HOOSIER TRAILS COUNCIL Adopt A Campsite Initiative Philanthropy is a very important lesson learned in Scouting. As the old saying goes, Charity begins at home! So, the Hoosiers Trails Council has established our Adopt A Campsite Initiative. Through this initiative, Scout Troops will adopt a particular campsite at Maumee Scout Reservation (MSR). New signage will carry on the MSR geode theme and recognize units that make a new $6,000 commitment* to sponsor a site. Site sponsorships can be fulfilled over a three year period and will also provide units with a preferred reservation status when registering for summer camp. The planned project will improve the experiences of campers in the area in which they spend the majority of their time, the campsite. Investment attributes include: 26 Permanent shelters will be constructed in campsites, which will provide better protection from the elements and eliminate the need for portable shelters. Latrine renovations will be made to better meet the expectations of today s Scouting families, improving lighting, cleanliness, and privacy. Drainage and issues from over usage will be addressed. New tents purchased and platforms renovation. So, help your Council improve our campsites by taking part in our Adopt A Campsite Initiative! To learn more, contact Glen Steenberger, Scout Executive, at 812-336-6809 or via email at gsteenberger@bsamail.org. *Because funding our operating budget is mission critical, gifts to this effort must be over and above a units current Friends of Scouting giving.

Leadership Team: Who We Are: Mark Levett Council President Mark Wilson - Council Commissioner Glen R. Steenberger Scout Executive/CEO The Hoosier Trails Council, Boy Scouts of America, is one of more than 250 councils in the nation and serves roughly 6,000 registered members annually. Our Mission - The mission of the Hoosier Trails Council, Boy Scouts of America is to prepare young people to make ethical and moral choices over their lifetimes by instilling in them the values of the Scout Oath and Law. Scout Oath - On my honor I will do my best to do my duty to God and my country and to obey the Scout Law; to help other people at all times; to keep myself physically strong, mentally awake, and morally straight. Scout Law - A Scout is: Trustworthy, Loyal, Helpful, Friendly, Courteous, Kind, Obedient, Cheerful, Thrifty, Brave, Clean, and Reverent. Our Vision - To be south-central Indiana s foremost youth program of instilling positive character traits and developing values-based leaders. Counties Served: Boy Scouts of America: Currently, the Hoosier Trails Council Service Center is located in Bloomington, Indiana, and serves 18 counties throughout south-central Indiana. The council is divided into four districts, each under the direction of local volunteers and a professional staff member. Hoosier Hills District Dearborn, Jefferson, Ohio, Ripley, & Switzerland counties Lenni Lenape District Bartholomew, Decatur, Jackson, & Jennings counties Wapehani District Brown, Monroe, Morgan & Owen counties White River Trails Daviess, Greene, Lawrence, Martin, & Orange counties. The Boy Scouts of America was incorporated on February 8, 1910. We recently celebrated one hundred years of providing America s foremost comprehensive youth develoent program, and we have stepped boldly into our second century of service to American families. How the Boy Scouts Work: Volunteers: Community-based organizations receive national charters to implement the Scouting program as a part of their youth programming. These groups, which have goals compatible with those of the BSA, include school groups, churches, civic clubs, fraternal and business organizations, among others. Our programs are grade specific and age appropriate: * Lion Cubs: Kindergarten Tiger Cubs: First Grade Cub Scouts: Second Third Grade Webelos: Fourth Fifth Grade Boy Scouts: Ages 11-18 Venturing: Ages 14-20 Volunteer adult leaders serve at all levels of Scouting. Each volunteer provides guidance, direction and supervision of activities for a specific group. Each volunteer is provided training to complete their role. These adults are the backbone of our organization s success.

Unit Program Planning Adventure! That s what Scouting is. You are standing at the doorway to the most exciting adventures you can imagine. Step into the world of Scouting, and you ll find yourself hiking along trails, canoeing across misty lakes, and camping under the open sky. Smell fresh rain in the woods and fill your mouth with the taste of wild strawberries. At the end of a patrol bike hike, plunge into a cool mountain lake. Cook your meals over a camp stove. Travel the back country with only what you can carry in your pockets and pack. Sound inviting? As a Scout you can do this and more. - Boy Scout Handbook Young people join our movement to taste this adventure and fun. The mission behind the Ideal Year of Scouting philosophy is to help Scouting units fulfill young people s need for adventure and deliver the promise. Units that operate under an annual program plan, that young people help construct, are proven to be more successful and make a more profound impact on the lives of their members. We promise young people the most exciting adventures they can imagine and we had better be prepared to make it happen. How do you get buy-in and commitment from your unit s families when it comes to annual programming and fundraising needs? Your answer to this question is the key factor to the level of success your Scouting program will enjoy. Key components in planning your unit s Ideal Year of Scouting: Brainstorm what your unit wants to do for this Scouting year, include as many families as possible in the process. Develop a budget to determine expenses and compare them to your unit s income. Calculate a per Scout cost for the year. Develop a unit calendar to solidify the plan and to help communicate the upcoming adventures. Prepare an organized fundraising approach and clearly share expectations with families. The more the unit makes the less money your families have to take from their wallets. Set a Unit Goal and set a Per Scout Goal. Every family needs to help pay their way either by fundraising or pay the actual cost. Program Brainstorming Scouting allows young people to follow their dreams, so their involvement in the planning of their annual program is vital. Allow them to express their ideas in a non-threatening brainstorming session. There are no bad ideas, some may seem wild at first, but where there s a will, there s a way. The more mature the Scouting unit, the more youth should be involved in this planning. Cub Scouts may just participate in the brainstorming portion; however, a Venture Crew may conduct the entire plan with only guidance from their advisors. To keep young people engaged in your programs, they must have buy-in. Brainstorming Ideas To Get You Started - The unit might plan and fund some of the following: Program Ideas: Summer Camp Cub Scout Council Events Monthly Unit Activities Pinewood Derby Patrol/Den Activities High Adventure Bases National Jamboree Blue & Gold Banquet District Events Other Considerations When Planning: BSA Registrations & Boys Life Magazine Meeting Supplies/Awards & Recognitions Den/Patrol Expenses/Training Courses Unit Equient Uniforms/Personal Camping Equient Assistance for Low-income Scout Families

Program Idea Filtering Once there are several ideas on the brainstorming chalkboard, it is time to begin to filter them and allow the most realistic ones to surface. Be cautious not to discount ideas for the youth, however, provide them with enough information that will allow them to decide what components are most realistic to fulfill their Ideal Year of Scouting. Calendar Construction Building an annual plan involves putting key dates into a unit calendar that will be shared with members and parents. This calendar should be completed and made available at the beginning of the unit s program year. New Scouting families appreciate knowing what the year will consist of and providing a calendar is a great way to welcome them. When constructing the calendar, consider the following points: Council Calendar Events, Camping, Trainings, etc. Unit Fund-raising efforts, FOS Presentation, Recruiting efforts, etc. School Vacations, Functions, Holidays Annual Budget Planning Now that you know what you want to do and when you are going to do it, let s figure out what it is going to cost. For troops and crews, it is very important to involve the youth in this process. Look for opportunities to have a lesson in finance management, or advancement. This is a chance to instill the value of a dollar in your youth. There are also planning resources available in the Council Scout Shop to assist your process. Budget Funding With a plan in hand, a decision must be made on how the newly constructed budget will be funded. Scouting is a great program to teach young people to be self-sufficient and not rely on their family to finance their activities. A well-organized fund-raiser fills this need. Today s families are busier than ever and studies show that Scouting families appreciate a well thought out fund-raising approach. Show families the exciting programs you have planned, present them with a suggested fund-raising goal to pay for their participation and conduct a funding approach that will allow them to achieve their goal. Don t nickel and dime families with multiple fundraisers; focus on one or two and be successful. Evaluation & Annual Review The final component of the plan is to evaluate the year and look for positive aspects and for things that could be done better. This annual review is a great opportunity to begin the planning process for the next year. By involving as many unit members as possible, you can build a plan that serves the most families. The magic behind this philosophy is simple; involve your unit in the construction of a program plan that excites them. Then communicate the plan to families and the rest of the unit through a unit calendar of events and a budget of funded Scouting expenses. Then present an organized fund-raiser and establish individual goals that will fund each Scout s Ideal Year of Scouting. Following this planned approach to your unit s program year will lead to exciting adventures. Paying for the fun will be much easier with a short, well-organized fund-raiser and participants will be more successful when they know what the money is going towards. The unit will spend more time Scouting and less time fund-raising. Unit Program Planning

Popcorn Sales & Adventure Earn Your Way to an Awesome Scouting Year! In 2018 we are aiming to maximize efforts in getting information out to Scouting units in a timely manner. We have included this condensed version of the Popcorn Unit Tool Kit in the Program Planning Annual Calendar. We will be giving the details of the sale, prizes, and warehouse locations at the Popcorn Kickoff s in August. See you all there! For more information before the Kickoff s please contact Kevin Trojan, ktrojan@bsamail.org or visit the popcorn page on the council website: www.hoosiertrailsbsa.org Methods of Successful Selling of Scout Popcorn: Show & Deliver - This method provides the highest positive responses and has benefits over the Take Order method, as it often eliminates the return trip to deliver product. Scouts bring along corn as they go door to door. When a sale agreement is reached the Scout goes to the car, gets the product, and delivers it on the spot while the customer pays. If the desired product is not on hand, the Scout performs a Take Order and returns with the ordered product at a later time. You can return any unsold product to the council. Take Order - This method involves uniformed Scouts going door to door to take orders for popcorn. Trail s End research shows that about 3 in every 5 doors knocked on will result in a sale. Moreover, only about 20% of households are contacted about supporting Scouting. There is plenty of untapped market for the sale. Mom and/or Dad take an order form to their work. Fellow co-workers write their order on the order form. The parent then delivers the product and collects the money in a few weeks. Show & Sell - This method involves setting up a table or booth at a high foot-traffic location grocery store) where you can greet the public and offer your sale. Trail s End research shows about 1 in 10 contacts will result in a sale. The best results occur when Scouts are very visible, because we are selling the Boy Scouts of America to our customers. Selling On-line - For the first-time on-line sales have been fully interrogated into the fall sales campaign. Just go to www.trails-end.com and sign up for a Scout Account! This year you can also download the Trails End app on your Smartphone. This way everyone can order popcorn straight from your Scout s account and it is shipped directly to them! Unit Commission Structure We are striving to dramatically impact our sale outcome by knocking on more doors and increasing the number of containers sold over last year. This growth will increase the community awareness of Scouting and enhance the impact we are having on our participants. Your unit will benefit from being able to afford first-class Scouting programs. Base Commission With Prizes 33% Cash Option (No Prizes) 37% The more your unit s families understand the impact the Popcorn Sale has on their experience, the more successful you will be! Partnership Responsibilities with the Hoosier Trails Council: Units keep their commission, paying the council for only what they owe for the product. This is done on or before October 24th, by writing a post-dated check (December 7th). This check is then placed in the BSA safe and not touched until 12/7/18, which gives units nearly a month to collect money and make sufficient local deposits to cover the check. Returning product and our chocolate policy: - Undamaged & non-chocolate product that was checked out for Show & Deliver/Show & Sell purposes can be returned prior to October 24th, so it can be reassigned as inventory for use to fill the council s Take Order Sale needs. - After October 24th, the council will not accept returned product and the unit will be billed for this product. - Products can be returned during and of our Show & Deliver Warehouse Hours with no penalty; however, only 20% of a unit s Show & Deliver order can be returned on October 24 th without being assessed a 10% handling charge (based upon the average retail price of the returned items). Show & Deliver/Sell orders are made in full case allotments. Scouts must wear uniforms while selling and be accompanied by an adult. Sales hours should not exceed 9:00 a.m. to 8:00 p.m. Submit orders completely and on-time. Prizes must be ordered by October 24th.

In 2018, we will honor those units that go above and beyond the call of duty for the young people they serve. These special units will be designated as Platinum Level Journey to Excellence Units and will lead the way for the rest of the Council. This special recognition will not come easy, but will bring worthy praise and tools to continue to build and strengthen the unit. Platinum Level Journey to Excellence Units will receive the following tokens for their heroic effort: Collector s edition Council Shoulder Patch for each registered member of the unit. A framed Certificate of Achievement for the unit s trophy case. HTC Summer Camp/Activity Discounts, $5 per Cub Scout Registrant, $10 per Boy Scout Camp Registrant. Free cloth rank advancement for your recharter year. Special recognition in the Trails Sign s on www.hoosiertrailsbsa.org and at the Annual Council Gala. In order for a unit to achieve this high recognition, there are seven elements that must be fulfilled: Achieve Gold Level Journey to Excellence Status for 2018. Properly record rank advancements for youth within 2018. Provide a summer camp/activity (Cub Scouts) for Scouts and have an increase in youth participation over 2017. Achieve membership growth over December 2017, and recharter on-time. Achieve unit s Friends of Scouting Goal. (Goal is established by Unit-Serving Executive and the unit leadership.) Must have presentation before June of current year. Partner with the Council by participating in the Council Popcorn Sale and average $100/Scout in sales. In order for Scouting to have the greatest impact on a young person s life, we must retain Scouts in our programs as long as possible. Platinum Level Journey to Excellence Units will stand on the foundation of quality programming and strive to fulfill the promises of fun and adventure. Just as a Scout s honor is sacred, as is your commitment to provide the best programming possible, and we hope to recognize your unit as Platinum Level Journey to Excellence Unit.
