St. Cloud Diocesan Sr. High Youth Conference 2018 Registration Information

September 4, 2018 Dear Parish Youth Conference Coordinator, On behalf of the Saint Cloud Diocesan Youth Council and Catholic Education Ministries, I would like to officially invite you, your parish 9 th -12 th grade youth, and those adults who are serving the youth of your parish to our very first St. Cloud Diocesan Senior High Youth Conference on Saturday, October 27 - Sunday, October 28, 2018, at the Young Life Camp near Detroit Lakes, MN. Join us in this exciting, fun, and faith-filled 2-days designed to celebrate youth and to enhance our Catholic Faith! Hold Onto Love, is our theme for the conference. Our faith teaches that we ought to live our lives as models of discipleship and following Christ. The Saints and our Catholic Communities encourage us to be models of Christ s Love by being examples of seeking Christ in challenging times. In the October 28th Gospel, faith and love in Jesus heals Bartimaeus. Today, we are sometimes blind to God s love and we need to see the light of Christ and Hold Onto the Love of Christ, to better reflect God s love in all that we do. With Christ s love, we may be ready to reflect these lessons from Jesus in our everyday lives. Jesse Manibusan is our featured presenter for the conference. He will share messages of hope and share stories of encountering Christ through his many gifts of music, storytelling, humor, prayer and ability to relate to the young church of today. Jesse will also be leading an interactive workshop to explore ways to promote peace in a violent world. See enclosed promotional materials and visit: www.jessemanibusan.com to learn more about Jesse. The Diocesan Youth Council will get us all moving to start off the conference with some icebreakers and will also be in charge of leading prayer over the 2 days. Mass with Bishop Kettler will be a highlight of the conference as the youth of the diocese gather to celebrate our rich Catholic faith. Another feature of our days will include the option of going to confession during our free time. All Priests are invited to join us as they are able and are needed to serve as Confessors. Be sure to invite your Priests to the Conference! Priests are requested to bring their Alb and Stole for Concelebrating Mass and hearing confessions. Generation Next is a fund that is set up as a scholarship fund for youth in the Diocese of Saint Cloud. See the enclosed registration instructions sheet for more details. The charge for the Youth Conference is $75.00 per person between now and October 22, 2018. Registrations after October 22nd will be accepted at a rate of $90.00 per person. Registrations will be accepted up to October 26 th. Volunteers: We are in need of adult and young adult volunteers to help with Work Crew at the Conference - Please notice the separate Work Crew Form and that volunteers have different responsibilities than chaperones. Award Nomination Forms: Enclosed are nomination forms for an outstanding high school youth and for an outstanding adult who demonstrate excellence and dedication in areas of discipleship in your parish, family, community, and beyond. Be sure to nominate a deserving youth and adult from your parish(es) for these awards before Oct. 15. See forms for more details. Email Updates: Please include your email address on the electronic registration file. This will allow me to send out updates about the conference to you and confirm your registrations. Registration Instructions for Parish Leaders 1. Copy and distribute posters and Individual Registration/Permission Form to all youth in grades 9-12. 2. Collect Individual Registration Form with the fee. (T-shirt fee is extra.) 3. Complete the Electronic Parish Group Registration Excel Form. This file is available for download at www.stcdio.org/youth. 4. Complete the Medical Summary Sheet. 5. Send copies the following to CEM before Oct. 22 nd : individual registrations Medical Summary Scanned copies should be emailed to Laura at Laura.gorder@stcdio.org. Paper copies can be mailed to Catholic Education Ministries at: 305 7th Ave N Saint Cloud, MN 56303 6. Mail one parish check payable to Catholic Education Ministries, to the address above. We are unable to give refunds for cancellations. Substitutions will be allowed. 7. Registration is complete when you receive an email confirmation from CEM. Housing will be determined the week of Oct. 22 nd. Housing assignments will be available at check-in on Oct. 27 th. Please send any additional registrations as their own Excel file and email to Laura. We will not accept registrations after Oct. 26 th. Deadline for t-shirt orders is NOON on Oct. 15 th. Deadline for Parish Registration at the price of $75.00 is October 22 nd - Registration fee for registrations received between October 23 rd and October 26 th, 2018 will be $90 each. Registration scholarships for those in need are available thru the Generation Next Fund. Contact Kent Schmitz with any requests. ALL name badges, lanyards, and Conference Programs may be picked up by the group leader at the check-in area (Castaway Windjammer).

Parish Expectations 1. Establish a head parish contact person who will be attending the Conference. 2. A minimum ratio of 1 adult to 6 youths is required with a minimum of 2 adults. Adults ought to be representative of each gender of youth attending the conference. All adults (18+) will need to be trained through the Diocesan Safe Environment Policy. There is a new training format this year, please contact your Safe Environment Site Administrator. 3. Parish adults are responsible for supervising their youth. 4. Copies of individual permission forms need to be with head parish leader at the Conference in its entirety. A copy for each participant will need to be put in their lanyard as well. 5. Packing lists will be sent in the confirmation of registration email. 6. Transportation to and from the camp is the responsibility of the parish. CEM will provide a list of parishes participating in the conference to assist in carpooling and shared bussing. It is recommended that parishes use bus transportation to limit liability and accommodate parking at the camp. Students are not allowed to drive to and from the camp. PUBLICITY IDEAS 1. Play promo video for youth on website. 2. Ask youth who have attended past faith events to give testimony about making the conference a great faith building event during your Youth Group and/or Rel. Ed. classes. 3. Have multiple copies of the individual registration form and poster available. 4. Hang the posters up in prominent locations. 5. Distribute individual registration forms & poster to youth in grades 9-12 and parents in your parish. 6. Personally invite youth and interested adults to attend the Youth Conference. 7. Use other means of invitations: bulletins notes or inserts, announcements at Masses, invitations from the Pastor, emails, etc.

Presenter Jesse Manibusan is a composer, singer/songwriter, storyteller, humorist, catechist, evangelizer and encourager. Working with any and every age group, Jesse has that knack to build instant rapport, connect to his audience, and create life-giving memories that help deepen faith and cultivate the joy that inspires service, sacrifice and the celebration of life. Jesse earned an MA in Multicultural Ministries from the Franciscan School of Theology, Berkeley, CA, and gives concerts, workshops, parish missions, and retreats. Jesse s music is published by Oregon Catholic Press and Spirit & Song (a division of OCP). In 2014, Jesse received the National Catholic Youth Award, for Presenter/Artist Category by the National Federation for Catholic Youth Ministries, INC.

Excel Spreadsheet Instructions 1. Open the 2018shConfRegistration.xls file. 2. Enter the Last Name of your first registrant. 3. Press your tab key, or click in the cell to the right under First Name. 4. Enter the First Name. 5. Click in the cell to the right under Group ID. Group ID is your parish. It is easier to keep using your mouse/cursor from this point on. Notice the double triangle to the right of the cell. 6. Click on the double triangle to reveal a list of parishes/schools. 7. Select your Group ID or school by clicking on it. 8. Click in the cell to the right under Registration Type. 9. Click on the double triangle and select the Registration Type. 10. Continue to click the cells and enter the Gender, and Grade, # of times at Castaway information. 11. Please use the dropdown boxes for Permission Slips, Code of Conduct and Safe Environment Trained, and click yes or no as soon as the forms/training are complete. 12. Enter the cell phone number to the right under Phone/Cell Number for Parish Leader/Contact Person Only. 13. In the column labeled Dietary or Special Needs please list any special needs for the participant. 14. Repeat this process for each and every participant including work crew and then you are ready for shirt orders on the next tab. Note: If you are repeating any selection for a number of registrants, you can insert it for the first registrant, and then click on the cell, drag down the appropriate number of cells and use the fill down command. The green columns are for WORK CREW only!

SHIRT ORDERS Due Oct. 15th 1. On the bottom of the page there is a tab that says Participant Registration which you have now completed. 2. Click on the tab to the right of the Participant Registration tab, titled Shirt Orders Worksheet. It should look like the image below. 3. Last Name and First Name will transfer from the Registration Sheet. 4. In the Cell SHIRT SIZE FOR WORK CREW there will be a shirt size for each WORK CREW member. Please put the number 1 in under the t-shirt column to the right for the correct size. - SEE ABOVE. 5. For all other registrants, please put the number of shirts they would like to order under the column of the correct Shirt Size and Type. 6. When finished entering the information, save the file with your parish name and email to laura.gorder@gw.stcdio.org 7. For any new registrations or shirt orders after you send in initial registrations, be sure to fill in a new and clean 2018shConfRegistration.xls file with ONLY the new registrations using all the above steps. Please note that shirt orders sent after Oct. 15 may not be filled.
