MAZAL TOV! Congratulations to you and your family as you begin to plan for your child to become a Bar or Bat Mitzvah. This guide includes information for ALL FAMILIES about: B'nai Mitzvah Requirements Service Arrangements Policies and Fees* Along with Facility rental and usage information for families holding celebrations at Am Shalom. Life cycle events provide a wonderful opportunity to stop time, and to acknowledge our connections to God, our Jewish history and traditions, and to each other. Our primary goal is to provide a meaningful and joyous experience for your family within the tenets and traditions of Reform Jewish practice and the customs and traditions of our congregation. All of the requirements and fees outlined associated with Bar or Bat Mitzvah at Am Shalom were established by the Am Shalom Board of Trustees, clergy, and professional staff in order to make every event that takes place here safe and joyous for both your family and guests, as well as for everyone in our congregational family. Tikkun Olam ~ World Repair B'NAI MITZVAH PHILOSOPHY Celebrating a child becoming a Bar or Bat Mitzvah is a significant religious event in the life of the student, his or her family, and the congregational community. Please remember that the service is a Shabbat prayer service, during which we celebrate a student becoming a Bar or Bat Mitzvah. Am Shalom strongly encourages a focus on the spiritual character of the occasion, both in worship and in celebration. Some suggestions for achieving this ideal include: Create invitations and/or party favors using donation cards for worthy causes. Make centerpieces and decorations from items that may be donated after the celebration. (i.e. non-perishable food, toys, stuffed animals, school supplies, books, toiletries, etc.) Donate leftover food to a pantry or shelter. Choose environmentally friendly and/or recycled goods wherever possible. Bal Tashchit ~ "Do Not Destroy" Avoiding waste and causing harm, especially of natural resources. BAR / BAT MITZVAH REQUIREMENTS POLICY Congregants must be in good financial standing (all dues and fees current.) SERVICE TIMES: Services begin PROMPTLY at time specified in date assignment letter Invitations are REQUIRED to state the correct service starting time An invitation proof MUST be submitted for approval by the Am Shalom office BEFORE production Students must complete all congregational requirements, including: Enrollment in Religious School, maintaining minimum of 70% attendance during full school year of Bar/Bat Mitzvah Attend Family B'nai Mitzvah University (3 consecutive Thursday night sessions for student and parents up to two years prior to your service date) Attend 3 Friday night AND 3 Saturday morning Shabbat services, with family, during year before Bar/Bat Mitzvah Attend 1 Shabbat morning Torah study (Saturday morning library minyan), with family, during year before Bar/Bat Mitzvah Completion of individualized learning program and performance of social action activities preceding their Bar or Bat Mitzvah General understanding of meaning and ability to read and/or chant prayers that are part of our Shabbat service. Additionally, students must be comfortable reading or chanting and leading congregation in these specific prayers during their Bar/Bat Mitzvah service: Birkat Talit (Talit Blessing) La'asok B'divrei Torah/Eilu D'varim (morning services) Ashrei (afternoon services) Yotzer Or (morning services) Maariv Aravim (afternoon services) V'ahavta T'filah: Avot v'imahot and G'vurot Seder Kriat Ha-Torah (Torah service) Blessings before and after Torah reading Blessings before and after Haftarah reading Returning the Torah to the Ark Kiddush/Motzi (morning services) Mourner's Kaddish 1

BUILDING and PREMISES RULES and POLICIES Congregants and their guests are expected to honor all Am Shalom rules, policies, and Glencoe Village and Fire Codes at all times. Congregants are responsible for the behavior of their guests on Am Shalom property. No smoking in building or anywhere on premises. Exit doors may not be blocked or propped open at any time for any reason. (For assistance with temperature adjustment or building access see Am Shalom Security or Maintenance personnel.) Am Shalom cannot assume any responsibility for the security of personal items stored or left in our building or on our property. " 2

SECURITY and CHAPERONES Required for ALL B'nai Mitzvah Services + Hired by Am Shalom Fees to be Paid by Each Family SECURITY FEES determined by whether family will have: Service ONLY or Service and Celebration SERVICE CHAPERONES FEES determined by anticipated number of students in attendance: 35* - 125 students in attendance 126-200 students in attendance *We assume families will generally have at least 35 students in attendance. If your family will have fewer than 35 unaccompanied minors at the service, this fee may be reduced or waived at the discretion of the Executive Director. " Am Shalom security and maintenance personnel are required to be present during all events. Service chaperones are expected to help maintain appropriate decorum and atmosphere during the service. Students are expected to remain seated quietly during the service, refrain from going in and out of the Sanctuary, and follow any directions given by the chaperones. Chaperones will move (or remove if necessary) any student unable to behave appropriately during the service. Am Shalom security personnel and professional staff reserve the right to remove disorderly guests from our premises. The parents of unaccompanied minors will be called by Am Shalom security personnel or professional staff if it is necessary to remove the minors from the premises. Only Am Shalom employees may directly remove persons from Am Shalom premises. Congregants/renters, and vendors must consult with the Am Shalom security personnel on duty for assistance if removal is required. Minors must be supervised at all times during both services and CELEBRATIONS. +CELEBRATION CHAPERONES In addition to the required service chaperones hired by Am Shalom for the service, families holding celebrations on premises are REQUIRED to provide adequate professional chaperones, who must be hired from: Elite Scheduling Services Michael Houston 847-951-3663 / elitescheduling@aol.com 3

FAMILY OBLIGATIONS* HOST EREV SHABBAT SERVICE Each Bar/Bat Mitzvah family is asked to volunteer at one Friday evening service, other than the week of your own event. Students are encouraged to participate with their parent(s). You may sign up for a date to host by visiting our website: www.amshalom.com and clicking on "Appointments" under the "B'nai Mitzvah Info" section on our home page. SHABBAT RECEPTION FUND DONATION General fund that provides refreshments for the reception preceding most erev Shabbat (Friday evening) services. Families who wish to provide special refreshments, such as home baked items or a traditional family favorite, may do so provided they are available for the general reception. Enhanced reception items may be donated in addition to or in lieu of a financial contribution. Contact B'nai Mitzvah Coordinator or Executive Director to make special oneg arrangements. See Enclosure B for current fees. FLOWER FUND DONATION General fund from which flowers are provided for the bima each Shabbat. Families may not directly order bima flowers. Requests will be considered whenever possible, but are not guaranteed. See Enclosure B for current fees. TZEDAKAH BASKETS for BIMA DECORATION Families may choose to provide decorative baskets, with items for donation (such as books, toys, or canned goods), in lieu of bima flowers during their own service only.* B'nai Mitzvah Coordinator or Executive Director must approve any alternate bima decorations at least two weeks before service date. Alternate Bima decorations may not be flower arrangements. Flowers may only be ordered by Am Shalom. Family must arrange and pay for any alternate Bima decorations themselves. *As Bima flowers are used for more than one service, they will be ordered by congregation, even when a family chooses to use alternate decoration for their own service. 4

PHOTO and VIDEO Photography is DISCOURAGED* during Shabbat services. Limited video-recording IS permitted during Shabbat services, according to the requirements outlined below. Photographers and videographers must be approved vendors. *SERVICE PHOTOGRAPHS: Photographs are discouraged during the service. LIMITED photography may be allowed by a stationary photographer taking photos from the BACK of the Sanctuary (or other service location.) No flash, artificial lighting or other set up permitted. Any photography that disrupts the service, at the sole discretion of the rabbis and/or security personnel will be stopped, and may result in photographer losing vendor approval. SCHEDULED PHOTOGRAPHS : Time for photographs must be scheduled in advance. Times immediately before or after your service or rehearsal are not automatic and may not be available. When scheduling your photo appointment, include all areas of the building in which you want to take photos to guard against any conflicts. If you want one of the rabbis, cantor, or other professionals present for your photographs, you must schedule directly with them. VIDEO: Shabbat services may be video-recorded, by either Am Shalom* or a privately hired videographer. Augmented lighting is not allowed. Stationary video may ONLY be taken from the BACK of the Sanctuary (or other service location.) Am Shalom reserves the right to stop private videographers if they are not in compliance with these policies, or if, in the sole discretion of clergy or security personnel, they are causing disruption to the service. *See ENCLOSURE B for video fee. 5

CELEBRATION OPTIONS FOR BAR or BAT MITZVAH Celebration Time Allotment Description Erev Shabbat Dinner 1.5 to 2 hours directly prior to or following 6:30 p.m. Erev Shabbat service. Simple Kiddush 45 minute maximum Challah and wine/juice ONLY, immediately following service. Extended Kiddush No other refreshments or entertainment. 1.5 to 2 hours More elaborate refreshments, brunch or lunch served buffet style ONLY. Might include piano player, etc., but no dancing, DJ, or other entertainment. Luncheon 3.5 hours Full lunch: Either sit-down or buffet service. Dinner/ Evening Party With or without entertainment, band/dj, dancing. 5.5 hours Cocktail/Hors D'oeuvres hour. Entertainment, band/dj, dancing. Sit down or buffet dinner. All evening parties MUST END by 11:30 p.m. on Saturdays. (11:00 p.m. other nights.) Due to Glencoe Village Codes NO EXCEPTIONS are possible. Am Shalom facilities may not be available for celebrations the weekends before and between the High Holy Days. Am Shalom facilities may be unavailable at other times due to holidays, or synagogue functions. 6

AVAILABLE SPACES Rental of all spaces subject to approval by Am Shalom. Spaces not rented by you may be rented to others and/or in use for Am Shalom programming during the hours of your event. All rentals contingent on adherence to Am Shalom rules/policies. Space Capacity / Square Footage (i.a.) Simple Kiddush, Cocktails, Greeting Guests 45 minute maximum Small private room with elevator access. Carpeted. Doors and windows overlooking courtyard. Carpeted. Dance floor available.** Carpeted. May be divided into three smaller rooms. Carpeted. Three rooms may be opened and used in any combination. Other Spaces: Library, conference rooms, and classroom wing are not available for celebrations/parties. See ENCLOSURE B for current rental fees. *Congregant only discount will apply when renting all three rooms. **Dance floor usage incurs separate set-up fees. See Enclosure B. 7

CONTRACTING FOR USE OF FACILITIES Facility rental is contingent upon membership in good standing. All financial obligations (dues, building fund commitments, outstanding invoices) must be current. Please contact the Executive Director with any questions about fees or for assistance with payment arrangements. Assignment of Bar or Bat Mitzvah service date/time alone does not guarantee facilities will be rentable for celebrations, however Bar/Bat Mitzvah families receive right of first refusal up to one year prior to their date, as follows: Morning Bar/Bat Mitzvah for afternoon rental Havdalah Bar/Bat Mitzvah for evening rental If a family either indicates they will not rent the facilities or does not contract for rental by one year prior to the service date, facilities may be rented to others on a first come/first served basis. Facility rental may not be available on all dates due to holidays, congregation functions, etc. Families who indicated they will use facilities when requesting a date may receive written confirmation that they have reserved facilities when date is assigned, but rental contract must ultimately still be executed. All event-related fees must be paid no later than one month prior to the ceremony. Facility rental is contingent on adherence to all Am Shalom policies, rules, and provisions in this booklet, rental contract, and by directive of security or professional staff. Congregant/renter also assumes responsibility for adherence by their guests and vendors. Rentals are not guaranteed until you have received written confirmation from Am Shalom indicating that your contract and deposit have been accepted. (Do not contract with any vendors until you receive a written confirmation of your use of facilities or executed rental contract from Am Shalom.) You are financially responsible for any and all loss, damage, or destruction of Am Shalom property caused by you, your guests, or vendors in your employ. Am Shalom reserves the right not to allow celebrations to take place if the following items are not submitted for approval at least 2 weeks before event date: final menu final schedule complete vendor list complete, detailed description of all activities signed vendor agreements Final floor plan must be submitted NO LATER than 72 hours prior to event date. Floor plan must include complete description of set-up, including decorations and equipment, and is subject to approval. 8

PLEASE NOTE: Am Shalom reserves the right to limit all activities on our premises, including during private events. Am Shalom also reserves the right to stop activities in progress, if they violate any of the rules/policies described in this booklet and/or your rental contract. All activities must be*: Safe and respectful to all participants and to our synagogue's facilities. Appropriate for the celebration of religious life cycle events. Consistent with the usage policies of our synagogue's facilities. *As outlined in this guide and/or determined by the sole discretion of Am Shalom professional staff and security personnel. 9

FOOD and BEVERAGE POLICY MENUS and FOOD: NO PORK or SHELLFISH may be served on Am Shalom premises, but otherwise food is not required to be kosher. Foods served during Jewish holidays MUST COMPLY with Congregation's observance as determined by Executive Director and/or rabbis. Complete menu must be submitted for approval at least 2 weeks before event date. OUTDOOR COOKING REGULATIONS - PER VILLAGE OF GLENCOE FIRE DEPARTMENT: Must take place ONLY in specifically designated location in SOUTHWEST PARKING LOT (Am Shalom security will direct vendors on day of event.) Working fire extinguisher required within 5 feet of cook line at all times. ALCOHOL: Alcohol may be served in moderation at private functions. Proper insurance protection under the Dram Shop Laws must be submitted by the caterer or bar service NO LATER than 2 weeks before event date. NO MINORS may be served alcohol on Am Shalom premises. (The sole exception is allowance of a very small amount of ceremonial wine to be consumed during religious ritual and only if minor is accompanied by his/her own parent or guardian.) Am Shalom security may remove any minor consuming alcohol. Am Shalom security may remove any guest who is over-served. Am Shalom security may stop alcohol service if any of these situations occur. PROHIBITED ITEMS: CANDY and GUM* Popcorn Nuts (due to allergies) *No candy or gum may be served, distributed, used, or consumed during events. Wrapped candy ONLY may be given to guests as they LEAVE the building. Am Shalom security and maintenance personnel are authorized to remove prohibited items. If prohibited items are served, renter is solely responsible for all clean-up, which must be COMPLETED before leaving premises. Renter is also subject to loss of security deposit, full costs for any further cleaning required or damage, and an additional penalty of $500.00. Vendors serving prohibited items are subject to loss of vendor approval. 10

DECORATIONS and ENTERTAINMENT The following items MAY NOT BE USED AT ANY TIME:* glitter confetti metallic tinsel rice dry ice pyrotechnic or similar effects fog, smoke, or haze any similar items. (including simulations) Nothing may be affixed to walls, floors, ceilings, furnishings or equipment by any means that cause marring or damage (including, but not limited to: scotch tape, nails, tacks, staples, etc.) HANGING anything (including balloons) from sprinkler heads, ceiling lights, or other fixtures is PROHIBITED. Paper or fabric used must be fireproof or fire resistant. Lighting, sound, and stage equipment require pre-approval by the Executive Director, and must be set-up under his supervision (or by an Am Shalom employee he designates.) Votive or glass globe enclosed candles ONLY are allowed (no open candles.) Balloon arches, displays and any other large obstacles may not be set up across dance floor. No decorations may block or impede fire safety equipment, pathways and/or exits in party rooms, hallways, or pass-through areas at any time, for any reason. No exterior doors may be blocked or propped open at any time, for any reason. Use of gas powered generators requires advance notice and approval by Am Shalom Executive Director at least two weeks prior to event. Gas powered generators must be kept a minimum of 25 feet from building. No additional fuel may be stored on site. No amplified music is allowed in courtyard. Community Court furniture MAY NOT be moved. No changes are allowed to Am Shalom decor or furniture. *NOTE: Am Shalom security will immediately remove any such items. Congregant/renter subject to fines. Vendor(s) subject to loss of approval. " LIGHTING and ELECTRONIC EQUIPMENT No Vendors (or congregants/renters) may adjust lighting, AV, sound, or any other electronic equipment owned by Am Shalom. Social halls have 5 pre-set lighting scenes which cannot be changed and may only be set by Am Shalom personnel. Adjustments to the pre-set scenes cannot be made. House lights will be turned on promptly at the ending time of your event. 11

SET-UP and CLEAN-UP All Am Shalom rooms, facilities, and equipment must be returned to the condition in which they were found immediately prior to your event. You are financially responsible for any required clean-up work not completed immediately following your event. You are financially responsible for damage caused by anything other than normal wear and tear, even if it is caused by something not specifically delineated within this guide. Set-up may be overseen by Executive Director or any Am Shalom employee he designates. Am Shalom reserves the right to limit decorations and/or any other set-up if they do not comply with policies or are likely to cause damage. Am Shalom reserves the right to keep your security damage deposit 1, as well as to bill you for additional fees, should damage repair or additional labor to achieve satisfactory clean-up be required. " DELIVERY/PICK UP: All deliveries, pick-ups, unloading and loading of equipment and materials must be made through kitchen alley door. No deliveries or pick ups may be made through front of building. No vendor parking in alley behind building or southwest parking lot. Violators will be towed at owner's expense. No deliveries may take place after 3:00 p.m. on Fridays. All items must be securely packaged and clearly marked with renter's name and date of event. Thursday prior to event is the earliest time items may be dropped off. 3 Monday immediately following event is latest time items may be picked up. 3 Equipment staging/storage is not allowed anyplace in building other than space contracted specifically for your event. Equipment, decorations, etc. may not be stored in the building. 3 SET-UP / CLEAN-UP: SET-UP TIME generally allotted is 1 hour prior to service starting time. (i.e. 3:30 p.m. celebration set-up for a 4:30 p.m. service) CLEAN-UP TIME generally allotted is 1.5 hours following celebration end time. Am Shalom may modify time allotments and there may be clean-up and set-up over-lap on days when facilities are used for more than one function. FURNITURE/DECORATIONS: Layout must be submitted no later than 72 hours prior to your event date. Congregation owned tables and chairs will be set up by our personnel prior to arrival of your caterer/event planner, according to submitted floor-plan. Community Court furniture MAY NOT BE MOVED. (Other than tables and chairs used as part of pre-submitted floor-plan, no Am Shalom furniture or decor may be moved.) Continued... 12

SET UP/CLEAN UP CONTINUED... Modifications not contained on your submitted floor plan must be made by your caterer/event planner, NOT by Am Shalom personnel. Am Shalom personnel MAY NOT: Set up or take down rental furniture or equipment. Set or remove table linens. Set or clear place settings. " The following guidelines are what is REQUIRED to return Am Shalom facilities to the condition in which they were found.* GENERAL CLEAN-UP/REFUSE: Place Am Shalom chairs in stacks of 15, with one chair in front to brace each stack. (Am Shalom Maintenance personnel will provide example if needed.) Vacuum all carpeted areas. Sweep all non-carpeted areas. Tidy bathrooms (no refuse, party goods, etc.) Remove all rental equipment and personal belongings. Remove all party debris (i.e. prize packages, bags, boxes, etc.) REMOVE ALL GARBAGE FROM PREMISES. KITCHEN SPECIFIC: Remove all leftover food and beverages in your own containers. (Am Shalom property, including dishes, may not be removed from building.) Remove bags of ice from freezer. Wash, dry and properly return all dishes, glassware, silverware and utensils. Scour and clean ovens and range tops. Clean sinks, countertops, and all other surfaces. Wash kitchen floor. *NOTES: 1. While your caterer, party planner, serving staff, and/or DJ may be expected to do any or all of this work, the final responsibility is the congregant's/renter's. Security deposits will be returned, or applied to your account (as indicated on your contract) approximately 2 weeks following your event, assuming all policies and rules were followed and no charges against your security deposit, damage or clean-up fees, or other penalties are assessed. 2. Building may be used simultaneously by multiple renters, events, and activities. Therefore, you may not have access to rooms or facilities not specifically part of your rental contract, and set-up/clean-up may need to be coordinated among different vendors. Equipment staging/storage is not allowed anyplace in building other than space contracted specifically for your event. 3. Additional time for set-up /clean-up, deliveries, later pick-up, or limited, short-term storage is not guaranteed, but may be arranged on a case-by-case basis through the Event Coordinator or Executive Director. Any special set-up or delivery arrangements must be made no later than 2 weeks prior to your event date. 13

APPENDIX 2 VENDOR POLICY All vendors working on Am Shalom premises must be approved by Am Shalom* and are subject to all rules and policies outlined in this GUIDE, as well as any direction given on-site by Am Shalom security or maintenance personnel. NOTES FOR CONGREGANT /RENTER: Do not sign contracts with any vendor(s) until AFTER you have received an executed contract or written confirmation from Am Shalom confirming your rental of facilities. (Receiving a service date alone does not guarantee available building facilities for celebrations.) Do not sign a contract with a vendor until you have confirmed with Am Shalom that they are an approved vendor. If you wish to use a vendor who is not approved, please have them contact our Executive Director BEFORE YOU CONTRACT FOR THEIR SERVICES. In order to receive approval, a vendor will be required to: Complete a written agreement stipulating to all Am Shalom rules, requirements, and policies. Provide copies of legally necessary proof of insurance and workman's compensation. Congregant/renter is ultimately responsible for anything taking place during their event, including assumption of financial responsibility for any damage to Am Shalom property, even if damage is caused by their vendor(s.) *Vendors include any non-am Shalom employee working for congregant, guest, or renter, including: event/party planners, caterers, wait-staff, DJs, musicians and other entertainers, florists, decorators, photographers, videographers, etc. Chaperones MUST be hired exclusively from Elite Scheduling Services. PREFERRED Vendors (See Preferred Vendor Directory) have chosen to support Am Shalom through a financial contribution in return for promotion in this guide. WE ENCOURAGE YOU TO CONSIDER THESE VENDORS, IN APPRECIATION FOR THEIR SUPPORT OF THE CONGREGATION, but do not require you to use them. Please again note however, while preferred vendors are not required, ALL VENDORS MUST BE APPROVED. " NOTES FOR VENDORS: All vendors must complete a separate signed agreement for every function.
