Secretary/Treasurer Report James Smith began his report by presenting the minutes from the previous board meeting on May 15, 2003. He asked if there were any changes to the minutes and after hearing none, made a motion to accept the minutes as presented. Paul Jauma seconded the motion. There was no discussion. A vote was taken and the motion passed without opposition. James Smith passed out a copy of a Secretary/Treasurer report that included a review of the total membership. There were eleven new members. James talked about the Half-Year, Half-Off Membership drive that was announced at the Spring Seminar in Austin. James reported there were six applications received during the membership contest. The Midland Reporter-Telegram was awarded the contest prize of a paid conference registration for their participation in the membership drive. Financial Report James presented a review of the checking account balance as of July 31, 2003. James detailed information regarding the income and the expenses of the Association for the period beginning May 1, 2003 and ending July 31, 2003. Carrier of the Year Selection First Vice President Steve Jordan presented board members copies of the COTY applications to review by category. that accompanied the application was previewed. The winners in each category are: Under 200 Route Size Category Romeo Balli Castillo Valley Morning Star Over 200 Route Size Category Leon Geiger Fort Worth Star-Telegram Single Copy Category Angela Reed Bryan Eagle District Manager/Contractor Terry Favro Houston Chronicle 2003 Fall Conference Judy Autenrieth, representing the Caller-Times, talked about the President s Dinner that will be held at the Aquarium. The Aquarium is located across the harbor bridge in Corpus Christi. She has arranged for one large capacity bus to transport people from the hotel to the Aquarium. There will be one special show that will be provided for the Association attendees. Discussion turned to the name tags. RAK Systems, Inc. will provide the name tag holders for conference attendees. Items for the goody bags will be shipped to the Caller-Times. Hamilton Supplies will be providing the bags. 2003 Buyer s Guide Bobby Perry presented a list of ads that he has received from vendors. In addition he also provided a list of sponsorships he has received through August 8, 2003. Bobby also provided an anticipated bid of $9100.00 for printing the buyer s guide. The board discussed the unusually large bid for printing the buyer s guide. Previous year s bids have been in the $4500-$5000 range. Lane Aten volunteered to check with the printer who printed last year s book. James Smith, Secretary/Treasurer presented Bobby with copies of ad invoices and ads for the book. James will send invoices to the list of sponsors that Bobby gave James. The deadline for submitting ads is September 2, 2003. Page 2 of 3
2004 Fall Conference Second Vice-President, Jack Light, said the Amarillo Globe-News has agreed to host the 2004 TCMA Conference. Jack has secured a tentative reservation at the Ambassador Hotel in Amarillo. The dates are October 11-13, 2004. A contract has not been signed as the board asked if other dates are available. Several board members said this would be a great time to invite newspapers from New Mexico and the Oklahoma panhandle to attend the conference. The room rate for the conference will be $89.00 per night. 2003 COTY Competition First Vice President, Steve Jordan, gave a quick review of the 2003 COTY Competition. He said he received thirty-four applications. Many of them were from the Houston Chronicle. He suggested it would be a great time to promote the COTY competition at the 2004 TDNA (Texas Daily Newspaper Association) meeting in Corpus Christi next spring. 2003 Conference Lane Aten, President, presented a copy of the 2003 Fall Conference program. He reviewed each portion of the conference. Board nominations will be held on Tuesday morning. Regional Director Caucuses will be held during the Wednesday lunch. Jack Light volunteered to host the Hot Ideas Breakfast on Wednesday of the conference. The Promotional Displays will be awarded plaques that will be purchased by the Corpus Christi Caller-Times. TCMA will reimburse the newspaper for the costs of the plaques. The board recessed at 11:45 AM for lunch at the Water Street Restaurant. After lunch the board took a tour of the Omni Bayfront Hotel.
