Peter Casparian (Via Skype) The Curate Rev. Fred Miller Wardens Ton Heijmen, Senior Warden, and Stephanie Augestine, Junior Warden (Also via Skype) The Vestry Martin Evans, Jo-Ellen Treiber, Ellen Nicoll, Patti Bauerschmidt, Frank Rinck, Vikki LoRusso, and Kim Phillips The Treasurer Laura Dougherty The Clerk Eric Bergman Absent: Austin Weber, Jo-Ellen Treiber, Helen Crosson, and Ann Miles 1) Opening Prayer - Rev. Miller led the Vestry in opening prayer at 7:30 PM a. We have a Quorum 2) Rumors, Compliments and Critique a. People are asking about if the luncheon for Peter in September will be instead of the parish picnic. We will still be having a parish picnic. b. Kudos to the Reverend Dunkle. He gave a fabulous sermon. c. Compliments to the Choir for coming through in the bad weather. They have been doing a great job and showing a lot of dedication despite the whims of mother nature. d. Good job (and thank you) Frank for acting as clerk and taking the minutes last month. e. The Vestry would like to recognize the WONDERFUL work being done by the Melinda Bradley with our youth 3) Minutes of the Previous Meeting a. For worship and song we need to determine the vestry person responsible. b. And Kim and Patti need to be noted as responsible for Hospitality 4) Financial, Resource, Stewardship and Treasurer s Report Laura a. Our account values have increased from $10,161,616.30 in January 2010 to $12,544,566.40 as of December 2013. b. Actual vs. Budget Last year we budgeted $648,568, and spent only $621,072.00 c. Budget for 2014 contains $323,700.00 in expected revenue. This includes pledge receipts, plate receipts, non-pledge giving, and facility based contributions. We will be transferring approximately $257,317.00 from the endowment, and we will be getting approximately $80,000 from Listerine. i. This year we are including the music in the budget, which was not included prior year s budgets. This will add an additional expenditure of $109,500.00 and will affect our Diocesan pledge 1. Previously music was budgeted separately. ii. We will also incur a transition expense of $18,000.00. iii. We are raising our outreach from $55,000 to about $70,000,. We also have expenses of $17,217 for the youth center. iv. Additionally, there is a request of $250,000 of capital expenses to cover the renovation of the rectory and the Sidney Street house.

1. It should be noted that there is $53,346 approved from the capital expenditure, that DOES NOT carry over. v. Subsequently, the total budget requested is $1,135,742.00 for fiscal year 2014. 1. A motion was made to accept the budget. And was seconded. 2. Passed unanimously!!! d. Michelle is leaving in June. We will be interviewing candidates. e. The Vestry approved a $500.00 underwriting of an event for the Life Enrichment. 5) Warden s Report a. Ton Heijmen Senior Warden, Please see attached report. i. Ton had a meeting with Liz Tunney, our Transition Consultant. She would like to have a Vestry Retreat in June. 1. He stated that it is likely that we can have a new Rector chosen by the end of Spring of 2015. ii. Beside the responsibilities listed in the Warden s report, Joseph LoBianco will be the editor of the Compass, and assisting with a Facebook Page. 1. ACTION ITEM Martin to speak to David Sarles regarding helping and contributing to the Compass. 2. ACTION ITEM Ellen Nicol to speak to Ann Haarhof writing about her stay in China iii. Ton would like to see if we can add advertising to the Compass. Consideration of $25.00 for a business card sized ad. iv. Father Miller has been doing a GREAT job with the bible studies. b. Stephanie Augustine Junior Warden i. The trip to Haiti was fantastic, and it was great seeing how our donation is making significant contributions. 6) The Rector s Report Reverend Peter Casparian a. St. Paul s Glen Cove will need a new Rector. Their rector is moving to West Hampton. Subsequently, now the number of Rector positions for the North Shore of Long Island is growing. (Lattingtown, Glen Cove, and Huntington, are also looking for rectors; Cold Spring Harbor will be looking for a curate to replace Luke Fodor). 7) The Curate s Report Reverend Fred Miller a. There will be a Funeral this Sunday for Hellen Weydig. b. Fred attended the Clergy Day at the George Mercer School of Theology last month, for a symposium about vestry training for sexual harassment prevention training and child abuse prevention training. We need to have the staff and Vestry trained. Ton Heijmen attended the first training session at Mercer. i. ACTION ITEM Fred to speak to David Asher about possibly leads for the training. c. St. Bede will be closing on April 27. The Bishop was at St. Bede last night, and will be doing the final liturgy at 3:00 PM. i. The Bishop has yet to decide what the diocese will do with the property. ii. Please keep the Parishioners in your prayers. It has been a hard transition. 8) Transition Committee Report a. Virginia is making-up invitations for Peter s Retirement Party. i. A budget has not yet been set for the party b. We need a date for the Parish Picnic. 9) Committee Reports a. Building and Grounds (Helen Crosson and Ellen Nicoll) i. Ellen is going to send out an email to get some names to fix the Sacristyand the Sacristy bathroom. 1. Ellen is coordinating these activities with the Alter Guild.

ii. We are also trying to get bids on the driveway, but that will probably wait until summer. iii. We are getting quotes for the air conditioning in the Rectory from Twelve Pins, Savemor, and True Mechanical. This will be done in the spring. b. Worship (Martin Evans) i. The Mens Group meeting was postponed due to Weather. They are meeting next Thursday at Lou s place. 1. They are having a retreat on March 21 and 22 at the Little Portion Friary. We can have up to sixteen attendants. It is $80.00 per person. It will be 24 hours. a. Frank will do a write up for the Compass for it. ii. Last Lenten Tide there was a discussion on the seven deadly sins. The discussions were good, but the attendance was poor. Peter and Fred have something in the works. iii. There is some question regarding what is the procedure regarding a having a service in memory of an individual. There is a general consensus that we need to put a process together. ACTION ITEM Stacey, Peter and Fred to put something together c. Hospitality (Patti Bauerschmidt and Kim Phillips) i. Ton has suggested that Worship, Hospitality, Christian Formation, and Outreach work together for Shrove Tuesday. ii. Martin Luther King went very well, but we need a chair person for that. We also need chair people for the Bishop visit on June 1 and the Parish Picnic. iii. Betsy Bibla is doing the Soup Supper on Wednesday nights during Lent. iv. There is a Newcomers Brunch on March 16. d. Christian Formation and Youth Groups (Jo Ellen Treiber and Vikki LoRusso) i. Still trying to work out Willow s exit. We need to find a replacement. e. Outreach (Ann Miles) i. Frank met with Ann regarding Outreach. There is a greater effort to match our check writing with Hearts and Hands. ii. We have $26,000.00 in outstanding money that we have previously committed (from previous budgets) that have not been sent. We will be sending soon. St. John s Cold Spring Harbor will be building a new Habitat House, and the monies will be going to that. 10) New Business a. There has been a suggestion regarding a Human Resources Handbook. There is some question regarding who would be the person overseeing the Human Resources. b. ACTION ITEM - Martin will put together a simple document for the next Vestry Meeting regarding the Human Resources Handbook. 11) Reverend Peter led the Vestry in closing prayer (VIA SKYPE) at 9:44 PM. Rectory and Sidney Street rehabs 7. Web site to be supervised by Michael Fries; Communication activities by Joseph LoBianco. Both have limited part time positions through June.
