Ms. Leena Narang (Via Conference Call) 9. Sh. Ravindra Kumar (Via Conference Call) The WTC Welfare Society Bharat Hotel Management team met formally on 20 th September, 2012. The meeting was chaired by Sh. Vivek Shukla (GM, Lalit Hotel) and Sh. Amit Gupta (President, WTC Welfare Society). This was the meeting conducted between the two bodies, and the first interaction that the newly elected WTC Welfare Society had with the management team from Bharat Hotel. The WTC Welfare Society discussed a number of issues that have been plaguing the building. The Bharat Hotel Management team gave a patient hearing, and instituted a number of measures to resolve the issues.

Broad Points: 1. Basic Issue resolution: Sh. Vivek Shukla informed us that the Mr. Bhandari has complete authority to resolve outstanding and future issues that occupants of WTC might face and raise. 2. We will be meeting on regular basis to resolve and discuss any issues related to WTC. Discussion Points: 1. Electricity: Sh. Kannan informed that 12 crores has been invested towards the DG set/lt Panel. The changeover will take 6 months. The electricity panel of WTC has alrady has been changed. 2. Lift: a) Elevator Replacement: All the elevators are old and potential risk. Sh. Kannan informed us that there are 4 lifts, of which 2 will be changed in November and the remaining 2 will be changed in January, 2012. b) First Response team: Sh. Shukla advised Sh. Kannan to institute and train a First response Team in case the lifts get jammed due to electricity failure. c) Servicing: Sh. Shukla suggested that OTIS be notified of the frequent breakdowns the lifts faced, and expedite the servicing of the lifts to prevent any mishaps. d) Intercom: It was suggested that an intercom be placed in each of the lifts to ensure flow of communication in case of power failure. 3. Air conditioning: Sh. Kannan mentioned that the AC was not effective due to the high humidity in the months of June and July. It was brought to his attention that an informal survey conducted by the WTC Welfare Society discovered that most of the occupants across all floors of the building were dissatisfied with the temperature in their offices. It was therefore decided that Mr. Kannan will conduct an AC audit of all offices within the next 20 days. 4. Café: a) Vending Machine: Sh Shukla agreed with the suggestion that a vending machine that could offer snacks/drinks would be a welcome addition to WTC. Sh. Surinder Singh has been asked to forward vendor details to Ms.Leena Narang and Sh. Kapil Vig.

b) Tea Machine: Sh. Shukla agreed that the existing tea machine/dispenser needed a replacement. Ms Leena Narang informed the team that a new machine can be brought into the café within a week, one that offers varied flavors of coffee and tea. c) Upholstery: Sh. Shukla has requested Sh. Rakesh Pathak and Sh. Bhagat Singh to improve the ambience of the café with immediate effect. As part of the upgrade, the upholstery will be changed immediately. d) Menu: A number of issues were raised i) Menu upgrade: Sh. Shukla agreed that the menu needed an up gradation and needed to reflect the current needs of the WTC occupants. Sh Rahul Gupta, will present consumption data post which the team will decide what comprises the menu. Further, Sh. Ravinder Kumar will step in and advise as well. ii) Evening Snacks: The team requested that a fresh batch of snacks be provided for evening consumption. The matter is under review. iii) Dishes be served as listed: The dishes are not served as listed in the menu. Sh. Shukla has requested Sh. John to ensure the menu is adhered to. iv) Café Hours: The café hours are formally 9am-6pm. However, the café opens only at 10am. e) Café Roof Covering: A Net/jaali needs to be put up on the roof of the café to ensure those sitting in the café are protected from trash that could be thrown below. 5. Service tax: The WTC Society provided a copy of the ruling that suggests that Service Tax on Electricity bill cannot be levied upon WTC. Sh Shukla has requested Sh. Rahul Gupta to look into the matter. Sh. Rahul Gupta will review the document that the WTC Society has provided. 6. Security: Sh. Manish Dahiya informed us that the following issues that the society had raised will be addressed:

a) Ramp: Inverted mirror will be placed to prevent a mishap. b) Security Personnel: The drop in security personnel will be looked into and addressed. 7. Fire: The society mentioned that the fire sprinklers are not working in 150 offices. Further, fire plans for evacuation during emergency have to be put in place. 8. Toilet: The toilets are in poor condition, need maintenance. Sh. Shukla has made his displeasure clear. Sh. Bhandari has been advised to haul up the karamcharis and make sure the toilets are maintained. 9. Pest Control: Mr Pathak will look in to the problem of Cockroaches in WTC offices. 10. WTC Website: Sh. Shukla has advised the WTC society to contact Smt. Suchna Bera and Sh. Megh Vinayak. They will provide the information that can be uploaded onto the website. 11. Lalit Loyalty Program: Smt. Leena Narang will provide us with details about the Lalit Loyalty program and whether a favorable plan can be offered to WTC occupants. 12. 77 GF, WTC: Sh. Kannan will ensure all disturbance will end. The basement is under renovation. 13. Dholpur Stones: The Dholpur stones of Lalit pose a potential hazard to WTC, they are loose and can fall on people. A net will be put up to prevent a mishap. 14. Roadsign: Bhandariji has been asked to create and institute the roadsign for WTC. 15. Parking: Sh. Manish has agreed that each office will receive one parking sticker for parking in the basement. Sh. Manish has already sent the parking sticker template for the issuance of the same. The basement car park will only be used for the cars that have sticker from WTC Society.

16. Diwali Function: Sh. Shukla has offered the front lawn for the hosting of the Diwali function. The meeting was lasted for more than two hours and we all will work together to resolve the above matters. Amit Gupta President Surinder Singh Secretary
