Members Present: Pastor Jami, David Ziegler, Janet Filchner, Karen Koplin, Dolores Reenock, Ann Sassaman Members Absent: Marilyn Keenly, Linda Mery, Dave Roth, Vicki Steiner Opening Prayer: Pastor Jami opened with a devotion about praying with open hands Business Items: Worship Arts Team Meeting: Wed. 1/26 at 7 p.m. PJ and David will develop agenda/structure for the first meeting Audio Committee: establishing such a committee would create a group of people who are trained in properly operating and maintaining the sound system and its components. A list of requirements were brainstormed and PJ will write out an announcement to go in upcoming bulletins. Hope s biennial musical: date has been set for June 3, 2012 Lent: Theme for the season will be liturgical terminology Wed. evening services will use Holden Evening Prayer Nursery will be staffed Ash Wed., but no other Wed. during Lent Muhlenberg College Gospel Choir: will sing at both services on 4/3/11 Breakfast will be served to the Choir between services. Janet will contact some people about preparation and serving David will talk with their director about the possibility of having Hope s choirs sing with them Youth Sunday: 5/15/11 Cherub Choir: will continue singing at the late service on the first Sunday of each month, through May Next Meeting Date: Wed. Worship and Music Meeting Minutes February 16, 2011 Attending: Janet Filcher, Karen Koplin, Vicki Steiner, Dolores Reenock, Ann Sassaman, Pastor Jami Possinger, David Roth Absent: David Ziegler, Marilyn Keenly The Worship Arts team has met twice and have identified weeks they would like to work on worship and brainstormed ideas of what to do during those worship services Two people have agreed to help out on the Audio Committee David Ziegler is still looking for additional people to help with this committee Lent o The theme for the Wednesday evening Lenten Services will be Liturgical Terminology o Ash Wednesday will be communion by intinction and ashes will be available from 6 9am. o Children s parade will be held on Palm Sunday at the 10:30 service o Prayer Vigil April 22 nd beginning at 11pm until April 24 th at 5am o Foot washing will take place on Maundy Thursday We will have a breakfast for the Muhlenberg Gospel Choir between the services. We are expecting approximately 60 people. Christmas Services went well and all were surprised at the attendance for the 4pm service over 300 people attended at that time. Because of this switch the 8:30 service was much less congested. Church calendar o Confirmation retreat will be May 20 22 o New member class will take place May 15, 22, 29. Worship and Music Committee Meeting Minutes March 16, 2011 Attending: Vicki Steiner, Dolores Reenock, Janet Filchner, Dave Roth, Ann Sassaman, Pastor Jami Possinger, Karen Koplin, Dave Ziegler, Linda Mery Absent: Marilyn Keenly First Communion will take place on March 27 th the class decided to take communion as a class rather than with their families. Lent o Schedule set for piano coverage for the Wednesday 11am services o Palm Sunday Will not be a reading of the passion will just be the Palm Sunday reading it is hoped that the congregation will attend Holy Week Services to hear the Passion story Social Ministry will split the palms there will be a children s parade at the 10:30 service The palms will be blessed at the beginning of the service on Palm Sunday and the ushers will pass them out to the congregation in the pews. After that is completed the children s parade will begin. Maundy Thursday there will foot washing; a sign up sheet will be posted Good Friday the altar and font will be shrouded in black; the community service will be held at Salem United Methodist in Danielsville; Pastor Jami will be preaching first at noon. Prayer Vigil all musical rehearsal, flower set up and cleaning needs to be completed before the vigil begins at 11pm; Pastor Jami will ask Nancy Creyer about a prayer list insert for the bulletin. Easter o Easter services will be 6, 8 and 10:30am we will be using setting 8 Muhlenberg Gospel Choir o Will be at both services on April 3 rd ; a breakfast with the choir and the members of Hope s choirs will be held between services; Wayne Weidner and Gary Nagy will be handling the breakfast; Worship and Music Committee members are asked to bring coffee cakes; Dave Roth will provide a fruit tray; Dolores Reenock will ask the funeral ladies if they would be willing to help with cleanup (dishes). Summer worship schedule will begin on June 12 th even though Sunday School ends earlier. Next Meeting: Wednesday, April 20 th at 7PM

Worship and Music Meeting Minutes April 20, 2011 Attending: Janet Filchner, Dave Roth, Karen Koplin, Linda Mery, Pastor Jami Possinger, Dave Ziegler, Vicki Steiner, Dolores Reenock Absent: Marilyn Keenly, Ann Sassaman The committee reviewed all the events for Holy Week o Maundy Thursday Service will include foot washing and table communion o Good Friday Pastor will be reading the Passion as part of a tenebrae service o Prayer Vigil Janet spoke with everyone who has to set something up on Good Friday all tasks will be completed before the prayer vigil begins at 11pm Usher s meeting it was noted that at the next usher s meeting the ushers need to be told that when chairs need to used for overflow seating, that it is the usher s responsibility to make sure that the chairs and extra hymnals are put away Church calendar o Summer worship schedule will begin on 6/19/11, not 6/12/11 which was the date noted in last month s minutes o May 1 st first service the worship arts team will be involved in Cherub choir o Will sing for the last time for this school year on May 1 st o The committee will need to discuss whether to keep their singing schedule as it is (during the service, rather than at the beginning) as well as selecting a choir director since Bev Goll will be moving out of the area 2012 Holiday Schedule o The committee has a preliminary discussion about the 2012 Holiday Schedule since in 2012 December 25 th is on a Sunday. Is there a service? One or two services? And if one service, what time? o We run into the same problem for New Year s Day January 1 st is a Sunday. Next Meeting: Wednesday, May 18 at 7pm

Worship and Music Committee Meeting Notes May 18, 2011 Attending: Janet Filchner, Pastor Jami Possinger, Ann Sassaman, Karen Koplin, Linda Mery Not attending: Dave Roth, Dave Ziegler, Dolores Reenock, Vicki Steiner, Marilyn Keenly The Worship Arts participated in their first service on May 1 st with the doubting Thomas theme, which included a magician for the children s sermon. There were many positive responses regarding the service. Youth Sunday The skit was very well received and many great comments were received from the congregation the skit was considered a powerfully serious piece. Christmas Scheduling the committee had been asked to check with members of the congregation regarding service scheduling for Christmas and New Year s Day since both fall on a Sunday this year. Most people who were surveyed preferred one service that day. Committee decided that 9:30am would be the best time since the congregation is used to that time for summer worship. Pastor Jami noted that Christian Education has moved the Sunday School Christmas program to the evening of December 18 th with a reception following. Nursery after discussion the committee decided to schedule confirmation students to staff the nursery during the summer. Bell Choir Janet reported to the committee that she is tweaking the bell choirs a bit and now that the choirs have been in existence for a while ability levels are spreading out. There will still be two bell choirs an audition and a non audition bell choir. The auditions will be taking place in the next month or so. To Committee members: At the May meeting those present decided that we could forego a meeting in June so the next meeting will be on July 13 th at 7pm. At that meeting, we would like to discuss items that we discussed at the May meeting but felt needed additional committee input. Please think about these items for the meeting. I ve included some background below from the meeting. 1. Cherub Choir This issue needs to be addressed before the new Sunday School year begins a. Bev Goll will no longer be serving as director so we need to decide who will take over b. Second possibility is two volunteers one to handle themusic and work with the children; the second to handle the communication and administrative areas. c. Discussion of when the children will sing whether going back to the beginning of the 10:30 service is a better option. It was suggested that we survey the cherub choir parents about their preference. 2. A service for September 11 th

a. It is the 10 th anniversary of 9/11 and we need to decide how we would want to acknowledge b. If it is a full service it needs to be tasteful, sensitive, educational and healing 3. Bulletins a. Whether we would like to change over to doing our own bulletins rather than buying the covers from Augsburg i. Costs now $1100 year for the covers and $600 for toner ii. If we did ourselves $400 for the paper and $600 for the toner b. We would need to cancel by September 1 st if we decide to do bulletins on our own Respectfully submitted, Linda Mery

Worship and Music Meeting Notes July 13, 2011 Attending: Dave Roth, Ann Sassaman, Vicki Steiner, Pastor Jami Possinger, Karen Koplin, Linda Mery, Janet Filchner, David Ziegler, Dolores Reenock Absent: Marilyn Keenly Cherub Choir Committee reviewed a listing of Job Responsibilities for the Cherub Choir director and it was decided that a survey will be sent to the parents in September to determine their preference for when (what service, when during the service) the cherubs would sing Vicki Steiner will speak with another member about sharing responsibilities for the choir September 11 th service Committee thinks we should have a service. Dave Ziegler said that the orchestra would be available to play and that he has an anthem that is extremely appropriate. He will survey the senior choir to find out if there is enough interest to have the choir at the service. Bulletins Committee discussed the pros and cons of printing our own bulletins and no longer using the Augsburg fliers we could save some funding if we printed our own. The committee requested that Pastor Jami provide some samples of what a bulletin would look like before we would make a final decision. Church Calenda A Blessing of the Backpacks during the August 29 th service brief portion of the service where backpacks and brief cases can be blessed. Regular worship service hours will resume on September 11 th Harvest Home will take place on September 25 th bags will be handed out to the congregation and the set up will take place at 4pm on the 24 th. Bell Choir Janet told the committee that auditions for bell choir will take place in late August/early September. There will also be a bell choir for members who choose not to audition. Choir loft Dave Ziegler reported that he would like to not put the choir loft back in place. He feels the blend for the choirs is better and there is more flexibility without the risers. Organ and piano maintenance and repairs There has been no regular maintenance on the organ and Dave is experiencing some problems. One of the problems is with the speakers and after some research, he found out that there were 6 bad speakers that were installed when we received the organ he is getting an estimate on the cost to fix the organ. There is also a problem with the hammers that strike the strings it will cost $36 3800 to complete but the company is so busy the repairs cannot be scheduled until next summer. Aug. 24, 2011 7:00 PM Members Present: Janet Filchner, Karen Koplin, Pastor Possinger, Dolores Reenock, Dave Roth, Ann Sassaman, Vicki Steiner, Dave Ziegler Members Absent: Marilyn Keenly, Linda Mery September 11 Remembrance Service The services this day will follow the regular format, while inserting other prayers, etc. that fit the purpose (peace and reconciliation). There may be the need to print our own bulletin for this service. Pastor Jami and Jane will decide. Installation of Sunday School teachers and handing out Harvest Home bags will also happen this day. Healing Service Will be on 1/29/12 rather than 10/9/11. Communion will be intinction. Blessing of the Animals 10/2/11 at noon. Will be held at the outside chapel, or, if it s raining, in Kuntz Hall. Organ Maintenance Allen Organ will clean the organ at a cost of $180. Dave Z. will take care of this. Stewardship s Committee Recognition Schedule Our committee was assigned the month of Dec. We agreed to keep that date. Janet will provide an article about our committee for the newsletter. New Member Classes Oct. 2, 9, 16. Receive new members Oct. 30 at both services and class reception at 9:15. Reformation Oct. 30 with orchestra. Communion will be intinction. Harvest Home Sept. 25. Grocery bags will be handed out to Sunday School classes and to congregation on Sept. 11. Set up for Harvest Home will be Sat. Sept. 24 at 4:00. Thank you to Dave Roth and Giant Food Stores for providing the grocery bags. Usher, Altar Guild, Greeter, Communion Assistants Meeting Wed. Sept. 28 7:00 PM Usher and Greeter Name Tags Name tags will be provided for ushers and greeters to wear. Rehearsal Changes Dave Z. noted the following changes in choirs rehearsal schedule: Senior Choir will rehearse on Thursdays 7 8:30 PM; Junior Choir will rehearse Thursdays 6:00 6:50 PM; Youth Choir rehearsal will remain Tuesdays 6:15 7:15 PM. Dave Ziegler s Vacation Dates Committee approved the following dates: Oct. 9, Nov. 23, Nov. 27 Next Meeting: Wednesday, September 21 at 7:00 PM

Worship and Music Committee Meeting Notes September 21, 2011 Attending: Janet Filchner, Karen Koplin, Dolores Reenock, Dave Roth, Pastor Jami, Dave Ziegler, Vicki Steiner. Linda Mery Absent: Ann Sassaman, Marilyn Keenly Cherub Survey there were a total of 13 responses fro parents o The beginning of the 10:30 service was the most popular (having the choir sing in place of the prelude) so the cherubs will go back to singing at that time. The cherubs will not sing at any Christmas Eve services. Vicki Steiner, as the director, will decide when the children will sing, based on when they are ready. Bell choir update There will be an article in the October newsletter there will be one full 3 octave bell choir. There were a handful of people who auditioned, so this will be an ensemble. This group will target a few dates to ring and then rehearse a few weeks before the date. There will be an open bell rehearsal on October 4 th for anyone who is interested in observing a rehearsal. Worship Assistant Meeting the committee reviewed the agendas for this meeting. The group will meet together to review table communion and then break into groups: altar guild, greeters, ushers and communion assistants to review the information for each group. o Ushers and greeters will have name tags to wear during the service. The box holding the name tags will be kept in the office and the group can get their name tags before the service and then return them after. o Action Item: Until the security procedures and setup are finalized, Pastor Jami will have an additional key made for the altar guild teams. Presently, there is only one key per altar guild team which causes logistical problems. The extra key will be passed from one team to the next each month. Wreaths and poinsettias There were some concerns about the vendor we used last year. It was decided to use the same vendor this year, but to give them feedback and see if there is improvement. We will celebrate Harvest Home at both services on 9/25 setup will be at 3:30pm on 9/24 The committee discussed and completed the 2012 budget request form The committee reviewed and discussed the worship calendar Blessing of the Animals will take place on October 2 nd and a new member class will be installed on October 30 th. NEXT MEETING: November 9 th at 7pm the committee decided to cancel the October meeting and meet again in November.

Vicki Steiner will play for the 11am service. Advent We will be using setting 2 during advent. Candle lighting will be done by the acolytes and song will be sung during the lighting as we did last year. Advent Saturday services Janet and Vicki will work out a schedule of who will play at the Saturday services during Advent Wreaths and poinsettias have been ordered Decoration of the church and caroling will take place on December 17th; Dave Roth will provide fruit for the shut in baskets The 11am Christmas Service will be held on Wednesday, December 21 st Christmas Eve and Christmas Day There will be four services on Christmas Eve as last year Sunday, December 25 th there will be one service at 9:30am Service of Lessons and Carols There will be no service on December 31 st since January 1 st is a Sunday and there will be one service at 9:30am Other Items of Business The committee will sponsor the December coffee hour on December 11 th committee members will provide baked goods; Dave Roth will provide fruit trays and Dave Ziegler will provide wassail, which we will serve in place of coffee. Healing Service will take place on January 29 th Pastor Jami will ask the retired pastors if they would be willing to take part in the service to help with efficiency Additional reserved signs will be ordered for the pews The auditioned bell ensemble will perform for the first time at the November 20 th services NEXT MEETING: January 18, 2012 at 7pm
