PASTORAL COMMITTEE MEETING 20 th November 2017 MINUTES Present: Fr Chris Spain, Meg Grifith, Moritz Gregory, Fran Thomas, Jim Forkin John Connors, Ian Wise, Paul Griffith, Veronica Lawlor, Rita Fanning, Julia Rowe (Sec) 1. VISION FOR MISSION UPDATE (Meg) Fr Chris, Bogdan Baumgart and Meg attended the first deanery meeting with Bishop Richard on 9 th October where the Bishop laid out his plan (in a PowerPoint presentation) to consult with all of the thirteen deaneries in the diocese regarding his initiative: The word who is Life Vision for Mission. In his conclusion Bishop Richard asks several key questions that he would like every parishioner in the diocese to answer. The questions are on the diocesan website. For anyone interested, Fr Chris has a copy of the Bishop s presentation. Following on from this meeting Bishop Richard has issued a video Podcast outlining his thinking about the future mission of the Church in our diocese. The video is a companion to the PowerPoint presentation and can be viewed on the homepage of the diocesan website. The Bishop is also delivering two letters on the topic that will be read in Mass on the first Sunday of Advent and The Feast of the Holy Family in January. Weybridge parish is constructing a survey containing the Bishop s questions for all of the parishes in the deanery to use. This survey will be available online and in paper form in December and will be used by all parishes in our deanery. Meg said that for personal reasons she is stepping back from the Vision for Mission team and Anne-Do Bauchot will take her place.
Fr Chris, Anne-Do and Bogdan will collate the information collected from our parish survey and present their findings to the Bishop, along with all of the parishes in the deanery, at the next Vision for Mission meeting scheduled for 28 th January 2018. Alpha in the parish Meg said that they intend to use the information collected from the Vision for Mission survey to plan future Alpha courses in the parish. This information will help determine the target audience{s} for Alpha which will then drive the day/time of future courses. It is planned to run the next course from May to July 2018. Fr Chris then gave short feedback on the recent Vision for Mission deanery clergy meeting at Coolham. Three-day gathering of clergy. Priests and deacons decided on a questionnaire to go out to parishes Everyone in the deanery will have an opportunity to respond Bishop Richard will be sending out a DVD (for use by groups) or a download (for individuals) to help assist us all in the Diocesan Planning On-going dialogue parish/deanery/bishop Work will begin after January End result will be a pastoral plan for the diocese 2. PARISH IT (john Connors/Ian Wise) General Data Protection Regulation will take effect in May 2018. We are currently ad hoc in our approach to IT. The only resource John was able to find was on a C of E website http://www.parishresources.org.uk/gdpr/. Unable to find any reference to GDPR on our diocesan website. What are our requirements in the parish? How best can they be met? Parish database - work has been done using Microsoft Excel which is held in the parish office. Excel may not be the most suitable software. Diocese has database software. Investigate. Need to set up GDPR team ASAP to address the project. What do we want the database to do? Ability to delete people s information if requested

FR CHRIS S PASTORAL PLANS Bereavement group. (Diocese offers training on dealing with bereavement). Training of new Altar Servers Catechists. Encourage more to get involved. Hold come and see event for those interested. Fundraising team. Different ages. Create opportunities for bringing the community together. Build a lasting legacy. Off-site day for office/communications staff. Liturgical initiatives - making the Mass more relevant. Personal School Governors and education support. Supplements to newsletter. Aims and objectives of pastoral team. Separate pastoral and nuts and bolts matters. 4. CHRISTMAS OUTREACH Advent Reflection Travelling nativity Xmas Kitchen at St John s Egham new centre Village Centre Xmas Day lunches Besom Xmas hampers Establish a poor fund in the parish for those in particular need ( Veronica - there is a need for an Ecumenical Group in the parish.) (Jim - we need to put in place a mechanism to help those needing transport to and from church.)
5. ELECTRICS & CREATION OF NEW TOILET FACILITIES ST JOHN S Fr Chris said that no long-term solutions can be put in place at St John s until there is a blueprint for what the church will look like. (The diocesan link person with the parish is not confirmed yet.) 6. CHILDREN S LITURGY CHRISTMAS ACTIVITIES DISRUPTION The current schedule of works as follows. (Fr Chris will confirm again with Ruaraidh McKinnon). Removal of the carpet half day 29 th November Asbestos removal works 30 th November and 1 st December Hand dug trial pits 4 th December Drilling works 5 th and 6 th December The community room will need to be cleared by 28 th Nov. No access to the whole building during the asbestos removal. No use of community room between 28 th November and 7 th December (other than toilet access). 7. DRAINS/GUTTERS ASSUMPTION Quote clarified, re-submitted and approved with works taking place next week. 8. LOCKS AND KEYS ST JOHN S & CHANGING KEY CODE AT THE ASSUMPTION Rita still receiving details of those who have access to both churches. Short term measure is required to deal with the faulty keys at St John s to make easy access to St John s Research is ongoing into the reset code for the keypad at the Jurgens Centre. Rita to contact Try Security for a quote.
9. SKIP Still capacity in the skip following the Sunday clear out. Fr Chris would like to get rid of the old freezer in his kitchen. Moritz to action. 10. INDUCTION MASS It was agreed that a buffet would work better given that the Mass may not end till 8.45pm. 11. ADVENT REFLECTION Jim has produced posters which are displayed prominently at both churches. DATE OF NEXT MEETING To be advised.
