St. James Episcopal Church Pewee Valley, KY Vestry Meeting Minutes -July 17, 2017 There was a Vestry Meeting of St. James Episcopal Church on July 18, 2017. In attendance were: Rev. Whit Stodghill, Terry Quinlan, Cherish Joostberns, Beth Karwieck, Eric Martin, Alan Lodge, Sherry Sabin, Mary Harding, and Ann Schatzinger. Ellen Van Nagell was our guest. Opening Prayer Rev. Whit led us in an opening prayer. Ellen gave a brief presentation of her recent missionary trip to the Dominican Republic. It was a very rewarding experience for her, from her discernment, and the support and prayers that she received, to the work that she did among the poverty she witnessed. Ellen feels that it is a real church building experience and would like to see more people from St. James participate. It is through Go Ministries. She traveled with parishioners from St. John s Methodist Church whose parishioners regularly volunteer there. Consent Agenda Minutes- Beth made a motion, seconded by Sherry, that the minutes be approved. The motion passed. Junior Warden Report- Cherish spoke briefly about the points in her report. Vacation Bible School at St. James will be on August 9th from 6:30 to 8:30 p.m. The children will be making birthday presents for children at Home of the Innocents in hopes that no child will ever not receive a present for their birthday. See Debbie Stover, who is chairing this, to volunteer. It will cost the church $200. Master Gardener Classes begin in September; there is a sign up sheet on the bulletin board. Yoga classes, 1st & 3rd Mondays, resumes in August. We continue to be short on nursery staff; we have one paid employee who does not work every Sunday. Parishioners have not come forward to volunteer their time to help keep the nursery open. This continues to be a work in progress.
Senior Warden Update- several points in his report we discussed in New and Old Business. Old Business Terry updated us on the work the Task Force is doing on Memorandum of Understanding. Our thanks to Alan who has provided a spread sheet giving us an accurate sense of the business allocations between the church and pre-school. When Nazz returns in August the Task Force will meet again to further address this. We continue to look for a chair for Building & Grounds. Also, with Corky s resignation we are looking for someone to serve the remaining six months of his term. The situation with AC Unit #3 remains the same. We ll continue to monitor it. New Business We welcomed Whit back after a well-deserved 3 Sundays off. Her sermons will continue to encourage a missional focus, how can we serve our neighbors? She feels that we need to strengthen the youth Christian Education Team. Connie is doing a majority of this work including making up lesson plans. We need to spend some money on a resource that will provide consistent Sunday School lessons no matter who is teaching and relieve Connie of some of the burden of class planning and enable her to not have to teach every Sunday. We need to address adult Christian Education as well. Because of meeting schedules of the Daughters of the King, and the Episcopal Church Women, on Sunday mornings once a month, we only have adult education every other Sunday. Whit feels that Sunday morning needs to be devoted to church services and education. She will be meeting with presidents of the DOK, and ECW and will report back next month. She would like to address this issue before a new rector comes. She d like to expand participation in our liturgy, and will be asking different people if they d like to be involved. We need someone to chair the Stewardship Campaign. We talked about why more people don t sing at church and how to improve this. More
singable music was suggested. Whit and Dan are addressing this.we need to be thinking about active recruitment and what teams we need to build. We discussed how to better encourage our members to wear name tags. Cherish wondered it the greeters could help out by reminding folks about their name tags when they get their programs. We ll talk with Bobbi Schadt about it. Whit will begin doing some pastoral care in LaGrange on Sundays by request of an individual. Whit asks that we remain cheerfully expectant as the Search Committee continues to make progress. Beth suggested that we put money into escrow to pay toward our pension plan. It is paid quarterly and it would be good to go ahead and take all the money out at one time and put it into escrow instead of draining our checking account quarterly. We all agreed. We discussed the bill for the stonework done by Jack Hurd. Alan made the motion, seconded by Eric, that we use money from the Lizzy Fund to pay this. The motion passed. Beth made the observation that we pay Prudential semi-annually for a Heating & Air Maintenance Contract. We tabled this until next month. Eric would like to be involved. Whit reminded us to pay up our pledges. Closing Prayer Rev. Whit led us in a closing prayer. Adjournment There being no further business, the meeting was adjourned.
The Rector During the Interim s compensation is $750 per week (paid semi-monthly), plus FICA, plus 18% assessment to the Church Pension Fund. Since Rev. Whit Stodghill is employed full time at Norton Healthcare, there is no medical coverage. Contract with the Interim Rector does not include a housing allowance. MEMORANDUM TO: FROM: St. James Vestry Terry Quinlan, Senior Warden DATE: August, 2017 RE: SENIOR WARDEN UPDATE FOR August 2017 VESTRY MEETING 1. Eric Martin is our new Chair of Building & Grounds. Eric has been very hands on and is getting things done, still much to do. Thank You Eric. 2. Still one vestry member short of a full vestry. Rector, & S.W. are working on filling this position. 3. Traditionally, Stewardship Campaign is an Autumn/Fall event. We need to get our stewardship leaders in position ~ who & how. This will be a Vestry Agenda item. 4. A Memorandum of Understanding, between St. James Church and St. James Preschool is getting closer. The next meeting, Naz will give her input and acceptance of key points. All involved, truly want an amicable agreement. 5. Looking ahead, November is going to be a very busy month, briefly: Nov. 5, celebration of All Saints Day (traditionally, pledges in/due) Nov. 10 11, Diocesan Convention, St. Mark s Louisville Nov. 12, Annual Meeting ~ generally, one (10:00 am) service, after service, In-Church meeting, followed by brunch.
