MEPOA MONTHLY MEETING December 3 2012 Welcome Pledge of Allegiance Prayer by Florence Quaintance Meeting was called to order by Mike Quaintance at 7:00 P.M. Roll Call: Members Present: President: Mike Quaintance Vice President: Roger Pfundt (house chairman) Secretary: Carnella Towne Treasurer: Jim McCain Architectural Chairman: Joann Van Kirk Directors Lou Mulkins Joe Schmalz Joy Johnson Len Matuska (absent) Dottie Bulka The members present made a quorum. Announcements: Coffee and Cookies will be served after the meeting. Comments Concerning the Meeting: The On-minute rule applies to comments from the floor and the three minute rule applies to Good and Welfare. Mike said he would be conducting this meeting with stricter rules and would not call upon a person just because their hand is raised. Save comments for good and welfare. All charter clubs need to bring club by-laws, current board members and financial statements to the office. This is something that has to be done at the end of each year. Broadway Project will start as soon as the SRP Project finishes. SRP says about another two weeks. There is a sign-up sheet about scams and frauds on the bulletin board. That will be scheduled as soon as we have enough people showing an interest. Another signup sheet has to do with Arizona Highway safety. This will be on January 16 th if they are available and we show interest. Sharon McCain and Johanna Trujillo will again, this year, be the judges for the Community Christmas decorating contest. Faith, Hope & Charity is the theme for this year. Mike, along with the police department, came up with a plan for speeders in our community. The police department has a zero-tolerance speed plan. They would come in and if the speed limit is 25 miles per hour you would be ticketed if you are going 26 MPH. We would put out a

warning when this would take place. If you think this is a good idea, let somebody on the Board know and we will work on getting this implemented. Comment on treasurer s report leaving the office Our By-laws says the treasurer s report is made available to all owners, Arizona State Law says reasonable availability. The Treasurer s report is posted on the bulletin board each month and any home owner can come in and look at the books at any time but the books do not leave the office and we do not have to make copies for individuals. Jim McCain is the treasurer and we will abide by his and the accountant decisions. Sign up at the office for E-mail News Blasts from the association. Pat Davis will be the new messenger editor. She will be replacing Carol Bell. Carol has not been able to come yet this year due to Dick s health. Procedures will remain the same for all news that goes into the messenger. Mike made the comment about how he and Florence felt when they first moved here. There was no welcoming committee at that time, and after Mike was elected President they felt the association should do something to welcome new home owners. He explained the difference between the Home Owner and a Renter and how they both are affected by our CC&R s. Mike then explained about how the Newcomer s Party was planned. The plans were for about 110 people but there was a commotion at the door, and a renter felt they were being left out. After the party was over Mike received a letter from a renter saying they were embarrassed about how they were treated. Mike felt they had crashed a private party. Mike told about the letters he had received from the men s & women s clubs and that he has the right to refuse to read them. He said the letters had false hoods and one had slander against another person. Recently Mike had received another letter so he got with his legal team and it was decided that the Men s & Women s club will be responsible for planning and financing any New Comers events. Later in this meeting we will vote to give this responsibility to the mentioned clubs. Minutes from the last meeting have been posted, are there any corrections or additions? Joann Van Kirk stated that in December s minutes the wording about House Rule 2.8 (last statement in Old Business) should have read general rules & regulations page 4 paragraph 3. Buck Jones, seconded by Dottie Bulka made the motion to accept the minutes as corrected. Motion carried. Treasurer s Report has been posted, are there any corrections or additions? Dottie Bulka, seconded by Joann Van Kirk made the motion that the Treasurer s Report be accepted as posted. Motion carried and the report will be filed for audit. Mike reported that Dick Schmidt had called him about the proposed building project and that he had contacted ASU and they were very excited about helping us. Reports from Officers & Committees

House Chairman Roger Pfundt thanked Ray & Dot for finding and having installed the carpet around the pool. It looks very nice. Thursday & Friday Cardinal s State electrical will be working on our pool lighting installing 4 150 W. metal HID flood lights to the existing wiring. This is about 1/3 less lighting than existing lighting. They have contacted the insurance company and they say whatever is reasonable and prudent for lighting. Roger made comments about Dr. Pool Company that we hired to care for the pool. They have not cared for the pool better than Ray & Dot; therefore it is his recommendation that we again give Ray & Dot the responsibility of the pool. However, any complaints are to come directly to Roger not to Ray & Dot. Architectural Chairman Joann Van Kirk says there have been a lot of house inspections and permits for repairs. She is still asking all owners please give her the contact information for your property when you are gone. On the zero tolerance how about citing the UPS truck that goes through. Library Pat Thompson NA Bulletin Board Pat Spencer says to use 3X5 cards for messages Activities Elida (The office personal) have assumed the Activities for ME. Elida said they have tickets for the Drama Club play, everything else is on the calendar. Mike explained that the calendar and the messenger may show different hours. The calendar will have the function time plus start up time. Kitchen Gwen Osborne said the refrigerator has been acting up and she called AA-A1 repair. They replaced the thermostat and it is working now. The thermostat is about in the middle on top shelf; please do not turn up or down. It is set where it needs to be. Gwen and the repair company discussed a 3 months preventive maintenance plan. She said the Men s Club did an excellent job cleaning the kitchen after the pancake breakfast, thank you. Charter Clubs Ron Brewer for Men s Club December 18 th is the next meeting and it is election time. Please come. There were 133 that showed up for pancake breakfast plus 21 workers. There were 5 or 6 new people that came to work. They are now accepting items for the February sale. Next pancake-breakfast is January 5 th. After the summer, the club is missing 6 bottles of sugar free and 7 bottles of regular syrup. This is a cost of $60 dollars to the club. They feel we need a camera in the kitchen. Ron Brewer for Shuffle Board- Wed. December 5 th is play and Election Day. Please come. Golf Cart Parade will be December 17 th from 4 8 PM. Decorate your cart and come, sing, eat and have great fun. If you know of shut-ins, please contact Shirley with their name. Joe Schmalz for Dance Club. Elida & Rudy have helped Joe get all of the Dance Club dates fixed on the calendar and updated for the messenger. December 12 th is the first dance of the

season and the club has offered the proceeds of this dance to a person of need, in our community. March 17, 2013 is the last dance that Joe will be President for, if nobody accepts this job there will be no dances, karaoke, jam sessions, line dancing etc. Somebody needs to step up and take this job. Mike explained that the MEPOA Board cannot legally help out individuals but the clubs can and we thank Joe for what the Dance Club is doing. Ladies Club Pat Spencer December 14 th pot luck at 5:30 and the Notations perform at 7:00PM. Christmas Party December 15 th, the Drama club will be doing a play at 7:00PM. Admission is canned goods for local food bank. Cookies will be served. Bunco is the 13 th & 27 th. Ladies Club regular meeting is December 17 th at 1:30. Quilters & Sewers Shirley Brewer Tuesday December 4 th is the sew-a-thon is from 9:00AM until 2:00PM. This is also pot luck; bring a dish to pass; also drawing for the Door Hanging. All are welcome. Tuesday December 11 th their Christmas Party. Clay Johnson also told about the play and entertainment Saturday December 15 th 7:00PM & Sunday afternoon December 16 th at 2:00PM, admission on Sunday $3:50 in advance and $4:00at the door. There will be professional entertainment this year. You all will be delighted. New Owners Connie & Steve Armstrong from Cedar Rapids, IA Good & Welfare Dennis Smith has always liked to compare the Treasurer s Report from year to year. He would like to know how everybody else feels. Jim McCain responded that the CPA recommends that we continue to do what we are doing now. Shirley Brewer commented on the decorated gift boxes. One is for canned goods for the Red Mountain Food Bank and that is the admission to the play and entertainment on Saturday night. (no outdated cans) The other and or is for Autumn House (New Leaf) which is a new item. Shirley thanked Sharon McCain for wrapping the gift boxes. Sharon did a great job. After a lot of discussion about the financial report Mike said we were following the law and he was leaving it up to Jim McCain s discretion. Ron Brewer again brought up the letter about the New Comers. Ken Yanchik continued to read the letter. Ron Brewer brought up the item in the November s Minutes about Jonie Anderson comment about the telephone call vote. Ron read from Robert s Rules & Order. Book says Conference Call only. Sharon McCain thought there was misbehavior on both sides during the New Comers Party she also commented on this Board Meeting. Tom Towne stated that, it is not always what you say but how you say it and that Mike has worked hard, just as Ron did when he was President.

Old Business None New Business Buck Jones asked who was responsible for this year s Christmas decorating, because it looks terrible. Sharon said that ribbons have been replaced and the wreaths look better. Dennis Smith said he was on the roof and we need to get better supports or not put the tree on the roof. The tree is poking holes in the roof. Mike asked clubs & Roger to get together and the association will authorize purchasing new decorations. Mike asked for a motion to authorize prize monies for Christmas displays. Joe Schmalz, seconded by Joann Van Kirk made the motion we pay $75.00 for 1 st place, $50.00 for 2 nd place & $25.00 for 3 rd place with these prizes remaining the same as last year. Motion carried. We need a motion to approve Men s and Women s club to sponsor Newcomer s party in the future. The 1 st motion was stated as above and then we received 3 amendments. Everybody was talking, changing the wording. Then we had a point of order we had to vote on each motion. These motions failed. Joy Johnson, seconded by Joann Van Kirk made the motion that everybody within ME community was welcome to come and are invited. The Men s & Women s clubs would jointly be responsible, organizationally and financially for the party. There was lengthy discussion. This motion carried. (Info on the recorder was hard to understand) Kristen Rosenbeck, from the law office was introduced. She declined any words. Mike then rendered his resignation and turned the chair and gavel over to Roger Pfundt, Vice President to adjourn the meeting. Motion to adjourn (8:20) made by Jim McCain seconded by Buck Jones.
