Pre-WYDAK17 Information #WYDAK17 #VoiceOfYOUthAK Dear Group Leaders Just over a week to go until World Youth Day Auckland 2017! We are excited to see everyone and we are looking forward to coming together as a Diocese! For the first time, we are going international look out for a group of 12 from the Cook Islands! We need your help to make the WYD Auckland 2017 a success. Thanks for all that you are doing to coordinate your group for the 2017 Auckland WYD Experience. As at 7 July we have 45 groups registered equating to 1515. We also have a team of volunteers working to make sure #WYDAK17 runs smoothly. We are looking forward to seeing you and your group there! In order to make #WYDAK17 a success for all our pilgrims we need you to read through this information sheet and ensure that your group know the details that are relevant to them. A gentle reminder that #WYDAK17 is targeted at those aged 13-35. Young people from age 8 are welcome to attend #WYDAK17 but if you have younger people in your group please ensure that there are adult leaders to supervise them. This document covers the Diocesan elements of the Auckland WYD Experience. Information about regional events will be made available direct from Regions where applicable. Checklist for Leaders Ensure that there are sufficient adult leaders in your group for the number of youth pilgrims (Hikoi Tahi recommends a 6:1 ratio for youth aged 17 and under to leaders). Collect health information from pilgrims and keep a register of conditions/ medication. Look out for ASK ME signs on the pilgrim walk! At each ASK ME stop, there will be the opportunity for an encounter of vocation. The person or people at that stop will share about their own personal vocation and have a question for pilgrims in your group to reflect on and discuss! Have a discussion with your pilgrims about what you want from the Catholic Church in Auckland today! Through your social media rep, make sure that one or more people are nominated to share a response to this question using our video booth. There will also be the opportunity for individuals to write their ideas on boards and share this at our photo booth! Bring a banner and a 10 second chant that shows everyone who you are as a group! Watch for an email from Rochelle on Friday and update participant numbers by Monday. Bring a contribution for Vinnies - please refer to the information about this later in this document.

Duty of Care First Aid Duty of care is the legal obligation to take reasonable steps to avoid reasonably foreseeable harm to the people for whom you have a duty of care. The definition of a reasonable step under any particular circumstance will generally be dictated by common sense (please refer to Hikoi Tahi Standards for Catholic Youth and Young Adults Ministry in Aotearoa New Zealand available from the Resources page at http://www.aucklandcatholic.org.nz/youth-young- adultministry/resources/core- acym-documents/). Please take time to read and review the Health and Safety System for #WYDAK17 found on our website: http://www.aucklandcatholic.org.nz/youth-youngadult-ministry/world-youth-day/wydak17/. Duty of care Key Contact Details must be exercised at all times to ensure the safety of the Teresa (Team Leader) 021 649 012 pilgrims in your group, other participants, leaders and members of the public. There has been a thorough review of Joey (Programme) 021 232 9106 our health and safety procedures this year. Our approach is always that prevention is the best option. We can never predict what will happen so encourage you to take a few minutes to review the techniques provided. Please nominate one person from your group as the official first-aider. In #WYDAK17 of a medical emergency (not including minor injuries), the First Aid Officer must assess the severity of the injury to determine whether an ambulance is required or if the patient is able to be transported by car to the nearest medical centre or hospital. If a hospital visit is required by a participant under 18 years of age, then a Leader (appointed by the Responsible Person) must accompany the patient. Your Group first-aider should carry a small first-aid kit with items suitable for any minor injuries. A larger first-aid kit and qualified first-aiders will be on site at St Patrick s Cathedral and Victory Centre. Jasmine Jennifer (Jenny) is the person responsible for first aid. She can be contacted on 0223221300 over the weekend. Please advise all accidents and near misses to Jenny. Please check with all group members and identify whether they: Have any medical conditions that you may need to know about as group leader Require any regular medication (or medication that may be needed in an emergency eg asthma inhaler in #WYDAK17 of an asthma attack). As Group Leader please maintain a register of this information and keep this with you during the WYD Auckland Experience. Please report any accidents or incidents to a first aider or a member of the ACYM team. An incident notification form is to be completed for all incidents/accidents. Key contact details you might need on the day are shown in the table above.

What to bring? On the day of the Auckland WYD Experience pilgrims are asked to be prepared. Please share the following information with pilgrims from your group... Get the inside on what will happen at WYD Auckland: We recommend that you invite pilgrims from your group to LIKE our Facebook page at www.facebook.com/akcym and follow us on Instagram at: @ACYM2. Water bottle: It s important to stay well hydrated. Please ask pilgrims to bring refillable water bottles. We will have water containers to refill bottles at both St. Patrick s Cathedral and at Victory Christian Centre. No other drinking containers will be provided so please ensure that every pilgrim has a water bottle with them. Wet weather: We will be outside for the pilgrim walk on Sunday so if the weather isn t good then be sure to bring a rain jacket with a hood or an umbrella. Should we be lucky enough that it is a hot, sunny day please ensure pilgrims have a hat and sunblock for protection. In the event of severe weather storms, the pilgrim walk will be cancelled. If the walk is cancelled we will text group leaders about 11.00am on the Sunday morning. If we don t have your mobile number please text Teresa with your name, group and number to 021 649 012. REALLY important information for Leaders: Checklist of what pilgrims should bring: Water bottle Rain jacket/umbrella and warm clothing if it is wet/cold. Comfortable shoes to walk in! Hat/sunblock if it is hot/sunny. NO FOOD inside St. Patrick s Cathedral or VCC Bring your phone you ll need it for selfies and for prayer at the Cathedral! Please note that this is a GUM-FREE event no chewing of gum please. There are a number of things that we need you to do as leaders leading up to and over the weekend. This Friday you will all receive an email from Rochelle showing the groups we have registered and the numbers for your group. Please check this and provide us with an update by Monday 10 July. It is this number that we base things like printing and other resources that will be used during WYD Auckland. During the WYD Auckland Experience please take responsibility for getting your group to the right place at the right time. It may help to have a copy of the programme with you. If you have questions please check these with Teresa (teresam@cda.org.nz) prior to #WYDAK17. As group leader please also encourage your group to participate in all elements of the weekend AND to keep their focus on the current section of #WYDAK17. The more you put in the more you get back ~ please encourage your group to participate as fully as possible. Saturday 15 July On Saturday, there will be three regional days hosted by SOUTH, CENTRAL and NORTH SHORE. All are welcome to attend the regional day closest to them. Sunday 16 July At 12.45 pm we ask that all pilgrim walk marshals gather in the carport area adjacent to the Presbytery at St Patrick s Cathedral. It is here that Ramona Cortes will give instructions on the pilgrim walk. After the health and safety briefing you will return to be with your group in the Cathedral. On Sunday prayer will start at 1:00pm. Bring your group banner for the photograph immediately after the prayer at St Patrick s Cathedral. Please note that people sitting in the back pews and those standing at the back of St Patrick s Cathedral will be invited to move forward during the final song of the prayer. When the MCs indicate we need everybody to turn and face the choir loft. This year we would REALLY LIKE to see the face of every pilgrim in the first two photos so please listen carefully to the MCs and follow their instructions. The photos last year were great but often banners blocked people behind so we would appreciate your help with keeping banners down until the third set of photos. Synod Prayer 2018 Lord Jesus, in journeying towards the Synod, Your Church turns her attention to all the young people of the world. We pray that they might boldly take charge of their lives, aim for the most beautiful and profound things of life and always keep their hearts unencumbered. Accompanied by wise and generous guides, help them respond to the call you make to each of them, to realize a proper plan of life and achieve happiness. Keep their hearts open to dreaming great dreams and make them concerned for the good of others. Like the Beloved Disciple, may they stand at the foot of the Cross, to receive your Mother as a gift from you. May they be witnesses to your Resurrection, and be aware that you are at their side as they joyously proclaim You as Lord. Amen. We ask for your co-operation as ACYM members and volunteers guide you to move around the cathedral so that everyone can be in the photo.. We will be taking the following photos/ videos: 1st Photo: All people (NO banners), normal shot 2 nd Photo: All people (strike a pose), funny shot 3 rd Photo: Everyone with banners (need to have hashtag boards near the front of photo i.e. back of church) Video: We will be recording everyone saying a countdown and the following phrases: Come to World Youth Day Auckland! and Use your voice! We encourage you to make this a walk with a purpose. Feel free to sing/pray other songs/prayers/chants that your group is familiar with. Watch for Ask Me stops along the way where people will share about how they have found their place in today s world. At each stop listen for a question for pilgrims to reflect on as they walk to the next station. You may also wish to take the sheets from the prayer service and sing the hymns that were included. On arrival at Victory Centre, group photos of every group will be taken at the bottom of the ramp. Volunteers from Vinnies will have cooked up a mountain of sausages and there will be water, juice and chocolate fish. Please ensure that your group eat upon arrival at VCC. This is also a good time for a toilet break, group photos etc.

We would like everyone to be in the Victory Centre auditorium and seated by 3.35pm. There will be pre-wydak17 entertainment from 3.30pm and a countdown from 3.45pm so your group will miss out if you are late. Reconciliation or the opportunity for a chat with a priest will be available at Victory Centre on Sunday afternoon. Directions will be given by the MCs on the day. Mother Mary will be accompanying us, especially as the Synod on Young People, Faith and Vocation approaches. Keep an eye out for Our Lady, and for Synod prayer cards that will be handed out to you after the Diocesan Youth Mass; check out the prayer on the above! Support Us! We encourage all young people to join #WYDAK17 and we still have a few volunteer roles to fill. This year we have also opened registrations for a Supporters Group for people over the age of 35 who have a heart for young people and who would like to join us. Everyone is welcome, but we do ask you to register. That means YOU are called to use your voice (and so we capitalised the Y O U in youth!) Things you need to know about Victory Centre Water in sipper bottles is permitted in the auditorium but no other beverage is permitted. No food or chewing gum is permitted in the auditorium. Please note that this is a GUM-FREE event. Other years we paid significant cleaning costs removing gum. Please ensure that your group know that gum must be disposed of prior to arrival at Victory Centre. Free parking is available in the parking building at VCC. We anticipate that the event will finish at 8:30pm. $4 Wilson Parking is available at the Cathedral from 12:15pm to 2:30pm. Please do not use the Cathedral parking for Sunday afternoon as this is needed for those attending 4.30pm and 7.00pm Masses at St Patrick s Cathedral. You will be charged full rates. Please keep our young people in your prayers as they prepare for #WYDAK17. We also ask you to pray for the success of the Auckland WYD Experience, especially for fine weather!
