Page 1 of 5Park Board 07212014 1 Minutes of the Park Board City of Sheffield Lake, Ohio July 21, 2014 The regular meeting of the Park Board was held Monday, July 21, 2014. Chairman Lewis called the meeting to order at 7:05 PM. ROLL CALL OF MEMBERS: Present: Lewis, Albaugh, Farris, Kovach, Kustra Absent: Mayor Bring and Service Director Smith (excused) Attending: Concerned Citizens *Motion by Kustra/Second by Kovach to accept the minutes of the June 16, 2014 meeting with any corrections. Yeas All. CORRESPONDENCE: None. PRESENTATIONS: None. PARK SUPERINTENDENT/RECREATION DIRECTOR REPORTS: Lisa Prokay, 765 Lafayette Blvd., stated you gentlemen know that this is evolving and as it evolves I continue to change the name and do all kinds of crazy things to it. One of the flyers that I was going to put out after that initial flyer and just so you can pass it around to look at it. That is what I am actually thinking of actually putting out as we get closer to the event. You can see that I changed the subtitle to Great Outdoors because as I have been doing this I have been trying to focus on what is the goal, what is the mission and I thought okay maybe the goal could be to encourage fitness and health in our community. That that would be something a little different to approach this outdoor activity and I want your feedback on that to see whether or not you think that would be a good idea. As I was researching letters to request donations and sponsorships I saw that that was a common thing that a lot of big corporations are willing to step behind probably because of Mrs. Obama. I thought that would be a great way to get people out. Member Kovach asked so what you are saying then is instead of hamburgers and hot dogs, we would be eating salads and vegetables. Mrs. Prokay answered I didn t say vegan. With that in mind and again this is fill in the blanks that you guys can share I put together this proposal to request funding or donations or sponsorships for next year s event because I have to start doing that now as you know. I still have to get some response from Rite-Aid and Apple s in terms of this year s event. They have kind of told me more than likely they will be able to donate some water from Rite-Aid and hopefully the hot dogs from Apple s. I saw Tammy at the office and she gave me some letterhead and this is just a statement saying thank you for your recent contribution because someone called and said that

Page 2 of 5Park Board 07212014 2 they wanted to contribute and I wanted something official to give them. I was told it should be made out to the City of Sheffield Lake and I drew up a receipt saying Thank You for your contribution to the City of Sheffield Lake Saturday in the Park event on August 23, 2014. You donation of will help to purchase the necessary items to help make this community event a successful one. The wording in those letters that I shown you I want to make sure that it is in accordance with you guys, that I am wording it correctly. She shared these are a couple of the items that I have already ordered and received, not expensive but just something that we can hand out. Especially little kids, especially these little planes the little ones will really enjoy this. They barely fly but who cares they are little. If someone doesn t have a kite or just doesn t have anything that we would be able to give this out to them so they can enjoy. I purchased those and that is pretty much my donation I think monetarily so I don t expect to be reimbursed for that. I bought some Frisbees just to have on hand. Again that family who offered a $100.00 donation I am still waiting to hear from them but that would go also a long way to get some additional toys; maybe some yoyo s or something like that. So that is where I am at right now and what I wanted to ask in addition is does anyone know who the Boy Scout Leader of our Troop is 303 because I would like to see if they would be willing to donate their time and help actually put these things together because they don t come together and I am not really good at this. I thought would be a fun activity while they are there at the park; it comes with everything but you have to put it together. Member Kovach answered I am not sure of the Leaders name but I do know that at this point that they are sponsored by the VFW here. So you can check with that and they should be able to get you the information on who the contact Leaders are. Mrs. Prokay continued then the other idea that I thought would be and I don t know if there is a fire hydrant at the Guenther Park because I thought it might be fun depending on the weather to have sprinklers did you ever do that in the parks where they open up the fire hydrant and have sprinklers. She explained like a sprinkler cap on it for the kids to run in and out of. Member Kovach advised you might check with the Fire Chief and the Mayor on that one because whatever set up they have they are going to have to send them down and do the hook-up. The closest thing they might have is old hoses that leak. They may have that type of head that you are talking about if you want to check before you leave this evening. Mrs. Prokay advised I did get someone who is willing to contribute some his time and DJ for a few hours and he said for sure and his name is David and he is supposed to call me back because he said if he wasn t going to do it he would have one of his people do it. Member Kovach asked is he local? Mrs. Prokay answered I think so, actually someone from the Water Department called and gave me the number and he did say he was from Sheffield Lake and he grew up here. I think I told you the last time I was here that Josh from Soccer said we were good to go with the date and with the use of the concession stand. Member Kovach advised with that one you will have to procure the key for that from him or Len may be able

Page 3 of 5Park Board 07212014 3 to get one from Parks or something. But you will have to procure the key prior to. I did talk to Kerry a little bit more and there is a possibility that he might not be available he was going to check his schedule about the movie but there is a possibility that he has a wedding going that night. So if not we might make a weekend of it where we would probably do the movie Friday night and then your picnic Saturday. Mrs. Prokay stated so there is a possibility of combining the two you are saying? Member Kovach stated as opposed to having it as a single day event, you would end up having a weekend type of thing. Like I say we will have to check with him on that but he wasn t sure because of course when I talk with him he says yes but of course the business manager the wife is saying well we better check our schedule first. Not a big deal but one way or the other we will make that work. Mrs. Prokay asked does anyone have any suggestions or anything that I need to be doing. You know I realize that this is the first time that we are doing this and I am not expecting a tremendous turn-out. Member asked is this a one-day thing? Mrs. Prokay answered it is a one-day thing and I picked a time from 1 to 6. Member Kovach stated if we can get about 100 people so that is probably 30 or 40 families you may get more or you may get less. I would consider that a success, the only thing that I am kind of disappointed in is that I don t see that you have been able to get any more volunteers to work with you. I understand that I am just disappointed but typical. Mrs. Prokay stated I did get a call from Debbie Suarez and we haven t spoken yet as we keep missing each other but she offered to put it up on the Buzz to see if she can help get some people. I made a couple of calls and I think I called Elise but I never heard from her so I figured she probably wasn t interested. Again though it was short notice though but maybe for next year. That is my hope that once people come out and see that event. Member Kovach advised the important thing is you love enthusiastic about it. I mean you haven t been discouraged and you got a smile on your face and it seems you are headed in the right direction and you are having a great degree of success considering what you were working with and what you are working against. Mrs. Prokay advised I am excited about it I am. Like I said it is a great beginning it is a good beginning for us and I think approaching it from the angle of getting outdoors which is why I switched it to the Great Outdoors because we spend entirely too much time indoors and our kids are on computers and on video games and trying to encourage get out of the house and enjoy the parks that we have. So maybe that will go over better. Member Albaugh stated obviously you are trying to angle it at to be healthy, fitness and all that stuff because like you said I think in America across the country everyone is trying to do that now and probably easier if you have donations if you handle that way. I would think that it would be best to come up with like games or something like that. Mrs. Prokay added like relay races etc. Member Albaugh stated being in the summer water balloons are cheap; water balloon toss. Mrs. Prokay added hula hoops I thought of all that stuff. Member Farris stated Guenther Park there is a baseball field and not per-say baseball but

Page 4 of 5Park Board 07212014 4 maybe kickball type games. Mrs. Prokay stated that is why if you get enough people out to this event and I am hoping that the DJ has a microphone so I can give like a little talk before we start the festivities that I could then approach whoever is there with that thought in mind that every year we can just keep growing with this and adding more events and activities for them to participate in. So that it becomes a big thing, they will be no room for people in there that is how big I see it and that is my vision. Member Kovach advised the movie that we put on in my opinion for a first shot and the amount of advertising that we did was a great success. We counted over 100 people there; families and some had kids and there were some older adults that came to this movie. The movie was Dolphin Tail and we ran into one slight problem but he has come with a fix for it because the screen that he has blows up like those jumpers; it is on that line. You air it up but it is kind of like a see through screen and the trouble with that is you get street light up above and it actually puts a shadow on it but he has got some kind of tarping to put on the back of it. The weather was good I was there and Mark Erdei was there who was in charge of popcorn that they handed out. It was a good time and it was a good family movie, no trouble as one of the Officers Sergeant Corr made a stop through. I think maybe for the second movie we will try to the squad up there for while the kids wait for the movie. It was mostly young kids, there were some teenagers but it was mostly parents of like 5 to 10 year old kids which was good. So there is another one coming and that will be just before school starts as far as I know and then summer will be over and back to school. Chairman Lewis advised I got a call from Jonathan Wright on July 2 nd who said there was a grant available but the deadline was July 4 th. So that was a little late. Member Kovach advised he picks up on some things online but unfortunately the way some of them come up real fast where you got a very short window of opportunity. There was a brief discussion on Grant Writers. OLD BUSINESS: Designated Skate Areas: None. Memorial Parks: None. Neighborhood Parks: None. Lakefront Parks: None. Lakewood Beach Park: None. Community Boat Launch: None. GRANTS, GIFTS & AWARDS: Brookside Bike Trail/Covered Bridge: None. NEW BUSINESS: Member Kustra advised whoever paid for the fireworks thank you it was an incredible show! Chairman Lewis concurred yes it was and that was

Page 5 of 5Park Board 07212014 5 probably one of the best fireworks and was even better than Lorain s. It was great! Member Kovach advised Community Civic Counsel sponsors that. I am President of that organization but our crew puts that on. Chairman Lewis advised excellent job! Member Kovach advised it gets better every year but it is expensive. Chairman Lewis stated it had to be very expensive because those were really good fireworks. There was a brief discussion. CITIZENS COMMENTARY: None. MEETING ADJOURNED: With no further business before this committee, *Motion by Kustra/Second by Farris to adjourn at 7:29 PM. Yeas All.
