MESSAGE FROM THE PRESIDENT www.maineantiquetractorclub.com october 2018 As I watch the leaves fall from the trees, I m amazed at how fast time goes by. Seems like yesterday we were putting the tractor pull schedules together...and just like that, another season is in the books! Mike and Chris have done an excellent job with the MATC pulling again this year. These two gentleman both work full-time jobs while making sure that our pulling needs are met, in both farm tractors and lawn & garden tractors. Thank you, Mike and Chris, for always getting the job done so our club events are top notch, as well as making a fun day of tractor pulling for our members. We look forward to the next pulling season with the two of you leading the way. Take care and I hope to see you all soon. Pam SECRETARY S REPORT The October meeting was hosted by Chris and Emily Folsom at the clubhouse with 47 members present. A thank you letter was read from Jennifer Sanborn for the fruit basket sent to her as a thank you for her help with the design of the septic. Some of the officers have reported receiving emails that appear to be from Pam asking for money or details about the club. These emails are fraudulent. If you receive any questionable emails from Pam, please reach out to her directly. At the November meeting, nomination of officers will take place with voting to be held at the December meeting. Wednesday, October 10th marked 25 years since the very first MATC meeting. Well wishes are being sent to Stanley Adams and Gene Alley who were both recently in the hospital. The secretary and treasurer s reports were read and accepted. The pulling committee would like to hold a meeting for people to come and discuss what they would like to see for changes in the pulling rules. The date of that meeting is yet to be determined. Waste Management hired Ledger & Daughters Construction to put in the new septic, which has already been completed. The next task at hand for the clubhouse addition is to put in windows and reattach the deck to the building. Nate Richardson did a heat loss evaluation and suggested moving one of the heaters to the new addition and installing an electrical point of service hot water heater. He is going to donate his time to move the heater. All spots available for camper storage under the pulling arena are already taken. Now that the fall fun pull is over, John Hilton is going to start working on getting the campers in. Changes to the EDGETA insurance that resulted in a $2 increase now cover an accident between two EDGETA members. The previous insurance did not cover this. Erland Bradstreet has donated four sets of bleachers to the club; they need to be replanked and painted. Meeting signup for next year began at the meeting; all meetings have been taken except for September. If you would like to host the September meeting, please let me or Pam know. A motion passed to sell the used metal roofing that has been sitting outside of the ticket booth; it will be sold to the highest bidder with a deadline of 11/15. The Farmington Fair would like to hold a tractor pull next year on the third week of September; Pam is going to work on getting this set up with them. Land & Building and Festival Committee Report The Land & Building and Festival Committees met on September 21st at the clubhouse with 8 members present. John Hilton updated us on the progress being made with the new septic and well systems. Waste Management hired Ledger & Daughters Construction to put in the septic system beginning the 3rd week in October and the project should be complete in two days. The current well located to the back corner of the restaurant was tested for recovery rate and passed. The committee feels that once the well and septic systems are up and running, we should have the well water tested. The well pump, water lines, electrical wires, fittings, etc., will fit into the budget that the membership voted on at the September meeting, leaving enough funds to purchase electrical wire, outlet boxes, insulation, etc., for the inside of the clubhouse. Club member Henry Travis from Travis Electric was at the meeting to view the layout and discuss how his company can help the MATC with supplying electricity from the breaker box to the new addition. He will donate the man power and materials to get power to the opposite end of the clubhouse. This is a very generous donation and we thank them so much for this. It was discussed to have a sign made to hang in the canopy to thank Travis Electric for their support. Club member David Leighton has offered to help with the plumbing and Greg Soule will get in touch with him to schedule a time when they can get together to discuss the plumbing layout of the bathroom and the well. Club member Nate Richardson will provide a heat loss evaluation at no cost to the club. The committee recommends that a propane alarm be purchased and installed. The next work day is scheduled for October 11th and 12th at 8:00 am. Members should contact Greg Soule if they are able to help out. Canopy storage is now open for sign up. John Hilton will be taking charge of this for our club. We will advertise by using our outside sign boards and Facebook. The October 13th Fun Pull will start at 9:00am with the Lawn & Garden Tractor followed by the farm tractors. Hot dogs, chili, drinks, and desserts will be for sale at this event. We ask that desserts be donated by club members and can be anything from cakes to candy. The next committee meeting is scheduled for Friday, October 19th at 9:00 am. All members are welcome to attend. Thank you to Dana Ledger from Ledger & Daughters Construction for the great work putting in the well and septic connections for our clubhouse. Thank you for your donation... A big thank you going out to them, as well as, Erland Bradstreet for bringing this donation to light and for delivering the bleachers to our location. Thanks to Terry Spencer for the door for the bathroom. MATC is reaching out to see if anyone has any used track lighting fixtures they would be willing to donate to the club house. Please contact Joe Landry at 783-2100 if you are able to help out. Thank you! The MATC will be selling about 200 linear feet of used metal roofing. All pieces have been stored outside, some sheets have screw holes, some are about 20 years old, and some are left over from the canopy build. There are various colors and lengths included in this lot. If you would like to see it, please contact John Hilton for a viewing at 634-5081. Pam will take written bids until November 15th at which time the highest bidder will be contacted to pick it up within two weeks. A huge thank you going out to Kate Morris for her excellence in raffle ticket sales at the Andover Pull. Kate sold over $180 in tickets and each person was greeted with a beautiful smile. Nomination of Officers and Election Proceedings MATC BY-LAWS ARTICLE VI: Officers & Directors Section 1: The Officers of the Corporation shall consist of a President, Vice President, Secretary, and Treasurer. Section 2: In addition to the four regularly elected Officers, there shall be a Board of Directors of five (5) members which shall consist of four Directors directly elected from the membership by the Members at the annual meeting, but of which only one position shall be elected in any given year for staggered terms of four years each. The fifth and final position shall in every year be filled by the most immediate past President who shall sit on the Board of Directors until replaced by the next outgoing President. ARTICLE IX: Meetings Section 1: The annual meeting of the Members for the election of Officers and Directors for the next calendar year, and for other purposes shall take place in December at a time and place to be set by the Officers. Section 4: Nominations for elective office shall be submitted at the November meeting and may also be made immediately prior to the elections at the December meeting. An absentee ballot may be requested from the Secretary but must be returned to the Secretary prior to the start of the voting process. october 2018 Are you interested in hosting a meeting in 2019? We have the month of September open. You can host at the clubhouse or another location. The host generally provides the plates, cups, silverware, and coffee for the pot luck lunch and a door prize or two. Some hosts like to BBQ, provide KFC, or create their own theme for this meeting.
