Officers St. John s Lutheran Church Chair The chair shall assume the following duties after one year of service as the Congregation Council vice chair: Preside at all meetings of the congregation and of the Congregation Council and ensure that they are conducted in an orderly and Christian manner. Ensure that all elected officers, boards, or committees of the congregation are functioning efficiently. Serve as an ex-officio member of all standing boards and committees, attending their meetings whenever necessary and/or upon the request of the pastor. Set an orderly agenda for all meetings of the congregation and of the Congregation Council. Meet at least once each month with the pastor to review aforementioned agendas. Make committee and chair appointments as necessary. Notify all Congregation Council members of meeting dates and times. Contact any Congregation Council member with unexcused absences. Vice Chair The vice chair shall be elected by the congregation by written ballot and shall serve for one year as vice chair and then one year as chair. Duties for the vice chair are specified as follows: Preside at meetings in absence of the chair. Serve as chair of the nominating committee and other elected or appointed committees in the absence of a duly elected or appointed chair. Recording Secretary Duties for the recording secretary are specified as follows: Keep accurate minutes and roll call of meetings of the Congregation Council and of the congregation with at least one copy to be kept at the church office. Keep an accurate record of the constitution, bylaws, and continuing resolutions, and any updates or changes as they occur. Maintain an accurate list of membership of all committees and boards. Conduct such correspondence as necessary and/or requested. Provide members of the Congregation Council with minutes of the previous meeting before the monthly meeting. Treasurer The executive committee shall appoint the treasurer. Duties for the treasurer are specified as follows: Make disbursements as authorized by the congregation or Congregation Council. Maintain a set of permanent, accurate financial records with one copy to be kept on file in the church office. Furnish the Congregation Council with monthly and annual financial reports. Make financial records available for auditing.
Worship Ministry Director Responsibilities Specific to Worship Director: Work with the pastor to prepare and organize meaningful worship services that inspire, uplift and encourage both believers and non-believers. This includes communication and coordination of the various elements of worship including: training and scheduling servers; communion setup; technology; music; decorating/worship arts; planning and coordination of ecumenical worship services and maintenance of musical instruments. Schedule and train people to serve in worship including: greeters, ushers, readers, communion assistants, parking assistants, and all other worship assistants Work with and arrange for musicians and song leaders, plan for special music and groups, recommend songs and new liturgies, work with Sunday School to arrange a schedule for children to sing in worship, develop and oversee a praise band, Plan for weekly worship, make arrangements for special events (including Mother s Day, Father s Day, Christmas, Lent, etc.), plan for occasional dramas and other special events Arrange for the weekly care of the altar including setup and clean up of communion and filling of candles, cleaning of altar clothes, training and scheduling Arrange for appropriate decoration that visually enhances the worship space including purchase or making of banners and encouraging the use of creative abilities by members to visually enhance the worship space. Recruit and train people to prepare the weekly technology presentations, run the technology presentations, control the sound system; oversee the operation of worship technology and replacement or repair of worship related technology when needed Learn about worship, cultural trends and congregational needs Help with coordinating ecumenical and community worship along with other congregations (including the Community Thanksgiving Worship Service) Oversee the maintenance and procurement of the church s musical instruments
Faith Development Ministry Director Responsibilities Specific to Faith Development Director: Work with the pastor to plan, implement and coordinate the educational and discipleship ministries of the congregation including: Sunday School, VBS, GIFT, Cross-Training, Youth, Adult Discipleship; other programs and activities that focus on faith development. Recruit someone to mail out the monthly birth to 3 newsletters Recruit a team leader, teachers and helpers for Sunday School and GIFT programs. Provide support and encouragement for this ministry to children and their families that focus on the faith development of infants through 5 th grade and their families, nurturing them in their Christian faith, encouraging spiritual growth and equipping families to nurture faith in the home. Recruit a team leader and help with the planning and coordination of Vacation Bible School Recruit leaders for the Cross-Training program and provide support and encouragement as needed Arrange for youth leaders and provide support and encouragement for youth ministry that encourages faith development in the high school youth of the congregation including bible studies, summer mission trips, youth gatherings, development of leadership skills and encouraging participation in the life of the congregation. Encourage participation in Bible Camp programs for all ages Seek out leaders for Bible studies, small group studies, mission trips, faith development and enrichment programs primarily for adults of the congregation If needed, arrange for a team to review curriculum, policies and objectives to nurture spiritual growth in children, families and all members of the congregation Oversee the church library, encourage its use and purchase new materials to keep the library update and useful
Stewardship Ministry Director Responsibilities Specific to Stewardship Director: Shall coordinate and conduct a time and talent survey and disperse responses to various ministry areas; educate and secure financial support for God s work; educate and inspire care for God s creation; and provide an annual volunteer appreciation event. Encourage congregation members to use their spiritual gifts for the building up of the church Coordinate and conduct a time and talent survey determining from the leadership board the various needs and dispersing responses to the ministry directors Educate the congregation about Biblical Financial Stewardship including the regular offering of Financial Peace University, ministry moments, stewardship articles, sermon series, and other means Encourage financial support for God s work Educate and inspire care for God s creation Provide for an annual volunteer appreciation event
Social Concerns Ministry Director Responsibilities Specific to Social Concerns Director: Help members of the congregation understand and respond to needs within the community, the nation, and throughout the world so that the congregation can demonstrate God s love and serve those in need. This includes support and coordination of the following: COME, food pantry, giving tree, community care walk, Lutheran World Relief, World Hunger, and other local, national, and international needs as they arise. Provide support and coordination of COME (Community Outreach Meal for Everyone) Encourage donations for the food pantry, giving tree, world hunger and other local, national and international needs as they arise Encourage participation in the Community Care Walk Work with the WELCA mission coordinator to encourage participation in projects such as Lutheran World Relief and Operation Christmas Child (Shoeboxes) Maintain an outward focus on the Church s missionary efforts educating the congregation on needs and opportunities each month to love and serve those in need Provide support and coordination for the sale of SCRIP and oversee the use of the profits to help with special needs
Fellowship and Care Ministry Director Responsibilities Specific to Fellowship and Care Director: Initiate and strengthen activities and programs that build stronger relationships within the congregation; work with the pastor to provide care for the membership of the congregation especially lapsed members, and those in times of need or transition; connect with visitors and un-church in the community and assist with orientation and assimilation of new members. Social events picnics, potlucks, special events, couples dinner groups, camping activities, game nights, movie events, special church celebrations such as anniversaries, weekly Lent soup suppers (if not coordinated by WELCA), special meals, fun stuff the congregation can do together Hospitality time following worship services Ensure that there is a team in place to serve meals and refreshments at funerals Work with WELCA kitchen coordinator to make sure the kitchen, bathroom baskets and hospitality center are stocked with supplies In cooperation with other ministry areas, plan and host receptions for: new members, graduates, Affirmation of Baptism, Silver Sunday (honoring those age 75+), etc. Reach out to lapsed members by sending notes and making phone calls; provide support and care to members in times of need and life transition Welcome and follow up with visitors and those interested in becoming members of the congregation, helping new members to get connected and assimilated into the life of the church. Reach out to the un-churched in our community Annually review the congregation membership list with the pastor
Buildings and Grounds Ministry Director Responsibilities Specific to Buildings and Grounds Director: Responsible to oversee the care, maintenance, and improvement of the church s facilities and grounds to ensure a safe and well-maintained facility Keep the building operational and in good care Assure building safety, including walkways and structure Oversee repairs and maintenance Assure proper fire and handicap facilities Arrange for snow removal and lawn care Supervise building projects Maintain custodial services Provide for the maintenance of equipment and supplies including dishwasher chemicals, garbage and recycling, septic, water softener Schedule annual St. Grubby s Day and Fall Clean Up
