, the liturgies and the activities. We hope that this conference can become a highly anticipated event in the Diocese of Jackson. The goal is for this conference to be held annually and be the one time a year that all of us gather together for fellowship, inspiration, prayer and more. What better way for young people to set their hearts ABLAZE than to gather with their peers from across the Diocese? As we continue to plan and prepare for this conference, please pray that the Holy Spirit will set a fire in the hearts and souls of all those who will participate in any way in our 2018 DCYC! Join us in Vicksburg for DCYC 2018! We pray that by God s grace this will be a great time of fellowship and that together as one Diocese we will embrace diversity, learn how to better serve others and inspire disciples that lead us to the building up of the Diocese of Jackson by proclaiming Jesus as Savior by living the Gospel, so that all may experience the crucified and risen Lord. Conference Hotel Reservations and Information o The Diocesan Catholic Youth Conference will be held at the Vicksburg Convention Center in Vicksburg, MS from February 2-4, 2018. o Each Parish must make their own hotel room reservations. The OYM does not reserve hotel rooms for parishes. Room reservations are done separately from DCYC registration. You must make your room reservations no later than January 5, 2018 in order to receive the discounted prices below as part of the Diocesan Catholic Youth Conference room block. If you anticipate arriving at Conference closer to the starting of the event, we recommend that you come straight to the Convention Center and that you designate one adult to go to the hotel to handle check-in for your group.

Conference Information Conference registration fee is $85* by December 15 th (early-bird rate) for all participants. After December 15 th the fee will be $95 per participant. Final registration deadline is January 5, 2018. *Registration fee includes lunch and dinner on Saturday, t-shirt, Conference supplies and activities. Group check-in for the Conference will take place from 4:30-7:30 on Friday, February 2 nd at the Vicksburg Convention Center Registration area on the main level. Parishes will be listed by Deanery for group registration. Only the parish adult leader needs to check-in to receive the Conference materials for your entire group. The Conference doors will open at 7:30 p.m. on Friday night and end at noon on Sunday following the closing mass. Photos and videos of our conference may be used for Diocesan publicity including but not limited to the Diocesan website, the Mississippi Catholic, Diocesan social media, recap and promo videos, etc. If a parent would like to opt their child out of photographs and video please contact the OYM. No individual registrations will be accepted. Registration must be as a parish group. DCYC is open to 9-12 th grade youth and adult chaperones (21 and over) only. All chaperones must be in compliance with the Diocesan Child Protection Policy. Each parish is responsible for verifying their chaperones compliance. Chaperones should review the Chaperone Guidelines as stated in this packet. There must be one chaperone for every 10 youth participants. You should have at least one male and one female chaperone if you are to bring male and female youth participants; no matter the number. No chaperones may share hotel rooms with youth unless they are immediate family per the Diocesan Travel Guidelines. All names, t-shirt sizes, registration forms and conference final payments are due to the OYM by January 5 th (to receive early-bird registration discount - all fees must be paid by December 15 th ). To be considered registered the OYM must have group registration and Form E for each youth participant. DCYC Guidelines for Adult Chaperones Group Leaders: Please have every adult chaperone read the following guidelines in preparation for bringing your teens to DCYC. Dear Chaperone: First, thank you for your willingness to serve as part of DCYC 2018. Without you and your active participation, your young people could not attend the Conference and we are appreciative of your ministry as a chaperone. We thank you for the generosity of your time and talents. Your role as a chaperone is a very important one in keeping our youth safe throughout DCYC 2018. As we plan and prepare for an event of this magnitude, it is important that all adults be informed of the expectations and responsibilities as a chaperone so as to keep our youth safe and monitored at all times. The following are some guidelines that you should be aware of in preparation for DCYC this year: As a chaperone, we need you in attendance and ready to supervise your youth at all sessions and breakouts during the conference. Please have your group arrive a few minutes before sessions begin to ensure everyone is on time. Youth and adults must wear nametags at all times. All participants (youth and adults) must refrain from tobacco use and alcohol consumption during the weekend. You may not bring or possess illegal drugs, alcohol or weapons of any kind. Please turn cell phones off or to silent mode during all conference sessions; please refrain from bringing other electronic devices to the conference sessions (ie. laptops, tablets, ipods, etc) Adult Chaperones will be expected to follow the code of conduct as stated on Diocesan Form C that has been signed as a participant in this conference and as a volunteer with your parish youth ministry program. Every parish must adhere to the Diocesan chaperone ratio for one adult per ten youth participants (1 to 10). Parish group leaders are responsible for the actions of the members of their group. Adult chaperones in each group are asked to enforce the code of conduct as stated on Diocesan Form A for all youth participants and set an example for all young people at the conference. Adult chaperones are to know the whereabouts of each of their attendees at all times. Thank you for your cooperation with these guidelines.
