Reports to: Liturgical Commission Music Ministry Coordinator Position Description Liturgical Commission Chair, currently, the Director of Liturgy and Music Ministry Purpose / Objective: To support and deepen the community s liturgical prayer life through music. General Responsibilities of All Ministry Coordinators: Discerns God s message in one s own life regarding stewardship of Time, Talent and Treasure. Is familiar with ministry guidelines and General Parish Procedures, especially facility usage. Maintains updated participant records including phone numbers and email addresses. Recruits new ministry members, using bulletin announcements, etc. Confirms with parish secretary that volunteer is a registered member of Immaculate Conception. Responds to inquiries from prospective ministers, (verbal, email, telephone, Time & Talent sheets, interest sheet on back of registration form) regarding your ministry within ten business days. Maintains accurate records to provide ministry specific input for (see templates): o Quarterly Stewardship Bulletin Report o Annual Stewardship Report o Prepare documentation for this ministry s budget o Ministry Goals and Objectives o Ministry successes Writes and submits bulletin articles and when appropriate, a thank you for the bulletin, especially after special events, giving a full accounting of number of participants, items collected, etc. Keeps the Commission Chair advised of needs, issues, and positive experiences so they can be incorporated into the planning process. Responsibilities of Music Ministry Coordinator: Collaborates with Director of Music in the process of performing responsibilities Recruits new ministers of music with final approval of Director of Music. Schedules musicians for all liturgical events. Distributes Guidelines for Ministers of Music to new members. Informs all members of any revisions or new directives. Provides for organization of music. Special Activities: Hosts an orientation for new ministers. Annual parish Leadership training. Annual Formation session or when offered. Formation sessions for all liturgical ministers, when offered. Meetings (when held, frequency, etc.): Meetings are specific to number of individuals needing to be trained/updated. All Commission meetings. Attends Annual formation session for all liturgical ministers. Time Commitment: Time to be allotted to the Following Tasks: Average Time (these times are average and may vary depending upon the individual completing the work, and the situation.) Planning meetings with Dir. of Music 1 hour/month Recruiting of new ministers 6 hours/year Maintaining records 4 hours/year Organizing music 1 hour/month Communications to music ministers 15-30 minutes/week Expected Length of Commitment: Two years, and may be extended by one year with a maximum term of three years. Position is currently held by a Staff member. Qualifications Required: Practices the Catholic faith through regular attendance at liturgy and reception of the Sacraments. General Tasks: Liturgical Commission Music Ministry Coordinator Task List Recruits new members Maintains member list and advises secretary of any changes to ministers records (phone number, email, address). Conducts training sessions during the course of the year in coordination with the Director of Liturgy and the Liturgical Commission. o Ensures training dates and times are on the parish calendar. Completes Facility Reservation Form (FRF) for dates when utilizing the De Sales Faith Formation Center or the church facilities. Contacts Business Manager to fill out Facility Access/Magnetic Lock Keycard Record & Agreement for assignment of Access keycard when utilizing the De Sales Faith Formation Center or the church facilities. Reviews and updates ministry guidelines yearly. Performs regular ministry duties in accordance with the Music Ministry Guidelines. Participates in Commissions/Stewardship Fairs. o Updates Story Board for Commissions/Stewardship Fair. o Recruits members of ministry for implementing Commissions/Stewardship Fair. Is familiar with ministry guidelines and General Parish Procedures. Presents ministry in a positive light at all times. Responsibilities of Choir Members: Committed to attending regularly scheduled rehearsals. Willingness to grow in vocal, particularly choir technique and/or instrumental technique. Committed to attending regularly scheduled liturgies. Special Activities: Attends training sessions directed by the Coordinator. Attends refresher training at discretion of coordinator. Rehearsals: 1 1/2 hours/week (normally Thursday evenings, 6:30pm to 8:00pm) Seasonal Rehearsals: 2 hours /week during Advent and Lenten seasons Liturgical participation: Normally 1 hour /weekend, usually at the 9:30am liturgy. Special Liturgies: Normally 7-10/year; 1 to 2 hours/liturgy Expected Length of Commitment: At least one year. Qualifications Required: Practices the Catholic faith through regular attendance at liturgy and reception of the Sacraments. Is familiar with ministry guidelines and General Parish Procedures. Presents ministry in a positive light at all times. Responsibilities of Cantor Members: Attends periodic cantor rehearsals (both as a group and individual coaching). Committed to grow in vocal technique. Committed to attending scheduled liturgies. Acts as both solo psalmist (e.g. Responsorial Psalm) and leader of the assembly's song (e.g. Gathering Song). Special Activities: Attends training sessions directed by the Coordinator. Attends refresher training at discretion of coordinator. Meetings (when held, frequency, etc.): Attends initial training and any subsequent refresher training as scheduled by coordinator. General Responsibilities of All Ministry Members: Discerns God s message in one s own life regarding stewardship of Time, Talent and Treasure. Is familiar with ministry guidelines and General Parish Procedures. Presents ministry in a positive light at all times. Responsibilities of Instrumentalists Members: As a regular (solo) instrumentalist, with the choir, attends regularly scheduled choir rehearsals. As a seasonal/special event instrumentalist, attends rehearsals for those events as needed. Attends periodic instrumentalist(s)/accompanist rehearsals (both as a group and individual coaching). Committed to grow in musical technique, particularly as pertains to a liturgical music minister. Committed to attending scheduled liturgies. Special Activities: Attends training sessions directed by the Coordinator. Attends refresher training at discretion of coordinator. Expected Length of Commitment: At least one year. Option: Committed for a Seasonal Choir or special event Qualifications Required: Practices the Catholic faith through regular attendance at liturgy and reception of the Sacraments. Ability to read music and perform on instrument at the level of our present parish repertoire or as needed for specific musical selections. General Responsibilities of All Ministry Members: Discerns God s message in one s own life regarding stewardship of Time, Talent and Treasure. Is familiar with ministry guidelines and General Parish Procedures. Presents ministry in a positive light at all times. Responsibilities of Children's / Youth Choir Members: Committed to attending regularly scheduled rehearsals Willingness to grow in vocal, particularly choir technique Committed to attending regularly scheduled liturgies and other special liturgical and designated parish events (e.g. Christmas program). Special Activities: Attends training sessions directed by the Coordinator. Attends refresher training at discretion of coordinator. Qualifications Required: Practices the Catholic faith through regular attendance at liturgy and reception of the Sacraments. Is at Second through Eighth Grade level in school.
