This will apply when a new record is created. Set Duplicate Checking Settings to Name or Address. Define Lists Simplify the list of Member Statuses. Suggestions: Member Contributor Only Guest or Visitor Non Mmbr-Reg. Attendee Wed PM Child/Youth Child of Member Checkpoint NEW Spouse of Member Consolidate the list of Address types. Recommended: Home Alt. Summer/Winter Home Business Alternate Consolidate the list of Phone types. (Note that land lines phones are part of the address information, and do not need their own types.) Recommended: Personal Alt. 2 Work Family Consolidate the list of Other Relationship types to use gender-neutral relationships. For example Parent instead of Father and Mother. Comments Create a Comment Type for tracking Member Status Changes. All changes including transferred out, lettered out or moved lost contact will be documented here Create a Comment Type for tracking School Information. This could be used by Children s and Youth Ministry for making school and grade information available in Church Life. Youth Ministry could also track extra-curricular activities. It could be used by Adult Ed to capture college name and level. Create a Comment Type Confidential: Pastoral or Staff. This will allow for only certain staff to document life events, counseling, etc that would be important to see in ChurchLife while keeping it confidential. Create a Comment Type Allergies, this will allow you to track allergies in Checkpoint and within People for reference in other areas. Part Two: Groups Sunday School Master Groups Drop all participants from old Sunday School master groups. (No one should be currently enrolled in a group that has ended.) Mark all old Sunday School groups inactive. Keep the following Master Groups: Adult, Children s and Youth Additional Attendance Class Groups Drop all participants from old master groups. Mark all old groups inactive. Review History group to determine if it is still in use. If not, drop participants and mark inactive. 4 Data Cleanup Guide Evaluate each category to determine if it has any active groups and if the data in the group is still valuable. For any categories that have no active groups or relevant information, delete the entire category. For any groups (Element 1 level) that contains no relevant information, delete all individuals from the rosters and delete the roster elements. For inactive groups that contain relevant historical information, drop all participants from the rosters. Part Three: Processes Guests/Visitors The following guest processes were discussed and need to be created: 1 st time guest/visitor What do we do? Who does it? What is the time frame for completion of the steps? Grief Care Homebound Care Sunday School Prayer Requests Who should receive these? Where do they go? Who follows-up? The following are not resources, and should be removed from the list: Child Care Required Woods Offsite Kitchen Service Vigil participants 11:00 Sunday School The following resource categories should be removed: Child Care Required Woods Meeting Offsite Kitchen Service Offsite Consolidate remaining resource categories so that they are based on building and wing.
