DIOCESE OF SIOUX CITY Chancery Parish Accounting Office Date: July 10, 2018 To: From: Pastors, Administrators & Directors, Bookkeepers & Business Managers Julie Mahaney, Linda Topf, Jeff Wurth RE: Annual Financial Report Request: Fiscal Year July 1, 2017 to June 30, 2018 Progress Report to Meet Due Date: Receipt in Chancery Office by 8/31/18 As you know, the Diocesan Annual Financial Report Request for the 2017-2018 fiscal year was sent via general mail to pastors and bookkeepers on June 26 th. This was emailed again to the bookkeepers on June 28 th. This included not only the request but also the 6/30/18 bank verification form, corporate resolution and contact list that can be saved to your file and used. The certification and internal control questionnaire was emailed to the bookkeepers today in a format that can be saved and typed into. It is also acceptable to hand write your responses. New this year we will provide periodic instruction on tasks to complete in order to assist your progress in completing this request. This week or next, aim to complete the following: - Schedule finance council meeting (a date at least a few weeks before the due date 8/31) - Send bank account verification forms to all banks and investment companies that your parish does business with, this includes the parishes you assumed 7/1/17 if you have not changed their accounts to use your parish TIN. - Reconcile all checking, savings and CD accounts to the bank statements. - Reconcile all investment accounts to the investment statements as these are received. o Deposit savings statements will be emailed July 15 th. Catholic School Foundation and General Investment statements will be issued towards the end of the month. As a reminder effective July 1, 2017, the management of all bank and investment accounts including altar society, guild, fellowship, men s club, cemetery, choir, religious education, charity, endowment, booster, student funds, athletic, etc. was to transition to the business office and be performed by the bookkeeper or business manager. This includes handling the checkbook, making deposits, writing checks, reconciling to bank statements Please ensure your location is following this. Last year, 18 young men joined us for a weekend of prayer, fun, and fraternity and the seminarians and I hope to build on that enthusiasm again this year.
