The theme for this year s conference is: Restored ~ Renewed ~ Recommitted Due to increasing cost of doing business, we were creative in our planning and execution efforts with the goal of keeping the registration cost the same as in previous years while maintaining our high standards. Although there will be many changes to our traditional Conference, we are convinced that it will continue to be informational, beneficial and a very rewarding experience. The following are just a few of the changes:: Awards Luncheon: To avoid increased registration fees, we have elected to have an Awards Luncheon instead of a Banquet. This allows us to have more meal options and assists in our time management. Hospitality: There will be no traditional hospitality room but rather a welcoming event. Due to hotel restrictions, it has been increasingly difficult to put on this event without spending thousands of dollars. I m sure you will be pleased with what the Hospitality Committee has planned for you. Committees: Certain committees will be offered the opportunity to meet prior to conference in order to perform preliminary committee work. It worked extremely well on the National level and allowed the business sessions to progress efficiently and in record time. By meeting via conference call prior to the Conference, Committees will be prepared and ready to report at the designated times. Also, time will be set aside Friday afternoon (April 22, 2015) for committee meetings to get started or finalize as needed. All are encouraged to arrive early afternoon on Friday. Along with the aforementioned changes, please be aware that it s an election year. All offices are up for re-election. If anyone is interested, please review the WSDC bylaws and Guidelines for the list of responsibilities and expectations.

The sooner you register the quicker we can establish the Conference committees and the work can begin in preparation for our Conference. Charity Request Form Each year during Conference, a Charity Committee is formed to award funds to a charitable organization on behalf of a Council as the petitioner. These funds are given to a needy cause or organization closely aligned to the unit. The Charity Request form must be filled out to be submitted to the WSDC Charity Committee at the Conference. Please send completed forms to the WSDC President, Brother Robert P Williams, Jr 3922 Emerald St #131, Torrance, CA 90503-3156. Requests must be postmarked on or before March 15, 2016. Incomplete applications or applications received after March 15 th will not be considered and will be returned to the Council. The WSDC Charity Fund is available to all member Councils and Courts in the Western States District. Qualification is determined by payment of the Council s annual dues to the Conference. The Charity Fund Guidelines state: A Council or Court that is awarded a Charitable Grant is excluded from applying for a grant for two (2) consecutive Years. Example: If you received an award 2015, you can not apply again until 2018. Membership Fees To belong to the District Conference, each unit must pay dues and assessments. The dues are $100 per unit and comprise of $35 Charity Fund, $40 Conference Dues, and $25 Junior Division Assessment. All Conference dues and assessments must be paid in full by April 1, 2016 allowing member Councils to have their delegation receive a voting card. All information will be verified prior to Conference (see enclosed form). If the Council is delinquent in its membership fees, the Council members will be unable to participate in the Conference. Committees In an attempt to be more efficient in our business meetings, we are affording committees to meet prior to Conference to perform preliminary committee work. Please make every effort to register early so committees can be established and every Knight receives their assignments in enough time to start the process. Credentials February 2016 is the time to elect the Council s delegates to represent the Council at the WSD Conference. The credentials form is the Council s official document to register the delegates for the purpose of voting and addressing the Conference in meetings. This form should be completed and sent to the WSDC Recording Secretary, Brother Floyd Davis and the WSDC President Brother Robert Williams. The deadline to submit this form is March 15, 2016; forms received after March 15 th will not be accepted without prior authorization. The Grand Knight or Council delegate must present this original document on-site at the Conference at the Credentials desk in order to receive a voting card and be properly credentialed. Only one Credential form per Council, properly signed by the Grand Knight and Financial Secretary, will be accepted. Emerging Leaders Project The Emerging Leaders Project is a charity project conducted by the Emerging Leader Chairpersons of the Western States District: Lady Jessica Mays and Brother Jordann Singleton. A flyer will be distributed at a date closer to the Conference. Page 2 of 21

Humanitarian of the Year and Knight of the Year Award Forms District Deputy Gregory Warner has included these award forms for the Council s consideration. When voting on Council delegates, it would be a good idea to nominate these award recipients as well. The deadline to submit the award forms are March 15, 2016 and must be mailed to the District Deputy. Please follow the instructions on the forms. Incomplete form or forms received after March 15 th will not be eligible for 2016 Awards. Grand Knight of the Year and Council of the Year Award Forms District Deputy Gregory Warner has included these award forms for the Council s consideration. These forms are being submitted by the District rather than the National Office. The deadline to submit these award forms are Two Weeks Prior to the WSDC or not later than April 9, 2016 and must be mailed to the District Deputy. Please follow the instructions on the forms. Incomplete form or forms received after April 9, 2016 will not be eligible for 2016 Awards Conference Registration 1. The Conference Registration fees are: Registration Guide Cost Deadline Early Registration-Members $125.00 Postmarked by 3/15/2016 Early Registration-Non-Members Guest $100.00 Postmarked by 3/15/2016 Late Registration- Members $175.00 Postmarked by 4/15/2016 Late Registration- Non-Members Guest $150.00 Postmarked by 4/15/2016 There will be no registration after 4/15/2016 and no on-site registration. 2. The member registration fee includes: Conference Badge with Badge Holder Conference Bag Participation in Business Meetings Delegate Voting Card (credentialed delegates only) Welcome Packet Awards Luncheon Ticket 3. Payment Options: a. Payments can be made by Personal or Council Check, Money Order, Cashier s Check or Credit Card. Make checks payable to WSDC Senior Joint Account. b. Online registration will be available as of December 15, 2015 at www.kpcwsdc.com/registration. This is the preferred method as it saves time, money and helps the environment. 4. Cancellations: A refund of 50% of the Conference Registration fee will be given by the WSDC in the event of cancellation. All requests must be in writing and postmarked by April 15, 2016. If cancellations are not received by the cancellation deadline, there will be no refunds. 6. When registering, whether online or via US mail, please make sure to include a meal selection. 7. Souvenir Booklet Ads We are asking each Council, Inter-Council, Coordinating Councils and Courts, Assemblies and Chapters, individually and/or jointly to purchase an ad in the Conference Souvenir Book. Also, we are requesting KPC members to solicit outside vendors and/or businesses to purchase an advertisement in the Souvenir Book. All ads must be submitted to the Western States District Conference along with a check, money order, cashier s check or credit card on or before April 1, 2016. All advertisements must be camera ready in pdf or jpeg format. Pertinent information can be found on the Ad form (included) or online at www.kpcwsdc.com. Vendor Form Each year, we allow vendors to join us in the Conference Marketplace to support their business or organization. There are specific rules and guidelines that must be adhered to in order to have a successful and hassle free Conference Marketplace. Information is included on the attached form. Page 4 of 21

Hotel Information 221 North Rampart Blvd Las Vegas, NV 89145 (877) 622-3140 Guest rooms The group rate for a Single/Double is $149.00 and is subject to applicable state and local taxes (currently 12%) in effect at the time of check-out. All rooms included in the group rate are standard rooms with 2 queen beds. The group rate will be extended three days prior and three days after the program dates (4/22-4/24) based on availability RESERVE EARLY. Suites are offered at the following rates: Junior Suite $199; One Bedroom Suite $249; and Two Bedroom Suite $349 and are based on availability. If you would like to reserve a suite, please contact Brother Leroy Titus at leroyrtitus@gmail.com to get the group rate, which is not available when booking online. A limited block of ADA rooms have been designated for the WSDC members. Resort Fee The room rate listed above does not include a taxable Resort Fee, currently $11.99 per room per night. The Resort Fee package includes the following value-packed items: Complimentary High Speed Internet Access in guest rooms, complimentary local, 800 and domestic long distance guest room telephone calls, access to Spa Aquae Fitness Center, 2 small bottles of water, refreshed daily, complimentary Shuttle to the Fashion Show Mall / Las Vegas Strip. Hotel Reservation Procedures Conference attendees will be making their own reservations directly to the hotel by calling toll free at (877) 622-3140. If a local resident, call (800) 582-2996. Reservations can also be made online at http://bit_ly/2016wsdc. Be sure to clearly identify the Knights of Peter Claver as the event/group when making reservations to qualify for the special group rate. These reservations must be received by Thursday, March 31, 2016. All reservations must be accompanied by a first night room deposit or guaranteed with a major credit card. The hotel will not hold any reservations unless secured by one of the above methods. Any reservations made after that date are subject to space and rate availability. Check-in/Check-out The Hotel's check-in time is 3:00PM, and the check-out time is 12:00PM. Early check-in is based on "space availability" and will not be guaranteed. The front desk can arrange to check baggage for those arriving early when rooms are not ready. Guest Parking Complimentary self and valet parking will be available for all attendees. 2016 WSDC Transportation Options BUS Depending on the interest, there s an opportunity to charterr a 56 passenger bus to fulfill your transportation needs from the Los Angeles Area to Las Vegas from Fast Deer Bus Service. Vendors may not set up their booths after the Conference has opened. Vendors may not pack their products or tear down their booth(s) before the Conference closing. (1) Due to potential liability, the Knights of Peter Claver (KPC) cannot accept Vendors who cannot comply with this policy. Vendors who disregard this policy shall be excluded from future KPC Western States District Conferences until reinstated by the KPC Western States District. (2) If an early departure becomes necessary due to an emergency, we must be informed in advance prior to booth tear down and arrangements will be made to assist you without endangering the public if the Conference is open.

3. VENDOR DISPLAY POLICY WESTERN STATES DISTRICT CONFERENCE KNIGHTS of PETER CLAVER and LADIES AUXILIARY APRIL 22 24, 2016 A booth consists of 8 ft tables and two chairs. Vendors may not exceed the booth area reserved by the Vendor. Vendors will not be permitted to put on demonstrations unless the KPC Western States District Conference is notified in advance and sufficient aisle space exists to support an audience. 4. BOOTH DISPLAY INTERFERENCE No Vendor may interfere with or block a neighboring Vendor. (1) Display material exceeding three feet in height above a table may not extend more than four feet from the back of the booth without permission from the neighboring Vendor. (2) Vendors who have end or corner booths may not exceed the three-foot height limitation on the back or side rail without permission from the neighboring Vendor. (3) Display materials at the back of the booth may not exceed the eight-foot height of the drape. 5. SAFETY PROVISIONS (1) Vendor must provide the necessary shielding or safety items to protect attendees, Vendors and all others from equipment that may cause bodily harm. (2) Electrical wiring and equipment must meet the standard electrical codes. 6. PROMOTIONS & LITERATURE DISTRIBUTION Merchandise booths only (no food items) (candy acceptable) (1) Promotions and commercial literature distribution by a Vendor is restricted to the confines of the Vendor's booth area. (2) Vendors are not permitted to use other persons to distribute materials at other locations on the Conference premises. 7. MOVE IN and OUT SAFETY Please note that for safety reasons during the move in and move out periods, KPC and JW Marriot Las Vegas Resort & Spa do not permit children under 16 years of age to be on the Conference floor. 8. INDEMNIFICATION Vendor shall defend, indemnify and hold the KPC/Western States District Conference harmless from any claim or lawsuit arising from any act or omission on the part of the Vendor, its agents, employees or assigns that may cause harm to others, including but limited to any and all claims or lawsuits arising from or concerning retail licensing and licensing, copyrights and patents of the merchandise sold by Vendor. In the event the KPC takes legal action to enforce this provision and prevails, Vendor shall be responsible for the payment of all costs, expenses and attorney fees incurred by the KPC in pursuit of such enforcement.
